In the following lab instructions, you are going to add new field types and new index fields. You are going to create more index zones. Because you will be setting areas on the sample page for Kofax Capture to use for capturing data (zones), you will make a change on the form type to register all pages. You are going to use bar codes as a means of document separation using a custom profile.

Lab 7-1 Lab – Adding New Field Types

1. Open the Kofax Capture Administration module.

2. Click on the “Field Types” tab.

3. Right mouse click in the white area of the Definitions panel and select “New Field Type” from the Context menu.

4. For a new Field Type, enter the following values

a. Name: “State”

b. Description: “Characters for State field”

c. Dictionary: leave blank

d. Data tape: “CHAR”

e. Number of Characters: “2”

5. On the “Values” tab, enter the following value: “CA”. Click the [Add] button to add the value. Check “Force Match” and “Case Sensitive”. This defines the allowable values in this field.

6. We can manually enter in more values to add to our list. Better yet, let’s import values in from an external file. While in the Values tab, click on the [Import] button. At the prompt, browse out to and select the following file: “C:\Sample\state_values.txt” and click [Open]. When prompted, make sure the “Replace existing list values” radio button is selected, and then click [OK]. You will see the Value List has been populated with the values contained in the state_values.txt file.

7. Select [Ok] to save your Field Type setup.

8. Now, you’re going to create new index fields in your document class using the new field types just created. From the Batch tab, highlight and expand the “Product Orders” batch class.

9. Highlight the “Catalog Orders” document class. Right mouse click and select “Properties”.

10. On the “General” tab, click on [New Index Field]. “Name 0” will be highlighted but will be replaced. Enter three new fields with the following information, in each case, leaving Display Label blank and leaving the defaults for the other fields (Default, Required, Verify, Hidden, Sticky, Total) as-is (remember to click [New Index Field] for each new field):

11. Click on [OK] to close the window. The Text Export Connector Setup screen will automatically open allowing you to add the new index fields to the export connector.

12. Click on the [Add] button.

13. Select “Document Index Fields” and then “Address” from the drop-down and fly-out menus. Click [Add], and do the same for: “State” and “Zip”.

14. On the “Index Storage” tab, change the Storage folder to: “C:\Export\Lab07” and make sure the File name is “data.txt”.

15. On the “Advanced” tab, change the “Image output” directory to “C:\Export\Lab07\Documents”. Save your images as “TIFF – CCITT Group 4.”

16. Change the “Name” of the Export Connector to “Data Capture” (at the top of the window).

17. Leave the “Default Storage” tab information as-is. Click on [OK] to close the Export Connector setup window.

18. Highlight and click on the Northwest Products form type. Right mouse click and select “Properties”.

19. Uncheck the “Fixed number of pages” check box.

20. Click [OK].

Lab 7-2 Lab – Index Zones

1. From the Batch tab, expand the “Product Orders” batch class, the “Catalog Orders” document class and the “Northwest” form type. Open the properties for the “Northwest” form type. Select the “Image” tab and move the “Automatic Index Field Recognition” slider to 75%. Click on [OK] to close the window.

2. For the “Northwest” form type, select “Sample page1.

3. Open the View panel by clicking on the View tab, and then click on the Zoom icon, setting the zoom to 100%.

4. Locate and zoom into the area on the sample page that contains the Customer Name “Bill Slater”, the Street Address, the State and Zip code.

5. Click on the Insert tab, and then click on the “Index Zone” icon. The mouse pointer changes to cross hairs.

6. Draw a box around the street address only (“365 Planter Street”). Be sure to extend the zone past the address so that it extends out to the right to allow for longer addresses. Once the mouse button is released the Index Zone Properties page is displayed.

7. Select “Address” from the dropdown list for the Associated Field.

8. Select “Auto Recognition” for a recognition engine to read the data from the image.

9. Select “Kofax High Performance OCR Zonal” from the dropdown list for Recognition Profile.

10. Select [OK]. The zone bounding box turns green because it uses a recognition engine and profile to automatically read and extract the data within the zone.

11. Draw another box around the city and state and select “State” for the Associated field. Check the “Auto Recognition” checkbox and again select “Kofax High Performance OCR Zonal” from the dropdown list for Recognition Profile. When a batch using this batch class is processed through Recognition Server, Kofax Capture will try to pull-out a value from the text it reads that matches the value list you set up for the field type. Click [OK].

12. Draw another box around the zip code. Make your box long enough to allow for Zip plus four. Select “Zip” for the Associated field. Select “Auto Recognition” and “Kofax High Performance OCR Zonal” for the profile. Click [OK].

13. Now, let’s also make the Customer Name zone an automated zone so the Validation operator won’t have to manually enter the customer name again. Click on the name field (the blue line around “Bill Slater”). When focus is on the zone, right mouse click and choose “Properties”. Select “Auto Recognition” and “Kofax High Performance OCR Zonal” for the profile. Click [OK]. Now all the zones will be read by a recognition engine and will automatically populate the fields (utilizing the Value List in the case of the State field.)

14. From the View tab, click on the icon for “Whole Page.” The entire sample page will be displayed with the four zones around the customer information that will be processed using an optical recognition engine. (Recall also that our Customer Number is still being read from the bar code).

Lab 7-3 Lab – Bar Code Separation and Recognition

1. From the Batch tab, select the “Product Orders” batch class.

2. Right mouse click and select “Properties”.

3. On the “Separation and Form Identification” tab, click on the [Custom] radio button and select “Kofax Bar Code Separators” from the drop down list.

4. Click [Edit Profile]. You will be presented with the “Custom Separation and Form Identification Profiles” window.

5. Be certain that the [Bar Code] radio button is selected and make sure “Kofax 3 of 9 Bar Code” is selected in the dropdown.

6. Uncheck “Found on stand-alone separator sheet” since we will be using the bar code right on the form. Don’t make any other changes to the profile. Click [Save As].

7. Because we have modified a standard Kofax recognition profile, we must save it with a different name. Name your new profile “Bar Code on Form”. Click [OK] to save the profile.

8. Click [Close] to close the “Custom Separation” window. Click [OK] to close the “Batch Class Properties” window.

Lab 7-4 Lab – Verification and Recognition

STOP READ: Please make sure you read all the steps in this lab as there is a planned error. The complete steps will expose the error and show you how to correct it.

1. Still on the “Batch Class” tab, highlight the “Product Orders” batch class and select “Properties”.

2. In the “Queues” tab, select “Recognition Server” and “Verification” and add them to the “Selected Queues” by clicking [Add]. You’ll notice the queues are added in their proper sequence within the workflow.

3. Make sure the Verification module is highlighted and click the [Properties] button. Notice that “Blind data entry” is selected by default. This will force the Verification operator to manually enter all field values from the image, enhancing the probability of higher accuracy of field values. Click [OK] to close the “Verification Properties” window.

4. Click [OK] to close the “Batch Class Properties” window.

5. Publish your batch class. You will see no warnings and one error: “The Verification queue has been selected, however, no index fields have verify set.” The batch class cannot be published with errors. To rectify this error, you’ll need to set at least one field to be verified.

6. Close the Publish window.

7. Expand the “Product Orders” batch class, highlight the “Catalog Orders” document class, and select “Properties.”

8. In the “General” tab, highlight “Customer Name” and set (toggle) Verify to “True”. Click [OK] to close this window.

9. Now, publish your batch class again. This time you should get no errors and no warnings and a message indicating your batch class was successfully published.

10. Close the Publish window and the Administration module.

Lab 7-5 Lab – Process the Batch

1. From the Kofax Capture program group, open the Scan module.

2. On the “Create Batch” screen, make sure “Product Orders” batch class is selected.

3. Change the “Name” to: “Lab 7 Batch”. Click on [OK].

4. Notice your batch has been added to the “Batch Contents” panel. Click on the [Scan All] icon from the Home tab and add “Order 1.tif” through “Order 5.tif” to the “Files to import” list. Click [Open]. Notice separation has occurred based on the bar code on the pages.

5. Close the batch. Because there are no other batches waiting in the queue, you will be presented with the “Create Batch” window. Click on [Cancel]. Close the Scan queue.

6. From the Kofax Capture program group, open the “Recognition Server” queue.

7. Because you have a batch waiting for processing, Recognition Server will automatically process the batch. Notice the “Current Batch Progress” and “Current Document Information” is displayed while the batch is being processed. Close the window when processing is complete.

8. From the Kofax Capture program group, open the “Validation” queue.

9. Select “Lab 7 Batch” from the “Open Batch” screen and click [OK].

10. The first document is displayed along with all the index fields. The first field is highlighted for validation. If you need to , resize the view window by moving it to the right to allow for the data in the fields to be fully displayed in the field windows.

11. Using your [Tab] key or [Enter] key, move through the fields accepting the data or manually correcting data that might be incorrect. (You’ll learn how to increase the accuracy of your extraction operations later in the course.) Notice that the area of the image as defined by the zone being verified is magnified in the View Panel. Also notice that the drop down for the State field lists only those acceptable values you set when you defined your index fields.

12. Validate all documents in this same manner. Remember that a green box around the zone indicates the minimum confidence level was met when recognition occurred. A red box means the confidence level was below the threshold (which includes manual input fields as well). You determined the confidence threshold when you set the form type properties previously.

13. A message box will be presented informing you that there are no waiting batches. Click [OK], then close the Validation queue.

14. From the Kofax Capture program group, open the “Verification” queue. (Remember, Verification offers a second look at the image quality and the data.)

15. Select “Lab 7 Batch” from the “Open Batch” screen and click [OK].

16. The first document is displayed along with the index field to be verified. (Remember you set the fields to be verified when you marked Verify “True” when setting up your index fields.) The field value is blank – empty – null, because “Blind Data Entry” is checked on the “Verification Queue” properties for this batch class. Enter the data from the image and press [Tab]. You will be prompted to save the data before closing the document. Click [Yes] and the next document is displayed automatically. Enter data for the next document in the same manner.

17. You can change the behavior of this module (as we did for the Validation module in the previous lab) by left mouse clicking on the Kofax Button (upper left-hand corner of the window). Select “Options” from the menu bar. On the “General” tab, check “Enter key moves to next field”. Uncheck “Prompt before closing document”. Click on [OK]. These changes will speed-up data verification.

18. Verify all documents in this same manner as above and notice the modified behavior of the Verification queue. Select the correct data if a discrepancy exists between the Validation and Verification data.

19. When all documents have been processed, respond to the “No Waiting Batches” message that Kofax Capture provides and close the Verification queue.

20. From the Kofax Capture program group, open the Export module.

21. Watch as your batch is exported. Close the window when export is complete.

22. Open Windows Explorer and browse to “C:\Export\Lab07”. Look in the “Documents” folder to view your images and open data.txt to view your export data.

23. Close all of the applications used for viewing and close Windows Explorer.
