AXISe Internet Member Self Service

1 Introduction AXISe Internet Member Self Service provides internet facilities to enable active scheme members, deferred beneficiaries and pensioners to access their own data. It enables 24 hour access for members and provides greater and faster access to more information.

Access to this system is currently not available to pensioner members but will be developed as part of the Integration Programme LPFA is running with Hertfordshire CC. The website and this guide will be updated once this service is available.

To benefit from AXISe Internet Member Self Service you will need to use Microsoft Internet Explorer 5.0 or later.

2 Warning Page After clicking on the link to AXISe Internet Member Self Service from the homepage, registered and unregistered members will be presented with the Warning page:

The page includes a warning regarding unauthorised access and a ‘Password Request’ button for first time users or those who may have forgotten their existing password.

Previously registered members who have forgotten their password and select the Password Request option are forced to select two new lifestyle questions when they login with their new password.

3 Password Request

Members who logon to Axise Internet Member Self Service and request a password for the first time have to complete a registration process.

The yellow fields are mandatory and you will need to complete your Surname, Forename, DOB, address and NI number correctly, as if this information does not match the data held on our system the password will not be created.

When you click enter an email is issued to LPFA and they will set up your password. If you have provided an email address your password will be emailed to you. If you have left the email section empty you will receive a letter in the post.

PLEASE NOTE: The average turnaround time for passwords is 10 days – the system does not instantly generate passwords.

4 Validation Entry – Usual entry Once you have your password you can simply click enter on the front screen. You will then be asked to provide your Surname, NI Number and Password.

The error message ‘Details Do Not Provide A Correct Match’ is displayed if an invalid combination of Surname, NI Number and Password is entered.

If invalid credentials are entered 3 times the login will be disabled and the member will need to contact their administering authority to have their login re-enabled.

When logging on for the first time you will also be asked to select two lifestyle questions and confirm a relevant response. You will also be prompted to create a new (more relevant) password, which will be case sensitive.

5 Security Password Entry On each subsequent access to the system, AXISe Internet Member Self Service will randomly display one of the lifestyle questions after the member has completed the Validation Entry page. If the member inputs an incorrect response three times their login will be disabled.

6 Navigation Bar The navigation bar is present on each page of AXISe Internet Member Self Service. The list of options is dynamic and changes depending on the member’s status and their available data views.

Simply select the corresponding icon to navigate to the relevant page. The help icon can be selected at anytime to view help on the page being viewed.

7 Personal Details – Active/Deferred/Pensioner The first page to be displayed you logs on to AXISe Internet Member Self Service is the basic details page. Your full name and status is displayed on the banner at the top of the page. The following member information is also displayed:

Surname

Initials

NI Number

Status

Date of Birth

Sex

Marital Status

The basic details page also displays the member’s latest address, telephone number, email and address stored on AXISe.

PLEASE NOTE: You are currently unable to change your address details and can only view information at this stage.

8 Membership Details – Active/Deferred The Membership Details page displays your current employer service history. It also includes whether you are currently full or part time.

In addition, service history lines are displayed showing:

Employer

Dates of service

Service in years and days

Whether the service was full, part time, transferred in or other.

9 Transfer Details – Active/Deferred The Transfer Details page displays the name of your current employer, the latest date that your current employment conditions apply, whether you are currently full or part time and your hours worked.

In addition the page displays details of up to three transfer values with the following information:

Transferring scheme

Date it was received

Amount of the transfer value

Period of service credited in the local government scheme

10 Financial Details – Active/Deferred

This page displays the following financial information:

Current employer

Start Date of current employer conditions

Basic Contribution Rate as a percentage

Date to which pensionable remuneration has been calculated and associated annual value , which is normally calculated by contributions paid in the financial year

Any additional contributions in respect of additional voluntary contributions (AVC’s) or added years are accessed through the AVC and Added Years page.

11 AVC/Added Years Details – Active/Deferred

The AVC’s/Added Years Details page displays your Current Employer, Start Date and Basic Contribution Rate at the top of the page. Any additional contracts (up to a maximum of 10) are displayed in the table immediately below, this includes the following information:

Type of contract

Percentage rate of additional contribution

Date started

Date finished or due to finish

Service purchased in years and days, if applicable

12 Benefit Projector Benefits are automatically calculated using the standard AXISe legislatively compliant benefit calculations. The benefits displayed are for illustration purposes only and members should not make decisions on the results without first contacting their pensions section for a formal quotation.

12.1 Initial Benefit Calculation For all calculations, the initial Final Pay figure will use the latest pay on record. For part time members, this will be the full time equivalent figure.

12.2 Subsequent Benefit Calculations A member can process further benefit calculations by inputting a new date of leaving and/or pay figure. Members who are part-time should input their actual rate of pay, AXISe will automatically convert the actual rate of pay to the full time equivalent (using the current part time hours from the Basic Details data view) before performing the calculation.

12.3 Formal Estimate Request – Active Members Only A member can select the ‘Request Estimate’ button at the bottom of each page to request a formal estimate from the pensions section:

On selection of the Benefit Projector navigation button the member will see a sub menu listing all the available benefit calculation options:

Deferred Benefits

Death in Service

Voluntary Retirement

12.4.1 Deferred Benefits Calculation The calculation is initially performed with the Event Date set to the current date. Deferred Benefits will be displayed as payable at either the earliest date the member can retire without a reduction, or age 65.

12.4.2 Death Calculation The Death calculation will also display the Death Grant applicable, based upon the same pay figure as the pension.

Member’s and spouse’s benefits will be displayed as payable from the day after the Event Date.

12.4.3 Voluntary Retirement The calculation is initially performed with the Event Date set to either the earliest date the member can retire without a reduction, or age 65.

12.5 Local Government Pension Scheme - Deferred Beneficiaries On choosing the Death in Service option, AXISe will display the results of the calculation:

Any Death Grant applicable will also be displayed.

Spouse’s benefits will be displayed as payable from the day after the Event Date.

If the member changes the date for the calculation, it cannot be before the current date or greater than age 65.

13 Options - Active/Deferred/Pensioner

The page displays up to 4 options dependent upon the status of the member:

Any of the options can be selected by highlighting the radio button and selecting the ‘Enter’ key.

13.1 Change of Password The ‘Change of Password’ page allows a member to change their current password:

The member enters their existing password in the ‘Enter Current password’ field, followed by their new password, before finally confirming their new password.

A message of “New Password Accepted” is returned to confirm that the member has successfully amended their password.

13.2 Change Lifestyle Responses

A member may create new lifestyle questions or amend their existing responses by selecting this option.

Beneficiary Nomination

A member can nominate who should receive any lump sum payable as a result of death. A form is produced that must be printed, signed and returned hard copy to the address on the form.

13.3 Contact us

By selecting contact us from the left hand option bar you are able to send a query. There is a category drop down menu with a selection of questions.

14 Pensioner Specific Page Details The following pages are available for Pensioners only. Pensioners to the fund are able to view their P60 and payslips

14.1 Pension Details

The pension details page displays

Date that pension commenced,

Annual amount of the member’s gross pension

Contingent Long Term Spouse’s Pension

14.2 P60 End of Year Information AXISe Pensioner Payroll Users Only

This page displays the information that appeared on the member’s last P60 and includes the following: -

The financial year end date of the P60 information

Gross earnings for that year

Tax paid in the year

Gross earnings for the previous tax year

Tax paid in respect of the previous year

Gross this employment

Tax this employment

Name of the Tax Office

Tax District / Ref No.

Individual’s Payroll Number

Final Tax Code

The following warning message is displayed:

‘WARNING – ALTHOUGH THIS INFORMATION APPEARED ON YOUR P60 IT IS NOT A SUBSTITUTE P60’.

14.3 Pensioner Payslip History AXISe Pensioner Payroll Users Only

The payslip selection page shows the annual gross pension, the amount of tax to date and a summary table of the member’s last 6 payments, which includes:

Payment date

Pay period

Payment type

Net pension

A detailed view of any payslip from the list can be selected by clicking the ‘Select’ option on the line of the relevant payslip. This action will return the page ‘Payslip details’ as shown on the next page.

The payslip page displays the following information:

Date of Payment

Tax Code

Gross Pension

Member’s can navigate through their payslip history by selecting the ‘Previous Payslip’ and ‘Next Payslip’ icons at the bottom of the page.
