We are so excited and thankful that you are joining us for the 2018 Cookie Program! You will be playing a crucial role in the lives of Girl Scouts as you lead the way for our #CookieBosses and help them achieve their goals. The GSNETX Cookie Program - the largest girl-led business in the world - would not be possible without your dedication. This guide will provide you with information, tips and tools that will empower you and your troop to have an amazing and successful cookie season. Thank you so much for all that you do!

Your GSNETX Cookie Team Roles & Responsibilities

Troop Cookie Manager (TCM) Responsibilities

• Be a registered Girl Scout adult volunteer. • Honor & live by the Girl Scout Promise & Law. • Follow all policies and meet all deadlines. • Complete training & pass assessment with 85% or higher. • Lead your troop through the Cookie Program. • Provide information & resources to Girl Scouts and their family. • Ensure Girl Scouts have completed online Parent Permission Form with GSNETX. • Manage cookie inventory. • Manage eBudde and maintain accurate records of all transactions. • Partner with Troop Leader to collect money from families and make timely deposits. • Ensure on-time payment from troop to GSNETX. • Manage and coordinate booth sales. • Submit reward selections and distribute rewards to girls. • Ask for help when you need it. • Keep girls at the center of all decisions. • Celebrate your troop’s hard work! *Members who have outstanding debt to council are not eligible to serve in any volunteer role.

SU Cookie Coordinator (SUCC) Support

• Communicate cookie program information. • Guide and support TCMs, stay in touch and answer questions in a timely manner. • Review orders, transactions and rewards as necessary. • Approve or deny booth sale requests. • Follow up on troop payments, OFRs and bank accounts as needed. • Distribute rewards to troops. • Provide materials to troops.

TCM To Do’s: Register as a Girl Scout for the 2017-2018 Year. Complete a background check. Take TCM Training & connect with your SUCC. Complete TCM Agreement & pass Assessment with 85% or higher. 1. Register or renew your Girl Scout membership for the 2017-2018 year.

2. Complete a background check.

3. Self report your role as Troop Cookie Manager by logging into your My GS account and clicking “Add a Role” under your Household Tab or by completing the Troop Changes Form located under the Forms Section of www.gsnetx.org.

4. Get in touch with your Service Unit Cookie Coordinator to find out if they are hosting a Troop Cookie Training or Q & A and plan to attend if possible.

5. Review TCM training videos on TexasCookieTime.org.

6. Complete the TCM Agreement and pass TCM Assessment with a score of 85% or higher.

7. Upon completion of steps 1, 2 and 6, provided you have no oustanding personal debt to GSNETX, you will be loaded into eBudde. Loads are completed manually by the GSNETX Cookie Team on Mondays, Wednesdays and Fridays of most weeks by 11:59 p.m. Those who have completed the requirements by 11:59 p.m. the day prior to a load, will be added into eBudde the following business day. For example, if you complete all requirements at 3:00 p.m. on Monday, you will be loaded by 11:59 p.m. on Wednesday. Complete all requirements by 11:50 p.m. on Thursday and you will be loaded by 11:59 p.m. on Friday.

8. Make sure that you have enough materials from your Service Unit Cookie Coordinator to hand out to all of the girls in your troop and schedule a Troop Cookie Meeting. See page 11 for a sample Troop Cookie Meeting Agenda.

Getting Started

Troop Cookie Manager

Troop1. Ensure all girls are registered for the 2017-2018 membership year.

2. Work with Troop Leader to make sure the troop has a registered bank account with GSNETX.

3. The troop should work together to set a goal for how many packages of cookies they would like to sell collectively. Afterwards, girls can work with their families to set their own personal goals by using the Goal Setting Worksheet on page 12 of their Family Guide. Don’t forget, troops never set a girl’s package goal or require a minimum number of packages be sold.

1. Work with Troop Leader to ensure their Girl Scout is registered for the 2017-2018 year and has no outstanding personal debt to council.

2. Girls work with their family to set her personal package goal.

3. Parents or guardians complete the Parent Permission Form online at TexasCookieTime.org.

4. Upon completion of the Parent Permission Form, as long as the girl is registered, she will be loaded into eBudde. Loads are completed manually by the GSNETX Cookie Team on Mondays, Wednesdays and Fridays of most weeks by 11:59 p.m. Those who have completed the requirements by 11:59 p.m. the day prior to a load, will be added into eBudde the following business day.

Why participate in the Girl Scout Cookie Program?

GOALSETTING

Let her take the lead to develop a plan to set and reach her goals.- Role play with her to help her create a great pitch. - Help her set practical and achievable personal goals. What rewards is she most excited about?- Support her in tracking her sales progress.

DECISION MAKING

Watch her hone her decision making skills by setting up for booth sales, choosing how to market her cookies to customers and what her troop will do with the money they earn.- Encourage her to try new things for herself.- Allow her to decide on how to sell – online, door-to-door, booths, etc.- Let her take charge of inventory. What does she have, does she need more, etc.

See her take cookie orders, handle payments and gain practical money management skills.- Let her add up orders and make change. Ask her what she wants to learn about managing money?- Girls and parents may accept credit cards, using a mobile device. Fees may not be passed onto the customer.

PEOPLE SKILLS

Support her as she grows her people skills when she talks to and listens to her customers.- Help your Girl Scout ask friends and family to support her cookie goals.- Encourage her to share her goals with customers.- Remind her to say thank you, even if someone did not buy cookies.

BUSINESS ETHICS

Be there for your Girl Scout as she runs her very own business, learning business ethics as she acts honestly and responsibly through every step of the Cookie Program.- Wait until the cookie program begins on January 12, 2018, before taking orders or selling cookies.- Review all booth etiquette guidelines with her to ensure she has a successful booth sale and adheres to Girl Scout expectations.- Girls may only post about her participation in the Cookie Program and Digital Cookie on social media sites where her friends and family—and not the general public—can see her social media page.

Girl Led Practice makes perfect! Role play sample sales and conversations. Help girls brush up on their cookie facts and money handling skills. Play cookie games to get all the girls involved.

Setting Goals Discuss troop finances with the girls. Make a list of activities, service projects, etc., that they would like to do as a troop and how much money it would take to make their dreams come to life. Show how many packages of cookies it would take to reach those goals. Work together as a troop to set a goal as a troop based on this activity. Discuss the individual rewards a girl can earn if she sells cookies and encourage her to use the Goal Setting Worksheet on page 12 of the Family Guide. If the troop is comprised of a majority of Cadette, Senior or Ambassador Girl Scouts, they can vote to opt out of rewards as a troop for additional troop proceeds.

ways to sell cookiesDirect Sales: support your Girl Scout as she reaches her goal by canvasing her neighborhood, selling door-to-door with cookies in-hand. Girl Scouts exchange cookies and payment in one easy step. Check with your TCM for any required sales permits.

Order Taking: requires girls to make two trips, once to ask them to order and a second to deliver cookies. Booth Sales: At booth sales, girls work together at local retailers to achieve troop and individual sales goals. See page 7 for more details.

Online Sales: Watch your girl build her online marketing skills as she sets up her very own Digital Cookie Website and send out her personal website to friends and family via email and social media to increase her sales through online orders. This new tool will allow customers to shop from your girl’s very own website and ship directly to them. Note the base shipping rate is $9.95 – see more on page 6.

Safety Guideline - Protect privacy! Girls’ names, addresses, and email addresses should never be given out to customers. Use a group contact number or address overseen by an adult for customers to request information, reorder or give comments.

• Complete the Girl Scout Internet Safety Pledge found on texascookietime.org/forms.

• Only use first names when signing emails or cookie alerts regarding sales.

• Girl Scouts may only post about her participation in the Cookie Program and Digital Cookie on social media sites where her friends and family—and not the general public—can see her social media page.

• Posts about cookies for sale or a girl’s participation in Digital Cookie on websites such as Twitter, Facebook, eBay, Craigslist, or any other website, where her posts can be viewed by the public are not allowed.

• We encourage Girl Scouts to write their own messages, within which they share their cookie goal and what their troop plans to do with the funds they earn.

• Girl Scouts ages 13+ may post on their personal social media sites.

• The Girl Scout’s participation in Digital Cookie may be terminated if these guidelines are not followed.

Booth sales are sales that families & girls/troops participate in by setting up tables outside local retail locations such as restaurants, grocery stores and hardware stores. Packages sold during booth sales count toward your Girl Scout’s goal!

It is a privilege to be trusted by our retail partners with their storefront space and it is of utmost importance that we take great care to honor all of booth sale etiquette guidelines. Let’s ensure that all of our interactions at booth sale locations are always positive and appreciative – we are so grateful for our retail partners support of our #CookieEntrepreneurs!

• Always be polite and friendly and follow all instructions given by store management.

• Never block or impede a store’s foot traffic with your booth setup.

• At least one girl must always be present at booth sales. • If a store decides to cancel a booth sale, politely pack up and

respect the change of plans. • Girl Scouts should wear a uniform (vest, tunic, sash), or GS

t-shirt, to identify themselves as Girl Scouts at booth sales. • The super six flavors (Thin Mints, Samoas, Tagalongs,

Do-si-dos, Trefoils and Savannah Smiles) are $4 per package and specialty flavors (S’mores and Toffee-tastic) are $5 per package. Selling these cookies for any other price is strictly prohibited.

• Selling cookies from neighboring Girl Scout councils is not allowed – girls may only sell Little Brownie Baker cookie flavors as listed above.

• Plan ahead and always safeguard money during booth sales. • Stores may occasionally double book My Sales. Your SU

Cookie Coordinator can help determine who had the My Sale approved first in eBudde and therefore, who will be permitted to stay.

• My Family and My Troop Sales must be input into eBudde by your TCM, and approved by your SU Cookie Coordinator, before the booth sale begins.

• Failure to follow booth sale procedures, guidelines and etiquette may affect your troop’s approval and sign-ups for future booths.

Be sure girls understand and follow these safety rules:

• Show you’re a Girl Scout—Wear the Girl Scout membership pin and/or Girl Scout clothing to identify yourself as a Girl Scout.

• Buddy up—Always use the buddy system. It’s not just safe, it’s more fun.

• Be streetwise—Become familiar with the areas and neighborhoods where you will be selling Girl Scout Cookies®.

• Partner with adults—If you are a Girl Scout Daisy, Brownie, or Junior you must be accompanied by an adult when taking orders or selling/delivering product. If you are a Girl Scout Cadette, Senior, or Ambassador you must “buddy up” when selling door-to-door. Adults must be present at all times during cookie booth sales.

• Plan ahead—Always have a plan for safeguarding money. Avoid walking around with large amounts of it or keeping it at home or school. Give proceeds to supervising adults who should deposit it as directed by your Girl Scout council as soon as possible.

• Do not enter—Never enter the home or vehicle of a person when you are selling or making deliveries. Avoid selling to people in vehicles or going into alleys.

• Sell in the daytime—Sell only during daylight hours, unless accompanied by an adult.

• Protect privacy—Girls’ names, addresses and email addresses should never be given out to customers. Use a group contact number or address overseen by an adult for customers to request information, reorder or give comments. Protect customer privacy by not sharing their information except for the product sale. Girls should never take credit card numbers.

• Be safe on the road—Always follow safe pedestrian practices, especially when crossing at intersections or walking along roadways. Be aware of traffic when unloading product and passengers from vehicles.

Troop Proceeds Girl RewardsGirls can earn rewards, including items, patches and invitations to exclusive events for reaching certain package levels. Most rewards are cumulative, meaning they get all of the items up to the highest level they reach.

Cookie Dough Cookie Dough is a credit that a girl can earn while participating in the Cookie Program and selecting Cookie Dough in lieu of a reward item at certain levels. These credits can be used towards most programs, events and camp opportunities, hosted by Girl Scouts of Northeast Texas and/or purchases in our shops (not online).

On Time Payment MattersFamilies – In order to guarantee rewards, girls must pay their cookie bill, in full, by the due date set by your Troop Cookie Manager.

Troops – Rewards for troops who do not pay in full, by the date set by council, and have not filed an Outstanding Funds Report, are not guaranteed.

Troop ProceedsTroops earn proceeds of $0.57 for each package of cookies their girls sell.

Cadette, Senior and Ambassadors may vote as a troop to opt-out of all reward items and events, as a group to receive $0.10 more per package. These troops will still be eligible to earn all patches as well as Project Troop to Troop rewards.

The determination of how proceeds from Girl Scout troop money-earning activities are used must be a girl decision. Additionally, the proceeds from the Cookie Program does not become the property of individual girl members based on their individual cookie sales and participation levels.

Troop Money Management Accepted Payments Troops may accept cash, money orders, checks and credit cards as payment for cookies. Check tips: • Only accepts checks from family and friends • Use check protection (like Checkredi) • Always record the customer’s name, address, phone number and driver’s license number on the check

Troop Finances and Bank Accounts • Per GSNETX policies and procedures, troops in possession of more than $100 in troop funds are required to set up a troop bank account. Bank accounts should be set up using the Opening a Girl Scout Bank Account form at www.gsnetx.org under Forms. • Cookie money should never be deposited into a personal bank account. • Troops should not let cookie money accumulate at home/work; deposit collected money into the troop bank account on a regular basis. Small amounts can be kept out as petty cash/change during cookie booths ($100-$200 maximum). • Troop proceeds go into a treasury that helps the troop fund the various activities they do throughout the year, such as service projects, troop supplies, event fees/trips, awards and recognitions. • Girls and troops may not solicit tips at any time (i.e. No tip jars at cookie booths, etc.)

Credit Card tips: • If you use a card reader that charges fees, fees must be absorbed by the troop - fees cannot be passed onto customers • Card readers / apps should be linked to the troop’s registered bank account. • Payments online, other than through Digital Cookie, cannot be accepted.

Cookie Proceeds The Girl Scout Cookie Program is a great way for Girl Scouts to earn money to help fund troop activities, community projects, higher award projects & more!

Per Girl Average (PGA):eBudde automatically calculates a troop’s PGA by taking the total number of packages assigned to a troop and dividing it by the number of Girl Scouts “selling”. A girl is considered “selling” if she has one or more packages assigned to her on the Girl Orders Tab.

Profit Structure:Rewards Option • Base Profit: Troops earn $0.57 per package sold • Troop PGA 200+: If the troop achieves a final PGA of 200+, they will earn $0.62 per package sold.

Additional Proceeds Option (CSA) Cadette, Senior and Ambassador (CSA) troops may opt out of receiving rewards in order to earn additional proceeds. By opting out of rewards, the girls will not receive items on the reward line-up, including access to events, etc. These Girl Scouts will qualify for patches and Project Troop to Troop rewards. • Base Profit: Troops earn $0.67 per package sold • Troop PGA 200+: If the troop achieves a final PGA of 200+, they will earn $0.72 per package sold.

she will earn her first 2018 patch!

Event DetailsSwim Club Great Wolf LodgeWhat’s included? Admission for the Girl Scout and one chaperone to attend ONE of the various Girl Scout Swim Club Events as well as a fun Swim Club patch. The Girl Scout and one chaperone will also each receive a meal and sweet treat at the waterpark on the day of the event. An email invitation with specific details will be sent to the email address of the parent or guardian as listed on the parent permission form. Tickets are non-transferable and are only valid on date at location received. Should any park cancel a Swim Club Event, it will automatically be rescheduled for June 30th at the location that was forced to cancel.

Who is eligible? Girls in troops who opt to receive rewards, not additional proceeds and who pay in full, on time.

What’s included? A one night stay with hotel room and waterpark wrist bands for the Girl Scout and one adult guest (must be 21 or older) on May 5, 2018, plus a programmatic activity for the girl. When logging in for the first time, you’ll need to complete a series of security questions. These questions will enable you to reset your password in the future, if needed. Simply enter your email address which also serves as your user ID and click the link to reset your password. eBudde will send you a temporary password to the email address linked to your profile. Temporary passwords are only valid for 24 hours.

eBudde Dashboard Tab After logging in, you will immediately be taken to the home page otherwise known as the DASHBOARD. The DASHBOARD tab is the default screen you see when you log into eBudde. Here you will find: messages form council and your service unit, calendar dates, troop checklist, upcoming booths, your SU level contact information, and an overview of your troop’s sales activity.

eBudde Contacts Tab The CONTACTS tab is where all of the troop cookie volunteer contact information is located. To update your contact information, change your password or update your security questions, click “Edit”. You can update all of your information with the exception of your email address. To receive Crew News and updates from GSNETX, do not turn off email notices.

Settings TabThe SETTINGS tab is where you can input or change your troop’s package totals, proceeds options and more!

Girls TabThe GIRLS tab is where you will find the list of girls in your troop who have been loaded into eBudde by the GSNETX Cookie Team as well as their GSUSA ID, Grade (Important for Digital Cookie!), their registration status, sales goal and more.

This information is input by GSNETX and TCMs can only update the t-shirt size and sales goal.

TCM Checklist: Prompt parents/guardians to complete the Parent

Permission Form online at TexasCookieTime.org. Make sure to provide families with your email

address so that you will receive a copy of the Parent Permission Form confirmation email.

GSNETX will manually load girls who are: (1) registered for the 2017-2018 membership year and (2) have a completed Parent Permission Form. Loads will occur on Mondays, Wednesdays and Fridays by 11:59 p.m. most weeks for girls who complete the requirements by 11:59 p.m. the day before the load.

Note: To ensure girls are loaded timely, make sure parents/guardians complete the Parent Permission Form using their Girl Scout’s information as it appears in their My GS Account. Loads may be delayed if a girl’s information does not match our records, for example, if the girl’s name does not match our membership records (i.e. nicknames) or if she is requesting to sell under a different troop than she is registered under, etc. Also, a valid parent email address is required to gain access to Digital Cookie. Booths Tab The BOOTHS tab is where you will sign up for Council Organized spots and input any locations you have acquired as a My Sales. Remember, Council Booth Sales are organized by GSNETX at high-traffic retail sites. Booth sales are a commitment and if you are unable to attend your booth, you must release it at least 2 hours prior to the start time.

Council Booth Sales only take place between January 26 – February 25, 2018 and you must use eBudde to sign up for them. Troop My Sales are organized by your troop at sites that are not on the Council Organized Booth Sale list. My Sales are flexible and allow you to build personal relationships throughout the community! To schedule a My Sale, use the My Sales Request Form and enter the request into eBudde to be approved by your Cookie Coordinator.

1. Choose a city by clicking on the plus sign next to the city’s name.2. Click the plus sign next to the city to choose the store and location.3. Sign-Up for Council Booths

Scheduling My Sales To schedule a My Sale, you must use the My Sales Request Form to receive approval from the store manager. You will then enter the request into eBudde to receive approval from your Service Unit Cookie Coordinator.

1. On the Booths tab, select “My Sales” from the drop down menu. This will show you the My Sales you have already entered and allow you to add additional locations.2. Click “add a location” to enter your location information and booth details, then click “add.”2. Your booth sale location will then appear in the like under “My Booth Sales.”3. To delete a My Sale, simply click on the appropriate My Sale and click “delete.” Click “OK” to delete or “cancel” to go back.4. To update the information, click on the appropriate My Sale, make any necessary changes, then click the “update” button.

View Your Troop Booth List To view your troop’s booth sale locations at any time, click the “Current Signups” button located on the top of the Booths tab.

Offer a Gift of Caring option like Girl Scouts of Northeast Texas’ Project Troop to TroopDuring booth sales, ask customers to donate cookies to a worthy program. Promote the option with posters and a special box (or wagon) for donated cookies (or tally donated boxes on a large chart). Consider the slogan - “Buy 1, Give 1” to encourage customers to donate!

Give away bite-sized samplesLet customers have a taste so they can try something different—they may even find a new favorite. Keep the variety’s nutrition label in full view in case a customer has food sensitivities.

Share goals with customersThey love to hear how girls are making a difference, so encourage girls to make posters, banners or t-shirts to get the word out.

Make cookie bundlesAttach a ribbon and a handmade card for maximum impact. Don’t forget about booth etiquette! Note: Troops are required to have their troop number clearly displayed at all booth sales.

Cookie Tip: When determining how many cookies your troop might need for an upcoming booth sale, keep in mind that depending on store traffic, Girl Scouts can sell between 10 and 100 packages per hour per booth! The average number per booth sale is about 25 packages per hour per door.

Submitting the Initial Order The INIT. ORDER tab allows you to input each girl’s initial order, using the quantities the girl’s family provides you. Here, you will also place orders for your first round of booth sale cookies. REMEMBER, there are 12 packages in a case and cookies must be ordered by the case. eBudde will automatically round up calculate the number of full cases needed to fill both the girls’ initial orders and your troops’ booth sale order. Cookies ordered during Initial Order and picked up during Additional Pickup are not returnable.

Initial order: Families should provide their TCM with how many cookies they would like to receive on their initial order. This number will likely be different than their Girl Scout’s total sales goal, listed on their Parent Permission Form. Your seasoned cookie sellers may know exactly how many packages of each flavor they would like. For those new to the program, you can provide them with the variety mix of sales from the 2016-2017 Cookie Program found below. You must input each girl’s order by cookie flavor to ensure the troop receives the correct order. If you submit your Initial Order and find that you need to make an update PRIOR TO the Initial Order deadline, contact your SUCC for help.

Cookie Tip: Use the Cookie Cheat Sheet located under the Resources section of TexasCookieTime.org, input the total number of packages and the cheat sheet will automatically calculate the variety of flavors to order.

1. Select a girl, her row will be highlighted and open fields for you to enter her amounts in packages. If you do not see the fields available to fill in, make sure to scroll down to the bottom of the section.

2. Input her order, by flavor, and select “OK”. Remember to save after every few entries.

3. Repeat these steps for each girl in your troop for whom you need to place an Initial Order.

Ordering a Girl’s Initial Order:

1. Click the “Booth” line as you did with girl orders, the row will be highlighted and you will be able to input the number of packages per flavor you would like to order.

Ordering Troop Booth Sale Cookies During Initial Order: Plan ahead by ordering cookies that your troop will need for at least the first two weeks of troop booth sales when you place your girls’ initial orders.

Cookie Concierge - New This Year! What is Cookie Concierge? A program new to GSNETX this year, that offers delivery assistance to eligible troops prior to delivery opening to all troops on December 6th. Through this service, GSNETX will contact eligible troops and their TCMs via email and phone to assist with delivery slot selection the week of November 27th. Those contacted must respond within a designated window to take advantage of this opportunity. Who is Eligible? Troops who place an initial order by 11:59 p.m. on Sunday, November 26th of 400 cases (equivalent of 4800 packages), or more. GSNETX cannot make exceptions to this time frame, and troops are encouraged to submit their Initial Order prior to the deadline to allow for support if necessary. Note: Troops may not proxy to pick up other troop’s orders with this program. Case count must be met by individual troop.

Delivery Selection - Initial Order Use the DELIVERY tab to select your preferred delivery location and time. You will only be permitted to do this AFTER you have submitted your primary/initial order (from the Int. Order tab).

1. Select “who is picking up your cookies?” and “will you be picking up for more than one troop?”

2. Use the drop-down menu to select your preferred location and date. Click “Save”.

3. Select your preferred time by clicking the empty (white) space. Your delivery slots must be contiguous; eBudde will not allow you to schedule where there are not enough spaces. If your troop number is highlighted in green, then your troop can pick up in that time slot.

Initial Order Cookie Pickup For Initial Order pickup, it is critical to arrive 10-15 minutes ahead of your actual time slot with all vehicles necessary to pickup the number of cases on your Initial Order. It is the TCM’s responsibility to COUNT all cases and sign acknowledging the troop has taken possession of the stated number of cookies. Once you leave the warehouse, if you find you are short on cookies, the financial responsibility falls on the TCM/Troop for the cases the troop is short. If you learn you are short the same day of your visit, return to the warehouse imme-diately to see if the delivery personnel can offer assis-tance. While this does not guarantee a resolution, in some cases they may be able to help. For example, you picked up 100 cases of cookies and left ALL of your Savannah Smiles sitting at the warehouse. The warehouse agents may remember that transaction if you return the same day.

Additional Cookie Pickup When your troop is ready to pick up more cookies, refer to TexasCookieTime.org/Resources for Additional Pickup Locations and Hours of Operation which begins on Wednesday, January 17, 2018.

For Warehouse Locations:Simply arrive during the Hours of Operation listed on TexasCookieTime.org with your Photo ID and Warehouse Authorization Card and inform the delivery personnel how many cases of each variety you would like to pickup. Make sure to COUNT, COUNT, COUNT, before you sign the receipt for your troop’s cookies. Keep the yellow copy for your records. The warehouse transaction will appear in your eBudde transactions within 3-5 business days. Missing a transaction and it has been longer than 5 business days, email [email protected] with a photo of your receipt.

For Truck Locations:Picking up cookies at a Truck Location as referenced on TexasCookieTime.org requires Troop Cookie Managers to create a PENDING ORDER in eBudde by 12:00 p.m. two days before the pickup date, excluding Sundays. This guarantees the quantities and flavors are available to the troop during pickup. In the event there is a flavor awaiting inventory replenishment, the troop would be notified prior to the pickup date. For Example: The Additional Pickup Calendar shows that there will be a truck in Denton on Tuesday from 12:00 p.m. to 4:00 p.m. Troops who wish to pickup at this truck on Tuesday must place a PENDING ORDER in eBudde by 12:00 p.m. on Saturday. To Place a Pending Order: On the TRANSACTIONS tab, click “Add a Transaction”. Update the “Date” to the date the order is to be picked up as listed on the Additional Pickup Calendar. From the “2nd Party” drop down menu, select “Cupboard”, then the location from the list to the right. Enter case quantities by flavor. Click “Okay” and the transaction will appear as pending. Click “Save” to confirm your pending order with the delivery agent.

Allocating Cookies & Payments The GIRL ORDERS tab will only appear after the primary/initial order is submitted. This is where you will input each girl’s individual orders sold during booth sales, Project Troop to Troop, and additional sales. Orders are listed by category - not flavor! Troops will have access to allocate additional cookies on the first day of the Cookie Program on January 12, 2018. The tab defaults to the Troop View. This displays the summary of orders for all the girls in your troop and the remaining packages that need to be allocated to girls.To allocate package information to an individual girl you will select the girl, which will take you to Girl View. You can “Switch to Girl” to edit another girl’s information through the drop-down without having to go back to the troop view. You can also navigate back to the troop view by click “return to summary view.” Girl Totals shows all cookies have been allocated to girls. The girl total line will be updated as you assign cookie to girls.

Troop Order shows the cookies the troop has received through the primary/initial order, Project Troop to Troop transactions, and additional pickups. These packages are what the troop is responsible to pay for. As transactions are posted to your troop, this line will be updated.

Difference shows cookies that have not been allocated. This line should be zero, if it is a negative number, cookies need to be allocated to girls. There should NOT be a positive number in this column. 37

Transactions The TRANSACTIONS tab shows when and where your troop received their cookies. Your troop’s initial order (init. del.) transaction will appear after cookie delivery begins. This tab will also list additional cookies that you pick up from council authorized warehouses (don’t forget your Warehouse Authorization Card) and any transactions between another troop. Warehouse and truck pick up transactions are entered into eBudde by council and may take up to a week to appear in the system. Once they appear you will distribute credit for these cookies in the Girl Orders Tab.

Allocating Cookies & Payments Adding a transaction and/or payment to a girl:

1. Select “add trans.” (the bottom boxes will open)

2. Input note in comment, additional packages, and payment (TIP: use “tab” key to move through columns)

3. Select “OK” (or enter on keyboard).

4. Select “Save”.

TCM RESPONSIBILITY Troop cookie managers are responsible for the cookie inventory and balance and are required to keep accurate records. All cookie movement between you and your girls/families require receipts signed by both parties verifying that cookies have changed hands. All payments from families to the troop also require that receipts be issued. Cookies that are transferred in or out with another troop also require receipts. Delivery per-sonnel will also issue a receipt for each additional pickup from a GSNETX pickup location. In the event there is a cookie discrepancy and the TCM does not have accurate receipts, they can be held personally financially responsible for monies owed.

Transferring Cookies In/Out Throughout the Cookie Program, some troops need additional cookies and other troops are wrapping up their sales. The GSNETX Cookie Exchange on Facebook allows troops to post when they have cookies they would like to trade or transfer as well as when they are looking to pickup additional cookies. This allows troops to help sister troops by transferring cookies out that would otherwise not be “returnable” It’s important to keep receipts for every transaction, whether it be transferred cookies in or out, girls and their families picking up cookies as well as payments received by the troop from girls and their families to reduce their cookie balance. Troops who transfer in cookies are responsible for entering the transaction in eBudde. The TRANSACTIONS tab allows you to transfer cookies in from another troop.

Note: All transactions entered by council are greyed and cannot be edited. If you feel that any transactions were entered incorrectly, please contact [email protected]. You can edit transactions that are input by you.

1. Select “Add a Transaction.”2. Enter the date of the transaction and the receipt number- this box cannot

be left blank.3. The type of transaction will default to “Normal” - do not change.4. Second party will default to Troop, enter the troop number of the troop

you received cookies from.5. Enter the quantities of product in either cases, packages, or both. eBudde

will total this for you.6. Select “Add Product” to add the packages you are receiving from another

troop, select “OK” to save the transaction.7. Select “Cancel” to leave the form without saving.8. Select “Save/Print.”

Entering a troop transfer (for the receiving troop only):

Deposits / Payments The DEPOSITS tab shows all of the deposits made from your troop to council through the ePayment form (texascookietime.org/epayment). Only council can add deposits into eBudde, once the payments have cleared. ePayment is an ACH debit form your troop’s bank account into council’s bank account. You can make ePayments at texascookietime.org/epayment. Transactions will not auto-matically reflect in eBudde, please allow up to a week for payments to clear and post to eBudde. If you do not see your cleared payment after a week, please call our Finance Team at 972-349-2400.

Sales Report The SALES REPORT tab is your all in one overview of your troop’s Cookie Program. This tab reflects all transactions, your primary/initial order, Project Troop to Troop, additional orders, deposits, troop information, goals, council monies, and balance due.

Your troop proceeds are calculated on the sales report tab based o n the information entered on the settings tab. View how much your troop will receive per package by using the chart above packages received. All troops start with a troop proceeds rate of $0.57 cents. If your older girl troop decides to take case option, the no reward proceeds will reflect an additional $0.10 cents. If your troop reaches a PGA of 200+, the tiered rate will reflect an additional $0.05 cents per package sold.

Note: Only pay council the amount you owe council. If your troop overpays, it can take up to 14 weeks after the last date of the program to receive a refund. Also, GSNETX inputs payments received from troops, not the TCM.

Closing Out The Cookie Program Closing out your troop’s cookie program is an important step to ensure that the troop is in good standing with Girl Scouts of Northeast Texas and so your girls receive their hard earned rewards. This process should be done in the following order to avoid errors and incorrect payment amounts to GSNETX.

1. Allocate all cookies assigned to the troop to girls. Enter payments for all monies received by girls/families.

2. Make final payment to GSNETX.3. Submit final rewards order.4. File Outstanding Funds Report (online) for any girl/

family who has not paid for all of the cookies she has received.

5. Distribute rewards to girls & celebrate their success!

Troops should NEVER pay money to GSNETX for a girl’s balance that the troop has not received from the family themselves. If the troop pays GSNETX a girl’s balance due and the girl/family has not paid the troop, GSNETX does not have recourse to assist the troop in collecting those funds! Failure to file an OFR if the troop has an outstanding balance as of 3/6/18 could resort in all troop rewards being in jeopardy.
