THE POLICY TRACKER
WHAT IS THE POLICY TRACKER?
• The Policy Tracker is a custom built system that allows us to monitor the development of new policies within Defra.
• The Tracker is an interactive list on a cloud based SharePoint 2013 platform. This enables agencies that do not have access to the internal Defra network to access the site online.
• Custom forms ensure data capture is user friendly, and even automated where possible, with structured entry fields ensuring data is consistent.
• A home page allows greater communication with users.
• There is also a page dedicated to training and tutorials, to help ensure users are equipped with the skills they need to use the system.

Home
This site greets all users when they log on.
The Regulatory Project Planner
This site is under development to aid users
in planning future proposals.
The Policy Tracker
This site allows users access to measures
within the Tracker.
Policy Quick Search
This allows users to quickly search for an
entry using the ‘Unique ID’. This view also
returns the associated documentation to
the entry found.
The Policy Tracker site consists of multiple sites, allowing users with
different levels of access to complete different actions. The sites
currently available are:
Tutorials & Training
Tutorials will be available to allow users to
refresh their training when necessary.
Archive Reporting
Allows admin users to report on historic data.
Admin Initiative Updating
Allows admin users to update information
required for certain initiatives.
Initiative Reporting
Allows admin users to produce tailored reports
required for various initiatives.
Missing Data
Allows admin users to see what information is
missing from entries dependant on their
initiatives.
HOME
When users log on to the system they are greeted by a homepage.
The homepage consists of:
A short paragraph
introducing the system;
Announcements; Useful Dates
(Calendar); Useful Links; and A Newsfeed.
‘My Entries’ automatically filters the tracker to show only
the entries the logged on user is the Key Contact for.
‘All Measures’ allows users to see all entries on captured on the Policy Tracker
Create a New Entry opens a form to allow users to add a new entry
ADDING OR UPDATING AN ENTRY: THE FORMS
The two initial pages capture generic data
required for all measures.
The next form captures the data required for the
initiative the measure falls under.
INITIATIVE REPORTING
The data captured within
the Tracker is used to
produce many reports.
To view a report, users
simply select one of the
options.
Once the report has
been viewed, the data
can then be exported
directly to Excel.
INTERNAL REPORTING
The information held
within the Tracker is
also used to produce
internal reports, such
as Regulatory Planning
and Performance
reports for Directors.
These reports can help
map regulatory flow,
outline director
portfolios, help foresee
workloads etc.

DEFRA-LEX
WHAT IS DEFRA-LEX
Defra-Lex is a web-based portal of Defra’s entire regulatory stock and associated documentation, including consultations and impact assessments.
Whilst legislation.gov hosts all legislation, Defra-Lex enables users to view and search legislation relating purely to Defra, thus aiding transparency and completely opening up Defra’s regulatory landscape to the public.
DEFRA-LEX HOMEPAGE
Users with edit access to Defra-Lex will see Defra-Lex as an
additional tab on the publishing.legislation.gse.gov.uk site.
This homepage allows users to view information such as:
Lists of Defra legislation, such as:
In Force List
EU List,
Full List
Repealed List
Legislation awaiting DefraLex Information
A numeric Overview of legislation:
In force
Originating from EU
Made during the previous 6 months
Repealed in whole during the previous 6 months
Repealed in part during the previous 6 months
The public view is still under development but the
homepage should display similar information.
DEFRA-LEX ON LEGISLATION.GOV.UK
Once Defra-Lex is opened up to the general public, users will
have the option to filter and view Defra legislation on
legislation.gov.uk.
Users will be able to filter lists of legislation by:
Year
Type
Taxonomy Level 1
Taxonomy Level 2
Legislative Function
Source
Regulator/Delivery Body
Status
VIEWING LEGISLATION
When a user has found a
piece of legislation they’d
like to view, they simply click
on the link. This will then
redirect the user to
legislation.gov and open up
the legislation in a new tab.
For example, when we click
on a link, we’re able to view
not only the legislation itself,
but also the Explanatory
Memorandum, Impact
Assessment and any ‘More
Resources’ that have been
captured.
