The Telephone: Logging In and Logging Out

• Logging in is a way to track attendance as well as track call activity, inbound as well as outbound. When agent 51234 logs in at 7:00 am that login is accepted by the phone and will also appear in the call report software. When agent 51234 logs out at 4:00 pm, that time is also recorded.

Station and Agent

• Employees have an agent (login ID) so they can log into their phones and a station (extension), so they can make and receive internal and external calls. The extension is five digits 37000 and it is at the end of a phone number, 622-483-7000. The agent in our lesson will also be five digits.

Change Station and Agent

• Charley Chaplin just resigned from ABC Corporation and Ted Nugent was just hired to replace him. We will change extension 37000 and agent 27000. The next screen shows the station and agent information before the change. The dial plan for this company is five digits dialing not four. Notice the number ends with 7000. The 3 in 483 is part of the five digit extension.

Tenant Groups and saving changes.

• When a company has employees in various buildings near one another or down the street it needs to number the buildings in the phone switch. Those numbers are called Tenant Groups (TN) and are basically numbered in order like the buildings. Number 1, 2, 9, and so on. In the upper right hand corner of the Station screen shot example is a 9 for TN 9. If the Police or Fire Departments were dispatched they would know the exact address of the person who called.

Troubleshooting

• If agent 51234 can’t log in, what’s wrong? Run a list agent for 51234. If agent 54321 is logged in as agent 51234, the extension will appear for the agent 54321. This can be a little confusing. The Agent and Station are associated with each other. If you look at the Agent screen shot example, the name line has the extension in between the name for the agent it’s associated with.

Ports

• All phones must be connected to a port to establish dial tone. In Station screen shot example the port has an X. The port of X is temporary until the actual port is added. An X port means the phone is not live. An example of a live port would look like 87Z0912. Meaning, port network 87 in building 87, Z for the carrier (switch), 9 for the slot the circuit board is in, for carrier Z, and the 12 is the port number for that circuit board.
