About This GuideWelcome to th e Dana by AlphaSmart. This guide is designed to help
you get u p and run ning qu ickly on your electronic notebook. It describes
all you need to know about how to use Dana and the applications that
come w ith it.
This guide shows you how to:
Identify all the parts of Dana
View and enter data
Use Dana with your computer
Personalize your Dana with your own p reference settings
After you become familiar with the basic functionality of Dana, you can
use the rest of this gu ide as a reference for less comm on tasks, for
maintaining your electronic notebook, and also as a source of information
if you h ave problems operating it.

1Introduction to Dana
Dana by AlphaSmar t is the versatile laptop alternative for stud ents,
researchers and professionals on the go. It combines the convenience and
affordability of a Palm-Pow ered device with the ergonomics of a
lightw eight laptop. Dana is easy to use, rugged an d has exceptional battery
life to keep you computing w hile away from your PC.
You ll find it easy to start u sing the Dana electronic notebook, become
familiar with its keyboard, and use HotSync technology to synchronize
(exchange and up date) Dana and Palm Desktop software. Once you
familiarize yourself with the basic workings of Dana, youll easily be able
to do the following:
Compose docum ents in Alph aWord, a full-featured w ord p rocessor
Enter all schedule details in the Date Book and view them by theday, week, or month , and even set an alarm to remind you of animportant event
Keep all contact names, addresses, phone nu mbers, and otherdetails in the Address Book, so you can find th em as soon as youneed them
Add tasks to the To Do List, pr ioritize them so you d ont overlookthem, and assign them a d ue d ate
Ensure that you dont lose any of this imp ortant information simp lyby synchronizing data with Palm Desktop software on thecompu ter to create a backup copy
Customize your electronic notebook and set different levels ofsecur ity to prevent unau thorized users from viewing your data

file keys (F1-F8). In AlphaWord, accesses the 8 workspaces (F1-F8). See
"App Shortcuts" on p age 164 for details on reassigning these keys to launch
other app lications when n ot in AlphaWord.
on/off key. Pressing the on/off key turn s Dana on (if it is off) and returns
to the last screen that was d isplayed. Press the on/off key to turn Dana off.
Use the backlight to illum inate the screen in low-light cond itions. When
Dana is on, hold d own th e on/off key for about tw o second s to turn the
backlight on and off.
function key. Press in conjun ction w ith other keys to access the keys
secondary function (indicated by the yellow text). For example pressing
function-contrast displays the onscreen contrast control. You can ad just
the screen for the clearest screen d isplay accord ing to curren t lightingconditions. For more information see "Adjusting the contrast of your
screen" on p age 21.
cmd/shortcut key. Press in conjunction with a letter key to execute a
menu comm and. For example cmd-c will execute the Edit Copy m enu
comm and . To find the shortcut key for a specific menu comm and , press the
menu key to drop dow n the m enu. The shortcut key is to the right of the
menu command after the .
stylus. The tool to use for tapp ing on Dana s tou ch-sensitive screen. It can
be used for m anipu lating all on-screen controls includ ing: tapp ing icons,
buttons, and menu items, dragging the scroll bar and more. To use thestylus, remove it from the channel and hold it as you w ould a p en or pencil
application keys. Activates the individu al Dana ap plications that
correspond to the nam es on the keys: date for Date Book, address for
Address Book, to do for To Do List, and memo for AlphaWord. "Keys
preferences" on page 156 for details on reassigning these keys to other
applications on your electronic notebook.
utility keys. Activates the comm and s or utilities that correspond to the
names on the keys: find for the find utility, menu to drop down the menu
in an app lication, apps for the Application Launcher, and send for send ing
text from AlphaWord or beaming.You can also set it up so that p ressing one of the application or u tility keys
turn s on Dana an d opens the correspond ing app lication or utility. See
"Power On Keys" on p age 165 for details.

Locating back panel components
IrDA port. Uses infrared technology to transmit an d receive data to an d
from oth er Danas or infrared-enabled Palm OS handh elds. See "Beaming
Informat ion" on p age 185 for m ore information. Also allows printing to
infrared-enabled printers. See "Printing Setup" on page 69 for more
information.
AC Adapter port. Connects Dana to the w all current through the AC
adapter. This allows you to charge Dana rechargeable batteries.
Expansion card slots.Dana has 2 card slots that accepts Secure Digital (SD)
or Mu ltiMedia Card (MMC) expan sion cards. These enable you to ad d
add itional software app lications, memory, or hardw are. You can also use
an expansion card to back up d ata when it is inconvenient to perform a
HotSync operation.
USB printer. Connects Dana d irectly to a p rinter v ia a USB cable so you
can print AlphaWord or other printable files. When Dana is connected to
the AC Ad apter or comp uter, the USB Printer port can also be used to
power devices with USB.
USB computer. Connects Dana to your computer via a USB cable so you
can send files from AlphaWord, as w ell as up date the information between
Dana and your comp uter u sing HotSync technology.
Charging DanaDana comes w ith a rechargeable battery that recharges whenever it is
connected to its AC Adapter or to the computer v ia a USB cable (charging
will only occur w hile the comp uter is on). You can also use standard AA
alkaline batteries (not included).

You w ill need to connect Dana to the AC ad apter for four hou rs or the
comp uter for eight hours to get a full charge. Use the AC adap ter that
comes with Dana, or one that meets the following sp ecification: Inp ut : AC
230V 50Hz Ou tput : DC 7.5V 500 mA. A fully charged Dana shou ld ru n for
over 25 hours.
Using Palm applicationsDana utilizes all the pow er and efficiency of the Palm op erating system,
and expands its capabilities with a larger screen, the inclusion of the
AlphaWord w ord-processing ap plication and man y other features.
Alph aWord functions at the fu ll Dana screen resolution of 560x160 pixels,
and most of the standard Palm ap plications like Address Book, To Do List,
Memo Pad an d Date Book have also been up dated to take advan tage of the
larger screen.
How ever, other Palm program s might not have been revised to run on
Dana's larger screen. These Palm program features and actions w on't be
restricted in any w ay, but the program will be centered in the m idd le of the
Dana screen.
Upgrade informationIf you already ow n a Palm OS hand held, you must install the version of
Palm Desktop software that comes with Dana in order for Dana to
comm un icate with Palm Desktop Software. Also, perform a HotSync
operation using your old hand held an d cradle/ cable before you install the
new Palm Desktop software. This ensures that all data on your h and held is
on you r d esktop computer, and is available for easy transfer to Dana. If
you use an other p ersonal information m anager (PIM), such as Microsoft
Outlook, you still must install the most recent H otSync Manager an d
cond uit software for the PIM. For information on conduit software, go to
www.alphasmart.com or www.alphasmart.co.uk.
If you w ant to continu e using your old Palm OS hand held as well as Dana,you w ill need to choose a new u ser name for Dana du ring Palm Desktop
software install on a PC or d ur ing the first HotSync on a Macintosh . You
will also need to export any d ata from Palm Desktop software that you
want to transfer to Dana. Later you can import this data into your n ew
Dana user name.

Exporting/Importing Data from Palm Desktop
SoftwareComplete the following steps if wan t to continue u sing your old Palm OS
handh eld as well as Dana
1. Synchronize your old Palm OS handheld with your old Palm Desktop
software to ensure that the latest information from your Palm OS
handheld is on your desktop computer
2. Launch the Palm Desktop Software you use with your old handheld.
3. Go to an application you want to export data from (i.e.Date Book).
4. Select Export under the File menu.
5. Type in a file name and click the Export button.
6. Repeat steps 2-4 for the other applications (i.e. Address Book, To D o List,
and Memo Pad).
7. Once you have completed "Installing Palm Desktop software" on page
31, launch the new version of Palm Desktop software. Select Import
under the File menu to import the f iles that you exported in step 4.
Upgrading your Palm Desktop softwareComplete the following steps if you only wan t to use Dana (you no longer
wan t use your old Palm OS handh eld). To up grade your old Palm OShand held, follow th e steps below:
1. Synchronize your old Palm OS handheld with your old Palm Desktop
software to ensure that the latest information from your Palm OS
handheld i s on your desktop computer.
2. To prevent potential data loss, go to the folder that stores Palm Desktop
software, copy the folder and its contents, rename it (for example, Palm
Backup), and store the copy outside the Palm D esktop software folder.

software" on page 31. Make sure you install the new software in the
same folder as the old software.
4. To prepare for the first HotSync operation that will synchronize Dana
with your new Palm Desktop so ftware, go to the HotSync Manager and
choose Custom.

5. For all conduits, tap Change, and select the Desktop overwrites
handheld option. Then click Done. See "Customizing HotSync
application settings" on page 175 for more information.
6. Connect Dana to your computer using a USB cable, and press function-
sync (press the function and sync keys simultaneously). If the Select
User dialog box appears, select your username.
NOTE: If you customized the modem setup on your old Palm OS
handheld, you must re-enter the modem initialization string. Any
passwords you select on your old Palm OS handheld are not restored
during this HotSync operation. Records you previously marked Private
remain marked Private, but you need to reenter a password on your new
electronic notebook.
Maintaining a unique name for each Palm OSdevice
To prevent un expected results du ring HotSync operations and possible
data loss, Danas (or other Palm OS devices) that H otSync to the samecomp uter shou ld not have the same user name. If you p lan to continue
using you old h and held as well as Dana, make sure you create a new user
name for Dana.
Tapping versus clickingJust as you use a m ouse pointer to click elements on your compu ter s
screen, you use the stylus to tap elements on you r electronic notebooks
touch-sensitive screen. Tapping is one of the basic actions used to execute
tasks on your electronic notebook.

IMPORTANT: Always use the point of the stylus for tapping or making
strokes on the Dana screen. Do not use a pen, pencil, or any other sharpobject to write on the screen. If you misplace your stylus, visit the
www.alphasmart.co.uk site for information on a replacement.
With your electronic notebook tu rned on, you can tap the screen to
perform m any op erations, such as the following:
Open app lications.
Choose menu command s.
Initiate a global Find operation.
Select op tions in d ialog boxes.
Open th e onscreen keyboards.
Just as you d rag the mou se to select text or move objects on you r computer,
you can d rag the stylus to select text. In add ition, you can use the stylus to
drag th e slider of any scroll bar.
Starting Dana and calibrating its screenThe first time you start Dana, setup instructions ap pear on screen. These
instru ctions includ e a calibration screen, or digitizer. Calibrat ion aligns theinternal circuitry of Dana w ith its touch-sensitive screen, so Dana can
detect the task you want to p erform w hen you tap an element on th e
screen.
To calibrate your screen:
1. Press the apps key, and then tap Prefs.
2. In the pick list in the upper right corner of the screen, tap Digitizer.
3. Follow the on-screen instructions, tapping the screen where indicated.
Adjusting the contrast of your screenYou can ad just the contrast of your screen to m ake it easy to see in a var iety
of lighting conditions.

Using menus and menu commands
Menus on Dana are easy to use, and work th e same way in all app lications.Menu bars and manual comm and s differ based on the app lication and the
area of the app lication in which youre working. For examp le, in the Memo
Pad, the Mem o List screen and the Memo screen d isplay different menu s.
Not all app lications have a m enu bar.
Menu comm and s for each app lication are d escribed in the corresponding
application s chap ter, with the exception of the Edit menu . For information
on Edit menu command s, see "Using the Edit menu" on page 124.
Most menu comm and s have an equ ivalent keyboard shortcut or Graffiti
comm and stroke. To use Graffiti menu commands, menus m ust be closed.
To display a menu bar and choose a command:
1. Do one of the following:
Open an app lication (such as the To Do List); tap the Menu iconor press the menu key. Select the desired comm and from the menu .
Tap the inverted tab at the top of any app lications screen (TheCalculator d oes not have an inverted tab); then tap the d esiredcommand.

Tap an icon that represents the command you wan t, or enter the shortcut
for the comman d in the Graffiti text area below the Comm and toolbar. For
examp le, to choose Select All in the Edit menu , draw the Graffiti comm and
stroke in the text area to display the Comm and toolbar; then d raw the
letter S. Note that if you wait more than three seconds to d raw the shortcut
letter, you ll have to redraw the Graffiti command stroke to red isplay the
Command toolbar.
TIP: If you know the keyboard shortcut for a menu command, just
press it at the same time as the cmd key to execute the command.
Displaying tipsMany of the d ialog boxes that app ear on your electronic notebook contain
a Tips icon in the u pp er right corner. Tips ant icipate qu estions you m ay
have and provide shortcuts for using the dialog box or other useful
information.
To display a tip:
1. Tap the Tips icon (the lowercase I in the upper right corner of the dialog

Customizing DanaYou can custom ize Dana by u sing th e Preferences application. You can
enter personal information such as your nam e and ad dress; change the
time, date, and time zone; view d ifferent date and time formats when you
travel; turn off soun ds; and configure your Dan a to work w ith a mod em or
network. See "Setting Preferences" on page 155 for details.
Selecting the Preferences screen
You set p references to customize you r d evice. To select th e Preferences
screen, do the following:
1. Press the apps key .
2. Select All or System from the pick list in the upper right corner of the
screen.
3. Tap Prefs.
Personalizingyour electronic notebook
Owner p references let you record a name, comp any name, phone number,
or any other information you want to includ e on your electronic notebook.
If you use the Security ap plication to turn off and lock your electronic
notebook with a password, information that you enter in the Ow ner
Preferences appears the next time you turn on Dana.
Setting owner preferences
1. From the Preferences screen, tap Owner from the pick list in the upper
right corner.
2. On the Owner Preferences screen, enter the text you want to associate
with your electronic notebook. If you enter more text than can fi t on one
screen, a scroll bar appears at the right side of the screen.

NOTE: If you have assigned a password to your device using the
Security application, you must unlock the Owner Preferences screen tochange the information on it.
To unlock the Owner Preferences screen:
1. Display the Owner Preferences screen.

3. Enter your current password (the one you entered in the Security
application); then tap OK.
4. Edit the Owner Preferences text as desired.
Setting the date, time, and time zoneThe General Preferences screen lets you set the date, time, and time zone
for you r d evice.
To set the date:
1. Press the apps key, then tap the Prefs icon.
2. From the pick list in the upper right corner, tap Date & Time.
3. On the Date & Time screen, tap the Set Date box; then tap the arrows atthe top of the Set D ate Screen to select the current year.
4. Tap the month; then tap the current date.

To set the time:
1. Press the apps key; then tap the Prefs icon.2. From the pick list in the upper right corner, tap Date & Time.

4. Tap each minute number, and then tap an arrow to change the number.
5. If available, tap AM or PM.
6. Tap OK to set the new time and return to the Date & Time screen.
NOTE: To display time based on a 24-hour clock, change the time
format. See "Time, date, week start, and numbers formats" on page 159
To set the time zone:
1. Press the apps key; then tap the Prefs icon.
2. From the pick list in the upper right corner, tap Date & Time.
3. On the Preferences screen, tap the Set Time Zone box.
4. Use the up and down arrows to scroll to your country and time zone.
5. Make sure your time zone is highlighted, then tap OK.
TIP: Choose the time zone from the list that corresponds to where you
are. When you travel, use this dialog to change time zones. If you re notsure what time zone you are in, find out what time it is, and select the
time zone which shows the current new time. Do not use the time zone
dialog to switch between daylight savings time and standard time. Use
the Daylight Savings pick list.

To set daylight savings time:

Palm Desktop software
Palm Desktop software includ es many of the same main ap plications asDana: Add ress Book, Date Book, To Do List, Memo Pad . You can u se the
HotSync feature of this software to back up an d exchange data between
your electronic notebook and compu ter.
Its a good idea to back up your d ata in case something happ ens to the data
on your electronic notebook. Changes you make on Dana or th e Palm
Desktop software app ear in both p laces after you synchronize.
With Palm Desktop software, you can do the following:
Work with the Dana app lications on your comp uter. Palm Desktopsoftware d up licates the Date Book, Address Book, To Do List, and
Memo Pad app lications on your electronic notebook, so that youcan view, enter, and mod ify any d ata stored on your electronicnotebook.
Back up th e data stored on Dana w ith HotSync technology andsynchronize the data on your Palm Desktop software.Synchronization is a one-step p rocedu re that ensures your data isalways safe and up -to-date. See "Exchanging and Upd ating Datausing HotSync Operations" on page 171 for more information.
Import an d export d ata, so you can easily transfer data from otherdesktop app lications into any of your main app lications. See"Importing d ata" on p age 49 for m ore information.

Installing Palm Desktop softwareThe following instructions gu ide you through installing Palm Desktopsoftware so that you can transfer data from you r compu ter to your
electronic notebook.
After installation, refer to the online Help in Palm Desktop software for
information on h ow to use the software.
To ensure a safe and un interrup ted installation of Palm Desktop software,
do the following before installing:
Turn off your computer and conn ect the USB cable to it. Do notconnect your electronic notebook to the USB cable un til instru cted.
Do not copy the Palm Desktop software files to your compu tershard d isk. You mu st use the installer to p lace the files in th eirprop er locations and to d ecomp ress the files.
To install Palm Desktop software on a PC:
1. Insert the Palm Desktop for Dana software CD-ROM into the
computers CD-ROM drive.
2. When the window showing the CD's contents opens, double-click on
setup.exe.
NOTE: If a window showing the CD's contents does not appear, click
the Windows Start button, choose Run, enter D:\setup.exe, and then
click OK. If necessary, replace D: with the drive letter assigned to your
CD-ROM drive.
3. When the Palm Desktop software Installer Menu screen appears, click
the Install button to begin the installation procedure.
4. Follow the onscreen instructions to complete the installation. If
prompted, connect your electronic notebook to the USB cable.
IMPORTANT: If already own a Palm OS handheld and want tocontinue using it, you should create a new user name to use with Dana.

To install Palm Desktop software on a Macintosh:
IMPORTANT: Palm Desktop Software for the Macintosh requires OS 9
or higher.
1. Insert the Palm Desktop for Dana software CD-ROM into the CD-ROM
drive.
2. Double-click the Palm Desktop CD icon.
3. Double-click the Palm Desktop Installer icon.
4. Follow the onscreen instructions to complete the installation.
Installing AlphaBeamDana lets you send plain text (no formatting) from AlphaWord to any
app lication on a compu ter that accepts text. If you want to send text via a
wireless (IrDA) conn ection, you m ust first install AlphaBeam on your
computer. AlphaBeam transfers the conten ts of the AlphaWord file into the
Clipboard and issues a Paste command. If your app lication is the top
wind ow (in th e foreground ), the contents of the file will be pasted into it. If
the top window is not capable of accepting the pasted text, the text is saved
on the clipboard . Bring the docum ent to the foreground , and p erform a
Paste function to retrieve the text from the clipboard.
To install AlphaBeam on a PC:
The PC mu st be equipped with a built-in IrDA-standard transceiver or a
wireless pod . The PC m ust be ru nning Wind ows 95, Window s 98,
Wind ows Me, Wind ows 2000 or Windows NT.
WARNING! If you are using a USB IR Wireless Pod, you must
complete the AlphaBeam Setup before connecting the USB IR Wireless
Pod to your PC.
Installation Instructions: USB IR pod
1. Please download the latest version of AlphaBeam for PC from
www.alphasmart.co.uk/downloads/ and double-click the Setup.exe fil e.

COM port is e ither a 9 pin or 25 pin male D B connector. Be sure and note
which COM port the IR Pod is plugged into. (i.e. COM1, COM2 etc.)
2. Please download the latest version of AlphaBeam for PC from

a. Installing Infrared Support on Windows 98: During the setup you
will be asked which COM port the PC IR Wireless Pod is connectedto. You w ill also be asked to set up a simulated COM port. When the
program suggests a simulated COM port, just press the Next button.
b. Installing Infrared Support on Windows 2000 - If you would like to
use other IR devices in addition to Dana, you will need to do the
follow ing after finishing Setup:
1. On th e Start m enu , select Control Panel from the Settings list.
2. Double-click on the Add/ Remove Hardware icon.
3. ClickNext for each screen in the w izard u ntil you see a list of
Devices in th e Choose a Hardware Device window.

5. Select Infrared devices from the list of Har dw are Types.
6. Select ACTiSYS from the list of Manufacturers and select the

Although you are most likely to enter data into Dana u sing the keyboard,
you can also enter data by using the onscreen keyboard, writing with the
stylus in the WritePad, or by importing data from an other ap plication.
Using the onscreen keyboardYou can open the onscreen keyboard anytime you need to enter text or
numbers into an app lication. The onscreen keyboard is convenient for
entering international characters, or entering d ata w hen th e screen is
rotated . You cannot enter Graffiti characters while using the onscreen
keyboard.
To use the onscreen keyboard:
1. Open any application (such as the Address Book).
2. Tap any record, or tap New.
3. Choose one of the following to display the alphabetic or numeric
keyboard:
Press cmd-k or tap Keyboard in the Ed it menu.

automatically capitalizes the first letter of each field (except numeric and

Writing Graffiti characters
With on ly a few minutes of practice, youll find it easy to enter accuratetext and nu mbers u sing Graffiti writing strokes. Follow these guidelines to
learn and u se Graffiti writing strokes successfully:
To achieve 100% accuracy, practice d raw ing characters exactly asthey appear in th e tables later in this chapter.
The heavy dot on each shape indicates wh ere to start the stroke.Some characters have similar shap es, but d ifferent starting an dend ing points. Always start the stroke at the heavy dot. (Do notdraw the heavy d ot; it is there only as a gu ideline.)
Most characters requ ire only a single stroke. When you lift thestylus from the WritePad, Dana recognizes and d isplays the textcharacter imm ediately. The Graffiti writing strokes for lettersclosely resemble uppercase letters of the standard English alphabet,and man y Graffiti strokes are part of their standard a lphabetequivalents.
The WritePad is divided into two p arts, one for writing letters andone for writing nu mbers. The small marks at the top and bottom of
the WritePad ind icate the tw o areas. To have Dana recognizecharacters and nu mbers, you must begin character strokes on theleft side, and n um ber strokes on the right side of the WritePad.

You can create any pu nctuation symbol available from a standard
keyboard using Graffiti writing.All punctuation m arks begin with a single tap on the WritePad. This tap
activates the Punctuation Shift, ind icated by a d ot d isplayed above the
wr iting area. The next stroke you make with the stylus creates a
pu nctuation mark. When Punctuation Shift is active, you can write a
symbol stroke on either side of the WritePad (the letter or nu mber side).

Navigation strokes
Graffiti writing includ es additional strokes for n avigating within text orfields in your app lications.
Using Graffiti ShortCutsGraffiti ShortCuts let you quickly and easily enter commonly u sed w ords
or p hrases. ShortCuts are similar to the Glossary or Au totext features of
some w ord processors. Graffiti writing comes with several predefined
ShortCuts. You can a lso create your own, for any w ords, letters, or
numbers.
You can create ShortCuts, with u p to 45 characters, using th e Shor tCut
preferences. For examp le, you could create a ShortCut for your nam e or for
the head er of a memo. All ShortCuts you create app ear on the list in the
ShortCu t Preferences screen, are available in an y of your electronic
notebook applications, and are backed up on your comp uter w hen youperform a H otSync operation.

To use a ShortCut:
Press function- or function-apps (the ShortCut key is the secondaryfunction on th e app s key) or d raw the ShortCut stroke followed by th e
ShortCut character or characters. For example, to enter the ShortCut for
Breakfast p ress function-apps and then type br.
When you p ress function-apps or draw the ShortCut stroke, the ShortCut
symbol app ears at the insertion point.
To create a ShortCut:
1. Press the apps key .2. Select All or System from the pick list in the upper right corner.
3. Tap the Prefs icon.
4. Tap ShortCuts in the pick list in the upper right corner.
5. Tap New.
6. In the ShortCut Name line of the ShortCut Entry screen, enter the letters
you want to use to activate the ShortCut.

7. Tap the ShortCut Text area, then enter the text that will appear when you
write the ShortCut characters.
8. You can add a space character after the last word in your ShortCut text,
so that a space automatically follows the ShortCut text.

To edit a ShortCut:
1. In the ShortCut Preferences screen, tap the ShortCut you want to edit.
2. Tap Edit.
3. Make the changes you want; then tap OK.
To delete a ShortCut:
In the ShortCut Preferences screen, tap th e ShortCut you want to delete.Tap Delete; then tap Yes.
Entering data on your computerAt times, you m ay prefer to enter information or add new records to your
comp uter rath er than your electronic notebook.
You can enter information in your compu ter, using Palm Desktop
Desktop or any supported personal information man ager (PIM) installed
for use with your electronic notebook. You can then perform a HotSync
operation to synchronize the information on you r comp uter w ith theinformation on you r electronic notebook. Most of the main applications on
Dana are available in Palm Desktop software and in most PIMs.

Importing dataIf you h ave data stored in comp uter ap plications such as spreadsheets anddatabases, or if you want to imp ort data from another device, you can
transfer the data to Dana w ithout having to key it in manually. Save the
data in one of the file formats listed below, imp ort it into Palm Desktop
software, and then p erform a HotSync operation to transfer the data to
your electronic notebook.
Palm Desktop software can imp ort d ata in the following file formats:
Comm a d elimited (.csv,.txt): Address Book and Memo Pad only.
Tab delimited (.tab,.tsv,.txt): Address Book and Memo Pad on ly.
CSV (Lotus Organizer 2.x/ 97 Mapp ing): Address Book only. Date Book archive (.dba).
Ad dress Book archive (.aba).
To Do List archive (.tda).
Memo Pad archive (.mpa).
Archive formats can only be used w ith Palm Desktop software. Use the
archive file formats to share information with other people who use
devices based on the Palm Comp uting platform or to create a copy of your
importan t Palm Desktop information.
To import data:
1. Open Palm Desktop software.
2. Click the application into which you want to import data.
3. If you are importing records that contain a field with category names, do
the following:
Select All in the Category box.
Make sure that the same categories that ap pear in the imported filealso exist in the application. If the categories do not exist, createthem now; otherwise, the records will be imp orted into the Un filed
category.
4. Choose File > Import; then select the file you want to import, and click
Open.

5. To import data into the correct Palm Desktop fields, drag fields in the
left column so that they are opposite the corresponding imported f ield
on the right.
6. To exclude a field from being imported, deselect the fields check box.
7. Click OK.
8. The imported data is highlighted in the application.
9. To add the imported data to your electronic notebook, perform a
HotSync operation.

3Managing Applications
This chap ter explains how to switch between ap plications on Dana, how to
personalize app lication settings, and how to categorize app lications into
related groups.
Using the Applications LauncherThe App lications Launcher displays all the available applications on you r
electronic notebook by d efault. You can also d isplay on ly selected
app lications by arrang ing ap plications into categories.
To open the Applications Launcher:
Press the apps key or tap the App lications icon .
Selecting applications
Your electronic notebook is equipped with a var iety of applications. All the
app lications installed on Dana app ear in the App lications Launcher.
In add ition to provid ing a way for you to op en app lications, the
App lications Launcher displays the current time, battery level, and
application category.
To open an application:
Choose from the following options:
Press the apps key, and then use the arrow keys to move theselection box between ap plications, or the Tab key to cycle throughall the app lications from left to right. Once selected, any ap plicationcan be launched by p ressing the enter key.
You can a lso select an app lication by typing the first letter of anapplication s name, which will jum p you to the app lication. If more

than one app lication starts with the same letter, than type the firstfew letters of the one you wan t to select.
Tap the Ap plications icon, and then tap the icon of the app licationyou w ant to open. If you hav e many ap plications installed on Dan a,tap the scroll bar to see all the available applications.
Press an app lication key on the top r ight row of keys to display theselected app lication immed iately.
To switch between app lications, tap the Ap plications icon or pressan ap plication key. Dana au tomatically saves your w ork in thecurrent app lication and d isplays it when you retu rn to thatapplication.
Categorizing applicationsThe category feature enables you to manage the n um ber of app lication
icons that appear onscreen in the Ap plications Launcher. You can assign an
app lication to a category and then d isplay a single category or all your
applications.
To categorize an application:
1. Press the apps key.
2. Press the menu key or tap the Menu icon .
3. From the App menu, tap Category.
4. Choose from the following options:
To choose a category for an ap plication, tap the p ick list next to eachapplication.
To create a new category for an application, tap Edit Categoriesfrom the app lications pick list. Tap New , enter the category name,and then tap OK to add the category. Tap OK.

5. Tap Done.
To display applications by category:1. Press the apps key.

Changing the Applications Launcher Preferences
By defau lt, the Ap plications Launcher d isplays applications as icons. As analternat ive, you can d isplay ap plications in a list format. You can a lso set
an option to display the last-selected category of applications each time
you op en the Ap plications Laun cher, as well as options that govern the
behavior of the selection box and the type-select emulation.
To change the view of applications:
1. Press the apps key; then tap the Menu icon.
2. From the Options menu, tap Preferences.
3. From the View By option tap List; then tap OK to see your applications
in list format.

To display the last-selected category of applications:
1. In the Preferences dialog box, tap Remember Last Category.
2. Tap OK. Each time you return to the Applications Launcher, the lastcategory of applications you selected is displayed.
NOTE: If you do not select the Remember Last Category option, all
applications are displayed when you select the Applications Launcher.
Changing Selection Box behavior
When Selection Box always in view is checked, moving to a d ifferent
screen in the Application Launcher will move the selection box to an
application that is in the new screen. When Selection Box always in view isunchecked, the sam e app lication w ill remain selected as you navigate
around in the Ap plication Laun cher even if the application is not in the
current screen.
To change selection box behavior:
1. In the Preferences dialog box, tap Selection Box always is view.
2. Tap OK.
Changing Type-select emulation
When Mac type-select emu lation is enabled, typing the first letter of anapplication always selects the first application that starts with that letter.
For example, if you h ave ap plications called Prefs, PrintBoy, and
PrintSetup , typing "p" will always select Prefs. When PC typ e-select
emulation is enabled typing th e first letter of an application mu ltiple times
will cycle throu gh a ll the app lications tha t starts w ith that letter. Using the

examp le above, typ ing "p" multiple times wou ld first select Prefs, then
PrintBoy, and lastly PrintSetup .
To set type-select emulation:
1. In the Preferences dialog box, tap either Mac or PC.
2. Tap OK.
Installing additional applicationsIn add ition to the ap plications that came with Dana, you can install a
variety of other add-on app lications u sing the Install Tool du ring a
HotSync operation. To learn m ore about add itional app lications for Dana,
go to ww w.alphasm art.com or w ww.alphasmart.co.uk.
Any ad ditional app lications you install reside in RAM memory an d can be
removed at any time; for information, "Removing ap plications" on p age 56.
To install additional applications on Dana:
1. From your computer desktop, copy or download the applications you
want to install into the add-on folder in your Palm D esktop directory.
2. If the application is compressed, for example, as a .zip file, decompress
the application into the add-on folder before continuing.
3. Double-click the Palm Desktop icon on your computer desktop to openit; then click Install.
TIP: You can also select the Install Tool dialog box by selecting Install
Tool from the Palm Desktop program group or by double-clicking any file
with a PRC file extension.

4. In the User drop-down list, select the user name that corresponds to your
electronic notebook; then click Add.
5. In the file list of the Add-on folder, select the application that you want
to install on your Dana; then click Open. The file appears in the Palm
Install Tool dialog box.
6. If decide not to install an application, select it in the list of files in the
Palm Install Tool dialog box and click Remove. The application is
removed from the dialog box list, but not from your computer.
7. Click Done. A message appears to indicate that the application or
applications w ill be installed the next time you perform a HotSync
operation.
8. Perform a HotSync operation to install the applications.See "Exchanging
and Updating D ata using HotSync Operations" on page 171 for more
information.
Removing applicationsYou can remove ad d-on ap plications, patches, and extensions from your
electronic notebook if you ru n ou t of memory or n o longer need them.
You cannot remove the bu ilt-in applications that reside in the ROM portion
of your device, includ ing th e Date Book, Add ress Book, To Do List, Memo
Pad, Calculator, and AlphaWord app lications.

To remove an add-on application:
1. Press the apps key; then tap the Menu icon.2. From the App menu, tap Delete.
3. In the Delete dialog box, tap the application you want to remove.
4. Tap Delete.
5. Tap Yes.

Removing Palm Desktop softwareIf you n o longer wan t to use Palm Desktop software, you can remove it
from you r compu ter.To remove Palm Desktop software:
1. In Windows, from the Start menu, choose Settings > Control Panel.
2. Open the Add/Remove Programs icon.
3. On the Install/Uninstall tab, select Palm Desktop software; then click
Add/Remove.
NOTE: You must retain the HotSync Manager from the installation CD
to synchronize data with another PIM.
Assigning security optionsA Security app lication is available to users wh o have th e Dana
Productivity Pack that lets you set options to protect entries from

unauth orized u sers in a variety of ways. Before you can take advantage of
these features, you m ust first install the Security ap plication wh ich is
located in the DanaExtras folder of your Palm Desktop for Dana software
CD-ROM. For more information, see "Installing ad ditional app lications" on
page 55.
The Security ap plication lets you:
Mask or hid e entries you have d efined as p rivate. The Mask optiondisplays a gray bar over private records, and the Hide optioncompletely rem oves (hides) private records.
Assign a p assword to viewing options to enhance secur ity.Assigning a passw ord requ ires you to enter a password beforeprivate entries can be viewed ; not assigning a passw ord lets youview p rivate entries when you Show Records from the Secur itydialog box.
Lock and tu rn off your electronic notebook so that a password mu stbe entered before you can use the device again.
Hide records that you have defined as private, with or without apassword. Without a p assword, private records are h idden u ntilyou set the Security application to display them; with a passw ord,you must enter the password to view the pr ivate entries.
Masking and hiding records
You can mask or hide pr ivate records. When you mask p rivate records, a
visual placeholder app ears where the record w ould normally be displayed;
wh en you hide records, they are not visible anyw here in the list.
To mask private records:
1. Make sure that the record or records you want to mask are defined as
private. To make a record private, select the record, tap Edit, tap Details,
and then tap the Private option.
2. From the Applications launcher, tap Security.

3. From the Current Privacy pick list, tap Mask Records.
4. Open one of the basic applications and view a record. Records marked as
private are masked with a gray bar.
To hide private records:
1. Make sure that the record or records you want to hide are defined as
private. To make a record private, select the record, tap Edit, tap Details,
and then tap the Private option.
2. From the Applications launcher, tap Security.
3. From the Current Privacy pick list, tap Hide Records.
4. When you return to the Address Book, records marked as private are notincluded in the display of names.
Note that you can mask or hide records without assigning a password, or
you can assign a password if you w ant records to remain masked or
hidden until a password is entered.
Assigning and editing passwordsYou can assign a password to p rotect p rivate records an d to lock Dana.
Once you d efine a password , you can change or delete it at any time. You
mu st enter the current password before you can change or delete it.If youve forgotten your password, you can delete it. See "Recovering from
a forgotten passw ord" on page 61.
To assign, change, or delete a password:
1. From the Applications launcher, tap Security.

AlphaWord is a full-featured word processor that lets you create, format
(includ ing setting fonts, justification, line spacing, inden ts), and edit
docum ents. These documents can then be p rinted or tran sferred to a
computer via a USB cable or a wireless connection. This chap ter w ill cover
the fund amentals of AlphaWord
AlphaWord Basics
Files 1-8In AlphaWord you are always in one of eight w orkspaces that you can
instant ly access using th eir corresponding file keys (F1-F8). You can u se the
workspaces for your work in p rogress. When you press one of the file keys
in AlphaWord, the associated file imm ediately opens. This eliminates
having to scroll through a long list of files to find the one you want to open.If there is no file associated with the file key you p ressed, then a new file is
created.
TIP: To replace a file associated with a workspace with a different file,
press the menu key, then select File New for a new file or File Open for
an existing file. The file that you open will now be associated with the
workspace that is being used.

Editing an existing AlphaWord document
1. If the file you want to open is associated with a workspace, then justpress the appropriate fil e key (F1-F8) to open the file.
2. If the file you want to open is not associated with a workspace, press the
menu key. Select Open under the File menu.
3. Use the up or down arrow key to highlight the document you want to
view or edit, then press the enter key.
Deleting a document
1. Open the file you want to delete.
2. Press the menu key. Select Delete Doc under the File menu.
3. Press function-ok.
Using Spell Check1. Create a document or open an existing document.
2. Press the menu key. Under the Edit menu tap Check Spelling.
NOTE: The larger data file for the Spell Checker that contains more
words(AWSpellLargeUK.pdb) should be automatically installed the first
time you HotSync. To check if it is installed: press the apps key, then
press the menu key and select Info under the App menu. If SpellData is
in the list, then the larger data file is installed. If it isnt, you can HotSync
it to Dana now. AWSpellLargeUK.pdb is located in the DanaExtras folder
under the Palm folder on your computer. For more information on
HotSyncing the file to Dana, see "Installing additional applications" on
page 55.

NOTE: If you only have a PrintBoy icon, you can still print AlphaWord
files by tapping on the PrintBoy icon. If you want to print from other
applications (like Date Book), you must install PrintBoy Anywhere from
the Extras folder of the Palm Desktop for Dana software CD-ROM. For
installation instructions refer to the PrintBoy ReadMe file which is located
in the PrintBoy Anywhere folder.

4. Choose your printer from the Printer pick list.
5. Tap the Set As Default button.

Send versus SyncAlphaWord gives you two options for transferring information to a
desktop computer.HotSync will transfer your d ocum ent and preserve its
formatting (fonts, justification, line spacing, ind ents etc.) The documen tcan then be op ened in any ap plication that can read RTF files (Rich Text
Format) includ ing Microsoft Word , WordPad , App leWorks etc. Sendwill
send plain text (no formatting) to any app lication th at accepts text.HotSync
works w ith a USB connection, while Sendworks w ith either a USB or
wireless (IrDA) connection.

HotSync a new AlphaWord document to your
computer1. Create and save a document in AlphaWord.
2. Press the apps key to go to the Applications Launcher (home).
3. Connect Dana to your computer via a USB cable, then press function-
sync.
4. HotSync will put the new document in your My Documents folder (PC)
or the AlphaWord folder inside your Palm user folder inside the Palm
desktop folder under Documents (Macintosh).
NOTE: If you specified a different folder for AlphaWord documents inAlphaWord Sync preferences, Hotsync will put your documents there.
5. To open a document, launch AlphaWord Sync on your computer, select a
document and double-click on it.
WARNING! By default if you have edited a document on your desktop
and Dana, HotSync treats the document on Dana as the latest version of
the document, and backs up the version on your desktop. For more
information on synchronization see the "HotSync In-depth" on page 80.
Send text from Dana to your computerTo send text withou t formatting (such as fonts, justification, spacing, etc.)
to an ap plication on you r PC or Macintosh, follow th ese steps:
1. On a PC or Macintosh start up any application that accepts text, and open
a new fil e.
NOTE: If you are doing a wireless text transfer, launch AlphaBeam on
your computer. For more information see "Installing AlphaBeam" on
page 32.
2. On Dana open the document you want to transfer.
3. Connect Dana to your computer via a USB cable or point Danas infrared
port at your computers IrDA port, then press send.
