Introduction – Getting Started

Welcome to LiveDeposition.com, the most user friendly way to stream Live, Real-Time, Web-based Video depositions. LiveDeposition.com offers many features within a simple web based streaming environment, including the ability to remotely attend all legal proceedings through your computer. There is no software to download in order to attend and participate in a live deposition, all that is needed is an internet enabled computer and a web browser with Adobe Flash Player version 10.3 or higher.

Logging Into Your Account

1. To log into your LiveDeposition.com account, type your customized DNS/URL into the address bar of your internet browser. In the example below we have used “stream.livedeposition.com”

– Please do not use “www” as that URL will not work properly.

2. Once there, click on the Host Button

3. Input your username and password and press Enter.

- Please Note: Passwords are case sensitive.

Stream Administrator

Once connected as a Host, you will be taken to the Stream Administrator Page where you will see four icons on the screen. From this page you will be able to Create a Deposition, Join a Deposition, Edit a Deposition or End a Deposition.

Creating a Deposition

1. To create a NEW stream, click on the button marked “Create Deposition”.

2. The “Create a Deposition” window will now appear, from here you can start entering the deposition information.

3. Either select an existing case from the Case Name drop down:

4. or click Add, enter a NEW case name.

5. Click Save.

6. Next enter the Witness Name, Start Date and Start Time.

Creating Attendee Groups:

To Add Attendee Groups

1. Click the add button located towards the bottom of the group box.

2. Start by identifying the Group as Defense or Plaintiff.

Warning - You must keep like groups together as Group chat is automatic between all attendees within the group.

Warning - If you have a deponent attending the service then you must place them within their own group. This is due to chat capabilities and RealTime transcript options

Group Permissions

Group permissions are as follows:

Allow Group to Send Streaming Video & Allow Group to Send Steaming Audio - Allow attendees within group to stream video and audio into the deposition between attendees.

Allow Group to Receive Streaming Video & Allow Group to Receive Steaming Audio -Allow attendees within group to receive audio and video from a Stream manager; i.e: reporter with web camera or videographer independently connected.

Allow Group to Download Shared Files & Allow Group to Upload Shared Files - Allow attendees within group the ability to download or upload files between attending parties.

Enable RealTime Transcript - Allow attendees within group to view the streaming RealTime reporter transcript.

Enable Private Chat - Allow attendees within group to private chat between any selected attendee within their group.

Adding Attendees to the Deposition:

There are two choices when selecting group attendees - Contact Manager or Manual entry.

Contacts Manager:

1. To select attendees from the Contact Manager – click “Add User” and then choose “From Contacts”

2. Now select from any of the folders and attendees within the appropriate folder or list then click the select tab.

You may add attendees to the contacts manager as you create a stream by selecting new folder or new contact

Manual Entry:

1. To enter attendees in manually – click “Add User” and then choose “Manual Entry”

2. Now, click in the Name and Email field and enter the appropriate information

3. Once all attendees have been added to the group, click OK.

Completed Group:

Group services, attendees and stream managers can be edited at any time using the Edit Deposition Button. It will be necessary to select the correct Deposition from the drop-down list.

If additional groups are needed, simply click the Add option under the “Groups” setting and follow the previous instructions.

Adding Audio Conferencing:

If remote attendees plan to attend through teleconferencing, a conferencing bridge may be setup by selecting the Audio Settings button located on the bottom left corner of the “Create a Deposition” window.

1. Select the User Defined conferencing button, enter the call in number and place the moderator/attendee codes in the appropriate area.

LiveDeposition.com teleconference account holders may elect to offer a Toll-Free teleconference number to their attendees. Selecting this option will auto populate their pre-determined 800 number, attendee code and moderator code for the stream being scheduled.

- Please Note: This is a separate service and requires a new 800 account be established; please consult your sales associate for additional information.

Completed Deposition Ready for Notification:

The Deposition is now Setup. Click the “OK” button to create the Deposition.

Email Notifications

Once the Deposition is created the Email Notification screen will appear.

1. Place a check mark in the box for all attendees selected to receive a deposition invitation via email.

2. By clicking “Send” the deposition invitation will be sent out to those attendees. 3. If an attendee should not receive a notification, please be sure to uncheck them prior to

clicking the “Send” button. 4. The emails sent contain case information along with a link and password for that

attendee to select and attend the live stream.

Warning – All attendee emails may only be used by the recipient ONCE during a Deposition. Forwarding emails on to any other party will cause a Key Failure and disconnect any other attendee attempting to use the same Link and Key.

In some cases, it is likely attendees will be notified of a pending Deposition prior to your calendar being confirmed and your reporter and/or videographer being assigned. If this is the case, it may be necessary to edit the deposition by logging back into your Web Portal as the Host and editing the case by adding the court reporter or videographer’s email addresses and then subsequently resending invitations. Note: Doing this will only send the invitations to the court reporter and or videographer.

Editing a Scheduled Deposition

Any time after the initial deposition stream has been scheduled you may log into the online Web Portal and edit scheduled depositions. To do this you must be logged in as a host.

To edit a deposition once logged in, click on the edit deposition button.

A popup window will appear instructing you to select a deposition from the drop down menu.

With the deposition selected you may now choose any group to edit and update attendee information or services. It is also now possible to enter Stream Managers; i.e. court reporters or videographers email addresses if this was not done so when the Deposition was setup originally.

When all information has been updated select OK. This will finalize the changes made to that specific deposition groups.

Warning – The “Update” button must be clicked after changes have been made to save them.

Once your changes have been made and the deposition has been updated, click on Resend Invites. The email list will appear. Only the newly updated attendees will have a check next to their name. Select send to notify any new attendees and/or Stream Managers.

Moderating a Deposition Stream/ Join Deposition

To moderate a deposition stream, log into the account’s Web Portal as the Host and select the Join Deposition Button. Selecting the join deposition button will allow a host to join the live deposition stream as the Moderator.

Warning – If utilizing a computer with a built-in or USB attached camera and logging into the deposition as a host/moderator, your camera may be streamed to other participants inside of the deposition. Use caution to ensure the camera is not activated once connected to the stream. Best practices suggest disabling the camera or utilizing a computer without a Camera device attached to avoid the streaming of the Camera if this is not desired.

Select the deposition being moderated from the drop-down list and enter “Your Name”, this istypically the agency name or the moderator’s name.

Deny Flash Player Settings: When the option to choose flash player settings appears, select deny.

Editing Deposition while Moderating:

While moderating a deposition, edits to the group, group services and attendees can be made along with notifying new or past notified attendees or stream managers. This can be done by selecting the Options menu then Edit Deposition. To update, add or resend notifications oraccess the Deposition Key Manager for the specific Deposition being moderated see the edit deposition section.

Issuing Deposition Keys:

Warning – Deposition Keys ALWAYS use lowercase letters

At times it may be necessary to issue a Deposition Key to an attendee at the last moment.

To do this, access the Deposition Key Manager from the Options Menu. If the attendee was sent an email invitation the Deposition Key for that attendee will appear within the Key Manager.

If the attendee was recently added and/or did not receive the email invitation, direct the attendee to the account’s Web Portal DNS Example: stream.livedeposition.com. This should be entered into the address bar of the Web Browser on the attendee’s computer

Warning - Be sure NOT to enter “www” when entering the DNS in the address bar.

Next have the attendee select the Guest Button

Read the deposition Key to the attendee then have them press the Enter or Tab key on their keyboard. Doing this will pre-populate the correct Deposition information.

Have the attendee select Allow when prompted with the Adobe Flash Player Settings window.

Attendee View and Controls

The attendee view has several options independently adjustable between users.

Reporters with LiveDeposition.com Accounts

The Video/Audio options will be retained within the Host position for reporters who have their own LiveDeposition.com account. This will allow a reporter to log in as a Host. The Host position allows moderation or connecting as a reporter owner of a LiveDeposition.com account, granting privileges to attendees from the Moderator Options Menu.

Ending a Deposition

Depositions may be removed at any time by logging in as the Host and selecting End Deposition. After selecting the deposition stream you want to remove select End.

That stream has been removed from the account. Now click OK.

Removing Case Names:

To remove case names select the Join deposition tab.

Next select the case name to remove then select delete.

Working as a Stream Manager

In the LiveDeposition.com interface the Stream Managers are considered the Court Reporter and/or Videographer.

Steno Capture Plugin

If streaming text from the court reporter’s computer into the live deposition room, the reporter must download and install the Steno Capture Plugin. A link to this plug-in will be included in the email the Court Reporter receives when they’ve been invited to the Deposition.

Configuring the Steno Capture Plugin

The Steno Capture Plugin works simultaneously with the reporters existing CAT software.

1. To configure the settings select CaseView or Bridge. a. If using CaseView select a baud rate of 2400. b. If your selection is Bridge your baud rate will be 38,400.

2. From the Port Settings area, select Virtual.3. Click Connect.4. Steno Capture will inform you of the available Virtual Com Port that it will listen on for the

realtime output coming from your CAT Software. Once this is finished:a. Open your CAT software and set the realtime output to the Port listed on the

Steno Capture pluginb. Name your realtime file and send a test text to Steno Capture.

i. You will see bytes in when your CAT software and steno capture are communicating.

If the Steno machine connects to a downstream computer via Serial cables, USB to serial or Bluetooth then download and install the Steno Capture plugin to that computer and follow the same instructions, however this time it will be necessary to select an existing Port associated with the connection listed in the drop-down list.

Connecting as a Stream Manager

Stream Managers connect to the LiveDeposition.com stream via email links. Your stream managers will receive an email containing a password and link to join the steam.

1. Click on the link next to “To join the deposition, click here”

2. Your web browser will open up and you will be prompted to enter a display name and password.

a. If the reporter is only streaming realtime text then the reporter may enter any name chosen, i.e. CSR.

b. The Stream manager sending video/audio will enter the display name of the witness being streamed.

3. Click Submit

4. When prompted, click Allow on the Adobe Flash Player Settings window:

Connecting Realtime to LiveDeposition.com

To connect your real-time feed from Steno Capture to the LiveDeposition.com interface, select the Connect icon on the floating toolbar. To view the tool bar hover your mouse over the bottom-center portion of the transcript page.

Clearing the Streaming Text

To clear the court reporters steno feed in a deposition room, you must be logged in as a stream manager (usually from the court reporter’s computer).

1. Logged in as the stream manager click on the Options Button located in the top left-hand corner of the deposition room

2. Select the Clear Steno. (Doing this will remove all current contents of the real-time stream/transcript.)

Video Settings

Adjusting Video Bandwidth

Try to make sure you are always connected to a Hi-Speed, wired internet connection whileacting as a Stream Manager/Videographer. Being logged in as the Host or Stream Manager you have the option to adjust the video profiles or the video quality of all participants within the deposition stream. To do so:

Hover your mouse over any video feed and click on the icon farthest right with the three bars.

The first two options will be used for Web Cameras. The second Two Options are used when connecting a video camera to LiveDeposition.com.

Bandwidth Requirements

A high-speed Internet connection with a minimum of 512 Kbps upload and 1.5 Mbps download is required to properly stream live video into the deposition.

If attendees complain of choppy video or latent video, it may be necessary to switch to the “Low Band” setting as the connection may not be adequate for streaming the higher quality image.

If using a Web Cam, choose “Web Cam Low Band”.

If using a Video Camera connected by a Hauppauge USB dongle or other video dongle choose “Video Cam Low Band”.

Reports

Viewing Attendee Reports as an Admin

1. To view attendee reports you must first log into the LiveDeposition.com Web Portal through your custom DNS.

2. Once there, select the Admin button which is located in the upper-left hand corner of the screen.

3. Enter the Admin accounts username and password and click Submit.

4. Next, select the Options button located in the top left side of your screen and click on Reports.

5. In the reports area, click on the drop down arrow next to Select a Report and choose Deposition Billing Report.

a. If you know the deposition name enter it into the box provided, or select a case name from the drop down menu.

b. Alternatively you can also search for a report within a specific date range.

6. Once you have the deposition selected click on the Get Report Button.

Understanding Reports

a. “Y” indicates the service was selected within the group services. b. “N” indicates the service was not selected for the group services.c. Video(Tx) – LiveDeposition.com attendee sharing video in the streamd. Audio(Tx) – LiveDeposition.com attendee sharing audio in the streame. Video(Rx) - Location sending Video stream to attendeesf. Audio(Tx) - The application will always contain a N as remote attendees are not

allowed to stream their audio into the session.g. Audio(Rx) - Location sending Audio stream to attendeesh. Steno(Rx) - Reporter real-time feed stream to attendeesi. Private chat – Group has been assigned rights to private chat

The reports also contain the Names of the attendees, IP addresses, Start times (Time the attendee entered the Deposition) and Stop times (Time the attendee left the Deposition) of all participants.

Getting Started as an Attendee

Attending a Deposition

You should have received an email from the Court Reporting Agency or Court Reporter titled “Deposition Invite”

1. In the email click on the link next to “To join the deposition, click here”

2. Clicking this link will open up your web browser and take you to the deposition login screen. You deposition key and name will already be there so Select Next to continue.

3. A box for Adobe Flash Player Settings will appear, Select Allow.
