GEE Fall Retest Materials Delivery

• Standard print materials will arrive September 21–23.

• Large-print and braille materials will arrive October 12.

• School Test Coordinators must submit requests for additional materials to the District Test Coordinator no later than the morning of October 13.

• Deadline for requesting additional materials from DRC is October 13.

Test Administrator System• September 21–October 23: School Test

Coordinators must enter and assign TA numbers to all test administrators via the Test Administrator System (part of the LEAPweb Reporting System).

• The Test Administrator System retrieves the TA names and numbers from the previous spring administration. Update these as needed.

• Test administrators must use their assigned number for all content-area tests they administer.

General Alerts● Assign TA numbers September 21–October 23. Verify that all used

documents have a TA number coded in field H2. Failure to code the TA number could result in a testing irregularity.

● Use security checklists to track materials. Electronic copies are available on LEAPweb. Be sure to indicate on the checklists which unused answer documents received Test Not Taken labels.

● School Test Coordinators should use the provided plastic bags for the return of approved home study program answer documents to the District Test Coordinator. The District Test Coordinator will affix bar-code labels with site code 998 after testing if the home study program students documents are not preidentified. School bar-code labels should not be affixed.

● Return district office documents (security checklist copies, documentation of testing irregularities, the School Test Coordinator Oath of Security and Confidentiality Statement) in the provided envelope. The District Test Coordinator should return the envelope for subsequent pickups.

• When packaging materials for return, stack secure materials according to security numbers. This will aid in verifying materials against security checklists.– Pickups 1 and 2: Used answer documents for

more than one content area may be boxed together but must be stacked by content area.

– Pickup 3: Test booklets must be boxed separately from unused answer documents, but more than one content area may be boxed together. Return large-print and braille test booklets in their original shipping boxes.

• Checklist includes a summary and a detailed list of secure materials assigned to a school.

• There is a blank page at the end of the checklist to record security numbers of additional materials.

• Keep checklists on file at school and district for one year. Do not return to DRC.

Preidentified Answer Documents

Students identified as needing to retest in a content area will receive a preidentified answer document.

• Test administrators must code education classification, exceptionalities, and accommodations on both preidentified and hand-coded answer documents.

• If a student took no part of a test and did not attend makeup testing, return the preidentifed answer document with all other unused answer documents.

• School Test Coordinators must affix Test Not Taken labels to unused answer documents with preidentified student information.

• Test administrators should review preprinted student information for accuracy and report errors to the School Test Coordinator.

• Do not mark on or discard any preidentified answer documents.

Bar-code Labels for Hand-coded Answer Documents

If a student does not receive a preidentified answer document or receives a single preidentified answer document but needs to test using two or three answer documents, the test administrator must affix a bar-code label to each of the student’s hand-coded answer documents.

The test administrator must enter student identification information on each hand-coded answer document according to directions in the Test Administration Manual. The fields must be coded exactly the same on all answer documents for a student.

The District Test Coordinator must apply bar-code labels (site code 998) to answer documents for approved home study program students who did not receive preidentified answer documents.

Answer documents that are to be scored should have a bar-code label applied here. Bar-code labels must never be affixed to preidentified answer documents that have student responses.

Approved Home Study Program Student Labels

• If approved home study program students do not receive preidentified answer documents, the test administrator must hand code the answer documents but must not affix labels from the school. The District Test Coordinator will affix bar-code labels to these answer documents after testing.

• The School Test Coordinator will place all answer documents for approved home study program students in the provided plastic bag and return them directly to the District Test Coordinator.

• The District Test Coordinator must remove these answer documents from the bag, affix bar-code labels with site code 998 to hand-coded answer documents, and return these answer documents to DRC in pickup 2.

• Page 13 in the Test Coordinators Manual contains directions for returning test materials for approved home study program students in pickup 2.

Test Not Taken Labels(affixed by School Test Coordinator)

After all makeup testing is complete, the School Test Coordinator must affix yellow Test Not Taken labels to unused preidentified or hand-coded answer documents. Each unused answer document with preprinted or hand-coded student information must be inspected for student responses before affixing the labels.On unused preidentified answer documents, the Test Not Taken labels should be applied over the preprinted student information. On unused hand-coded answer documents, the Test Not Taken label must be applied over the bar-code label.

Unused answer documents without preprinted or hand-coded student information do not need a label.The School Test Coordinator must indicate on the School Security Checklist which unused answer documents received Test Not Taken labels.

Unscorable Document Labels(affixed by the District Test Coordinator)

UNSCORABLE DOCUMENT LABEL (BLUE)

INSTRUCTION SHEET (PROVIDED TO DTC WITH SHEET OF UNSCORABLE DOCUMENT LABELS)

Unscorable document labels must be affixed to answer documents from which student answers were transferred for any of the following reasons: the answer document was soiled or damaged, a student recorded responses on another student’s answer document, a student has used anything other than a no. 2 pencil to record responses.

The original answer document must not be thrown away or destroyed, and the test administrator must contact the School Test Coordinator (STC) immediately if an answer document should be designated unscorable. The STC then must contact the District Test Coordinator (DTC) immediately.

The DTC will provide instructions for transferring student responses to a scorable answer document. The new scorable answer document must be returned by the school with all other scorable answer documents.

The DTC will affix a blue Unscorable Document label to the answer document and return it with the unused district overage answer documents in pickup 3. Documentation regarding the incident must be kept on file at the district office for one year.

Return Schedule for District Test Coordinators

Oct. 26 (M) Pickup 2 (UPS Next-day Air Return Service):All used and unused LAA 2 fall retest materials must be placed in provided white plastic bag on top of box 1 when packing GEE fall retest materials.

School Test Coordinators must return all used and unused LAA 2 fall retest materials to District Test Coordinators by end of day Friday, October 23, using the plastic bag provided within each test packet. Once the return of secure materials from each school is verified, plastic bags for all schools should be placed into the large white plastic bag provided in the LAA 2 retest packet. Complete the information on the label and place the white plastic bag on top in box 1 when packing GEE fall retest materials for return to DRC in pickup 2.
