Track progress of resident physicians throughout training to ensure they achieve competency and that achievement is documented appropriately using the One45 program mgmt. system, includes tracking, procedure cert, advancement criteria tracking, monthly evaluation distribution and maintaining confidentiality.

Assist advisors with setting up meetings with residents and keeping up with advisor responsibilities. Update learning objects as indicated. Monitor duty hours.

Using the One45 resident management system, send out monthly evaluations, produces reports on faculty, tracks resident performance, and resident progress. Works with program director to ensure that all evaluations are sent out to the appropriate attending physicians each month and are completed in a timely manner

Prepare letters of recommendation for current residents, processes license applications and residency training permits for residents, verifies training for past graduates and maintains past records database. Prepare standard verification forms for all credentialing requests and licensing agencies, assists with billing for services.

Ensure prompt and accurate information is sent to agencies for all current and past resident physicians. Prepare fellowship letters of recommendation for residents and sends to ERAS as requested by resident. Tracks resident compliance with completing training that is required for their employment at VA, MCG, and MCGHI.

Recruitment of 30 resident physicians each year (180 interviews per year). All aspects of recruitment including running ERAS software, create program information handouts, screening applicants, communicating with applicants on status of their application, set up interviews and telephone interviews, compile data, interview folders, securing faculty interviewers for each interview date, coordinate interview schedule. Coordinating recruitment day activities to include: coordinating interviews, food and activities, preparing itineraries, securing interview locations. Coordinate with associate program director and faculty members to gather data and prepare PowerPoint for ranking meetings.

Prepare for incoming residents to include verifying candidate eligibility for program according to MCG policies and procedures and RRC requirements, gathering and organizing information and documentation required by Graduate Medical Education Office to and from incoming residents, coordinating credentialing with MCG and VA personnel. Prepare for outgoing residents to include gathering and organizing all necessary documentation that residents require to move forward in training. Set up end of year evaluations with Program Director and input evaluation information into One45 system.

Overseeing day to day operations of residency training program by maintaining residency database and hard copy files in an organized manner to include resident portfolios, maintaining up to date knowledge of ACGME policies and procedures with complete and detailed understanding of all common and specialty program requirements and ensuring resident compliance with policies and procedures. Attend and take minutes at RPEC and Housestaff Admin meetings.

Oversee day to day operations of residency training program to include assigning and monitoring of staff workload, maintaining Program Director’s calendar, travel, leave, preparing documentation for meetings.

Inputting and updating, as necessary, resident rotation/call schedules, sending updates to paging and other as needed.

Complete and submit RAF’s and check requests, as needed, for billing purposes. Assist Business Manager with annual budgeting process and monitoring the program spending

Plan activities such as graduation dinner and ceremony, resident social functions, retreats, leadership training, and social events held for retention and recruitment
