SEG Student Chapter Handbook

The mission of the Society is to promote the science of geophysics and the education of applied geophysicists. SEG, founded in 1930, fosters the expert and ethical practice of geophysics in the exploration and development of natural resources, in characterizing the near surface, and in mitigating earth hazards. The Society, which has more than 34,000 members in 138 countries, fulfills its mission through its publications, conferences, forums, Web sites, and educational opportunities.

This handbook is a guide to the operation of student chapters of The Society of Exploration Geophysicists (SEG).

SEG strives to offer a strong student program for both graduate and undergraduate students. Your student chapter’s affiliation with SEG provides a means of contact with the geoscience profession both inside and outside of academia. SEG offers two resources to facilitate this contact through the Committee on University and Student Programs and the Chapter Partner Program. Active participation in the Student Chapter provides the student an opportunity to develop leadership and management skills. A sense of professionalism is developed by actively running an organization and networking with professionals.

Committee on University and Student Programs

The primary objectives of the committee are to:

1. Encourage geophysical student groups to seek affiliation, provide liaison with Student Chapters already affiliated, promote active participation in SEG activities, encourage students to apply for Student Membership in the Society, and to circulate pertinent information to Student Chapters;

2. Encourage and assist geophysical students and faculty members in obtaining industry experience.

3. Provide the academic community with teaching aids which evidence current technology via DVD’s and CD-ROM’s, web pages and various publications.

4. Disseminate information on earth sciences and geophysics among college students.

5. Acquaint the academic community with current and future industry needs.

6. Support university geophysical students in their efforts to seek employment.

7. Coordinate with affiliated societies in all student-related activities and promote cooperation between relevant society committees.

Sponsoring Partnerships

The nearest local SEG affiliated chapter should be invited to sponsor the Student Chapter and, if it accepts, it should appoint a person to be the Local Society Sponsor for your Student Chapter. The Local Society Sponsor will serve as the liaison between the Society and the Student Chapter. The Chapter may consider asking the sponsoring society’s liaison to serve on the Student Chapter’s Executive Committee in a non-voting position.

Students are encouraged to attend the meetings of the Sponsoring Chapter. In addition to their monthly meetings, they may provide you with speakers and/or field trip leaders. Local chapters often sponsor short courses, seminars or field trips which you may participate in, sometimes for greatly reduced rates. The local society may also provide an excellent forum for your Chapter’s members. Sponsor a one-day seminar of thesis research for the society or put together poster sessions for their monthly meetings.

Members of the Sponsoring Chapter may be interested in attending your technical programs or field trips.

There may be some universities where the nearest SEG Affiliated Chapter is too far away to provide support, in which case it is possible for the Student Chapter to seek support through a local company, individual, or another student chapter.

Sister Chapter

The purpose of forming sister chapters is to share knowledge and network with peers around the globe. Student chapters have different focuses depending on their current needs. For example, a new student chapter might be interested in Chapter Development*, while a well established student chapter might be more interested in Professional Development* and Educational Programs*. Another student chapter might have a specific financial need (say to collect money for the President to attend the Annual Meeting) and are focusing on Chapter Enterprises*. An illustration, SEG Student Chapter NGRI in India offers student member exceptional professional development and educational programs. The University of Oklahoma is a strong and well established chapter, however they would like to hold more educational programs. It would be perfect to pair these two chapters. Each could share with the other how they organize their activities *Description of above terms Chapter Development – increasing membership and involvement. Professional Development/Educational Programs – engaging speakers to make presentations on topics for professional growth. Chapter Enterprises – obtaining resources to fund events or providing resources to the chapter.

In order to form your student chapter those making the petition are required to submit a Student Chapter Constitution. This document will be approved by the SEG Executive Committee and serves as your governing document. Your chapter must resubmit any changes to this document to the current SEG Executive Committee.

SEG general scholarships are awarded to deserving students in exploration geophysics and other related fields, sponsored scholarships are also available to students who meet specific criteria in addition to the general eligibility requirements of SEG general scholarships. An applicant must meet all general eligibility requirements in order to be considered for either a sponsored or general SEG scholarship. General eligibility requirements may be found on the scholarship application form and should be reviewed closely by each applicant before submitting his or her application. SEG scholarships range from $500 to $14,000 with an average award of $1,000 per academic year.

Student Chapter Programs: SEG/Chevron Student Leadership Symposium This program is held in conjunction with SEG’s International Exposition and Annual Meeting, is an opportunity for the leaders of SEG Student Chapters to strengthen the geophysical leadership of the future, encourage the growth of the SEG Student Chapters, and raise the profile of geophysics on campuses around the world. Travel grants will be awarded to Student Chapter leaders for the Annual Meeting to attend the Student Leadership Symposium. Challenge Bowls A quiz contest where teams can compete on a world stage to demonstrate the depth and breadth of their geophysical knowledge. A global series of regional contests leading to an annual International Grand Championship to be held in conjunction with SEG’s International Exposition and Annual Meeting. PCs for Student Chapters This program is designed to help in the advancement of geophysics all over the word. PCs for Student Chapters benefits geoscience departments by giving Student Chapters the opportunity to utilize geoscience software.

Projects of Merit The goal of the annual Projects of Merit program is to provide support to worthwhile projects that are aligned with the Foundation's mission of encouraging and supporting scientific, educational, and charitable activities of benefit to geophysicists.

Qualifications for SEG Student Membership

Members of the Student Chapter are not required, but are encouraged, to be members of SEG. To be eligible for Student Membership an applicant must be a full-time graduate or undergraduate student in good standing at a recognized university or college. Eligibility for Student Membership shall terminate at the close of the calendar year in which the Student Member ceases to be a graduate or undergraduate student in good standing at a recognized university or college. All student applications must contain the signature of a faculty advisor.

Corporate Sponsorship Program Under this program the corporate sponsorship will pay the dues of any SEG Student member if the student member so elects.

In keeping with the purposes of the SEG, Student Chapters are encouraged to provide a strong technical program to its membership. We recommend having a monthly speaker at your monthly meetings. These can be faculty members, geoscience professionals from the Sponsoring Chapter or might be requested from SEG’s two speaker programs, the Distinguished Instructor Short Course and Distinguished Lecturer programs. Information can be obtained from SEG’s Professional Development Department or the SEG Web site.

The officers of this Chapter shall be President, Vice-President, and Secretary-Treasurer. These officers and Committee Chairmen shall compose the Executive Committee.

Recommendations for position descriptions of officers:

President President shall preside at all meetings and administer the affairs of the Chapter. He/She shall carry out the correspondence and business of the Chapter in conjunction with the Secretary-Treasurer. He/She shall have authority to act for the Chapter within the framework of the Constitution.

Vice-President Vice-President shall assume duties of the President in the absence of the President. He/She shall be responsible for the arrangement of programs and shall assist the President in the business of the Chapter. He/She shall promote membership in the chapter and SEG student membership.

The Secretary-Treasurer Secretary-Treasurer shall maintain the finances and records of the Chapter and record the proceedings of the meetings. He shall furnish members with notification and agendas of meetings. Committee Chair shall be appointed by the President with the approval of the Vice-President, the Secretary-Treasurer and the Faculty Advisor. They shall serve until new officers are elected or until they are replaced by the Executive Committee.

Faculty Advisor and/or Co-Advisor

Choosing a Faculty Advisor (or Co-advisor) who is committed to helping and maintaining a Student Chapter will ensure the continuity of a Student Chapter. The Chapter must choose a faculty advisor. The Faculty Advisor must be an Active or Associate member of SEG and will serve as the liaison between SEG and the Student Chapter. Additional duties of the Faculty Sponsor are to be aware of the Constitution, Bylaws, and Rules of SEG and assure the Chapter’s adherence to them; to assure that the Chapter prepares and delivers their reports to the SEG Business Office as per the schedule; and to be a repository for the Chapters’ records. Provide a place to for the student chapter library. Majority of correspondence will be mailed to the Faculty Advisor.

The success (or failure) of a Student Chapter is often related to the participation (or lack of) of the Faculty Advisor. Even the most energetic of Student Chapter Presidents’ need the support and encouragement of the Faculty Advisor. When selecting your sponsor(s) we suggest you talk with them beforehand such that they may be aware of, and be willing to accept responsibility.

Reports

The chapter procedures require you to submit two reports annually. These reports are vital to SEG in that they provide SEG with its only tangible data regarding the success of the program. The first report shall include the slate of officers and current contact information for the faculty advisor. The second report will be submitted at the end of the academic year by the faculty advisor or chapter president and shall include programs offered by the chapter during the year and evaluation of the success of the program.

Chapter leaders should be aware of the benefits and resources available to the student chapter and student members of SEG. Student Affairs will keep members and chapter officers aware of any additional benefits being offered to student chapters and members. Student Connections Web Site Offers students opportunities to increase their geoscience knowledge, utilize their skills and network with peers, educators, employers and experienced professionals. MySEG SEG Student Forum online, post topics and treads to network with your peers around the world. SEG Digital Library Search SEG Abstracts, SEG journals, and The Encyclopedic Dictionary of Applied Geophysics online for help with research projects.

Membership Campaigns Each year SEG offers a Member-Get-A-Member campaign; some years the campaign offers a category for individual student members to win prizes, other times if offers a category for the student chapter to win prizes. the Anomaly A quarterly online newsletter to keep students abreast of events in the SEG community. Students are encouraged to submit articles including their chapter’s activities for inclusion in the newsletter.

SEG graduation gift to student members – If you were a student member the year following your graduation, SEG will pay for your first year of Global or Associate membership dues (citizenship and residency determines the type of membership that will be paid). A petition should be sent to the Society in the form of a letter to the SEG President stating the wish of the group to affiliate as a Student Chapter. The names and addresses of the students wishing to organize the chapter and the group’s Faculty Advisor should be enclosed with the petition letter. A minimum of ten students is required to form a Student Chapter. If the group has already held an election of officers, the names of those elected to serve should also be noted. It is not a prerequisite that members of Student Chapters be members of SEG in order to obtain a charter. However, we encourage them to join if the choose. The Constitution of the proposed Student Chapter should be submitted to the Student Affairs Specialist at the SEG Business Office for approval by the SEG Constitution and Bylaws Committee. Any deviations from SEG’s “Model” Constitution will be carefully considered by Constitution and Bylaws Committee. The Executive Committee will vote on the proposed Student Chapters petition and, if approved, issue a charter.

A suggested Student Chapter Constitution which may be used as a guideline is available from the SEG Business Office or by contacting the Student Affairs Specialist. The Student Chapter may simply fill in their university name and send it back.

Once chartered, the Society will provide a complimentary subscription to GEOPHYSICS and THE LEADING EDGE to the Student Chapter in care of the Faculty Advisor. As an additional benefit, all Student Chapters formed in Emerging Nation countries will be eligible for 10 free SEG Student Memberships and one SEG Associated Membership for the chapter’s faculty advisor. Please send in the attached membership forms with your petition and constitution. The SEG Student Chapter is entitled to make use of SEG’s Employment Referral Service. SEG will host a place for each Student Chapter to maintain a web site off http://seg.org.
