1. Introduction2012/13 is the first academic year for which the University’s new timetabling system (Scientia Enterprise) can produce a full range of utilisation report and analysis on the University’s teaching space, as well as a selection of non‐teaching spaces, thereby generating a range of data analysis to contribute to the University’s estate‐based strategies. The intention is for this to be the first of a succession of ‘end‐of‐year’ summary reports, enabling the University to compare year‐on‐year statistics and identify emerging trends. Although the University has always produced utilisation statistics, and mapped year‐on year trends, these were compiled against a smaller pool of rooms and were restricted to physical surveys capturing data from a ‘snapshot’ point in time. New systems enable the generation of statistics relating to ‘planned’ usage (see section 3) which enables analysis across a larger pool of rooms and also creates the opportunity to generate comparison against utilisation returns from physically surveyed space. There is an expectation that data quality in relation to locally‐managed specialist space will improve during 13/14, therefore 12/13 figures presented in this category carry this caveat, but it is important that this category of space is included and analysed on an on‐going basis. As this is the first such report, there is an expectation that it will evolve and adapt to strategies and trends, although care will be taken to ensure key reference data and utilisation categories remain consistent to enable effective year‐on‐year comparison.

3. UtilisationcriteriaConfirmation of criteria used to identify and calculate levels of utilisation.
3.1DatarangeThe utilisation data is calculated using the following parameters:
Mon –Tues & Thu‐Fri, 09.00‐18.00
Weds 09.00‐13.00
Mon – Fri, 09:00‐18:00 for Student Study Space
Mon –Fri, 09:00‐17:00 for Meeting Space
Full 11 week teaching semester is included unless otherwise stated
Utilisation is for ‘planned’ utilisation; i.e. all data drawn from the central timetabling/booking system unless otherwise stated
Planned vs Actual data will relate to the particular week during which a physical survey was undertaken
3.2CalculationmethodThe represented figures are calculated using the following methodology:
• Frequency: The number of hours, within the designated timeframe, that a room is booked
• Occupancy: The number of seats occupied, in relation to the room’s capacity, during each booked hour
• Utilisation: A calculation of Frequency and Occupancy (Freq x Occ/100) to determine overall
utilisation

• Red, Amber, Green (RAG): is an SMG agreed threshold for levels of utilisation, these are: High: 70–100% for Freq/Occ, 50 – 100% for Util Medium: 50-69.99% for Freq/Occ, 25.49.99% for Util Low: 0-49.99% for Freq/Occ, 0-24.99% for Util
4. Generalteachingspace‘General Teaching’ is the generic category used to describe all standard teaching space that comprises a variety of table and/or chairs layout. Lecture theatres are also included in this category.

5. Specialist/otherteachingspaceThis category contains all types of space used for teaching that are not labelled as ‘General Teaching’. This will include all types of laboratory and studio space and all other spaces that do not conform to a standard layout; have specialist use; and would normally be managed at local level. It should be noted that, during this first full academic year of timetabling in the new system, some Schools have struggled to find the most effective method of recording accurate specialist space usage. It is felt this has contributed to some very low recorded usage. There is an expectation that this data will continue to improve in future academic years.

6. StudentstudyspaceThe 12/13 booking database contained 17 spaces designated as student ‘Group Study’ spaces. Although students can make study space bookings in a range of centrally‐managed teaching spaces (bookings which are included in the analysis for central teaching space) these 17 spaces are dedicated to this purpose. As these spaces do not conform to the constraints of the teaching week; Wednesday pm is included in the analysis represented here, thereby creating an analysis period of: Mon‐ Fri, 09:00‐18:00

7. CentrallymanagedmeetingspaceThere are a number of centrally bookable meeting spaces in the University, although those situated in Old College (Raeburn, Lee etc) are not yet recorded within central timetabling. Analysis contained here focuses on the nine meeting spaces that are recorded. As meeting space does not conform to teaching week constraints, this analysis includes Wednesday pm. As meeting space is generally used in conjunction with the business day, analysis is constrained to cover the period 09:00‐17:00

9. PlannedvsActualutilisationThe University periodically (during every academic year) conduct a physical survey of teaching space to check frequency of use and occupancy levels. This approach generates usage from an ‘actual’ perspective, rather than the more commonly recorded ‘planned’ perspective. Due to the resource intensive nature of this exercise, these statistics are generated across a single teaching week, rather than the full 11 week teaching semester used to calculate ‘planned’ usage. For the purposes of accurate comparison, ‘planned’ data is generated for the equivalent single week.
