Introduction

Retailing industry has been one of the worst hit during recession, with margins getting

squeezed and customers becoming more demanding. Due to growth of online retailers and

particularly at the expense of brick and mortar retail stores, it has become imperative for

stores to provide exceptional customer service as a “differentiator”.

Workforce Management has consistently proven to provide complete visibility over one of

the most significant cost centers in retail industry: labor. Thus Labor Optimization and

Workforce Management have become the keys to good customer service and long-term

success.

Workforce Management combines comprehensive associate information and organization

wide standards, with an established optimization process, so that scheduling consistency,

objectivity and accuracy can be achieved. The result of implementing it is: Right people in the

right place at the right time leading to reduction of expenses with effective labor processes -

- and higher level of service, leading to increase in sales.

Workforce Management systems can be used for retailers such as grocery chains,

department stores, discount retailers, specialty retail chains and even distribution centers.

Integration of store workforce with corporate payroll and HR functions for analysis in a

Workforce Management system, allows the organization to quickly analyze sales trends,

forecast its future needs and achieve agility in its response to market changes.

Time and Attendance (T & A) systems have been around a long

time and have been in the past solely used for capturing "clock in

and clock out" of associates. However with time, the complexity

and functionality supported by these systems has increased.

Next generation Time and Attendance systems help in improving

productivity, regulatory compliance and utilization improvement.

These T & A systems help achieve this by supporting end-to-endbusiness processes, starting with workforce scheduling and

ending with payment to associates so that retailers can realize

even greater benefits from Workforce management.

Time and Attendancethe day by the associate. Once the actual time is captured, it is

evaluated against a set of pre-defined business rules, to determine

the appropriate amount of pay or billing rates.

These rules are then used to carry out rate administration,

determine shift differentials, overtime and other pay situations. It is

also used to evaluate compliance to regulations for minors, shift

timings, lunch and meal break timings, state labor laws etc

Leave management interfaces with scheduling to provideinformation about the availability of resources of various skill sets

needed for various kinds of jobs. In addition, it allows associates to

apply various types of leave, including vacation, sick time, leave

under special circumstances (like Jury duty, Armed forces leave,

family & medical leave) and paid time off.

Many enterprises use time and attendance software to perform

detailed labor analysis. Reports show time and cost by a number

of attributes such as job, activity and project. Key metrics whichhelp in determining associate cost are Associate productivity,

Utilization %, Throughput etc. Time and attendance solutions can

also break out the costs by regular time and over time and help in

completing Activity Based Costing for associates in the stores.

Time Capture

Time Evaluation

Scheduling is a very industry specific function. In the retail

industry, first a demand forecast is made. This forecast is then

used to determine the resource requirements for a pre-defined

period. Based on the requirements, as well as the availability and

preference of associates, the system can generate work

schedules, which are then used to plan and run store operations.

Time capture focuses on determining when the associates have

worked. Based on the job being done by an associate, different

methods are used to capture time. Some of the most common

approaches used include time sheets, time cards, swipe cards, IVR,

proximity cards, electronic badge readers and time clocks.

Retailers are also introducing biometric time clocks, employee

portal based attendance capture, and portable devices such as

barcode scanners to automate and optimize the process.

The level of detail captured varies based on the business

requirements of the retailer. Information captured varies from

tracking actual work hours for each associate to detailed

information on each work task or job that is performed during

Benefits from implementing

Time and Attendance

SolutionsThe prime motivation for investing in a Time and Attendance

system is the requirement to reduce both labor and

administrative costs.

Time & Attendance system forms the core of Workforce

Management by helping achieve accurate tracking of associates

against planned scheduling and assigned activities, and by ensuring

that payroll is accurately measured and paid to both permanentand contract associates.

Due to intense competition companies are striving to achieve

ever higher levels of productivity and operational efficiency whilst

reducing costs, just to stay in the market. Time and Attendance

systems in conjunction with Workforce Management solutions

can help organizations achieve improvement in the effectiveness

of their workforce to provide an exceptional in-store customer

experience.

Time and Attendance solutions in conjunction with

Workforce Management solutions can lead to associate

optimization and lower overheads at the stores by providing

reporting of workforce related parameters

Payroll cycle timing issues, including missed timecards and late

pay adjustments, can be substantially reduced, minimizing

retroactive pay processing.

Companies can increase the accuracy of payroll reporting and

protect it from potential payroll fraud by reducing time

inflation and proxy punching. They can also ensure regulatory

compliance with proof of attendance.

Labor analytics can be used to track and evaluate the

performance and work activities of associates and thus

understand productivity issues, identify associate problemsand manage labor costs.

Due to transparency of operations it also helps the retail

organization to meet regulatory compliances and achieve

associate satisfaction.

Integrating legacy systems can reduce software maintenance

and interface costs by enabling retailers to store, track and

organize associate time data.

Time and attendance solutions can reduce labor costs in

enterprises that employ a large percentage of hourly / part-

time workers through better scheduling and real -time

management of resources.
