1 INITIAL SETUP BY AOLITE TEAM

1. AOLite team will create the deal and one user for the first time. This user created by AOLite team will

be Deal Admin who be able add /edit access of other team members within a deal.

2. User needs to fill the attached template and drop an email to [email protected]

Deal onboarding

3. AOLite team will create the User mentioned in the template as “Deal Admin”

4. Deal admin will be able to access the URL https://pdftool.accenture.com with his/her enterprise id

and password.

5. Deal admin will now add more users into the tool and assign them different roles.

2 ADD USERS

1. Deal Admin can navigate to User > Add User 2. Enter the details. The fields marked in red are mandatory

4. User can click “create and new” to create multiple users. 5. Navigate to Deal > Manage Deal 6. Click on the user access icon

7. Enter the user, select the role and click assign

8. Once the above steps are complete, all the Users added by the Deal Admin will be able to access

the tool with following functionalities using their enterprise id and password

3 MANAGE USER

1. To edit and existing user , navigate to User > Manage User

2. Click on the Action icon

3. Only deal admin can create and edit users

4 MANAGE DEAL

1. Navigate to Deal >Manage deal

2. Click on the Action icon to edit deal information, if required

3. Only deal admin can access this page.

5 PDF SPLIT

1. Navigate to split PDF

2. Browse the file

3. Specify pages. Select radio button All pages or mention the page number /range in specify

pages

4. User has an option to save Favorites.

5. User has option to download as zipped file or as a single pdf.

6. Click Split

7. User will get a pop up to save the file.

8. Favourites can be edited / deleted in personal settings

6 PDF MERGE

1. Navigate to merge PDF

2. Browse the file, specify pages, click add to list, click merge.

3. User will get a pop to save the merged file.

7 PDF SEARCH

1. Navigate to Search

2. Browse the file, click add to list, specify the keyword(s) to be searched.

3. Click on search

4. Search Results page observed with the page(s) in which keyword exist.

5. User has option to download as zipped file or as a single pdf.

6. Click on Download button to download the file.


8 PDF ANNOTATION

Configuration creation:

1. Navigate to Annotate->Setup-Annotation

2. Click on Add new setup button.

3. Enter the mandatory fields: Deal, Configuration name and Upload Template and Annotation type

(Simple/Bubble).

4. User can also specify other settings: Font, Size and Color (Non-Mandatory and only for simple

annotation)

5. Click on Save button.

6. Configuration as well as mapping can be edited/deleted from Manage setup page.

NOTE: Please use “Download Annotation template” hyperlink given on the Setup-Annotation to

ensure the correctness in the uploaded template while creating the configuration.

Annotate:

1. Navigate to Annotate.

2. Enter the mandatory fields: Deal, browse the file to be annotated.

3. User selects the configuration available

4. Click on Annotate button

9 PDF MASKING

9.1 KEYWORD MASKING

1. Navigate to Mask.

2. Enter the mandatory fields: Deal, browse the file to be masked and select keyword as masking

method from the dropdown.

3. Enter keyword(s) to be masked.

4. Click on Mask


9.2 FIELD MASKING

Field masking configuration creation:

1. Navigate to Mask->Manage Masking

3. Enter the mandatory fields: Deal, select Field as masking method from the dropdown and click on

Next button

6. Enter the configuration name (Mandatory)

7. User has to specify atleast one of the two options –

8. Specify phrase/ word (wild card supported) or

9. Specify field label and its length.

10. Specify word or phrase : For e.g. training , development , product%

11. Specify fields: More field labels can be added with Add Field Setup.

12. For e.g. field label can be credit card and mask length can be 16. In this case 16 digits mentioned in

front of credit card will be masked.

Field length: User can also enter “-1” in field length to mask the word appearing in front of “credit

card”.

13. Note : In the image below, space, colon between primary account and 0 should also be taken into

consideration for masking.

from the dropdown.

9.3 TEMPLATE MASKING:

Template masking Configuration creation:

1. Navigate to Mask->Manage Masking

3. Enter the mandatory fields: Deal, select Template as masking method from the dropdown and click

on Next button

6. Enter the configuration name (Mandatory)

7. Browse the template file (Mandatory)

8. User can set identifiers to ensure sets in the file to be masked get compared properly with the

template by checking set Identifier checkbox (optional)

4. Identifier type can be selected from the dropdown

5. User must provide the Identifier text as well (except when Manual while converting is selected as

type)

6. Click on Save button

NOTE:

1. Please replace all the words to be masked with “@mask” in the template for creating the

configuration. Please go through the screenshot of the template used (edited) for the

configuration and the original file for clarification.

2. For creating template user can directly use the simple conversion of our tool. Once

converted from PDF format into word, then the required changes can be made and finally

saved back into PDF format.

4. User will have to specify the page range if the configuration selected has Page as the identifier type

5. Click on Mask

6. User will get a pop up to save the file

10 PDF CONVERSION

10.1 Simple Conversion

1. Navigate to Convert.

2. Enter the Deal’s name, browse the file to be converted, select the method as Simple.

3. Select Word, excel or text format for conversion based on requirement.

4. Click on Convert.


10.2 Structured Conversion

Structured conversion configuration creation:

1. Navigate to Convert->Manage Conversion.

3. Enter Deal’s and Configuration’s name and browse the template with placeholder(s) (PDF Format)

4. Upload the output template containing the preview format of the resultant file (Excel format)

5. Configuration can be saved now or Identifiers could be used if required by checking the Set

Identifier.

6. User selects one of the identifiers and set the identifier text ( Not for the page identifier)

7. Click on Save.

NOTE: Please replace all the words to be converted with “[#Placeholdername#]” in the template

for creating the configuration. And in Output template, we can customize the preview of our

resultant file. Please go through the screenshots of the template used (edited) for the configuration,

the original file for clarification and the output template.

appended with “_RPT” marking the repeatition and “_tbl1” or “_tbl2”marking separate tables and

their content. For the second table, row number is not mentioned, only column details are required.

Resultant File:

Limitations:

1. For simple annotation, if words are annotated by relatively longer words then their preview in the

resultant file differs from place to place.

2. For simple conversion, accuracy rate for PDF to excel and text conversion is around 70% -80%

3. In structured conversion, templates with successive placeholders create ambiguous results.

4. Masking not possible for words in header/footer of a pdf page.

5. Masking may not accurate if the spacing between the words is not proper. As a result word may be

partially masked.
