CCAPTAINSAPTAINS’ ’ ANDAND C COO-C-CAPTAINSAPTAINS’ D’ DUTIESUTIES

THE CAPTAIN’S ROLE

The primary role of the Captain and Co-Captain is to work closely with the monthly Expeditor and the quarterly Facilitator in recruiting new retreatants.

In addition, Captains need to maintain periodic communication with the White House Office in order to confirm the number of retreatants compared to your retreat allotment.

Roughly 20% of your confirmed retreatants will likely cancel their attendance prior to the retreat. Good follow-up with retreatants can reduce this percentage significantly.

Keeping in touch with the Office will help in determining what additional recruiting will be needed.

Each Captain’s goal is to recruit 100% of your allotment.Your allotment is based upon your realistic goal of attendees.

One of the most important tasks of the Captain and Co-Captains is to attend the annual Captains’ Meeting, which is scheduled about 45 days before the beginning of your recruiting quarter.

One important way for the Captain to make sure he is prepared for the annual meeting is to meet with his Co-Captains prior to the meeting to review your previous years’ attendance, and assign names for your Co-Captains to begin making phone contact so you can

determine who will be returning for this year’s retreat. By doing this, you can spread this responsibility over all of the Captains and Co-

Captains thus making the task less time consuming. This communicating helps lessen the burden and prepares you for the Captains’ Meeting.

THE CAPTAIN’S RECRUITING PROCESS

WHEN TO RECRUIT

The time to recruit is whenever you see a need. As you probably know from your own experience, not everyone says “yes” to accepting something that might very well make a significant change in their life. The White House Retreat experience will not appeal to every man or woman.

However, it is the role of the Captain, Co-Captain, and fellow retreatants to carry the GIFT OF PEACE to all who want to deepen their spiritual life; release their tensions and fears about themselves and their life situation. If we do not ask them, they will not receive it.

Effective recruiting happens constantly throughout the year.

HOW TO RECRUIT, WHERE TO RECRUIT, WHOM TO RECRUIT

Not all of us are salesmen nor do we need to be in order to recruit for the White House. Let your sincere words and experience tell the story. The following are some helpful hints on how, when, where, and whom to recruit:

NOTE: In order to be in compliance with the USCCB Child Protection Charter, RETREATANTS MUST BE AT LEAST 18 YEARS OF AGE TO ATTEND A WHITE HOUSE RETREAT .

Recruit friends, family, neighbors, fellow parishioners, classmates, clients, anyone who needs and wants to get closer to God and himself.

Recruit in your Parish and involve your Pastor. He can help a great deal.

Speak at Mass the weekend following your retreat or have a fellow retreatant speak.

Use your Parish bulletin to create awareness of White House. Use the White House poster.

Have a booth at your Parish Ministry Day.

Pass around the White House video or show it after Mass to all who are interested.

Make connections in surrounding Parishes that do not have a retreat weekend.

02/2011 Page 7

HOW TO RECRUIT (continued)

Handout one of the several informational pieces available to you.

Send letters of invitation or White House postcards. Send e-mail invitations.

Invite your Pastor and Associate Pastor(s) for your retreat’s closing meal.

Invite First-Timers to visit the White House.

Recruit all ages. No one is too young or old.

Work with your fellow Captains and Co-Captains on your retreat to ensure a full house.

Keep in touch with your First Timers, they will probably have friends that they can recruit.

The key to successful recruiting iscommunication.

Communicate with your fellow Captains, Co-Captains, Facilitator, Expeditors, and most especially the White House

Office. Communicating with the White House Office is essential to the success of your retreat.

DIET AND DISABILITY CONSIDERATIONS

Remember to use the following information when recruiting:

We want the retreat to be a rewarding experience for those who are in need of special accommodations. Arrangements can be made by contacting the Office.

Rooms for the disabled are available. Dining Room special diet tables are always present.

ROOMS FOR THE DISABLED

Rooms 101 and 105 at the north end of Snyder Hall are wheelchair accessible. Grab bars are available at both the toilet and the shower. A portable shower bench is provided and the showerhead can be hand-held. Room 101 also has a recliner.

If a retreatant requires wheelchair access and/or grab bars at the toilet and shower, it is advisable to reserve these rooms in advance by contacting the Office.

If a retreatant is referred to as disabled, we will plan for him to use either Room 101 or 105. If “First floor” is indicated on his Registration Card, it will be noted that the retreatant does not need a disabled accessible room, but needs to minimize walking distance and stairs.

There may be more than one request for special accommodations on a retreat. To help determine the assignment of the disabled accessible rooms, it is helpful to know if the retreatant uses a wheelchair. If so, please note that Retreatants are responsible for bringing their own equipment. This policy is due to liability considerations. The White House Retreat wheelchair is meant to be used only for medical emergencies.

A CAPTAIN’S ADMINISTRATIVE ROLE

One of the most important tasks of the Captain and Co-Captains is to attend the annual Captains’ Meeting, which is scheduled about 45 days before the beginning of your recruiting quarter.

This is a very important meeting and your attendance is critical to the success of your retreat.

Your Quarterly Facilitator and Monthly Expeditor who conduct this meeting will discuss registration procedures and other strategic issues important to White House Retreat.

The actual Reservation and Registration process begins when you receive your Captains’ meeting notice approximately 4 weeks before the meeting.

REGISTRATION PROCEDURES

Captain’s Quarterly Meetings:

A letter notifying you of the time and location for your meeting will be sent to you approximately one month prior to the meeting.

If your Retreat occurs during the first month of each quarter, you will receive a copy of your Group’s Response List and roster with the meeting notification letter to help you get started on recruiting for your retreat.

At the meeting you will receive a RESPONSE LIST and a ROSTER that includes names, addresses, phone numbers, email addresses, etc., for those Retreatants who have attended a retreat with your group within the past 5 years. BLANK REGISTRATION FORMS for new Retreatants will be included in your packets.

Your Group’s ALLOTMENT and the DATES OF YOUR RETREAT are included on the Response List. Please check this information before you contact your guests.

You can then divide the Response List and Guest Roster for your Group between your Co-Captains to help you make phone contact with those Retreatants who will be returning for the upcoming retreat. By sharing the responsibility of contacting all the guests with your Co-Captains, you will be able to manage the task more easily and achieve better attendance for your Group.

CONFIRMATIONS are mailed one month prior to the Retreat date, so please submit as many registrations as possible one month prior to your retreat event. Additional registrations can be given to the office later as you receive them.

01/2010 Page 19

01/2010 Page 20

If you find that your group will exceed your allotment, please contact the office to see if there will be room for additional guests. Your extra guests may have to be placed on a Wait List.

Out of courtesy to those on the Wait List, please advise the office of any cancellations as soon as possible so those on the Wait List may have an opportunity to attend.

Please ask your guests to notify you promptly if they find they will not be able to attend, so that the office may offer their room to those on the Wait List.

Next Year’s Allotment:

On the last day of your retreat, you will meet with the other group Captains to discuss your allotment for the following year.

Allotments should be adjusted according to the needs of all the groups. If your group is not growing or cannot fill the current allotment, we ask that you be willing to offer some of those spots up to other groups who are growing.

We also ask that the office be given a small allotment to accommodate those who for some reason need to attend on their own or at a different time than on their group’s retreat event.

TTHEHE W WHITEHITE H HOUSEOUSE R RETREATETREAT E EXPERIENCEXPERIENCE

01/2010 Page 21

HOW CAPTAINS CAN SHARE THE EXPERIENCE

It is through the efforts of Captains and group members that new retreatants continue to come to White House Retreat. First-Timers are the life blood of any retreat group and each group member should not only seek them but care for them, pray for them, and help to make sure they feel welcome and at home.

Many first-time retreatants come to White House Retreat with a bit of anxiety and some come carrying very heavy burdens. Others come because it is a family tradition that they are happy to join in, or because close friends have invited them to join them and told them about the spiritual benefits they have received, and the new retreatant is eager to participate.

No matter what reason brings a First-Timer to White House Retreat the role of Captains in making them welcome and setting a good example is crucial. Men who have been coming for years “know the ropes” and may forget that everything is new to First-Timers, e.g., they do not know about picking a place to sit in chapel or in the dining room.

The opening meal can provide a good opportunity to make a First-Timer feel at home. A Captain can try to make sure that his First-Timers are not left to fend for themselves when they enter the dining room. If the Captain can help seat them with other welcoming retreatants he goes a long way to helping the First-Timer feel at home. In a large group a Captain can ask the assistance of other veteran retreatants to help a First-Timer by personally inviting him to sit with them.

Throughout the retreat First-Timers watch the other retreatants, especially their Captains, for an example of how to make a successful retreat. The Captain’s own attention to promptness and silence and a prayerful and reflective attitude can be a huge help in providing a prayerful experience for the first-time retreatant as well as for others in his group.

Many do come to White House Retreat anxious and burdened and your invitation to them to make a retreat has the potential to be a life changing experience for them. Pray for all of your fellow retreatants, but especially pray for the men who have come for the first time. Your efforts have brought them and the retreat is a good opportunity to commend them to the Lord. THANKS!

PRE-RETREAT NOTIFICATION TO FIRST TIME RETREATANT

NOTE: The information on pages 23 – 27 is sent to First-Timers and those who have not made a retreat for 4 or 5years with their confirmation notices.

Helpful Information About Your Retreat

01/2010 Page 22

Communing with the Lord requires a measure of solitude and stillness and preserves the climate of prayer that is a fundamental part of the White House Retreat experience; therefore, your retreat is a silent retreat. Each retreatant makes himself totally available to the Lord and refrains from all conversation with fellow retreatants (except during the optional Fellowship Period following dinner in the evening).

The directions to White House are on the map on your confirmation card. When you get to the main entrance of White House please follow these directions:

Take your bags to the registration area of Snyder Hall. You will receive your room assignment, Daily Schedule, prayer book, Chapel card, name tag, etc.

Take your bags to your room, then move your car to the lower parking lot. Please let us know if you require assistance walking up the hill from the parking lot.

The Jesuits give first time visitors an orientation after the first meal to make you feel at home. They will answer any questions you might have.

Please be prompt to all conferences and meals. Refer to your Daily Order for all scheduled events during your retreat.

Conferences, Scripture services and Mass are held in the chapel.

01/2010 Page 23

Meals are served in Monaghan Hall Dining Room.

Leader #1 is in Room 200 of Snyder Hall, Leader #2 is in Room 133 of Snyder Hall and Leader #3 is in Room 20 of Chiuminatto Hall. If you need something for your room or are having a problem, please contact one of these Leaders. They will be happy to help you with any of your needs.

Please, no electronic devices, i.e., radios, laptops, or anything that might distract you or a fellow retreatant. Cell phones should be left off except for an emergency. In the event of an emergency telephones are available in all the Leader Rooms.

White House provides towels, bed linens and soap. With a very few exceptions, each person has a private room with lavatory/shower. There is a Bible in each room.

You'll want to be prepared for inclement weather -- walking between buildings as well as around the grounds. Bring walking shoes. Also bring your rosary and a pen/pencil to take notes.

Items you may have forgotten (comb, toothpaste, etc.) are available for purchase in the bookstore.

Dress is generally casual.

The wake-up bell rings 30 minutes before morning prayer. There are no clocks in the rooms, so you may wish to bring an alarm clock for your own personal use.

01/2010 Page 24

THE DEVOTIONAL EXERCISES

The Retreat Program is based on the Spiritual Exercises of St. Ignatius. The retreat includes a series of conferences, each leading to the one that follows. Each conference is followed by a period of personal prayer and reflection.

The following are the Devotional Exercises that are a very important part of The White House Retreat Experience.

Private prayer in Chapel, your room, or on the beautiful grounds. Rosary in common. The group gathers on the patio as scheduled (weather

permitting). Stations of the Cross may be made privately during any free time. Prayerful reading of Scriptures. Devotion to the Blessed Sacrament. Sacrament of Anointing The sacrament of Reconciliation is available for those who wish it.

RETREAT LEADERS’ ROLE

On a rotating basis, the Captain and Co-Captains from each group will take the role of “Leaders #1, 2 and 3” for their retreat.

Leader #1, who is usually the Captain for the lead group, will reside in Room 200 on the second floor of Snyder Hall; Leader #2 will reside in Room 133 on the first floor of Snyder Hall; and Leader #3 will reside in Room 21 on the second floor of Chiuminatto Hall.

Each Leader will ring the wake up bell on the floor on which he is staying at rising each morning (30 minutes before morning prayers), and 15 minutes before the Rosary.

Each Leader will also be responsible for any emergencies that might occur with the men on his respective floor. There is a telephone and first aid supplies in each Leader room.

Leader #1will read a request for donations for the cost of the retreat at the closing service.

Leader #1 will also be responsible, with the assistance of Leaders #2 and #3, for completing the “Job Lists” on pages 30 and 31(for Weekend or Weekday retreats).

THE ROLE OF THE MONTHLY EXPEDITOR

The primary role of the Expeditor is to work closely with the Captains and Co-Captains in recruiting new retreatants.

In addition, Expeditors need to maintain periodic communication with the White House Office in order to confirm the number of retreatants compared to a Captain’s retreat allotment. Approximately 20% of your Captains’ confirmed retreatants are likely to cancel their attendance prior to the retreat. Keeping in touch with your Captains and the office will help in determining what additional recruiting will be needed by your Captains. Your Captains’ retreat allotments are based upon realistic goals that you set with your Captains. It is with Expeditors, Captains, and the White House office all working together that you can make your retreats a “full house” success.

One of the most helpful tasks of the Expeditor is to meet with your Captains andCo-Captains sometime after the retreat; say within six months. At this informal meeting you can review your Captains’ previous year’s attendance and discuss how recruiting efforts are going. Remember, this meeting and the annual Captains’ meeting are the only required meetings of the year; a small amount of time when compared to the rich rewards of your efforts.

At the Meeting with Your Captains

The following are key points to focus on at the meeting with your Captains.

Discuss the Captain’s retreat allotment needs and try to decide upon an approximate number. Advise the office of the suggested allotments.

Review the importance of Captains communicating with their Expeditor, the other Captains in your retreat, and the Retreat office.

If you don’t know all of your Captains, introduce yourself. It is important to build a personal relationship with your Captains and Co-Captains.

Review some of the “most important” responsibilities of being a Captain or Co-Captain.

Have the Captains/Co-Captains share new ideas on recruiting and what works and what doesn’t work.

Review some of their “most important” administrative duties.

01/2010 Page 33

Stress the importance of communicating with you, their retreatants, and the office.

Show appreciation to the Captains and Co-Captains for their work and congratulate those who made a “significant” contribution to their recruiting or administrative duties.

Following the meeting, contact the Captains and Co-Captains who could not attend the meeting. Review the above topics covered in the meeting and verify his role as a Captain or Co-Captain.

Following Your Captains’ Retreats

Review with the Captains their results and give them a sincere word of “Thanks” for their efforts.

Other Responsibilities

Encourage your Captains and Co-Captains to attend all of the following White House events:

Spring Mass and Breakfast

Captains’ Cookout (Late spring)

Annual Captains’ Meeting

Recruiter' Conferences
