1Intoduction

Just the right word at just the right time.

Periwinkle Kudos is a reminder, communication and documentation app enabling leaders to quickly notelaudable performance. These notes may be sent to team members as near-term positive reinforcementand may be retained for later inclusion in performance evaluations. Kudos may also be used to providedetailed, real-time feedback and encouragement to academic and artistic students, athletes, and familymembers. Kudos functions as an excellent auxiliary feedback device for military leaders.

Kudos simplifies and increases the accuracy of performance evaluations. Many performance evaluationsinform promotion and compensation decisions. Each year supervisors struggle to recall examples ofexemplary team member performance which positively grounds these period evaluations. Whetherthrough informal real-time acknowledgment or a formal performance review process, all team membersdeserve your recognition for their commendable activities.

Kudos is a must for teachers, coaches, and parents. Kudos enables leaders and instructors at all levelsto acknowledge advancing performance, encourage subtle progress and commend focused effort.

Periwinkle Kudos supplies an easily accessible location to note the specifics of praiseworthy teammember activities, respond with immediate recognition and retain comments for later inclusion inevaluations. Kudos enables you to always provide "just the right word at just the right time."

Promote Excellence

Features

People attributes include given name, surname, and email address.Kudos attributes include date of kudo, description (360 characters max), and categoriries.Category attributes include name and description. A kudo can be categorized with one or multiplecategories.Categories can be hidden if not needed.You can set a number of days that you want between kudos. If a person has not had a kudos within theselected number of days the person entry will display this oversight.One kudo or all kudos can be emailed for immediate employee reward; or you can email then toyourself for easy inclusion in performance reviews.Kudos data can be backed up to and restored from cloud services.Complete help file; also available as a PDF.

Getting Started

Periwinkle Kudos! consists of people, their associated kudos, categories of kudos and associatedsoftware settings.

To get started:1.If you don't want to use categories go into settings and turn them off.2.In the "people" page, add one or more people.3.Tap on a person to enter the "kudos" screen. Add one or more kudos for the person.4.Share the kudos!The people page is where everything starts in Kudos. It consists of a list of the people that are beingtracked. People can include subordinates, colleagues, students, children, cats and dogs - add anyone totrack and acknowledge their excellence.

Above is an image showing the pertinent sections of the people page. The main portion of the page is alist showing the person's name and noting the last time a kudos was written for that person. At the bottomof the screen is the set of buttons which act on people.

Adding a personYou can add a person by pressing one of two buttons:

Tapping the Add Contact button will allow you to select a person from your contact list. Once thecontact is selected the person edit page will display already filled in with data. If some data ismissing or incorrect you can add or modify the data prior to accepting the person's data.

Tapping the Add Person button will display a blank person edit page. You must manually fill in allof the data when this button is pressed.

Selecting a personOnce you have people in the system you will notice a rectangle to the left of each person. A person with alighter accent color filled rectangle is considered "selected". Tap the rectangle next to a person to "select"that person.

Showing a person's kudosYou can view the person's kudos by tapping on the person's NAME in the list. Don't tap the rectanglewhen attempting to show the kudo; tapping the rectangle selects an individual's personal for editingrather than that person's listed kudos.

Editing a personSelect a person by tapping the rectangle next to the person. Once selected, an individual'spersonal information can be edited by tapping the Edit button.

You can also edit the person by holding on a person's NAME within the list. This will bring up a pop-upmenu with an Edit menu item.

Deleting a personYou can delete a person by holding on a person's NAME within the list.This will bring up a pop-up menuwith a Delete menu item. NOTE: Deleting a person will also delete all of that person's Kudos.

The rectangles may also contain a notification indicator. In the settings screen you can set anumber of days you would like between kudos. This is a "tickler" system to remind you toregularly note and/or acknowledge the positive performance of subordinates. When anindividual is over 75% of this day count without a noted kudos, the rectangle will show awarning indicator. When the day count for an individual has expired without a noted kudos, therectangle will show an error indicator.

Edit a Person

The person page holds everything that Kudos needs to know about a person. Kudos needs to know apersons name. That can include a first and last name (given and surname) or it can include just one ofthose two entries. It is also helpful to have an email address. If there is an email address it is used whenyou share kudos.

Editing a personAfter adding or editing a persons information you tap on the Save button to accept the new orchanged person information.

Tapping the Delete button will cancel an add, or delete the persons information. NOTE: Thedelete will also remove all of the persons kudos.

After adding or editing a persons information, if you decide that you don't wish to keep thechanges then you tap on the Cancel button to either abort the add (if you were adding a person)or cancel the changes that were made if you were editing the person. The Windows Phone backbutton has the same functionality as the Cancel button.

Person UniquenessThe names of people in Periwinkle Kudos! must be unique. Specifically, the combination of given andsurname must be different for each person. This uniqueness is there so that you don't inadvertently add akudo to the wrong person. The uniqueness test is case insensitive so that "John Doe" is the same as"john doe". An error would be displayed if you attempt to add these two names.

When the uniqueness check on a name fails Kudos! will display an errorindicator.

Tapping the error indicator will display information about the error.

If there is an error you cannot save the person. You will have to either fix the problem or tap the Cancelbutton to abandon the changes.

EmailThere is also a validity check on the email address with an associated warning indicator. If the emailaddress appears to be of an invalid format, the warning indicator will appear. However due to thecomplexity of email addresses this is only a warning. The person can be saved even if the email addresswarning is visible.

The kudos page is where you can view a list of the kudos for a person.

Above is an image showing the pertinent sections of the kudos page. The header contains the name ofthe individual for which kudos have been written. The main portion of the page is a list showing the firstfew words of the kudo and the date the kudo was written. At the bottom of the screen is the set of buttonswhich act on kudos.

You can get to the kudos page by tapping on a person's name in the people page.

Adding a KudoTapping the Add Kudo button will display a blank kudo editing page. You must manually fill in allof the data when this button is pressed.

Selecting a kudoOnce you have kudos for a person you will notice a rectangle to the left of each kudo. A kudo with alighter accent color filled rectangle is considered "selected". Tap the rectangle next to a kudo to "select"that kudo.

Edit a Kudo

The kudos edit page is where you can briefly describe the excellence of your people. It consists of a datethat the kudo occurred, a brief description of the Kudo (360 characters), and optionally, the kudo can be categorized.

Categories

When you select categories you can select one or more categories for each kudo.

Kudo Menu Items

After adding or editing the Kudo information you tap on the Save button to accept the new orchanged Kudo information.

Tapping the Delete button will cancel an add or edit and delete the displayed Kudo information.

Tapping the Share button will bring up a page where you may send this individual Kudo tosomeone via email.

Categories

Categories are a method by which performance behavior notes can be grouped. Categories may consistof predetermined company values, goal attainment, user defined, or any other evaluative measure.

For example, on yearly performance reviews, a corporation may require examples of an employeesadherence to company values. Assigning a category to each company value allows you to annotatewhich Kudos are associated with given company standards.

Adding a CategoryTapping the Add Category button will display a blank category editing page. You manually fill inall of the cagegory data when this button is pressed.

Selecting a CategoryOnce you have categories you will notice a rectangle to the left of each category. A category with a lighteraccent color filled rectangle is considered "selected". Tap the rectangle next to a category to "select" thatcategory.

Editing a CategorySelect a category by tapping the rectangle next to the category. A selected category can beedited by tapping the Edit button.

You can also edit the category by holding on the TEXT of a category within the list. This will bring up apop-up menu with an Edit menu item.

Category Editing Menu Items

After adding or editing the category information you tap on the Save button to accept the new orchanged category information.

Tapping the Delete button will cancel an add or edit and delete the displayed categoryinformation.

Sharing

Kudos can be shared with the kudos recipient or anyone else via email. Tapping the share button in thepersons Kudos List page will send all of that persons kudos; tapping the share button in the Edit Kudospage will send just that selected kudo.

Tapping the Share button in either location will display the "Send From" page where you can choosewhich email account from which you wish to send the Kudos. Selecting an account will display the emailediting page. If the person has an email address filled in, it will be automatically entered in the to emailaddress. You may also add other email addresses or even delete the recipient to send just to anotherperson.

When preparing the persons performance evaluation, you can send all of the persons Kudos to youremail address to get a digital copy from which you can copy and paste kudos directly into the review.Your data is important. Therefore, to protect your investment and information, we furnish a way to storeyour data in the cloud. Tapping the application bar ellipse on both the People and Person Kudos pagesbrings up menu items. Tapping the Backup/Restore menu item brings up the Cloud Backup and Restorepage.

Backup or Restore over metered connections

To avoid cellular plan charges you may want to only backup or restore when on WiFi. In the settings pageyou will be able to control whether to use, or not use your cellular data plan while backing up. If backingup and restoring is restricted to WiFi and you display the backup and restore page while on cellular, anerror symbol will appear next to the Dropbox selection. Clicking on the error symbol will display amessage telling you why backup or restore is not available.

Backing Up Data

Once authorized for Dropbox, you may back up your data by clicking on the Dropbox icon. You will beasked to confirm your backup. Kudos will pause for a short time and then display a message informingyou that the backup was successful.

Restoring Data

To restore backed up Kudos data, switch to the Kudos restore page by swiping either left or right.Restore up your data by clicking on the Dropbox icon. Kudos will display a confirmation window to ensurethat you really want to delete your current data and use the backed up data. Tapping the OK button willrestore the latest cloud copy of Kudos on Dropbox. Kudos will display a message informing you that therestore was successful.

Dropbox Authorization

The first step in using Dropbox is to authorize Kudos to be used with Dropbox. If Kudos is not authorizedwhen you tap on the Dropbox button you will be redirected to the Dropbox authorization page.

Enter your Dropbox email address and password and tap on the Sign in button. After a short wait you willbe redirected to the Dropbox confirmation page.

Tapping on the Accept button will authorize Kudos to access a single folder of your Dropbox account.You may see a Periwinkle Software web page briefly flash by as the authorization completes.

You are now ready to backup and restore your Kudos information.The Settings page is where you modify the behavior of Periwinkle Kudos!

Last Name FirstIf you prefer to organize your people list by last name (surname) you can enable Last Name First by

setting the toggle switch to the On position. People will then be shown last name (or surname) before thefirst (or given) name.

Use CategoriesCategories are a method by which performance behavior notes can be grouped. If you don't havecategories then you may wish to turn off this feature by setting the toggle switch to the Off position. Youwill not lose category indicators by toggling the switch. No categories that are currently in the system, northeir associated settings within existing Kudos, will be deleted when toggling the switch.

Days Between KudosBy setting a number of days here, you determine how "tickler" alerts will function within the Kudossystem. A warning will be displayed when 75% of the time has elapsed since your last noted Kudo for anindividual. The error symbol will be displayed when the time since your last noted Kudo for an individualexceeds the selected number of days.

Next Review DateThe next review date is not used within the Kudos system, it is just a visual "tickler" to remind you of thedate.

Allow cloud access on cellular dataBackup and restore of your data, as well as accessing this help file are done over your metered dataconnection. To avoid cellular data plan charges or if your cellular plan has limited data, you may want toprevent cloud access unless you are on a non-metered connection (either WiFi or wired connection).

Reset Cloud AuthorizationIf you want to change your Dropbox account to a different account, or you just want to turn off backup orrestore capabilities, you can delete your saved credentials by pressing this button. You can alwaysreauthorize your Dropbox account again by re-accomplishing the authorization routines.

Settings Menu Items

After editing the setting information you tap on the Save button to accept changed information.

After editing the setting information, if you decide that you don't wish to keep the changes, thenyou tap on the Cancel button to abort any changes. The Windows Phone back button has thesame functionality as the Cancel button.

Privacy Statement

Periwinkle Kudos transmits your data to Dropbox if you choose to do so. We never have access to yourdata. If you encounter a problem within Periwinkle Kudos you may choose to email us the problem report.We will not share your email with any third party and only use it to contact you about the encounteredproblem.

Known Issues

This is a list of known issues that we decided were innocuous enough to releasewithout fixing.

After authorizing Dropbox, when you return to the Backup/Restore page, the Dropbox button stilldisplays "Authorization Required". The label is correct the next time the Backup/Restore page isaccessed.Tapping on the empty space at the bottom of the people list will navigate to the selected person. Itshould leave you in the people page. The same issue occurs in the kudos list page.
