    April Business Meeting Minutes

    Gene called the meeting to order at 2:05

    Attendees:The meeting was attended by Gene Walker,Chuck Hodson, Jackie Colwell, Don Woodard, Tom

    Ruttan and Gary Kelley.

    We received a membership renewal and RiversideRun registration.

    Treasurer Report:

    Tom Ruttan presented the April financial report.Don Woodard donated $15 for newsletterpostage, website advertising revenue $100 and

    $10 for member renewal.

    Old Business:

    Preparations for the 2013 Road Run continue.Registration is open. See the website for details.

    We need volunteers to fill these roles:

    Sweep truck and trailer (3-bike)

    Morning Donuts (we have a source identified)

    Coffee/Tea/Juice Friday and Saturday Morning

    Daily snacks / Cooler stocking, icing

    AMCA Presidents Newsletter

    Dear Members,

    The AMCA Chapter Presidents Meeting is at theWauseon National Meet, at 9 a.m. Saturday, July27 in the Fulton County Fairground administration

    building. There will be a brief seminar on the taxsituation along with the usual topics. Please markyour calendars, and if you attend, authorize

    someone from your Chapter to attend on your

    behalf. This is a very important meeting.

    With the weather looking better for riding and thePerkiomen Chapter National Meet at Oley justaround the corner, its time to jump on the old

    bike and go for a ride or two. After spending eight

    hours at the airport in Chicago in February tryingto get to Fremont, Nebraska, for the Omaha

    Chapter National Meet, I (like many of you)

    welcome the sunshine and warmer weather.The Omaha Chapter Meet was a good example ofthe vitality of the AMCA and its many Chapter

    volunteers. The call for volunteers went out toChapter members from Chapter President ScottSwaney several months before the meet. No one

    The Board agreed to publish a Club Roster for

    2013 with provisions to honor the requests ofthose members who have opted out and with

    severe penalties for misuse of the roster forsolicitation and other unauthorized mass emailingby anyone. The Board approved printing 2,500copies. Order forms will appear in the summer

    issue of the magazine.

    Bill discussed the status of the Virtual Library.Volunteer member Mark Hunnibell is working to

    reformat most of the documents currently in the

    library. This will provide easier access andstandardize the format for all future documents.To aid in this effort, the Board approved, at

    Marks request, up to $1,500 for consultation with

    Jon Radermacher, the Clubs website developer.

    The Board continued to discuss the ongoingproblem of logistics with the library. If this project

    is to progress beyond its current state, owners or

    custodians of old-bike literature will have toadvise the Board if they are willing to allow theirdocuments to be copied. Then the hard part

    begins. Who will do the copying and where? Will

    the owners give up possession for copyingpurposes? There are many hurdles to overcomebefore the Library can progress. If this is going to

    be a volunteer project, then volunteers must step

    forward. Although the Board has not conducted a

    cost estimate, the cost of hiring someone or afirm to do the work required may be prohibitive. I

    still think the Virtual Library is a worthy project. Itis outlined in the Clubs Purpose Statement. Itwould be a shame if this project fell by the

    wayside.

    The Board approved a new agreement withadvertising manager Paul Holdsworth and his

    company. Paul will now receive a straight

    commission of 12% on all advertising in themagazine. Paul was commended for his excellent

    work not only for increasing advertising but for

    the diversity of the ads, all of which relate to oldbikes. Pauls effort is one of the reasons the Club

    The Board discussed increasing the number of

    issues of the magazine from four to six. Bill Woodhad submitted a cost analysis indicating that if

    advertising remained the same for all six issues,the estimated increase in cost to the Club to

    publish six issues would be approximately$24,000. The Board had received other proposals

    for the format and number of issues of the

    magazine from three Club members. Onemember thought his proposal would increase Club

    membership. One proposal called for phasing outthe current magazine for a black-and-white

    stapled newsletter with no advertising. Anotheralso called for phasing out the current magazine

    for a black-and-white magazine/newsletter and

    one year-end color magazine. A final proposal

    which had been submitted several times over theyears by this member was to adopt the Britishmodel of a small black-and-white monthly

    magazine.

    The Board discussed these proposals andconcluded that, based on the Club Membership

    Survey conducted two years ago, the Membership

    viewed the magazine as the best benefit of Clubmembership. The current magazine has improvedsignificantly over the past several years both in

    size and editorial content. The Board saw noreason to change the format and concluded thatto adopt any of the alternative formats listed

    above would result in a loss of membership ratherthan gains, as suggested by some. The Boardapproved keeping the current format of themagazine and increasing the number of issues to

    six when appropriate. Bill Wood did advise theBoard that if the magazine went to six issues, hecould no longer continue in the position of

    Operations Manager because of the editorial

    demands of going to six issues.

    Director (ED) for the Club. There was a discussionabout the current work load for the President and

    Board members as volunteers and the OperationsManager as a paid contractual position. I

    The Board thought those members should receive

    recognition for their contributions. The Boardapproved recognition of members in this category

    in the Club magazine from time to time at thediscretion of the editor. This procedure will keeprecognition of Honorary Membership at a veryhigh level while recognizing others who have

    made contributions to the Club.

    The Board reviewed the procedure for issuinginsurance certificates for Club and Chapter

    activities. To avoid mistakenly issuing insurance

    certificates for non-AMCA related events, theBoard authorized insurance certificates to beissued without review only to Chapters authorized

    by the Board to conduct National Meets and Road

    Runs. All other applications for certificates will bereviewed by the Operations Manager before au-

    thorization will be given. If your Chapter needs an

    insurance certificate for a local event, just emailBill Wood at [email protected] and

    state the purpose of the application. Pleaseremember your Chapter does not have to request

    a certificate to have insurance coverage. Anapplication is only necessary when a venue, such

    as a fairgrounds or municipality, requires theChapter to provide an insurance certificate.

    Matt Olsen discussed the Youth Program and

    Brittney Olsens plans for the year. Other projects

    are in the discussion stages and will be developedand finalized this year.

    There are members who work behind the sceneswho dont often get recognition for very important

    work they do as volunteers for the Membership.

    Two of these are Nancy Davis and Gary Palombia.Nancy is the Clubs judging pre-registrationperson, who compiles all the pre-registered bikes

    and sends this information on to the Chief Judge

    and the Chapter Deputy Judge for each NationalMeet. Gary is the Moderator for the Club Forum.

    He watches the posts on the Forum and helps

    members with technical problems. Both Nancyand Gary are volunteers who have devoted their
