When and Where
July 1-6, 2018, The Summit
The Summit Bechtel Reserve is located about 1 ½ hours southeast of Charleston, West Virginia, and it sits on the New River Gorge National River.
It is in the middle of a world renowned recreation area, known for whitewater rafting, kayaking, climbing, mountain biking, and more.
We’ve invited over 375,000 Venturers, Sea Scouts, Explorers and Venturing-age Scouts to attend.

Program
Who can register?Registration can be made by:
• Council contingents• Individual units (crews, ships, posts, troops)• Individual youth participants (they become part of a regional
provisional contingent)• Staff (must be at least 16 years of age; many positions require 18+
or 21+)• All youth must Venturing age (at least 14 or 13 and have completed
the 8th grade but not yet 21), adults must be 21+.• Coming soon…International Scouting Contingents
Council Contingents
• Council contingents identify their own adult leadership.• A minimum of two adults, both 21+, both current in Youth
Protection Training.• The council collects fees directly from participants, and makes
payments directly through the Summit / VenturingFest registration portal.
• Council contingent members cannot pay the Summit directly; allpayments are made by the council contingent.
Unit registrations
• Units identify their own adult leadership.• A minimum of two adults, both 21+, both current in Youth
Protection Training.• The unit collects fees directly from participants, and makes
payments directly through the Summit / VenturingFest registration portal.
• Unit members cannot pay the Summit directly; all payments aremade by the unit.
• If a unit is bringing only one youth and parent of youth/advisor, theywill be added to a regional provisional contingent. (This is rare.)
Individual registrations
• Leadership is provided by the region• If flying,travel arrangements must be made to arrive and depart
from the Charleston, WV airport (CRW). Transportation will be arranged for a discounted fee from CRW to the Summit, and return.
• If arriving by vehicle, individual participants must check‐in at the Ruby Welcome Center. Departure on 7/6 will also be from the Ruby Welcome Center; breakfast is the last meal provided.
• If a unit is bringing only one youth and parent of youth/advisor, theywill be added to a regional provisional contingent. (This is rare.)
What is the Adult Advisor / Leader requirement?
VenturingFest runs by Venturing Youth Protection standards:
• Male and female adult leaders must be present for all overnight coed Scouting trips and outings, even those including parent and child. Both male and female adult leaders must be 21 years of age or older, and one must be a registered member of the BSA.
• If a troop is attending VenturingFest and has 18‐20 year oldAsst. Scoutmasters, they will be counted as youth participants, not adult leaders.
• Adults may participate in all Summit and VenturingFestactivities.
Program choices
• As registrations are received, they are date and time stamped.
• Program selection is done by drawing. There are moreprogram areas available than you will have time to do.
• Reservations with earlier date and time stamps will get preference when selecting program activities. First come, first booked.
• Reservation fee increases $100 per person after April 30; closes completely after May 31.
Accommodations and Food ServiceHousing• 2-person tents (for youth and adults), camping by crew, by region• Cots are provided, bring your own sleeping bags• Showers are “ambient” with flush toilets, sinks with running water and electricity
Food Service• Dining Hall and Lunches• We have the capability to provide meals that meet various special dietary needs
throughout your stay at the Summit, including but not limited to vegetarian, vegan, religious diets, food allergies, and many more. You will be able to indicate on your roster in the registration system any special dietary needs for your unit members. In addition, please note any special diet needs on your medical forms, also identify yourself with dining hall management upon arrival and they will be happy to assist and review ingredients in the different items and review items that are available to you.

• Be a currently registered member of the Boy Scouts of America (or approved member of an invited international Scouting association).
• Complete parts A, B & C of the BSA Annual Health & Medical Record• Complete the Summit Bechtel Reserve Risk Acknowledgement• $500 registration fee covers all meals and programs – except Whitewater
Rafting which has an additional $75 per person fee for ½ day trip.• All Meals (7/1 lunch to 7/6 breakfast)• Tent and cots (with one tentmate) in Delta or Charlie Base Camp• Access to events and program venues
