2. Responsibilities

GAW Capital(BUILDING OWNERS): All Refurbishment Waste

The landlord’s contractors are responsible for ensuring that all their hard core waste is disposed of appropriately. All of this waste is to be segregated and reused or recycled where possible.

CUSHMAN & WAKEFIELDON SITE MANAGEMENT TEAM: All general building waste

The C&W management team are responsible for setting up building waste procedures for the collection and disposal of waste and for encouraging the occupiers to segregate/recycle as much of their office waste as possible. Building Management provides all occupiers with regular data on the various waste disposed of within the building on a quarterly basis. The large occupiers have all their waste sacks coloured tagged and counted and are provided with waste statistics for benchmarking/improving.

ALL BUILDING OCCUPIERS: All Waste from within their demise including hard core fitting out materials and electricals.

3. Site Waste Management Strategy3.1 Building Information

Exchange Tower is a twin-towered 16th floor office building occupied mainly for commercial office use. There are 3 lower basement car parking levels. The ground floor incorporates a large main atrium entrance and external podium. There are 24 lifts in total which include, 14 passenger lifts, 4 car park lifts, 4 fireman’s lifts and 2 goods lifts. There is minimal planting in the atrium - the external podium has recently undergone replanting.

There are currently 25 companies in occupation who use their own individual cleaning contractors. Each occupier is responsible for ensuring that they follow the building waste procedures and segregate/recycle as much of their dry waste as possible within their offices as part of their own waste procedures.

The waste handlers then check the recycle sacks for contamination. These are then sorted into the appropriate bins (recyclables/general waste/food waste) for collection from site.

3.2 Site Waste Management Plan Aims

The aim of the Site Waste Management Plan is to:

To segregate on site as much recyclable materials as possible Demonstrate efficient waste management and cost and risk

minimisation Achieve cost savings by managing material supplies, storage and

handling and recovery and disposal of waste. Achieve the targets set in the BREEAM On-Line environmental

management system and ISO40001. Demonstrate Best Practice and achieve continuous improvement at

Exchange Tower.

3.3 Persons Responsible

The Facilities/Building Manager is responsible for the following:1. Promoting awareness of the Site Waste Management Plan (SWMP)

amongst staff, contractors and the building occupiers.2. Monitoring and reporting 3. Encouraging Improvements.

3.4 Waste Recycling Policy

WASTE RECYCLING POLICY

The building owners and managing agents actively encourage the Recycling of as much waste as possible at their buildings and building management operates a comprehensive recycling system within the building. Occupiers are requested to consider the following:

Reduce: the amount of waste materials in the first instance

Re-use: materials where possible

Recycle: as much waste as possible

All building occupiers are responsible for setting up waste procedures within their own offices and to ensure that their waste is segregated correctly. All waste is required to be properly segregated into three main waste streams as below:

Non-Recyclable Materials (general waste) - Black Plastic Sacks

Waste sacks must never be overloaded to avoid injury to waste operatives. Waste must not be left in the common area lobbies during the day or night as this may cause a trip/fire hazard and must not block any fire exit routes.

DAILY WASTE COLLECTIONS are made from all the goods lift lobbies on all floors (Ground – 16th) at the times below:

Monday to Friday - 0600 - 0730 hrsMonday to Friday - 1400 - 1500 hrs (recycled waste only)

Below is a list of the Dry Recyclable waste suitable for Clear Sacks only:

- Mixed white/coloured paper and magazines- Paper/plastic food packaging (clean only)- Plastic Vending cups (must be empty of liquids to avoid contamination)- Aluminium cans (must be empty of liquids to avoid contamination)- Plastic milk/drink Bottles (must be empty of liquids to avoid contamination)- Glass (if broken then this needs to be protected to avoid injury to others)

SEPARATE WASTE AS FOLLOWS:

Used Toner Cartridges: Recyclable, but must be kept separate from all other waste to avoid contamination. Donations made to charities from these where possible.

Cardboard: Is Recyclable but boxes must have packaging removed and be flat-packed and tied in bundles, NOT put into plastic sacks.

Security Waste for Shredding: Is Recyclable but not included in the building waste procedures and therefore this service will be an additional cost to each company.

All waste is taken to the loading bay where it is checked by the ‘Waste Handlers’ to ensure that there is no contamination of recyclable waste in the clear sacks.

All the Recyclable sacks are loaded into the compactor and collected weekly by Viridor Waste Services and taken to their site MRF (Material Recycling Facility). The recyclable waste is then separated into the various materials and further processed.

WE RELY ON OUR OCCUPIERS TO SEGREGATE THEIR WASTE EFFICIENTLY- All Non-recyclable waste in the black sacks is incinerated to produce energy.- All food waste is composted.- Minimal waste produced at Exchange Tower is sent to landfill.

Viridor provide monthly statistics of all the waste produced and disposed of and these details are passed onto the building occupiers via email, circulated at Green Team Committee Meetings and included in the building Newsletters. They are also available under the SUSTAINABILITY tab on the Exchange Tower website: www.exchange-tower.co.uk/occupiers/.

Old or redundant IT equipment or electrical goods must also be recycled, although this will incur additional charges to each occupier. If occupiers have a large amount of waste for disposal (ie: office clearance or refurbishment works), then they must arrange a skip for their own use and inform building management beforehand. All skips at Harbour Exchange must be of the covered lockable type and Waste Transfer/Consignment Notes must be kept on file by the waste producer.

Building Occupiers are responsible for the correct segregation and disposal of the waste produced from within their offices and are reminded of the importance of segregating waste properly to avoid contamination

to recyclables. As much waste as possible must be RECYCLED!

This is a requirement of the building Landlord and every effort must be taken to ensure that the building waste procedures are followed by all their staff and contractors at all times.

4. Site Waste Management Strategic Fit, Benefits & Principles

4.1 Site Waste Management - Strategic Fit

The real benefits of a SWMP can be realised if it is used as a high–level requirement and integrated in the BM framework from the outset.

4.2 Site Waste Management - Benefits

The key benefits of effective Site Waste Management are summarised as below:

- Reduction in environmental impact- Reduced material and disposal costs- Conserving natural resources- Increased performance against CSR objectives- Lower CO² emissions- Responding to and pre-empting public policy- Education

increasing cost, by:- Minimising the overall creation of waste- Using more recycled materials and mainstream products with higher

recycled content. With regard to refurbishment works, using products with higher cycled content such as glass and plastic.

A SWMP is not just a tool for managing waste on-site. This will greatly help realise the benefits of good practice Waste Minimisation & Management (WMM) if used as a tool during occupier fitting out projects and landlord refurbishment works.

Taking action in each of these areas would enable construction projects to achieve good or best practice in resource efficiency. Bearing in mind the high cost of disposing of waste, it is apparent that producing less waste will have the added benefit of minimising the cost of removing that waste.

In light of recent and future increases in Landfill Tax, reducing the amount of waste produced and improving management and recover options will produce ever increasing financial savings as well as the obvious environment benefits.

Currently all the non-recyclable general waste produced by the occupiers at Exchange Tower is incinerated to produce energy.

None of the general waste from Exchange Tower is sent to Landfill. All food waste is recycled for composting where possible.

4.3 Site Waste Management – Principles

4.3.1 Eliminate – Consider if the anticipated waste can be eliminated. This is particularly useful during design and fitting out works. The following aspects must also be considered:

Building Form – Office size and space can be designed to eliminate unnecessary elements. Further, specifications providing for modular design can reduce off-cuts

Off-Site Manufacturing: Utilise prefabrication, factory assembly, preassembly, off-site assembly/manufacture, panelised or modular construction where possible.

Specifications: Evaluating the specifications for materials with potential for reuse and recycling.

WE RELY ON OUR OCCUPIERS TO SEGREGATE THEIR WASTE EFFICIENTLYJust-in-Time (JIT) Deliveries: JIT deliveries help eliminate waste generated during storage - an integrated logistics plan, enabling efficient management of delivery and storage of materials.

Recycling Packaging: Ensuring packaging/pallets are re-used and/or returned to the suppliers.

Off Site Material Consolidation: ergo smaller and more frequent delivery distribution vehicles and less environmental impact on highway with respect to fuel emissions and traffic populations.

4.3.2 Reduce - All measures to reduce waste should be considered by all landlord and occupiers contractors. An effort has recently been made to reduce wastage from the refurbishment works undertaken by the landlord and their contractors. Equipment such as trunking has been reused where possible, together with other reusable equipment. Occupiers should take this into consideration with fitting out works in their offices.

4.3.3 Reuse - This can be achieved by reusing packaging to products delivered to site such as a return cycle for pallets and other transport related products to be reused a multitude of times.

- At Exchange Tower, where possible, the water used for the lower level window cleaning is reused for watering the site plant beds.

4.3.4 Recycle – Exchange Tower actively encourages occupiers to recycle as much of their general waste as possible. There is a simple 3-bin/sack system:

All Mixed Recyclable - Clear Sacks

All Non Recyclables - Black Sacks

All Food Waste - Biodegradable sacks

All companies/occupiers are responsible for following the building waste procedures and segregating as much of their waste as possible for RECYCLING within their own offices.

The waste sacks are collected daily by the building operatives and checked by the site waste handlers before being processed further

Exchange Tower is sent to Landfill. The waste is disposed of as in section 4.4 follows:

4.4. On-Site Waste Management

All Mixed Recyclables Materials are further segregated at the Viridor MRF site for final Recycling

All General Waste Incinerated to produce Energy

All food Waste Processed for Composting

Waste at Exchange Tower is segregated by the individual occupiers prior to leaving their offices. Occupiers are responsible for recycling as much of their waste as possible.

All waste is collected from site by Viridor Waste Management.

None of the general waste from Exchange Tower is sent to landfill.

Viridor collect all the data on the types and quantities of waste generated and provide quarterly analysis/reports of the waste streams including volumes, recycling rates, re-use of materials and residual volumes incinerated.

The Facilities Manager is based on site and is responsible for managing the building waste ensuring that occupiers are aware of the Waste Policy and Procedures for the building. Contract Cleaning & Maintenance (CCM) are the building cleaners and responsible for all the common area cleaning and the waste as follows:

Collection and transportation from the workplace Removal off-site and disposal Environmental issues (segregation, recycling, etc) Legislation

4.4.1 Collection and Movement - Hazardous Waste

All occupiers are responsible for the removal of any hazardous waste that they produce and must register as a “Hazardous Waste Producer” with the Environment Agency. Occupiers’ contractors are responsible for segregation of hazardous waste

WE RELY ON OUR OCCUPIERS TO SEGREGATE THEIR WASTE EFFICIENTLYand the legal removal from site. Occupiers should keep their own records, ie: quantity/type of waste sent off site, recycled, reused, etc.

4.5 Training

Each trade contractor will be responsible for training their workforce on waste management procedures.

Building Management are responsible for ensuring that all their site contractors are aware of the site waste procedures.

Building Management are responsible for ensuring that all the building occupiers are aware of the site waste procedures.

All Occupiers are responsible for ensuring that the building waste procedures are adopted and followed by all of their staff and comply with the building Waste Policy (3.4).

4.6 Monitoring/Reporting

Monitoring and evaluation will form part of the waste management process at Exchange Tower. Building Management will collect data from Viridor Waste Management and compare it with the estimated projections. Waste Reports are sent to the occupiers on a regular basis to encourage further recycling.

Viridor/CCM Report showed statistics for the total waste produced:

NO LANDFILL WASTE!

The chart below gives the % of recyclable waste produced for each of the larger occupiers. These were identified by colour tagging their waste sacks during 2012-14.

NOTE: As the above chart clearly highlights, there has been some improvements overall with the recycling stats.

5. Waste Improvement Strategy for 2015 The management team will continue to colour tag the larger occupiers’ waste

sacks to monitor/measure their waste for benchmarking/improving.

Feedback to be provided to occupiers on improvements made or otherwise.

Adhoc visits to occupiers’ offices to be made by building management to check effectiveness of individual office waste procedures.

Building occupiers to monitor and review their office waste procedures.
