Having selected the client to whom the scanned documents should be attached, click on the SCAN icon next to the Word button.The system will automatically locate and log-on to your scanner, which can be a basic flat-bed or one with an automatic document feed.

Having placed the document(s) in the scanner, you now click on the SCAN icon. You can set-up your own filing system with any number offolders named by you to suit your business. The Scan Job Detail is there to help you locate documents, even if they are wrongly-filed.


Having scanned the document, you can click on the Disk icon to save or the Bin icon to scrap. The Scan Job Detail automatically contains Date, Client Name and Tags plus other details such as Provider and Subject (which are remembered so you never type them twice) and Description.


The “Drop File Here” area allows you to drag documents previously scanned into the client’s Scanned Documents file where you can index them individually. These can be in any format such as .pdf, bitmaps, .jpgs, Word docs, spreadsheets or even pictures, audio or video files.


The simplest way to view a document is to go to the appropriate client file and click on the Scanned Documents tab (next to Correspondence).Now double click on the document to see it displayed on the screen.


Here we see a document which was recently scanned re-displayed in Adobe using the reader provided free with our system.A single scanned document could include many pages. These can be magnified and, of course, can be printed if required.


The alternative is to click on the ViewDoc icon (indicated above) to allow a total search of all documents scanned.You could, for instance, look for all documents from Norwich Union, irrespective of the client file they were placed in.


Simply complete the Search parameters. If you de-select the client name (see currently ticked above) you will search ALL files.This can be a useful way of locating a document that may have been wrongly-filed (it happens to all of us).
