1. Introduction

This document contains all essential information for the user to make full use of the Standard Cost Update Bot. This manual includes a description of the functions and capabilities and step-by-step procedures for setup & configuration of the Bot.

1.1 Overview

For many organizations, the Standard Cost Update process has always been fraught with delays & longer reporting timescales. While finance teams spend significant time on the updating process, they are unable to focus on important tasks and high-value work that will drive the business forward and deliver results.

The Standard Cost update process executed every year typically involves annual update of Standard and current costs on QAD in order to avoid massive manual work performed on 1st of January every year. Depending on the size and complexity of the company, this repetitive process has to be executed at the end of each year for every Database/Domain/Entity.

The BOT Developed by Thirdware automates this process in QAD

1.2 Common Use cases

The period close process executed every year typically involves annual update of Standard and current costs on QAD in order to avoid massive manual work performed on 1st of January every year. Before this Automation process, there are a sequence of manual tasks usually performed to assure the correct upload of Standards.

Steps before 1st of January(to be made and analyzed by plant):

From Here all the steps should be performed only on 1st of January. At this step the Cost Set simulated is complete, now we just need to copy the information of Cost set Simulated into Standard/GL Cost by using the Automation Process

2. Requirements & Prerequisites

2.1 System Requirements

The BOT can be run on a system which can access QAD EE application and does not need any specific system requirements

2.2 Prerequisites

Following software is required as pre-requisite for the BOT

Automation Anywhere Enterprise v11.3.3

QAD Enterprise Applications EE (User Role : Instructor)

Microsoft Excel 2010 or above

Zip application

2.3 Security Measures

Valid License is required to run the BOT

Credentials are accessed from Credential Manager to ensure Unauthorized access

3. Getting Started

3.1 Skill Matrix

Following BOTs and its task/skill

MasterTaskStdCst.atmx – This is a master bot validates Prerequisites and Creates necessary folder structure and calls the subbots.

Thirdware_SubbotStdCst.atmx – This task is a sub task where the config and Input files are defined and calls the other subbots.

Subbot_CumulativeOrderClose.atmx - This task Confirm if the run of Work Orders Close was done successfully

Subbot_ItemCostSetBrowse.atmx - This task extract this report for "Standard" cost Set and “Current” cost Set in order to have a backup before the new standards upload

Subbot_CostRollUpFreeze-UnFreeze.atmx – This task Unfreeze Cost Set Standard.

Subbot_SimulationToWC-RoutingCopy.atmx – This task Copy Work Center rates into Production Database.

Subbot_CostSetCopyToCostSet.atmx – This task Copy Costs from Simulated Cost Set to "Standard".

3.2 Installation Hierarchy

- Download the bot from Bot Store.

- Double click on Standard Cost Update For QAD-Thirdware.msi and follow the installation instructions.

For first time users, the “Bot Store” folder is created under <AA Directory>/My Tasks (on your local disk).

Installer creates the following folder structure with content under the <AA Directory>

3.3 Quick Start

- Download the bot from Bot Store.

- Double click on Standard Cost Update For QAD-Thirdware.msi and follow the installation instructions.

For first time users, the “Bot Store” folder is created under <AA Directory>/My Tasks (on your local disk).

3.3.1 Setup

1. General Config File (ConfigFile.csv)

Parameter Description

Vc Input File Path It fetches the input file from the given path.

NO of Sheets to Process Specifies the No of sheets to Process

QAD EE Application Path It takes the QAD EE Application path

2. Screen Setup (VC_INPUT_StdCst.xslx)

Column Description

Cumulative Order Close QAD menu to confirm if the run of work orders close was done successfully

Item Cost Set Browse QAD menu to extract this report for "Standard" cost Set in order to have a backup before the new standards upload

Item Cost Set Browse QAD menu to extract this report for “Current” cost Set in order to have a backup before the new standards upload

Cost Roll Up Freeze/unfreeze QAD menu to Unfreeze Cost Set Standard

Error folder contains the below hierarchy.

Error Logs Month-Day-Year.txt: In case of any error, this file logs error message along with time stamp.

o Snapshots

Error Snap Month- Day-Year.png: In case of any error, this file captures screenshot of error.

- Task Status of bot is set to “failed” in case of error.
