Introduction UNIFORM-Agri is Europe's largest dairy management software company, with thousands of customers all over the world using the UNIFORM range of software programs for the daily administration and management reporting on their dairy herds. UNIFORM software greatly reduces the duplication of data entry in the farm office by having one powerful management system with a range of interfaces that can generate all the statutory reports and provide a powerful daily and historic insight into the herd’s performance. This quick start guide is split into two main sections – the first section describes how to install the software, and the second section describes how to use the program to carry out day-to-day tasks such as entering daily events, loading milk recording data and producing herd management reports.

Using the Program

The UNIFORM program is designed to be used on dairy farms all over the world. There are many options to help you customize the reports to meet your specific herd management reporting requirements. The more data that is entered, the better you can analyze and manage your dairy farm as you have all your valuable data in one place. UNIFORM is designed so that you only need to enter data once and it’s then available for management reporting, country specific reports, the process computer and your PDA or smartphone. This way your farm data will always be accessible and up-to-date. With quick intuitive one screen data entry and batch entry wizards, you will soon be confident entering your data and you will quickly notice that your daily administration will only cost you a small part of your day.

Keyboard and mouse

You can click on the menu items with the left mouse button to get to the required section of the program. Alternatively, in the management section, you can simply type in the menu number on your keyboard. For example, in the Daily Tasks menu you can simply type in 3 and then the Action Lists will open and if you then type in 1, your Herdsman Action List will be displayed.

You are also able to navigate by clicking in the Search bar in the top left-hand corner, where you can simply type in the cow’s number and then press enter to take you straight to her record. You can also now open a report by simply typing in the name of the report, for example “Cell Counts” into this new Search bar.

A menu / screen / report is closed by using ‘Esc’ on your keyboard or by clicking the black and white cross in the top right-hand corner of the screen (or by clicking on the red and white

cross on the tab along the bottom of the screen).

Every screen/report contains a question mark button at the top right-hand corner. This can be used to open the help files of that screen/report. The help file contains an enhanced

explanation of the report, options and settings. The help file is also opened by using the [F1] key on your keyboard.

Zoom in and out in a graphic: graph [Zoom in and Out] On a Graph you can zoom in by dragging the cursor while pressing the left mouse button from the top left corner to the bottom right corner on the section you would like to enhance. By doing this, the section you want to view will be enlarged when you release the mouse button.

Frequently used buttons

The blue buttons take you to the ‘First animal/screen’ and the ‘Last animal/screen’. The green buttons enable you to select the : ‘Previous animal/screen’ and ‘Next animal/screen’. The magnifying glass opens the search window. You will find these buttons in the Animal Records. Search window: In the different screens there are input fields where a search option can be used. To open the search window you need to click on the icon For example, in the Daily Events screen you can click to find an animal, a Category window will be displayed. Click and select the relevant selection of animals you want to search under: By clicking on the column heading No. you can search for the animal number. By clicking Name or Ear tag, you can search based on the name of the animal or ear tag number. Each time a column heading is selected the information in the column will be sorted in ascending or descending order. This principle works in every search window. By clicking on ‘Include historic’, animals that are no longer on the farm will also be included in your search. As you type in your search the program will filter out the matching results. With the arrows on the keyboard or your cursor you can select the required animal. Multiple open screens. When you are looking at multiple screens/overviews you can leave them open. The open pages will then be shown along the bottom as tabs. By clicking on a tab, you will go back to the selected screen or report.

Overview and analysis reports In many of the overview and analysis reports there are some buttons that are the same throughout the program. We will discuss the ones that are used most.

Within UNIFORM you will find these buttons on the top right-hand side of screens and reports

The movie icon gives you access to an information movie on that subject that can be viewed on the internet.

By clicking [Properties] in the bottom right corner of the screen, you can view and change the settings as you wish. Any changes to the settings will not be saved

unless you put a tick in the [Save Settings] box and then press [OK]. By selecting ‘save settings’ option, when you later return to the report the settings will be saved. If you do not select [save settings], then any changes will not be saved next time and will revert to the original information.

With the [Summary] button, a group summary report of the viewed data is shown.

Printing

Overviews and analysis reports can be printed in two different ways.

Use this button (in the top left of the toolbar) to print an overview directly without checking the Print Previews first.

Use this button (in the bottom right of every overview) to first view the print preview before printing. In the print preview you have the following buttons and options:

With these three options you can choose the size that you want to view the print preview on your screen.

With these buttons you can choose whether you want to view one or two pages

next to each other and whether you want to scroll through the pages.

Use the Zoom in and Zoom Out buttons to zoom 10% in or out at a time. Click [Close] to close the print preview screen.

With this, you can look through the ‘first’, ‘previous’, ‘next’ or ‘last’ page. The number shown in the middle shows the page number that you are viewing at

that moment.

These are the printing options. With ‘All’ you can

print all the pages in the print preview, with ‘Current’, only the page that you are currently viewing will be printed. ‘Default’ is set for your default printer. You can also choose a different printer by clicking and selecting from the drop-down list.

If you have an e-mail program on your computer, you can use the ‘e-mail’ option to e-mail the print preview as a PDF, for example to your management

or feed consultant. With the ‘Save’ button you can save the file to your computer as either a PDF, RTF or Excel file.

This is shown in the bottom left hand corner of the screen. This indicates which page you are currently viewing and how many pages there are in total.

Program Settings

By using the Program Settings, you can setup the program for your own requirements. This includes your Language, Toolbar & Screen settings, Password and Farm Data.

Language

You can choose from several languages. We advise you to leave the program in the language the program was delivered in. On the left-hand side, you can see a list of the different languages. On the right-hand side, you can see the name of the language translated into its own language. This way you can always find your own language.

Task- and Toolbar

Beneath the menu bar (File, Program Settings, etc.) is the Toolbar.

In the toolbar, there are some default buttons (Printer and Communication). You can also customize the toolbar by adding other frequently used menu items. An example would be Daily Events that you use every day to enter events, so rather than having to search for the icon it can be opened by just one mouse click. Other commonly added buttons are the Animal Record, Action Lists and Combined Actions List. You can add buttons by right clicking on the required item and then choosing ‘Add to Toolbar’. This is useful for items that are used regularly, including Daily Events, Animal Records and the Herdsman Action list.

It is also possible to go to Program Settings -> Toolbar & Screen to create your own custom toolbar.

In the left section the items that are available to be selected are shown. When you have an item that you want to add to your toolbar, you need to select it by clicking on it. Once highlighted you use the arrow

button to add it to the toolbar. If you want to remove a button from your toolbar, just select the item on the right side that you want

to remove and use the arrow pointing left.

Toolbar & Screen Settings

It is possible to edit the Toolbar & screen settings by going to Program Settings -> Toolbar & Screen. In the Toolbar & screen settings, you can choose a different screen colour or a background image by clicking on the Background tab. To use an image, it must be saved as a bitmap file. In the screen settings you can also setup a maximum button width for the toolbar.

Password

It is possible to protect the program with a password. Go to Program Settings -> Password. With [Enable user identification] you can setup a password for the whole program for individual users. You can also set up a password for the Management module of the program. To do that, you select the module that you would like to protect and press [Set…] to add a password.

How to make a data backup

Backing up files allows you to make a copy of the data held on your system and can be made to either on to a USB Memory Stick, the hard disk drive, an attachment to an email or send to the DataSafe service.

We strongly recommend that backups should be taken on a weekly basis on to a memory stick.

With the DataSafe service (also covered in this manual) backups can be regularly and automatically transferred from your computer to a secure location away from the farm. Go to File and select Backup Database

You can select the backup location followed by pressing the Next button to start the backup process. It is also possible to email a backup file by selecting the Email option; this will start up your email software and create a new message with the backup file attached. You will need to add the email address that you are sending it to. (This option will only work if you use Microsoft Outlook.)

Program Menu On the left-hand side, you will find the Program Menu. The icons that you see will depend on the modules that you have purchased. Generally, the following will be shown:

Opens the Dashboard

Opens the Management menu Opens the settings for UNIFORM-Touch / UNIFORM-App By default, the menu is fixed on the left-hand side. All screens are opened on the right-hand side.

If you want the menu to disappear when a screen/overview is opened, then you need to click once on the arrow on the menu bar. The menu will then be hidden.

By moving the cursor over the left bar, the menu appears, but disappears as soon as you take it off.

If you want the menu to show again by default, then click on the arrow pointing to the right.

Dashboard

The one screen Dashboard report provides you with instant analysis of the following : Herd Summary: Here you can see the number of animals in your herd by their reproduction status. Attentions: This shows actions that are due to happen such as how many cows are due to calve. It also displays attentions such as low milk production. Also animals that are late for an action are highlighted as a warning. By clicking on the attention button, it will show which cows are included and which cows have exceeded a warning threshold and are now overdue. You can change these settings to suit your farm by clicking on the properties icon . Processes: If there is a red square, this is a warning that there are some outstanding actions that need to be completed. KPI (Key Performance Indicators): These are designed to monitor your herd’s performance and can be shown as a button or a graph. The colour of the button indicates if the KPI’s are good (green), average (orange) or bad (red). In the graphic option the KPI performance is shown over a longer period of time. In a graphic the green and red lines indicate a good or bad result. You can select which KPI’s you want to be shown on the dashboard by clicking on properties icon and you can set the performance parameters for what is considered good and bad; personalized to your targets.

Opening menus and overviews

When you click on the cow’s head on the left menu bar, the Management menu is shown. Along the top of the menu screen the word ‘Management’ is now shown in bold. By clicking on the Daily Tasks button, the daily tasks menu is opened. Any menu item that you select is shown in bold along the top. To open the Daily Events screen simply type 1 and then 1 again on the keyboard or select by clicking with the mouse. You can quickly navigate back to the previous menu by clicking on the bold heading along the top of the menu or by pressing Esc on your keyboard.

Entering and Viewing Data

Entering Daily Information Go to Daily Tasks and select Daily Events. Information can be entered either directly into this screen, or by using the batch entry wizards that can simplify the data entry process when entering the same information for multiple animals. These wizards can be found by pressing the Batch Entry button.

The screen (shown above) is split into sections. The upper section is where information is entered, and the lower section displays the current lactation reproduction information relating to the current animal for which information is being entered. As information is entered, this will fall into the relevant columns in the table. After the information has been entered it is processed and if entered correctly confirmation is provided on the screen indicated with a green tick in the column on the right-hand side of the entered line. The first two items of information that are entered are always the same - Cow Number and Action, as these specify the animal and what action you carried out.

Cow Number:

Enter the cow number by typing this into the field directly or by using the pick list button. A search screen is displayed from where the animal can be selected from the herd. Once entered, the animal name is displayed beside the cow number.

Action:

The program will automatically move on to the next step. You can quickly add an action by typing the first letter of the action for example a ‘S’ for Serving this will then prepopulate. Or click on the button to the right of the field in the table and the relevant actions will be displayed for you to pick from. (this section will run through all the actions given) (When entering information some items are optional and can be skipped by pressing the enter key.)

In Heat:

Date - Enter the date of the observed heat. The date field will pre-populate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Comment – type any relevant comments into the field.

Press Enter to save the information entered and a green tick will be displayed.

Service:

Date - Enter the date the cow was served. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Ins. Type – D.I.Y. AI is displayed. To change this, click on the icon to the right of the field and select the appropriate from the list displayed which contains the following options:

Service AI DIY AI Natural Serv. With Bull (Running with the bull) ET-Implant

AI Code – Click on the icon to the right of the field to Find bull. A list of bull numbers and codes are displayed, either type in the bull No into the field to filter to the relevant or scroll to search and select the bull. Name – This will pre-populate with the name of the bull on record. Gender Sorted Semen – If the semen used was sorted into gender specific, click on the button to the right of the field and select the sex that was chosen for the insemination, otherwise leave as Normal (this will not be displayed if not AI). Quantity – type in the field the number of straws used (this will not be displayed if not AI). Gen. Dam – Click on the icon to the right of the field and a list of Dams is displayed. Enter the number of the genetic dam in the field to select or scroll through the herd and select the relevant from the list (this will Only be displayed if ET-Implant was selected). Comment – type any relevant comments into the field. Press enter to save the information entered and a green tick will be displayed.

Pregnancy Status

Date - Enter the date of the pregnancy status. The date field will pre-populate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Status- Either type the first letter of the pregnancy status into the field or click on the icon to the right of the field to display a window with the available statuses to click and select:

Positive + Uncertain? (Not sure) Negative – Barren (no more breeding) Aborted Comment – type in any relevant comments into the field

Press enter to save the information entered and a green tick will be displayed

Dry Off

Date - Enter the date of the dry off status. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Treatment – If a treatment was used click on the icon to the right of the field. A Health wizard opens. In the Treatment field click on the icon to the right of the field and a list of treatments is displayed, type the appropriate treatment used into the search field and select the appropriate one or scroll through the list and click to select. Administrator – click on the icon to the right of the field and a find supplier’s list is displayed click to select the relevant supplier or to add a supplier click on the + button to complete a form of details, click OK to select. Click on the Next button.

Add Treatment – to add another treatment, click on the button besides Add Treatment. Click Next and repeat the previous step. Add Treatment Plan – to add the treatment plan for the selected treatment, click Next as the treatment plan has already prepopulated in the field to the right. Add Medicine – to add the medicine for this health entry manually, click in the Add Medicine button and click on the Next button.

Medicine from own stock – if the medicine is from the farm’s own stock, leave a tick in this box. If not, click to untick this box. Medicine – click on the icon to the right of this field to display a list of medicines to choose from, type in the field the relevant medicine to search for this or click on the appropriate from the list. To Add a medicine that isn’t present click on the + button and complete the form with the appropriate medicine information. Click on the OK button. Batch No - this will prepopulate with the appropriate batch number associated to that medicine selected. Amount – type in the amount of medicine that is required. Milk withdrawal period – type in the field the number of days the cow’s milk isn’t to be used. Beef – type in the field the number of days to leave the cow before going for beef. Click on the Next button. To add another Treatment for the cow, repeat the above steps as many times as required. Finish – to finish and add this to the system click on the Finish button and click on the Finish button at the bottom right of the window. Press enter to save the information entered and a green tick will be displayed.

Calving

Date - Enter the date of the calving. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Number – type in the number of calves that were born.

Cow No – this will prepopulate to the cows’ number. Transp. – the transponder number entry option will only be displayed if this is a heifer. If you do not want to enter this it can be skipped. Comment – type in any relevant comments into the field. Press the enter key.

Calf details

Sex – either type the sex or click on the icon to the right of the field to select. In Herd – If the calf is in the herd either type Yes/No/Died in the field or click on the icon on the right of the field to display a table of options to select from. Breed – click on the icon to the right of the field to display a list of breeds to select from, type in the breed into the bar at the top and the list is filtered by matching results. Click on the relevant to select. Eartag – this will prepopulate with the prefix of the ear tag, complete the ear tag number for the calf. No – enter the calf’s line number in the field by typing this. Name – if the calf has a name, type the name into this field. Hair Colour – this will default to the heifer’s hair colour. To change this, click on the icon to the right of the field and a list of hair colours is displayed. Click and select the appropriate. Comment – type in any relevant comments into the field. Press enter to save the information entered and a green tick will be displayed.

Health Event

Date - Enter the date of the health event. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed.

Health – click on the icon to the right of the field and the following window will be displayed:

Health – click on the icon to the right of the field; a window will appear with a list of health conditions. Type in the search field the health condition you would like to add or scroll down the list to select. Add - to add a new condition that isn’t in the list click on the + button and add the relevant details in the window displayed. Location - Select a location or multiple locations for the treatment site. This will be enabled if the “Treatment Site Choice” option has been enabled on the relevant health condition. (For example, select the quarter infected with mastitis by clicking on the location as in the example above) Open treatment – Clicking to tick the check box allows you to record the health condition and to enter the treatment at a later date (e.g. after a vet visit) Move to Group – Clicking to tick the check box allows the cow to be moved to a different management group if required by clicking on the now activated drop-down menu. Ind. check date – click on the drop-down arrow and select the date required for the cows next check if applicable Pressing the Next button, where you will be able to choose between either entering the treatment (using the treatment wizard) or click on finish to end using this wizard. Click in the appropriate option for the cow’s treatment. If treatment plan is selected, you will be able to click on the drop-down list and select the relevant treatment plan from the list displayed.

Click on the next button to move on or select the finish button

Preventative Treatment (and the Treatment Wizard)

When you select to Add Treatment, the following box will be displayed: Date – the date prepopulated to today’s date, to change this click on the drop-down arrow and select the relevant date the treatment is due to start, click in the time field and type the appropriate time in 24 hour format. Treatment - Click on the treatment drop-down list to display all the available treatments currently in the program. To add a new treatment, click on the + button and complete the form displayed. Administrator – click on the icon to the right-hand side of the field and a list of names for suppliers is displayed, click and select the administrator from the list and click OK.

Open Treatment – click in the check box if you want to record the medicine at a later date (e.g. after a vet visit). Press the Next button to move to the next screen, where you can choose to enter another treatment, medicine or to finish. If you select the option to enter another medicine a box (shown below) is displayed:

Medicine from own stock – if the medicine is from the farms own stock, leave a tick in this box, if not click to untick this box. Medicine – click on the icon to the right of this field to display a list of medicines to choose from, type in the field the relevant medicine to search for this or click on the appropriate from the list. To Add a medicine that isn’t present click on the + button and complete the form with the appropriate medicine information. Click on the OK button. Batch No - this will prepopulate with the appropriate batch number associated to that medicine selected. Amount – type in the amount of medicine that is required. Milk withdrawal period – type in the field the number of days the cow’s milk isn’t to be used. Beef – type in the field the number of days to leave the cow before going for beef. Click on the Next button. To add another Treatment for the cow, repeat the above steps as many times as required. Finish – to finish and add this to the system click in the Finish button located at the bottom right of the window. Press enter to save the information entered and a green tick will be displayed.

Movement (Live animal sale)

Date - Enter the date of the Movement. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Reason – Click on the icon to the right of the field to display a table with the movement reasons, click on the relevant reason for moving the cow and select. Income – Click in the field and type the amount of income the animal got from the movement if applicable. Buyer – Click on the icon to the right of the field to display a list of buyers to select, either type the name of the buyer and the table filters to the matching results or scroll and select the buyer from the list displayed. Comment – type in any relevant comments into the field. Body weight – If relevant, type in the body weight of the animal or move past this step Press enter to save the information entered and a green tick will be displayed.

Died (Death on-farm)

Date - Enter the date of the Death. The date field will pre-populate to today. This can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Reason – Either type the reason of death in the field or click on the icon to the right and a list of death reasons are displayed. Type in the reason for death in the search bar and the list is filtered by the matches or scroll and click to select the relevant reason. If the required reason is not displayed click on the + button to add a new reason. A form is displayed. Complete the information required. Costs – type in the field the costs the animal made upon sale (this can be skipped if not applicable). Buyer – Click on the icon to the right of the field and a list of buyers is displayed. Type in the required buyer into the text field to filter the results or scroll through the list and select the relevant. If the buyer is not displayed in the list, this can be added by clicking on the + button and filling out the form with the required information. Comment – type in any relevant comments into the field. Press enter to save the information entered and a green tick will be displayed.

Temporary Movements (shows etc)

(These are movements where the animal stays within your ownership and would cover movements for grazing, shows and rearing)

Date - enter the date of the Temporary Movement. The date field will prepopulate to today, this can be edited by typing the correct date or clicking on the drop-down arrow and selecting the appropriate date from the calendar displayed. Type – enter the type of movement whether this is Off or Off & On by either typing in the field or clicking on the icon to the right of the field and selecting the appropriate option from the menu. Buyer – enter the buyer information in the field (in this situation the buyer could just mean the location the animal is being moved to but necessarily who is buying the cow) you can do this by either typing the name or clicking on the icon to the right of the field and selecting the appropriate buyer from the list displayed. To add a buyer who is not in the list click on the + button and enter the relevant information in the form. End date – this is the date the cow will be returning. This will default to today’s date. To change the date click in the date field and type the relevant date or click on the drop-down arrow and select the date from the calendar displayed. Press enter to save the information entered and a green tick will be displayed.

Batch Entry Wizards These are a series of data entry tools (also known as wizards) that can be used for entering information of a common type quickly and easily as a batch of information.

Enrol animals

This wizard is used to add new animals to the herd. This can be used to either add animals to a new database (new program) or add new animals (bought) to an existing herd. On the first screen you can select default items that concern all the animals you put in. On the second screen, you can tick on optional items that you would like to register at the animals as additional information. The third screen is a line entry screen where you can enter each individual animal with the selected data.

Sex – click on the drop-down and select the sex of the animals. Animal Type – click on the drop-down and select the animal type from the list displayed. Group no. – click on the drop-down and select the group the animals are in. Hair Colour – click on the drop-down and select the animal’s hair colour from the options. Breed – click on the icon to the right of the field. A list of breeds is displayed. Click in the search bar and type the breed you are looking for and the list will filter to the relevant matches for you to select the appropriate one, or scroll through the list and click to select the one you require. Enrolment type – this will default to ‘born on farm’. If this is not correct, click on the drop-down and select the correct enrolment type from the options. Purchase date – click in the field and type the date of the purchase or click on the drop-down and select the relevant date from the calendar displayed (this will only be activated if the Enrolment type of ‘Herd Entry´ has been selected). Bought from – click on the icon to the right of the field and a list of sellers is displayed. Type in the search field the name of who you bought the animal from and the results matching the entered it will be displayed in the table or scroll through the table and select the seller’s name. Click on the Next button at the bottom right hand side of the window. Now move on to select extra items that you want to register. Optional items – click to tick the checkboxes next to the items you want to register. To Select all, click on the Select all button. Animal numbers – to use Automatic animal numbering click to tick the checkbox.

Next number: 1. Enter the next number in the sequence and select whether this is to be

Ascending/Descending. 2. Click on the Next button at the bottom right hand side of the window. You are now brought

to the individual enrol window where you can bulk enter the information into the system.

3. Click in the first column and enter the information on the first cow you wish to enrol. 4. Press the return button on the keyboard to move along the line completing the

information required. 5. Complete this for all the cows that are to be enrolled. 6. Finish – click on the Finish button when this information has been completed. A

message will appear informing you those animals have been enrolled in the system.

Transponder / Animal number

This wizard is used to enter or change transponder or animal numbers Selection – Click on the animal selection for which you wish to edit or add the transponder or animal numbers. Items to change – From the list on the left-hand side click beside the items you are adding or editing for the animal. For example, if Transponder number 1 is to be added or edited click on the button beside this. Automatically Generate Number - to automatically generate numbers for the animals as you select them, click in the checkbox to activate the automatic number generation. Start – type in the number you want to generate numbers from in the number field and select whether this automatic numbering is going to be Ascending or Descending from this number. Click on the Next button at the bottom right hand side of the window On the next window you can enter the new Transponder/animal numbers. To do this, scroll through the list to find the cows that you are entering this information on or click in the search bar at the top of the window and type the number of the cow you are looking for. The blue line in the window will move to the cow entered, ready for editing.

When the Transponder/animal number editing and entry are complete, click on the Finish button.

Purchase/Sale

This wizard is used when you sell or purchase several animals at the same time.

Click in the Sale button to mark animals that have been sold. Action – click whether you are Adding new/modify existing cows or deleting existing. Selection – click in the tick box where the animals to be displayed are currently, whether they are.

Per group or Per barn group. Click on the drop-down under the group and select the appropriate. Animal Type – click in the tick boxes to select what animal types are to be displayed. To select all, click on the All button and all the animal types will be ticked. Status – all the tick boxes are selected. To untick the boxes beside the status of cows you don’t wish to be shown, click on the tick box to remove the selection. Click on the Next button to move on to the next step. Scroll through the animal list to display all the animals that can be selected for the sale/purchase and click in the tick boxes to the left of the animal line to select or type in the animal number in the search bar at the top of the window to search for the animal more quickly, and then select them.

Click on the Next button at the bottom right of the window. The screen moves on to the Details section. Sale Date – this has pre-populated to today’s date. To change this, click in the field and type the relevant date or click on the drop-down arrow and select the appropriate date from the calendar icon that is displayed. Reason – click on the icon to the right of the field to display a list of reasons for the sale. Click on the relevant reason from the list. If the reason is not available this can be added by clicking on the + button and completing the new sales reason form. Click on the OK button. Total Income – enter the total income that was received for the sale of all the selected animals. To the right of this field the amount received per animal is calculated Total Weight – if applicable enter the total weight of all the animals sold. The average weight per animal is calculated to the right of this field Comment – to enter any comments, click in the field and type these here

Supplier – to select who bought the animals, click on the icon to the right of the field, a list of suppliers is displayed, to search for the relevant type in the name of the supplier in the search bar at the top and the results that match are filtered in the table, or scroll down the list and click to select the relevant. If the supplier is not present, click on the + button to add a new supplier. Click on the Finish button to complete this sale.

Grouping

This wizard is used to move animals between groups by selecting them from one group and moving them to another group. Click on the Next button to start the Grouping. Group kind – click in the button to select the group that is to be displayed and click on the Next button (Group report will display a report of that group and all the animals that are currently in that group type).

Columns – click in the tick boxes to select the information that is to be displayed on the animals in the grouping section so that you can identify more easily what animals need moving. Ticks will be displayed in the selected. Click on the Next button.

which you want to move animals from the first group.

The Total count of animals in each group is displayed in bold. Search for: No. –

1. Type in this white field the number of the animal that is to be moved from the left group to the right.

2. Once the correct animal is highlighted in blue, click on the direction arrow to move the animal in that direction.

3. Once moved, the Total count will change to represent the move. 4. This can also work the other way around. To move animals from the right-hand group to the

left group you can complete the same action but clicking the other direction arrow.

5. To move All the animals from one group to the other click on either of the following arrows

depending on what group is to move.

Milk Recording

This wizard is used for entering milk recording data manually.

Animal Type – click in the tick box to select the type of cows that are having the Milk Recording Entry whether they are Dairy or Beef. Groups – click on the icon to the right of the Feed or Barn groups to select the appropriate groups within these that the milk recording is to be entered against. Milk Recording – click and select whether you are recording Daily yields or Separate milkings. Milk recording date – this is the date of the recording. It will default to today’s date. To change this, click in the field and type the appropriate date or click on the drop-down arrow and select the date from the calendar displayed. Number of milkings – if you have selected Separate milkings then a Number of milkings box is displayed, type in here or use the up and down arrows on the box to select the number of milkings. Official recording – if this is an official recording click in the tick box. Click on the Next button once this is complete.

Defaults – click in the button if there are any items you want to default to in the milk recordings (for example if you want to use milkmeter yields for milk recording (week average) you would select that default to be displayed on this milk recording). If you do not want to use any of the defaults select the No defaults option. Use fat and protein of last milktest – to use the fat and protein results of the last milk test click in the tick box for this to carry over. Items – here you need to select what items you also want to input on the milk recording by clicking in the relevant tick boxes. Calculations – to calculate the current lactation data click in the tick box Click on the Next button The columns that require data input allow you to type numbers into them. Where there are zeros this is where information is required for your milk recordings. The number of columns displayed for milk entry depend on the number of items you selected on the previous screen to record. If you have selected the default of Use milkmeter yields for milk recording (week average) then all the fields will be prepopulated with the weekly average, you are producing. To search for the cows, you want to enter a milk recording for, either scroll down the table or type the cow number into the top search field.

Click on the Finish button once all the recordings have been entered

Heat

To find the animals you want to mark as in Heat: 1. Scroll down the list of cows that are displayed 2. Click in the tick box to the left of the cow’s line or click in the search bar 3. Type the animal No in that field. Then a e blue line will be displayed on the entered cow. 4. Click in that tick box to select that cow for heat.

5. Continue selecting the cows required and then click on the Next button. The next window is where the In Heat Details is displayed.

Date – this will prepopulate to today’s date. To change this either click in the date field and type the appropriate date or click on the drop-down arrow and a calendar is displayed. Click on the correct date to insert this into the field. Comment – type in the comments field any relevant comments.

Click on the Finish button once all the cows have been selected that are in heat.

With bull

This wizard is used to record when a bull was put in with a group of animals.

Add new with Bull – select this option when you are adding new animals to run with a bull. Complete existing with Bull – select this option when you have an animal running with a bull with no end date and you are now removing that cow from the bull. Selection – select the animal type that you wish to be displayed on the next screen, so you are able to find the correct cows that you want to mark as ‘with Bull’. Young stock – if you want to filter the cows by age ensure a tick is displayed in the tick box, to either remove or add a tick click into the box. Older than (Age in years, Months) – type in the first number box the number of years of cows you want the stock to be older than. Type in the second box the number of Months. Calved – to select animals that have Calved in the past click in this tick box and a tick is displayed. Per Group – to select a group that you want to pick cows from click in the Per group tick box. The drop-down field is now activated. Click on the drop-down and select the group of cows that you want to be displayed to select the cows from. Start date – click on the drop-down and select the bull and start date that you want to complete the ‘with bull’ for and remove the bull from those cows (this will only be displayed if the Complete existing with Bull was selected). Click on the Next button

Animals – scroll down the table displayed and click in the tick boxes to the left of the animals you want to ‘add’ or ‘complete’ with bull, depending on what was selected on the previous screen. To find animals more quickly, type in the search bar at the top of the window the animal number. Once this is highlighted with the blue bar click in the tick box to select. Continue this until all the animals have been selected. Click on the Next button.

Start date – either type in the date on which the selected are going to be ‘with Bull’ or click on the drop-down arrow and select the date from the calendar that is displayed. End date – if you have an end date, click in the field and type the end date in or click on the drop-down and select the date from the calendar displayed (this does not have to be completed if you have no end date currently). N.B – if you are completing ‘existing with Bull’ then an end date is required in this field.

Service Sire: 1. To select the bull that is with the selected cows, type the bull number into the top box. 2. Click on the icon to the right of the field and the bull search will display. 3. Either type the bull number into the No field or click in the ‘Show all bulls’ tick box and a list

with all your bulls is displayed. 4. Scroll through the list and click to select the bull that is with the cows. If a new bull is to be

added this can be done by clicking on the + button and completing the new bull record.

Comment – click in the field and type any relevant comments you wish to add.

Declare pregnant on end-date – to automatically mark the cows as PD+ on the entered end date click in this tick box. Click on the Finish button to complete and save this information.

Declare pregnant

This wizard is used to declare a group of cows pregnant on the same date. Young stock – to display the young stock that have been inseminated leave this box ticked, to remove the tick, click into the box. Calved – to display the animals that have calved previously and have been inseminated, leave this box ticked. To remove the tick, click in the box. Days after service – to narrow the cows down by an amount of days after a service, type in this field the number of days or use the up and down arrows to change the number.

Click on the Next button. Animals – from the list displayed, scroll down the list and click in the tick box to the left of the animals you wish to Declare Pregnant or type in the search bar at the top the animal number. When this is highlighted in blue, click in the tick box to select. Once all the animals to declare pregnant have been selected click on the Next button.

Comment – click in the field and type any comments that are relevant to this entry. Click on the Finish button to save this information.

Dry Off

This wizard is used when you are drying off several animals on the same date.

The Herdsman Action List and Batch entry Dry off will contain different information. Select animals and treatments based on location – click in the button to A/B/C if you wish to dry off any cows that meet these criteria – these cows will automatically be ticked in the table below. If not click and select the None button. To select more cows to dry off, either click in the tick box on the left-hand side of the cow line or click in the search bar and type the cow number in the search bar at the top of the page, then click in the tick box on the right-hand side to tick. Click on the Next button at the bottom right-hand side once all the cows to dry off have been selected. Dry off Date – the date in the field has defaulted to today’s date. To change this, either click in the field and type the date to dry off or click on the drop-down and select the appropriate date from the displayed calendar. Dry off Treatment – to apply a dry off treatment leave this box ticked. If you do not want to apply a dry off treatment, click in the box to untick. Click on the Next button at the bottom right hand side of the window to move on to inputting the Dry off treatment or if this is not applicable click on the Finish button to save this information.

Treatment – ‘Dry Cow Therapy’ has prepopulated in the field. To change this, click on the icon to the right of the field and select the appropriate from the list displayed or click to add a new treatment by clicking on the + button. Administrator – click on the icon to the right-hand side of the field and a list of names for suppliers is displayed. Click and select the administrator from the list and click OK. Details – to add more details against this treatment click on the Details button. Comment – to add a comment to this treatment, click in the field and type any relevant comments.

If selected, the Treatment Plan will be displayed for you to check and mark when the treatment plan is to be carried out by clicking in the tick boxes.

Health Batch Entry

This wizard is used for recording a health event and/or preventative treatment (such as a vaccination or foot trimming) and any medicine against a group of animals on the same date.

1. Insert new health event or treatment – use this to batch enter health events or treatments for a number of animals. Click in the button to the right of this option if this is not already selected.

Selection – click in the animal selection tick box you wish to be displayed to select the animals for the health event or treatment. A tick will be displayed in the selected tick boxes. If Per feed group was selected the drop-down box will be activated where you can select the feed group you want displayed. Quick input – Action schedular – any lists of animals that are requiring action in the time frames set out will be displayed in this time. Click and select the relevant action list to display those animals for the Health event that is being entered. Report Writer – if there are any reports that you have created, and those animals are to be displayed for this Health Event that is being created click on the drop-down and select the relevant from the list displayed. Click on the Next button to move on to the next step.

2. A list of animals that match the selection entered previously are displayed. 3. Scroll down the list and click in the tick box to the left-hand side of the animals to select which

ones are having a health entry put against them. 4. To find the animals more quickly, type the animal number in the search bar at the top of the

window and when the blue line has highlighted the correct animal click in the tick box to the right of that line.

5. To select All of the animals, click on the Reverse selection button at the top right-hand side of the screen, and then click in the tick box to untick the animals for which you do not want to enter a health event.

6. Click on the Next button to move on to the next window once you are happy that all the animals have been selected for the Health event.

Health – if you are adding a health event for the batch of animals, ensure this option is selected. If not, click in the button to select (a health event for example: lameness). Treatment – if you are adding a Treatment for a batch of animals, ensure this option is selected. If not, click in the button to select (a treatment for example: hoof treatment). Click on the Next button to move on to the next step (if adding a Treatment move on to the treatment plan in this section).

Date – this is the date that the health condition has been noticed. This will default to today’s date, if this is to differ click in the field and type in the relevant date or click on the drop-down and select the relevant date from the calendar displayed.

Health – click on the icon to the right of the field, a window will appear with a list of health conditions. Type into the search field the health condition you would like to add or scroll down the list to select. Add - to add a new condition that isn’t in the list, click on the + button and add the relevant details in the window displayed. Location - Select a location or multiple locations for the treatment site. This will be enabled if the “Treatment Site Choice” option has been enabled on the relevant health condition. (For example, select the quarter infected with mastitis by clicking on the location as in the example above.) Move to Group – Clicking to tick the check box allows the cow to be moved to a different management group if required by clicking on the now activated drop-down menu. Ind. check date – click on the drop-down and select the date required for the cow’s next check if applicable. Pressing the Next button, where you will be able to choose between either entering the treatment (using the treatment wizard) or click on finish to stop using this wizard. Click in the option appropriate to the cow’s treatment. If treatment plan is selected, you will be able to click on the drop-down and select the relevant treatment plan from the list displayed.

Click on the next button to move on or select the finish button.

Add Treatment Plan

When you select to Add Treatment, the following box will be displayed: Date – the date pre-populates to today’s date. To change this, click on the drop-down and select the relevant date the treatment is due to start. Click in the time field and type the appropriate time in 24-hour format. Treatment - Click on the treatment drop-down list to display all the available treatments currently in the program. To add a new treatment, click on the + button and complete the form displayed. Administrator – click on the icon to the right-hand side of the field and a list of names for suppliers is displayed, click and select the administrator from the list and click OK. Open Treatment – click in the check box if you want to record the medicine at a later date (e.g. after a vet visit). Press the Next button to move to the next screen where you can choose to enter another treatment. Add a medicine or to finish. If you select the option to enter a medicine, a box (shown below) is displayed.

Medicine from own stock – if the medicine is from the farm’s own stock, leave a tick in this box, if not, click to untick this box. Medicine – click on the icon to the right of this field to display a list of medicines to choose from. Type in the field the relevant medicine to search for this or click on the appropriate from the list. To Add a medicine that isn’t present click on the + button and complete the form with the appropriate medicine information. Click on the OK button. Batch No - this will prepopulate with the appropriate batch number associated with the medicine selected. Amount – type in the amount of medicine that is required. Milk withdrawal period – type in this area the number of days the cow’s milk should not to be used. Beef – type in this area the number of days to leave the cow before going for beef. Click on the Next button/ To add another Treatment for the cow, repeat the above steps as many times as required. Finish – to finish and add this to the system, click in the Finish button in the list and then on the Finish button at the bottom right of the window

Start Vaccination/Sync Program To start a vaccination / sync program for a batch of animals, click in the button to the left of this option.

Vaccination/sync Programme – to start a vaccination/sync programme on a batch of animals click in this button.

Per Plan – this box is automatically ticked.

1. To select a plan, click on the icon to the right of the field. 2. A list of events is displayed. 3. Click in the tick box to the left of the event you require, or to search, type in the search field

Start date schedule – this will default to todays date. To change this, click in the date field and type the relevant date, or click on the drop-down and select the appropriate date from the calendar displayed. Search for – to search for specific cows to select for vaccination, type in the search field the number of the animal. The blue line will then highlight the matching animal. Reverse selection – to select all the animals in one go, click on this button. To deselect any of the animals, click on the tick boxes to remove the ticks. Filter – to apply a filter on the animals displayed, click in the left button besides either Barn group/Feed group/Report Writer. Group(s) – to select a group within the filter selected…

1. Click on the icon to the right of the field and a list of groups is displayed. 2. Click to tick the boxes beside the groups you would like to display for the vaccination. 3. Click the OK button to apply these filters 4. Within the table, click in the tickbox to the left of the animal line to select. Otherwise scroll

through the list of animals that are displayed and select the tickboxes to the left of the animals that are to be placed on the vaccination programme.

5. Click on the Next button at the bottom right hand side of the window to move on to the next step.

All the tick boxes that are shown are editable and can be ticked or unticked as required. This list can be double checked here and edited as required. Condition / Weights

This wizard is used to enter condition and weight information.

Date – this will default to today’s date. To change this, click in the field and type the relevant date, or click on the drop-down and select the relevant date from the calendar that has been displayed. Recorder – to enter who is recording this information, click on the icon to the right of the field. A list of supplier names is displayed. Click on the appropriate to select. Items – click in the tick boxes to the left of the items that you would like to record on the animals. A tick indicates what will be displayed and unticking boxes will remove them from the list of what will be displayed. Click on the Next button to move on to the next screen

Extra Checks

To display extra checks for the animal’s condition, click in the tick boxes to the left of the checks you require to be displayed. You can also allocate a warning weight by entering a figure in the KG field and when the ‘Show warning when Body Weight drops more than’ is selected a warning message will be displayed if this is ever the case.

Use Random entry – to enter the data randomly from the herd, click in the tick box to display a tick and all the animals will be displayed for you to select from. Dairy Cows – to only display the Dairy Cows click in the button to the left of this option. Extra – you can also apply a filter to the Dairy Cows – Per feed group if required by selecting the button to the left of this option. Then in the drop-down menu that has been activated, select a feed group. Otherwise leave the Extra filter as None to leave this as All dairy cows. Young stock – to filter the cows out by only the Young Stock click in the button to the left of this option. The Female/Male/Both options have now been activated. You can select whether you wish to filter by sex or not. Extra – the Age (months) option on the right-hand side has now been activated. To enter an age range in which to filter the Young stock, click in the first box and type the start of the age range (in months) and then in the ‘to’ box type the end of the age range (in months). You can also apply a filter to the Young Stock – Per feed group if required, by selecting the button to the left of this option and then in the drop-down menu that has been activated select a feed group. Otherwise leave the Extra filter as None to leave this as All young stock depending on the sex selected previously. Click on the Next button at the bottom right hand side of the window

The table above will be displayed, and all the Previous recordings will be listed in the previous grey coloured columns and the Current columns and the columns where you can record data by typing into the table are coloured in white. Scrolling down the table will allow you to find the animals you are looking for. For a quick search use the box at the top of the table called: Search for No. – to search for a specific animal to record the data for, you can type their number into this field and the table will find the animal you require to record information against. Click into the columns that are white where you wish to record any data and type in the box where the cursor is, (the relevant information.) Once you have recorded all the information click on the Finish button at the bottom right of the window. This information will be saved against those animals.

Feed Calculation

This wizard allows you to mark the animals with their feed type.

Selection 1. Ensure there are ticks in the tick boxes besides the animal type you wish to be displayed,

whether that is the young stock or the cows that have calved. 2. If you want to display animals as per a group, click in the Per Group tick box and in the drop-

down menu that has been activated click on the arrow and select the required group. 3. Once all the animals you wish to be displayed have been selected click on the Next button

at the bottom right of the window.

4. A list of all the animals that have been selected is displayed. 5. Scroll down the list and click in the tick box to the left of the animals that you wish to do a

feed calculation against. 6. To find animals more quickly, click in the Search for: No field and type in the animals’

number. 7. The table will then highlight the entered animal and then you can click in the tick box to select. 8. To tick all the animals and mark them for a feed calculation, click on the Reverse selection

button at the top of the table. This will tick all the animals and scrolling down the table and unticking the animals you don’t require could be quicker for you depending on the number of animals you require to select.

9. Click on the Next button.

You can now mark what feeding details you would like the previously selected animals to be marked as.

1. In the Feeding based on section, click in the relevant button as to whether the animals are to be under either Feed Calculation, individual allocation or Individual curve.

2. If you have selected Individual curve a Start Date Curve will be displayed where you can start the Curve Today or on the Calving date and you can select the relevant button by clicking on it.

3. Once you have completed this with the relevant information, click on the Finish button at the bottom right of the window. This information will now be saved.

Cow Sorting

This wizard allows you to sort the animals to go through several dates whether its individual or group sorting. Individual sorting – the following table is displayed:

1. Scroll down the table to the relevant cow and click in either the Once tick box if the cow is to be sorted only the once or to continuously sort the cow click in the Continuous tick box.

2. In the Gates section this is where you select what gate the cow is to go through. 3. Click in either the Main Gate (1) tick box if this is the relevant gate the cow is to be sorting

into or click in the Second Gate (2) tick box if this is the relevant gate. 4. Continue this process for all the cows you wish to sort. 5. The Date this sorting was recorded will automatically populate in the Date column for you

records. 6. Once complete, click on the OK button at the bottom right of the window.

1. To make the selection of the animals you wish to be displayed to sort, click in the relevant Young stock or Calved tick box beside the animals you wish to display.

2. If you want to display specific groups, click in the appropriate tick boxes beside the required: Per feed group, Per barn group or Per grazing group. The drop-down menus to the right of the selected will become activated where you can select the group you wish to display for sorting.

3. Click on the drop-down and select the relevant. 4. Click on the Next button at the bottom right of the window. A list of all the animals in the

groups that have previously been selected are displayed in a table:

To select the relevant animals for sorting out of the results displayed…

1. Scroll down the table and click in the tick boxes to the left of the cow line. 2. To search for specific animals more easily, click in the Search for No field and type the cow

number in this box. 3. The table will filter to the relevant cow. 4. Select by clicking in the tick box. 5. To select All the animals, click on the Reverse selection button at the top of the window. 6. You can unselect the cows that are not required by clicking in the tick box to remove the tick.

Once this is complete click on the Next button at the bottom right of the window.

The Details window is displayed. This is where you can mark how often the previously selected cows need to be sorted. Click in the button next to Once if the selected cows are only to be sorted the once or click in the Continued button if the cows are to be sorted continuously. Once – the Date will prepopulate in the field to today’s date and the Days field will be greyed out and cannot be changed. Continued – the Date will prepopulate in the field to today’s date and the Dates field will automatically set to 999 days. In this field you can type in the number of Days the cows are to be sorted for. Gates – click in either the Main Gate / Second Gate tick box beside the gate the cows are to be sorted into. Once all of this information is complete, click on the Finish button at the bottom right of the window and the information that has been entered will be saved.

Passport Status

This wizard allows you to record the passport status against the animals.

1. Click in the tick box as to what type of animals need their passport status updated and whether the status is Application sent, Application acknowledged or Unknown.

2. If the status of Unknown has been selected, then the Animal type will be activated where

you can click and select whether the animal type is either On Farm, Sold or Died.

3. Click on the Next button at the bottom right of the window to move on to the next step.

If Application sent or Application acknowledged has been selected, then a table will be displayed where you can change the status of the animals to either ‘Set Acknowledged’ or ‘Set passport received’ by clicking in the tick boxes in the relevant columns. To find an animal more quickly, the list returned is large, click in the Ear tag search bar and enter the ear tag for the animal whose status needs updating. The table will then find that animal for you to tick in the relevant tick boxes. Once this is completed, click on the Finish button at the bottom right of the screen to save this information. Unknown – if an animal has died or been sold and you require to update their passport status on the next screen you can mark whether the passport was either sent with the animal if they were Sold or returned to BCMS if the animal has Died. This can be done by clicking in the tick boxes beside the animals that require their status updating and then clicking on the Finish button to save this information.

Temporary Movements

This wizard is used to temporarily track animals’ movements.

The following window is displayed.

To select the animals that are being moved, click in the Per Group tick box. The drop-down then becomes active and clicking on this allows you to state what group you would like to pick from. Movement Type – if the animals are being moved either OFF, ON or OFF & ON click in the relevant button to indicate this. Once complete click on the Next button. Scroll down the list of animals that have been returned and click in the tick box to the left of the lines to indicate the animals to be temporarily moved. To find an animal more easily, click into the Search for. No. field and type the number of the animal. The table will then display the animal highlighted in blue for you to tick in the tick box. (Click on the Reverse selection button and this will tick all of the animals automatically. You can then untick animals which you don’t want to be temporarily moved.) Click on the Next button to move on to the next step.

Movement details – the Begin date automatically pre-populates to today’s date (meaning the movement will automatically go to today’s date.) To change this either type the relevant date in DD/MM/YYYY format or click on the drop-down and select the relevant date from the calendar displayed as to when the cows are to be moved OFF. Supplier – click on the button to the right of the field and scroll through the list of suppliers and click on the relevant to select and then click on the OK button.

End Date – if the cows are being moved off and on, an End date is required, this will prepopulate to today’s date. To change this, click in the field and enter the date in DD/MM/YYYY format or click on the drop-down and select the relevant date from the calendar that is displayed to show when the cows will be moved back ON. Click on the Finish button when all the relevant information has been entered. This information has now been saved on the cows’ record.

How to view animal records

Go to Daily Tasks and select Animal Record.

Every cow and young stock animal in the program has its own animal record. On this record you can find all the information for this animal. The Animal Record allows you to view all the data and allows you to modify or delete any mistakes that have been made.

When you are on the Actual or General tab then you can edit existing animal details by pressing the Edit button and new animals can be added by pressing the New button. Where these buttons exist within the tabs along the top, they enable you to add or amend information directly on each page. All the information for any animal is in one place here.

To search for an animal quickly, type the animal number in this field and Press return. The screen will then display all of that animal’s records for you to look at.

How do I view my bull records? Go to Service Bulls and select Bull Record.

This provides a single access point to all the information relating to an individual Service bull and is built up from a number of pages within the tabs along the top, each storing specific information relating to the bull. Existing records can be edited by pressing the Edit button at the bottom left hand side of the screen and new bulls can be added by pressing the New button. These buttons exist on each page and they enable you to amend/add information directly on that screen.

In addition to manually adding bulls by pressing the New button they are added when a DataStream disk is loaded, when the import process identifies that a bull does not exist in the system. Please be aware that after importing a DataStream disk that has updated your bull records. you may find ‘duplicate bulls’ with one bull containing complete information and the other containing incomplete information. A wizard is provided to merge duplicate bull records (please see the section of the manual titled ‘Fout! Verwijzingsbron niet gevonden.’ for more Information).

Action Lists

By entering your ‘daily events’ into UNIFORM, you are able to produce a series of reports that co-ordinate and monitor when events or actions need to occur. You can produce lists of cows and young stock due to come Bulling, due for Pregnancy diagnosis, Dry Off, Calve and cows requiring a specific task such as a routine Foot Trim. By recording the basic data, UNIFORM can help you manage your farm better. This also allows you to produce official reports such as Movements, Passports and Deaths right through to Medicine usage reports as well as Health and culling analysis.

Herdsman Action List

One of the most popular and widely used reports is the Herdsman Action List. You can create and store these reports, so that you have different Action Lists for different people. This example of the Herdsman Action List below has been named ’21 days’ and it has all the Cows and Young stock events that are due to occur in the next 21 days along with any tasks that are scheduled. Each Action list can have its own specific tasks set up by selecting them in the Action Scheduler tab. This could be all Cows in milk for more than 100 days that are now due a routine foot trim, cows that are due to have pregnancy tests or due to be dried off.

You can tailor the information displayed on this screen for the Herdsman Action List in Properties, and it allows you to make any changes and create new reports using the Presets. An example would be extending the days ahead for Cows due to Calve or the thresholds for the warning triggers if a cow goes 14 days past her projected calving date. Days Ahead - This shows how many days ahead the action list should look forward, against each event. Start Date - This is the start date for the action list. (The default start date is today’s date.) Groups – to select a feed group or a barn group click on the button to the right of the fields next to each group and choose the selection of animals that is required. To show the column of these animals click in the tick box displayed. Animal Type - Select the type of animals that you want on the list – Calved / youngstock or both. The action list can have up to five different sections and these are:

• In-Heat (including all possible in-heat dates after 3 or 6 weeks after insemination)

• Pregnancy Diagnosis

• Drying off

• Calving

• Task - Health and Other Details

To choose which sections you require, tick the check boxes on the list.

In-Heat

The date column will show with an in-heat date or the comment UNKNOWN which means that this cow should be in-heat already, but she did not show as in-heat or there has been no in-heat date entered against her. You can adjust when a cow or heifer should appear with an in-heat action and how long they should stay on the list.

Cows recorded as in-heat longer than 44 days ago will also appear on the in-heat list with the comment UNKNOWN. An in-heat action can also mention the number of weeks after calving or how many weeks after being served (pr?). In the case of how many weeks after calving it can be displayed as "1x not" or “2x not”. This comment will appear on a cow or heifer that was on the in-heat list 3 or 6 weeks ago, but an in-heat or a service date was not entered.

Pregnancy Diagnosis

This list shows all cows that are due to be pregnancy-diagnosed a certain number of weeks after being served, depending on a parameter setting.

Drying-off

This list contains cows with the date when they are due to be dried off and also their expected calving date. It also shows the drying off treatment that has been used.

Calving

All cows with an expected calving date within the period will appear on this list. Cows that were expected to calve and are now overdue will remain on the list.

Other

Health conditions can be presented on the action list.

Pre-sets

The Pre-sets (which are reports you can create for example Vet checks or Action lists) allow you to create, save and easily open Action or Vet Check lists all with different settings. For example, you could have a specific Action List for the Young stock, one for the Cows and a third that includes both. To create these pre-sets, click on the Properties button within the Herdsman Action list. The following window will be displayed:

The drop-down menu highlighted above will give you a list of all the Pre-sets (reports) that you have created.

To create a new Pre-set, click on the ‘Save as...’ With this button you can create a new preset and give the report a name. We advise a clear and simple name that

covers the content of the list, so it is clear to all. When you are happy with the settings for this report to store it, you need to select the ‘Save’ button. The ‘Delete’ icon will delete the selected Pre-set report

You can easily navigate to the required Pre-set report by putting the Herdsman Action List icon as a shortcut on to the toolbar. To do this, go into the Herdsman Action List within Daily Tasks and right click on it. There is now the

option to Add to Toolbar, click on this to add this to the toolbar which means that the Herdsman Action List will be available for you to select regardless of where you are in UNIFORM

Added to Toolbar:

Clicking the arrow to the right of this Herdsman action list icon will give you a list of the Pre-sets that have been created for you to easily display when required.

Combined Action List

On the Combined Action List, you can find all the cows with an attention based on data from your process computer(s). Cows with a deviation for Feed, Milk, Activity and/or Conductivity are all shown on the one combined list. This way you get a short list with all the cows that you need to check if they require attention.

Clicking on the Properties button at the bottom right hand side of this screen, you can change the settings to your requirements. In the left menu of the properties window it is possible to change the settings per item, by clicking on the required and changing the information that is displayed to meet your requirements. VET Checklist (Optional) The VET Checklist is designed to produce one clear list of all the cows that require attention from the Vet. In Properties you can set up the reasons and thresholds for a cow to be included on this report and this should be done in conjunction with your Vet. Action Scheduler

In this section you can create plans for scheduled events. In Action Scheduler you can set reminders, which can then appear in the herdsman action list. For example, you can use this section to create a reminder for a routine foot trim, or vaccinations etc.

Treatment Plans

In order to make data entry quicker when you are entering a Health Event or Treatment in the daily events screen (in particular when there are multipule medicines used) you could create a Treatment Plan. To create a treatment plan go to:

1. Cows Head 2. Daily Tasks 3. Action Scheduler 4. And then Treatment plans.

5. Once the screen opens, click on the New button to the left along the bottom of the window.

6. Insert a description for the new schedule - Add a name for the treatment plan, e.g. Clinical Mastitis.

7. Date of entry – this is the date for which want to start using the plan from. This will pre-populate to today’s date. To change this, click in the field and type the relevant date in DD/MM/YYYY format or click on the drop-down and select the relevant date from the calendar displayed. Complete the same for the Change date.

8. Veterinary – to select the veterinarian that is associate to this Treatment Plan, click on the icon to the right of the field, a list of Vets is displayed, either click on the relevant if displayed to select or to search for the appropriate in the Name field type the name of who is required. The results window will then highlight the relevant. Click to select and then click on the OK button.

9. Click the Next button to move on to the next section which is shown below. Here you have two options Health Event or Treatment. (In this case we select Health event, as this example is a treatment plan for mastitis).

10. Status – click in the tick boxes besides the animal types you wish to be included on the Health event or Treatment Plan.

11. Click on the Next button at the bottom right of the screen.

12. Health Event – to select the health event you wish to add these animals to click on the icon to the right of the Health Event field. The following window below is displayed with a list of events:

14. If what you are looking for is not displayed it can be added by clicking on the button at the bottom left of the window and then adding the required information.

21. To do a quick search, type the name of the treatment into the field at the top and the table will select the relevant match.

22. Click on this and then on to the OK button at the bottom right hand side of that window.

23. The Treatment column will prepopulate with the selected.

24. If the Treatment that you require is not displayed, click on the + button at the bottom left of

the Treatment window and add the appropriate. Medicine – repeat the steps above to select the appropriate medicine that co-incides with the Treatment.

2. Repeat next day – Click this button if all the treatment and medicines are the same as the previous day. Do this as many times as required to meet the Treatment Plan.

be administered in the Morning or Evening or Both. 4. From own stock – to use medication from your own stock click in the tick boxes to the right

of the lines of treatments. If not leave this unticked.

5. To Schedule an action whether the former action has been done or not, click in the relevant buttons at the bottom of the table.

6. Once this has been completed, click on the Finish button at the bottom right hand side of

the window to save the plan.

Vaccination Program

The vaccination program enables you to create a schedule for routine vaccinations, based on factors such as age, last calving and many other factors using the Cow Calendar. Once the plan has been created then you can set it as a reminder in the Herdsman Action list as a task. To create a Vaccination Program, go to Daily Tasks >Action Schedular >Vaccination program

Complete the vaccination program in the same way. There is only one difference and that is if you are tailoring the vaccination program around the Cow Calendar. For this option, select the Cow Calendar trigger button and then the Next button at the bottom right of the window.

The following window is displayed:

1. Click in the buttons to the right of the Trigger date that this vaccination program is to feed off. In the Offset days type the number of days after the trigger date this vaccination program is to begin.

2. This can be left as 0 if not applicable. 3. Click on the Next button.

Continue the Vaccination Program instructions given above in the Treatment Plan section of this guide.

Sync Program

The Sync Program enables to set up a schedule for different Ovsync events. After setting up the plan, you can then view reminders in the Herdsman Action List. You can also enter data through Batch Entry in Daily Events for a group of cows, by selecting Sync Program. The first window is the same as when creating a Treatment Plan. Clicking on the next button once these details are completed displays the following window:

Using the Event Update Report

You can generate export files for NMR, CIS and UNITED, select the relevant icon from the links menu.

To select the CIS Export option, select CIS, then click on the icon.

N.B - Before using the link, you must ensure that bulls being used have either an AI code or a herd book number recorded. After selecting the export option, the following screen will be displayed:

The date displayed on the screen should be that of the last milk recording. If another date is displayed, you should load your latest DataStream disk via the DataStream Update menu item in the Links menu. You also have the option to enter a specific date.

1. If your system is connected to a milking parlour select the Milk Meter option otherwise select the None option.

2. If you require a printable list of all the events entered since the last milk recording press the

Event Update Report button. 3. Press the Next button to continue and if your system is linked to the milking parlour the

following screen is displayed, otherwise you will jump to the group selection step of the export process.

4. If your system is linked to the milk meters in the parlour but your regular link has not yet run you can retrieve the latest milk meter yields by pressing the Retrieve Data button, otherwise press the Next button and the following screen is displayed.

5. If you need to export particular groups click in the groups tick box and select the necessary groups otherwise press the Next button and the following screen is displayed.

6. Select the dates and times for the milk recording period and the approximate milking start

times by clicking on the drop-down arrow on the Date field to display a calendar to select from, and the up and down arrows to select the Time. You can also click on the Edit button next to milking times to change the number of milkings or the milking times. (please call the helpdesk if you need to alter these times). Press the Next button and the final screen is displayed.

7. Select the location for the file produced (USB memory stick) or the email option and press the Finish button. The export file will be generated. Whilst the file is being generated, each stage will be shown on screen, indicating the number of items exported (including the number of individual milk meter yields) and any data that requires more attention prior to being exported.

If you are reading in an NMR essential sampling file, then select the ‘NMR Essential Sampling’ option. Click on the Next button once this has been done. On the next screen, click on the icon to the right of the field displayed, select the file called X<followed by your herd number>.DAT that contains the data by pressing the button with the picture of the folder on the right-hand side of the box labelled file, after which a list of folders and files is displayed.

(Select the file from the location that you have saved it to.)

Click to select all three tick boxes, then press the Finish button and progress information will be shown on screen.

How to analyse your milk recording results Go to Milk Management and select Milk Recording Analysis

The screen shown above is displayed, showing the recording results – milk yield, fat, protein and cell count. It is possible to analyse the data by sorting the report. Click on any of the column names and sort the data into ascending or descending order as required. To look at data for another recording date press the properties button at the bottom of the screen and select the recording date from the drop-down list.

How to analyse cell count results Go to Health/Treatments and select Cell count Analysis

The screen shown above is displayed and it displays the recording results – milk yield, fat, protein and cell count for the last six recordings. Several key indicators are displayed:

• Number of times that the cell count has exceeded 250

• Percentage contribution (% of Total)

• Cows with a high cell count (> 250) at the first recording after calving that were below 250 at drying off. These figures are highlighted in Red.

• Cows with a low cell count (< 250) at the first recording after calving that were above 250 at drying off. These figures are highlighted in Green.

• Cows that are chronic and constantly recording high levels of cell counts without any decrease will be highlighted in Purple.

The default value for these indicators is 250 but this can be changed by pressing the Properties button at the bottom of the screen. The following window is then displayed:

The cell count indicator can be changed here by typing in the field the indicators you wish to set the cell count at and then click on the OK button at the bottom right hand side of the window. It is possible to analyse the data by sorting the report by clicking on any of the column headings and one of the most useful ways to analyse the data is to sort the report by percentage contribution to identify which cows are contributing the most to the overall cell count for the herd. The Graphs button also provides further analysis by way of a pie chart showing the distribution of the latest cell counts. There are tabs along the top of this screen where you can see data in different graphs and clicking on each tab will display the relevant information.

How do I set up an M+ Table? Go to Feeding and select Feeding Setup Press the New button at the bottom left of the screen and the following window will be displayed.

Select ‘M+ system’ from the list and press the Next button, followed by the Finish button on the next screen and the window shown below is displayed automatically.

Click on the Next button:

The ‘Basic Ration’ section can be ignored as this refers to the ration fed outside the control of the program. In the ‘Concentrate Ration’ section press the + button on the right-hand side of the screen and you can then select the feed that you would like to calculate. A list of Feed is displayed (as seen below). Using the search bar at the top of the window, type in the feed code required and the appropriate feed will appear. If the required feed is not displayed click on the + button at the bottom left of this window and add the feed. Once selected click on the OK button at the bottom of the window.

Pressing the Next button, the following screen will be displayed.

Enter the M+ Base figure for 1st calvers, 2nd calvers and Animals into the first three boxes and press the Enter key which will move you on to the next line where you can specify ‘for the next so many litres’ the feed rates for cows and heifers. Press the Finish button to complete the process of setting up an M+ table.

How do I set up the automatic increase/decrease? Go to Feeding and select Feeding Setup. Click on the Increase/Decrease button at the bottom right hand side of the screen and select the Increase/Decrease option on the left-hand side of the Feed window which is displayed:

The increase and decrease phases are divided into 5 phases. The increase phases are called IN-0, IN-1, IN-2 and the decrease phases are called DE-1 and DE-2. The diagram that is shown below demonstrates how the five phases fit together.

Calving Date Dry

During the increase/decrease periods the animals are fed entirely according to these settings. When an animal reaches the end of the increase phase and begins to be fed according to a feed calculation method the rate of change between the end amount of the increase period and the amount calculated by the feed calculation is limited by the maximum increase/decrease setting for that particular group.

How do I calculate the feed amounts? Go to Feeding and select Calculated Feed Please note that the animals must be grouped for the program to be able to calculate feed amounts and a group must be selected in the Group / Rations tab on the screen displayed for you to continue. Click on the Calculate button at the bottom right of the screen. For total ration – ensure this button is selected when entering the total ration

Enter the maximum total amounts and the maximum increase/decrease change in the amount of feed calculated for the specified group in the Total column by clicking into this column and either typing the amount or clicking on the up and down arrows until the required figure is reached. Press the Next button followed by the Finish button on the next screen and a list of cows with their calculated feed will be shown.

N.B; The advice column shows what the feed calculation suggests giving them, and the allocation column shows what they will actually get by considering the minimum, maximum amounts by which the feed can change. Press the Close button and the program will give you the opportunity to save the calculated feed amounts on to your PC or on a memory stick as required.

How to Register Pedigrees with HUK Holstein and Jersey pedigree registrations can be sent directly from within the program and can be used as a replacement for the existing telephone-based system. To be able to use this feature you must be provided with a ‘security PIN’ from Holstein UK that needs to be entered into the program, by clicking on the Properties button at the bottom right hand side on the ‘Registrations to Send’ screen, then clicking on the Authentication button and complete the required information in the window that is displayed below:

To access this, click on the Cows Head > Links > HUK Pedigree Registrations and Registrations to send

This will display a list of all the Pedigree Registrations that could be sent to HUK for both Holsteins and Jerseys. The list is split in two, registrations that are correct or incorrect.

This list can be altered by pressing the Properties button at the bottom of the screen from where it is possible to select how many days the program checks back and whether you want to display both male and female calves. If there are individual registrations that you do not want to send, you can click into the Action Column and select the status Do not send. Press the Send button at the bottom right hand side of the screen to send all the data straight to HUK.

How to import Classification Data

Go to the Links menu and select Load WHFF disk (HUK), you will be asked to select the file. (The file can be downloaded from the HUK website) Select the file that you have saved or received (which is usually called your herdname.122) and press the OK button to start the process of importing your data which can take some time depending on the amount of data being loaded. Once the data has been imported, it can be viewed on the animal record and an example of what is displayed is shown below.

How to send data to BCMS

CTS Web Services Link

The CTS Web Services link will transfer your passport applications and the movement and death notification information directly from UNIFORM to BCMS. Setting up the CTS Online Link

1. Go to the Program Settings menu at the top left of the UNIFORM screen and select the General Settings menu item and press the OK button.

2. Select the Communication (network) option on the left-hand side of the window (see the

below image of the window that is displayed). Select the Online Account option and then enter your user ID and password that you use to access the CTS Online. (this is not the Government Gateway ID, it is a 9-digit number; you may need to contact CTS to get this if you are unsure) Once these have been entered, click on the OK button at the bottom right of the window to close the screen.

Using the CTS Online Link

1. Go to the Links menu, select the CTS Web Services menu item and select the CTS Send Births/Movements menu item and the following screen is displayed.

The Registrations to Send screen is split with three tabs at the top of the screen that are used to switch between the passport applications (labelled Births), the Movement notifications that can be submitted, and the Deaths of animals. Items that need attention are highlighted in Red text and need to be resolved before the data can be submitted and by using the Properties button at the bottom right hand side of the screen, it is possible to specify how far back the link looks for data. The ‘Send’ column that contains tick boxes is used to select which items are submitted. The ‘Ignore Warning’ column containing tick boxed should only be used after data is rejected due to a warning and you are asked to do a resubmission with the ignore warning facility box ticked.

2. To submit the data to the CTS Online system, select the tab containing the type of data you

want to submit and press the Send button at the bottom right of the screen, after which the following information box is displayed. (Movement and Passport data are submitted separately).

3. You should then press the Yes button and the screen shown below on the following page is displayed where you should press the Validate button at the bottom right of the screen to download the validation results from the CTS Online System.

(You can also go to the Links menu, select the CTS Web Services menu item and then select the CTS Validate Births/Movements menu item to access the same screen).

The Validation screen is also split into two tabs – one for Births (passports) and the other for Movements, and each tab is then divided into the categories shown below:

• Accepted – This is data that has been fully accepted by BCMS.

• Rejected: Errors / Rejected: Warnings – This is data for which BCMS have rejected the submission and the reason is shown.

• Not Validated - This is data for which validation results have not been downloaded.

For rejections, once the required corrections have been made in the animal record, it is possible to resubmit the data by selecting it on this screen and pressing the Send Again button at the bottom left of the window which will become activated and this will transfer this information back to the CTS Send Births/Movements screen where data can be sent again.

UniNET Services (Data Safe) UniNET is the secure and dedicated system used for transferring data between your UNIFORM-Agri program and our server for storing backups (known as Datasafe) or running farm benchmarking (known as Farm Comparison). To be able to use this feature you must first set up your UniNET software by following the instructions in the next section of this manual titled ‘Setting up UniNET”.

Press the OK button and the following window will be displayed:

Press the Make Connection (Maak verbinding) button and the system will then connect to UniNET via your existing internet connection and will verify the settings you have entered. Once completed close the window by pressing the red cross in the top right-hand corner of this window.

DataSafe The UniNET DataSafe service allows backups to be transferred from your computer to our secure server so that there is always a backup of the data stored away from the farm at a separate location. Go to File and select Backup Database and the following window is displayed:

Click to select the DataSafe option and press the Next button and the backup will be automatically sent to the “DataSafe server” via UniNET. It is also possible to make this happen automatically by setting up an automatic backup task within the Settings screen on the Automate menu and sending the data daily.

Standard Peak Production Overview Standard Peak Production is a very powerful monitoring tool within the program that enables you to quickly analyse milk production figures relating to individual cows and groups of cows. We can quickly calculate an average yield for groups of cows, but comparing these group averages to individual milk production figures on a specific date is difficult because of the many factors that must be considered. These factors include age at calving, month of calving, number of days in lactation, and number of days pregnant. What SPP analysis enables you to see, is a standardised production value that considers all the above factors and many more. This method has been used in Holland since the late 1970’s and there are now over 5,000 factors that go into calculating a SPP value from the daily production data1. The calculation takes the lactation curve and converts it into a straight line. This value is the corrected peak yield for a cow fifty days into lactation and in her fifth lactation. As SPP’s are calculated from both the daily milk meter recordings and the official recordings, this data can be used to compare first calvers, second calvers and older cows throughout their lactations against the herd average at any point in time.
