Key words and conceptsThese definitions are provided to explain how key words and concepts are used in this unit

Standard Operating these are referred to as SOPs and include written protocols or Procedures procedures. They state the way your organisation requires

tasks to be carried out to ensure a quality pharmacy service is provided, this would include, for example how you should store stock and how stock must be issued.

Controlled Drugs these are drugs that have special laws that relate to the way they are ordered, supplied, dispensed and stored. You must at all times work within the laws and understand your own level of responsibility.

Stock rotation this is the process of ensuring the shortest dated stock is usedfirst, care must be taken when receiving, storing or issuing stock.

Special Orders these includes special orders for customers, named patient drugs, clinical trials stock.

Health and Safety this includes correct moving and handling procedures, safe handling of stock, safe storage of stock and COSHH regulations

1. Find out where your procedures for maintaining and supplying pharmaceutical stock are kept. Read the procedures and discuss the important points with your Trainer/Assessor.

2. Discuss with your Trainer/Assessor your role, your limits and responsibilities in relation to assisting with the supply of pharmaceutical stock. Identify and record who you should refer to if you need advice, help or guidance on any part of your work.

3. Ask your Trainer/Assessor to explain the layout of the stores and any other areas outside the main department for storing stock. Draw a map and list all the main and outlying stores areas.

4. Identify the different forms of medicines that are found in your store. Find out how the different medicine forms are used. Find out the difference between internal liquids and external liquids. Discuss with your Trainer/Assessor the different routes of injections you have in your store.

5. Find out what the consequences would be of booking stock onto the computer incorrectly.

6. Find out what you would do if you found a stock item in the incorrect location, e.g. a fridge item on the normal shelf. Identify and record who you would need to inform and refer this to.

7. Find what 'stock rotation' means. Describe why it is important. Find out what you should do when stock items are found to have a short expiry date.

8. Describe what 'stock take' or stock check' means. Identify the reasons why stock checks are carried out and why they are important. Identify the different types of stock take/stock checks that are undertaken in your stores. Identify how often they are carried out.

9. Ask your Trainer/Assessor to give you a list of items to be stock checked. Get them to observe you carrying out a stock check on these items. Describe the discrepancies you found and how you dealt with them.Identify and record who you need to inform of any stock check discrepancies.

10. Find out what you would do if you found any items close to their expiry date.Find out what you do with expired stock in your stores for the following product types:a) Tablets/capsulesb) Ampoulesc) Multidose injectionsd) External liquidse) Internal liquids (syrups, suspensions)f) Intravenous fluids (IV)g) Cytotoxicsh) Inflammable products

11. Identify from the previous list the products that need special disposal precautions. Find out what these special precautions would be.

12. Find out and discuss with your Trainer/Assessor, your organisation's or department's policy for the safe disposal of medicines.

13. Discuss with your Trainer/Assessor and describe how you would adjust stock levels on the computer and review stock levels of expired medicines. Identify who you would need to discuss this with and who would authorise the adjustments of stock levels.

14. Find out what a drug recall or drug alert is. Identify and record who sends out drug alerts and recalls to all pharmacies. Identify where drug alerts are sent to in your department. Identify and record who is responsible for co-ordinating drug alerts and recalls in your department. Discuss with your Trainer/Assessor the different categories of drug alerts. Ask your Trainer/Assessor to observe you assisting with a drug alert or recall next time one arrives.

15. Find out, according to local procedures, how you would issue stock on the computer to the ward/department, and what you would do if an item wasout of stock.

16. Identify and record who you would need to inform for unavailable stock.

17. Ask your Trainer/Assessor to provide you with a picking list to gather the required items and correctly assemble. Ask your Trainer/Assessor to check these for you.a) Number of items on picking list b) Number of correctly picked items
