The documentation of cargo transportation follows the cargo.

At each interchange of responsibility for the cargo, there is a document which covers that interchange.

DOCK RECEIPT

Dock Receipt is issued to the deliverers when the cargo is delivered to the cargo terminal.

The dock receipt contains all the information about the cargo.

If there is any damage or missing cargo, suitable endorsements will be made to the document.

CARGO DAMAGE REPORT

A Cargo Damage Report is compiled and signed by the stevedores in the case of stevedore damage to the cargo.

In the case of stevedore damage, the dispute is between the vessel and the stevedores.

MATE’S RECEIPT

Mate’s Receipt is issued as an acknowledgement of the shipment when the cargo is transferred for carrying vessel.

It is signed by the chief officer to show the state of the cargo, identification marks and numbers from tally books.

The mate's receipt is afterwards exchanged for the bill of lading

THE BILL OF LADING(S)

The Bill of Lading(s) is an acknowledgment by a carrier that he has received the goods for shipment, an evidence of a contract of carriage.

The bill of lading states the quantity, weight, measurements, and other information concerning the goods.

It is usually signed by the master of the vessel or by the agents of the shipowner.

THE BOOKING NOTE

The Booking Note notifies the carrier that ship's cargo space has been booked.

THE BERTHING NOTE

The Berth(ing) Note is used for carriage of part cargo under both liner and tramp terms when a vessel is in port and is able to receive certain additional goods ready for shipment.

THE FIXTURE NOTE

The Fixture Note is a firm arrangement for a ship to be ready to load cargo on a fixed date and at a port convenient to the charterers.

SHIP’S POCKET PLAN

The Ship’s Pocket Plan is used for stowage of cargo into holds in accordance with hold dimensions for part cargoes.

This document is always used for finding the maximum capacity of cargo holds by brokers.

CARGO PLAN

The Cargo Plan which is the cargo taken on board in accordance with should always be approved by the master. When planning the stowage of goods in the ship's cargo spaces, the vessel's stability and seaworthiness should be taken into consideration.

CARGO MANIFEST

The Cargo Manifest describes the ship's cargo in terms of packing, weights or quantities, shipper's name, consignee's name, etc.

It is used for customs clearance in the destination country.

HAZARDOUS CARGO MANIFEST

Hazardous Cargo Manifest is compiled from bookings and provided to the vessel before loading to comply with local and international laws and regulations.

This document lists the weight, quantity, packaging, class and stowage of all hazardous cargo on the vessel. It is compiled by the agent and signed by the master and agent.

All hazardous cargo must be accompanied by a packing list as well. This is compiled by the packer of the goods.

THE NOTICE OF READINESS

The Notice of Readiness informs the charterer, shipper or consignee that the ship has arrived at the port or berth and is ready to load or discharge.

OUTTURN REPORT

The Outturn Report is issued after the final check of discharged cargo at the port of destination in terms of marks and numbers, quantity, description and remarks on order and condition.

CARGO/DAMAGE REPORT

The Cargo/Damage Report is a protocol drawn up after loading or discharging a vessel with remarks for cargo.

DISBURSMENT ACCOUNT

The Disbursement Account includes payments made by the master or by the ship's agent on behalf of the owner.

It consists of port dues, customs fees, bunkers, stores and other expenses.

TIME SHEET

The Time Sheet describes the time used in loading and discharging and also accounts for laytime, demurrage, despatch, etc.

THE STATEMENT OF FACTS

The Statement of Facts records daily all particulars relating to loading and discharging cargo.

It indicates the duration of and reason for any interruption of work and is used as a basis for the calculation of demurrage.
