    TUITION AND FEES

    For over 100 years, St. Margaret’s School has been providing a personalized learning experience in an environment where girls gain confidence and discover their passions. Our programs equip girls with the knowledge, attitudes, and courage to thrive – in their studies, in their careers, and in life.

    The cost of a SMS education varies by the location of the primary residence (BC, North American and International), as do the options for paying your fees. Refer to our Fee Schedules on page 6 for more information.

    We accept various payment methods, such as online bank payment, cheque, credit card, and various wire transfer options for international students. Refer to Payment Methods on page 10 for more information.

    Fees cover tuition, textbooks, school supplies for Foundation and Middle Years, and transportation for members of SMS athletic teams, music groups and other clubs. Boarding fees also include meals, laundry, lodging, internet access in the boarding rooms, general supervision, and use of the Health Centre. Fees do not cover medical costs, hospitalization, personal expenditures, course workbooks (when required), lost or damaged textbooks, optional trips, and school uniform.

    Additional services included in fees:

    • Specialist teachers, expert guest speakers, and individualized programs at all levels; • Experiential programs, including community service and self-directed learning tailored to student interests; • An internationally recognized residence program that enriches our school culture by attracting students from all over

    the world; • Exemplary curriculum based JK3/JK4 programs, including outdoor while learning (OWL), cooking and arts; • Outweek – a week-long outdoor adventure offered each autumn; • 40+ internally staffed extracurricular clubs and athletic activities; • Mentored student leadership opportunities including councils and committees that elevate girls’ voices and build

    confidence;

    Withdrawal Policy

    The Withdrawal Policy provides protection in the event of absence or withdrawal. For a full description of the Withdrawal Policy and how it is calculated, please refer to the Withdrawal Policy on page 12 for more information.

    PAYMENT METHODS

    *Important - Please include the student name(s) and student ID number(s) as a reference on all payment types.

    1. Pre-Authorized Debit (PAD) Payments can be automatically debited from your Canadian bank account. This method is mandatory for payment plans. PAD payments can also now be used for deposits, one-time payments, and all incidentals. Complete and return the PAD form to [email protected]

    2. Online Bank Payment Add St. Margaret’s School as a “payee” in bill payments on your Canadian bank website and use your student ID number as the “account number”.

    3. Cheque or Bank Draft

    Pay by bank draft or cheque, providing the issuing bank is associated with a Canadian Bank. Use micro-encoded cheque or bank draft, payable to: St. Margaret’s School 1080 Lucas Ave. Victoria, BC V8X 3P7 Please note that a $35.00 service fee will be applied if the cheque is returned NSF. St. Margaret’s School is not responsible for mail service.

    4. Credit Card We accept domestic and international Visa, Mastercard, Discover and China Union Pay credit cards. Provide account number, card expiry date and written authorization to charge fees. A convenience fee of 1.75% will be added to the total for all credit card payments.

    5. Wire Transfer Ensure the student’s full legal name is indicated on wire transfer payments. Payments made payable to: St. Margaret’s School, 1080 Lucas Ave., Victoria, BC V8X 3P7. Contact [email protected] for bank information and SWIFT code.

    WITHDRAWAL POLICY

    1. Withdrawal from School. You acknowledge that the tuition fees charged for the school year from September through

    June (the “Academic Year”), are, in part, to reserve your daughter’s place at St. Margaret’s School. Early withdrawals or non-attendance by a student do not reduce staffing needs or other costs to the school attributable to the student’s placement. Accordingly, you agree that the withdrawal of your daughter from the school shall neither entitle you to a refund of pre-paid tuition or other applicable fees, nor excuse, alter, abate, or nullify your obligation to pay or continue to pay monthly tuition. Notwithstanding the foregoing, in certain circumstances a refund or relief from making tuition payments may be available in accordance with this Withdrawal Policy (as amended from time to time).

    2. Dismissal from School. You understand that St. Margaret’s School may suspend, dismiss, or expel any student, including

    your daughter, at any time and in its sole discretion, if the Head of School concludes that such student’s performance, attitude, influence, or behavior does not serve the best interest of the school or is not in compliance with the Student Handbook. You will not be entitled to any refund of pre-paid tuition or other applicable fees, or be excused from your obligation to pay or continue to pay monthly tuition throughout the Academic Year, if your daughter is suspended, dismissed, or expelled from St. Margaret’s School.

    3. Notice. You must notify the Head of School, in writing, in the event that you need to withdraw your

    daughter from St. Margaret’s School. 4. Refundable and Non-Refundable Fees and Tuition. Withdrawal from St. Margaret’s School will have

    the following financial impact:

    (a) The annual deposit, application fee, registration fee, building fee, grade 12 graduation fee, ELL fee, and other like fees (the “Non-Refundable Fees”) are non-refundable in all circumstances;

    (b) If withdrawing on or before May 15 for the upcoming Academic Year, tuition paid for the upcoming

    Academic Year, excluding the Non-Refundable Fees, will be refunded in full;

    (c) If withdrawing after May 15 for the upcoming Academic Year, or if withdrawing at any time during the Academic Year, tuition is non-refundable, except for the following reasons:

    (i) Student Death – the Head of School will consider a reimbursement of up to 100% of the remainder

    of the Academic Year’s tuition fee for that student (net of any discounts and bursaries) or release from the obligation to continue monthly tuition payments, if the student dies. Non-Refundable Fees remain non-refundable; or

    (ii) Withdrawal for Medical Reasons – reimbursement of a portion of the remainder of the Academic

    Year’s tuition fee for that student (net of any discounts and bursaries) or a partial release from the obligation to continue monthly tuition payments may be granted, provided the student’s disability or condition renders the student unable to continue with her studies in any capacity, extends for thirty-one (31) or more consecutive days, and is expected to continue for the remainder of the Academic Year. A request for withdrawal for medical reasons must be supported by a written medical opinion from the student’s physician (who must be licensed to practice in British Columbia), in a form reasonably acceptable to the school in its sole discretion. Non-Refundable Fees remain non-refundable. In considering a withdrawal application for medical reasons, the Head of School will not exceed the following guidelines:

    (a) If the request for withdrawal is received (together with all supporting documentation)

    prior to September 1st of the Academic Year, the Head of School will consider a tuition refund of up to 75% of the full year’s tuition;

    (b) If the request for withdrawal is received (together with all supporting documentation) prior to December 1st of the Academic Year, the Head of School will consider a tuition refund of up to 50% of the full year’s tuition;

    (c) If the request for withdrawal is received (together with all supporting documentation) prior

    to March 1st of the Academic Year, the Head of School will consider a tuition refund of up to 25% of the full year’s tuition;

    (d) If the tuition fee refund request is received after March 1st of the Academic Year, no tuition

    fee refund will be granted; and

    (e) No refund of any Non-Refundable Fees shall be granted in any circumstance. 5. Head’s Discretion. All requests for reimbursement in relation to a student’s withdrawal from St. Margaret’s School shall

    be subject to review by the school, and the school may request from the withdrawing parent(s) or student any additional information the school deems necessary, in its reasonable opinion, to properly review and respond to the request. The Head of School reserves the right, in her sole and absolute discretion, to make the final decision about any refunds of tuition, or relief from continued payment of tuition, that may be granted in accordance with this Withdrawal Policy. The decision of the Head of School in this regard shall be final and binding on all parties.

    6. Termination. The withdrawal, dismissal, or expulsion of your daughter from St. Margaret’s School will give rise to the

    termination of this Enrollment Agreement and the school shall have no further obligations to you under this Agreement. The termination of this Agreement does not relieve you from your current or future payment obligations under this Agreement, unless approved in writing by the Head of School.

    7. Amendment. St. Margaret’s School reserves the right to amend the Withdrawal Policy from time to time at its sole discretion. Any amendments to the Withdrawal Policy will be posted by January 31 and

    become effective in the following Academic Year.

    STATEMENTS

    The Finance Office will issue monthly statements by email throughout the year reflecting any extra charges incurred, adjustments, and additional payments.

    In this example there is a balance on the customer account a payment should be made to St. Margaret’s School.

    Statement with a credit balance

    In this example there is a credit on the customer account, no payment is required.

    St. Margaret’s School operates as a non-profit entity and works hard to sustain its future; parents have an annual financial obligation for their daughter’s tuition and fees. It is essential that the School’s annual income from fees be assured to honor our annual commitments to staff, vendors and other support partners. We require your accounts remain in good standing, otherwise an interest charge of 2% per month will be applied to amounts outstanding 30 days following the statement date.     MANDATORY PREPAYMENT OF POCKET MONEY & INCIDENTALS

    The finance office at St. Margaret’s is the place to go if you have questions regarding tuition, other expenses and your daughters incidental deposit (pocket money).

    The $5000 incidental deposit is for costs incurred by the student for school related items as well as items or services that are billed to the school on the student’s behalf. The following items will be charged to the student’s school account and deducted from this amount:

    o Medical Insurance o Uniform Purchases in School Store o Weekly Allowance ($40) o Local Field Trips o Extracurricular Residence Activities (weekend movies, skating, swimming, yoga, horseback riding etc.) o Uniform Dry Cleaning (twice a year student can send out Blazers and Skirts to the Cleaners) o Medical Expenses such as: Prescriptions, Physiotherapy, Dentist, Eye Doctor as directed and booked by

    School Nurse or as per the school’s contracted Doctor. Taxis to medical appointments will also be charged to the student’s account.

    Students are expected to have access to their own bank account to purchase items they need over and above their allowance amount.

    If a student’s account drops below $500 they will not receive allowance until the parent tops the account back up. This is so there are always funds on hand for emergencies.

    Due to the large cost, additional funds may be required if your daughter wishes to participate in school trips organized for: Spring Break, Winter Break, and any other large excursions.

    The Finance Office does not have much cash on hand but can provide student funds in Emergency situations. An email from parents authorizing this is required, preferably a week in advance.

    No additional withdrawal will be processed after May 31st. Incidental deposit funds remaining on the students account are used to capture remaining expenditures that will be processed late June and early July.
