Chris was pleased to announce that Elisabeth Chestnutt, Kickboxing & Muay Thai had been duly elected as Sports & Health Officer. Elisabeth was unable to attend the meeting but members were encouraged to engage her to see how she could support Clubs in the coming months.

VP Sports & Health advised that he had had received feedback over the continuing issues on this subject. A survey will be circulated shortly in order to gauge the extent of the current problem. Chris will in turn present these findings to Paul Gough, Deputy Vice Chancellor so it was important that all club members look to provide their feedback through the survey.

011/1314 Initiations

VP Sports & Health reiterated the process that ALL clubs must adhere to in order to comply with the policy relating to initiations and ensure they submit planned proposals for these events as soon as possible. A set window has been set for this year (9th October – 20th November) in order to ensure events can be resourced from within the Sports Executive and Sports & Activities Teams. Bunker and Basement 45 have both offered to host.

012/1314 Sports Ball & Awards 2014 Chris outlined the initial proposals for next year’s Sports Ball and Awards. This will be at the same venue as 2013, The Bristol Marriott, Castle Park, with the date to be confirmed. Ideas were sought from the floor with a suggestion that Clubs could create table decorations depicting their sporting activity.

013/1314 Varsity Series 2014 Chris advised members that plans for the 2014 series were well underway. Looking to make it the biggest and best series to date, with increased participation. The branding and promotion of the series is being reviewed in conjunction with Bristol University.

014/1314 Sports Tour A survey has been sent out, via Doodle Poll and responses are awaited. The plan is to go with ‘I Love Tour’ to ‘Saloufest’

015/1314 Better Together Fund VP Sports & Health outlined the criteria for clubs to apply for finding from the ’Better Together Fund’ and encouraged clubs to openly consider any needs they had in this regard.

016/1314 AGM - 21st November 2013 VP Sports reminded Committee that the UWESU AGM will be on Thursday 21st November 2013 in 2B025. Motions will be heard that could affect Sports Clubs so all clubs were encouraged to send members along to ensure their voices were heard.

017/1314 Any Other Business VP Sports & Health addressed the meeting to remind all Clubs that the consumption of alcohol on Coach and Minibus transport was not only in contravention of UWESU Policy but was also illegal. Instances had been reported by Coach companies where this policy had been breached. All clubs were informed that any future reported instances would result in disciplinary action being taken which could result in the club being closed down. Team UWE T.Shirts: The deadline for ordering your clubs requirements is the 8th November 2013. First Aid Courses: A request from the floor to put on extra courses to meet the current level of demand for the course

Report from the VP Sports: Firstly I hope everyone had a brilliant break and had at least some time to relax, more importantly I hope that any of you that had exams didn’t find them too stressful. Memberships I am pleased to announce that we have now sold over 2,800 Sports Fee’s which is a phenomenal figure. This means that more and more people are getting involved in sports! With two ratifications coming and a review of the sports and society requirements we will continue to look at making sport bigger. Sports Night So in term 1 we made over £11,000 after VAT! Fantastic news is more money for sport! UWESU Take Pride in Sport I have today met with Kath Pacey to review how UWESU and UBU can learn from each other with this campaign, a change in the committee structure of clubs will ensure every aspect of diversity is covered and I am pleased to announce we are making much quicker process than UBU. Moving into varsity we will ensure a great focus on Pride Sports and I hope that all Participation Officers and Presidents have signed up to Equality & Diversity Training commencing Monday 20th Jan. Sports Ball & Awards Ceremony Early bird tickets have gone on sale and at the time of writing this 85% have been sold. We have changed the meal choices slightly from feedback we received. Currently the executive are reviewing the range of awards associated with UWESU Sports, and we will announce any changes to awards or criteria when nominations open. Feel Good Feb We currently have loads of aspects to our side of Feel good Feb.

- Yoga (Frenchay, Glenside and Bower) - Zumba (Frenchay, Glenside and Bower) - Staff v Students football match - Self Defence classes (women only) - Disability friendly watersports taster sessions. 3 hours including sailing, canoe and rowing - Wheelchair basketball try it day - Nutrition talks with a focus around supermarket packaging, the use of protein shakes and

energy sessions.

SHAG Week SHAG week (Sexual Health, Advice and Guidance) was rescheduled to take place the week of valentines day. As well as theming every UWESU affiliate night and taking over the quiz, myself and Tom have booked out some information stands that will happen on all campuses, there will be more to follow with more information on the launch of Feel Good February. Club carry over of funds and Change 1 Thing At the time of writing I am awaiting meetings and looking at investigation, I will be able to update at the meeting

Report from the Sports & Health Officer: Feel good February is coming up fast this is a great opportunity to improve the participation numbers of your club, if you haven’t already come and speak to us about how your club can get involved. For Sport Relief in March we will be organising a netball tournament. It’s the only way to prove you are the best sport at UWE, and if that wasn’t reason enough to submit a team it’s for charity! There will also be a Sport Relief themed sports night with the idea of donating some of the takings to charity. Varsity season starts in February with American Football, on Sunday 9th, we’d really love you to support each others events as there’s nothing like having a home crowd advantage. Let’s not only beat UoB at the sport, but have a bigger crowd too. Also the more money we raise the more goes back to your clubs. For Sports Ball this year we’ll be switching up the awards and adding new ones, I’ll be leading on this so email me the awards you’d like to see this year. With AGM’s looming and handover reports due to be given to the incoming committee does anyone want help with writing these? If so, drop me an email. Chris and I have been in talks with Kukri over issues raised by individuals and clubs, an update on this will be given during sports council and the topic will be open for discussion. Agenda Item 023/1314 Sports Executive Reports Competitions Officer (David Massey): In the last few months we have been building up towards varsity with the first few Varsity exec meetings. During this time I have supervised Initiations and have helped run Xtra time on a Wednesday night. With the varsity series looming things have started to move at a quicker pace with a date set for all varsity events.

Events & Fundraising Officer (Alex Atherton): Events Sports Ball: Earlybird Tickets have now gone on sale and nearly all sold out. Second wave of tickets at full price (£35) to be released on 5/2/14 Sports Night: Action Plan for next terms sport night has been confirmed. Themes every other week:

Participation Officer (Amy Anderson): So far I have been involved in the organisation of sports night, collecting money and numbers on the door to ensure money is allocated back to clubs. We have also been making decisions about allocating funding from the sports extra fund. My work as participation officer will start more over the coming months as part of feel good February and sport relief, if anyone has any ideas or questions about this get in touch.

Health & Fitness Officer (Nina Gizzie): So this term has been a little quieter for my role in preparation for next months massive health campaign joint between the university and the SU - Feel Good February. I have had meetings with Chris about things to do throughout the month and there is LOADS on offer such as classes across campuses, Health MOTs, Food based activities etc. Although the campaign is encouraging people that don't do sport into doing something there is also plenty for you to join in with and there are competitions for you to take part in as well so get involved! Obviously we would love your feedback

on the month and what you felt worked well or what you thought we were missing and we will collect feedback during the month and afterwards. Other things I have been doing: You may have seen me working at sports night or at the 'Take me out' event we had which was great fun and I got some great photos of the night I hope they all enjoyed their dates. We have also been working tightly as an exec, having our regular meetings making sure sports run as smoothly as possible, topics of conversations so far have included deciding on sports extra fund applications, aiding with decisions around sports awards and other events, dealing with any disputes and essentially aiding Chris in whatever he needs us for! We are also already preparing for varsity, Dave will be able to tell you more but dates are now set so hope you are all ready for to whip Bristols butts.

Media & Publicity Officer (Maria Miles): Term 1 Summary

‘Xtra Time’ has proved to be hugely popular, with the majority of clubs attending and earning up to

£1800 for their club

Take Me Out was a successful night just before Christmas

Weekly #teamUWE email sent out to all sports members with event details, key notices and

deadlines as well as individual sport updates

Things to come

Weekly score sheet email to be sent out – to be released on a Friday following BUCs, and will

include sports teams results from the previous week

Feel Good Feb promotion with lots of events and activities for students to take part in – more

details to be promoted in the near future

Change 1 Thing campaign – important for presidents to promote this to their members in addition

to promotion from the exec, the website has now been finalised. Simple to do and has benefits for

individuals, teams, clubs and the student body as a whole

Sports Ball – early bird tickets now on sale, set to be a fantastic event it needs to be promoted

within clubs as well as from the exec

Bournemouth 7s – set to be bigger than any of us had ever imagined, a variety of clubs set to attend

with different sports available, travel, match and event entry and VIP camping available for £100,

Sport Relief – event to be organised by the exec that will bring together all the sports and hopefully

raise a lot of money!

Club AGM’s & Club Development Meetings With Term 2 about to get underway and exams coming towards the end (for the time being anyway!) thoughts now turn towards remaining BUCS League Fixtures, Cup Competitions, Weekend Trips, Varsity Series, Feel Good February, Sports and Societies Nights, Sports Awards, Societies Awards, Individual and Team BUCS Events - So much to look forward to. However, like any good programme of events preparation is important and 'believe it or not', we now need to prepare for the start of the 2014/15 academic year!

Step 1: Your AGM

Your first step is to hold an Annual General Meeting (AGM) and you can find a comprehensive guide on how to run you AGM here. Your AGM must take place before the end of February 2014 and you must notify the Sports & Activities Department of the date you plan to hold it ASAP. If you feel you require support from a member of the Sports & Activities team in arranging or running your AGM, please contact us ([email protected]) to discuss your requirements. For those clubs and societies with larger numbers of members, you may wish to consider holding an electronic ‘online’ AGM. Again, to apply for an online AGM please contact [email protected].

Step 2: Compulsory Committee Training Workshops

All candidates for mandatory committee positions must attend at least one of the committee training workshops relevant to their position. Opportunities to attend a relevant session will be provided in three sets. Each set will provide at least one workshop for each committee position. Please ensure that all incoming committee members are made aware of the following training set dates and that they are aware they must attend at least one of:

Committee Training Set 1: 1st - 10th April 2014

Committee Training Set 2: 12th - 15th May 2014

Committee Training Set 3: 19th - 22nd May 2014

NOTE: Each set includes a workshop for Presidents, Vice-Presidents, Treasurers, Participation & Equality Officers and Equipment & Safety Officers, Events & Fundraising Officers and Media & Publicity Officers. Candidates should not stand for election if they will not be able to attend training. Elected candidates who fail to attend one of the relevant workshops will be removed from their committee position with immediate effect and your club / society will need to hold an Extraordinary General Meeting (EGM) to re-elect a new committee member.

Step 3: Don’t Forget the Documents

You must submit the following documents in a timely fashion to the Sports & Activities Department. Within 7 days of holding your AGM:

Step 4: Book Your Development Meeting

Once you have held your AGM and submitted the required documentation following it, you will then be able to book your development meeting. This meeting allows incoming and outgoing committee members to review the previous year, plan for the coming year and for the Sports & Activities team to identify any needs that must be addressed and offer support and guidance where required.

To book your meeting, you can choose a date and time in person at the UWESU reception (4F Frenchay Campus) or by emailing [email protected] to request a slot on your preferred date. Slots are offered on a first come first served basis and are available on the following dates:

Monday - Thursday (commencing Monday 17th February 2014 through Thursday 10th April 2014)

Club Position Elections Extract from Club Constitution

7. Duties of Club Officials i. Each official shall hold office for a period of one academic year. Elections for new officials shall take place in the month of February. In addition, the President of the Club shall be obliged to call an Extraordinary General Meeting upon receipt for a petition signed by either half of the Club’s members or half of the Club’s Committee. All General Meetings shall be conducted in accordance with the Standing Orders of the Students’ Union as defined in the UWESU Constitution. UWESU Sports & Activities shall be informed promptly of the outcome of all elections.

ii. The new committee shall serve alongside the old committee for the remainder of the second term to promote the efficient handover of the club and provide a period of apprenticeship for the new committee, overseen by the existing committee.

iii. The new committee shall formally take office on the 1st May each year

iv. The Club Committee shall be subject to the direction of Sports Committee Meetings which shall take place a minimum of 3 times per academic year.

v. The club committee will report to the Club executive [where applicable]

vi. The club committee must attend UWESU Sports & Activities annual committee training workshops in order to take office.

vii. The club committee must abide in full with UWESU Policy and Procedures in accordance with the UWESU constitution

President [Full member only] HEAR Record The President of an activity is the leader, who oversees all of the activities within the sport. The President will need to provide support, advice and guidance to the other committee members throughout the academic year. Probably the most challenging role on the committee, you’ll need experience of what the sport does, and a strong belief in the aims of the sport. Personal Skills required

Key Responsibilities a. Produce an annual equipment inventory and submit this document to the Sports & Activities Department by the deadline provided. Failure to do this will result in no budget allocation in the Autumn term.

b. Responsible for ensuring all membership fees are collected.

c. Store and maintain all equipment in accordance with manufacturers and governing body guidelines.

d. Keep accurate and up to date safety records of equipment checks in the club Logbook.

e. Ensure along that all equipment issued for an activity is suitable for that purpose.

f. Ensure that sports equipment is not used for unofficial trips.

g. In conjunction with the Treasurer ensure the repair and disposal of unsafe equipment in consultation with the Sports & Activities Manager.

h. To arrange in conjunction with the Sports & Activities Manager for the purchase and replacement of items of capital equipment with the VP Sports & Health and to advise the sport club committee of purchase.

i. Ensure that the sport | group | trip has a minimum of 2 1st aiders.

j. To ensure that risk assessments are regularly updated and revised.

k. To ensure that the Code of Practice is regularly updated and revised.

l. To ensure that sport safety policy regularly updated and revised.

m. To ensure that all sections of the sport Logbook is updated.

n. In conjunction with the Treasurer arrange the repair and disposal of unsafe equipment in consultation with the Sports & Activities Manager.

o. Report all accidents to the Sports & Activities Manager.

Participation & Equality Officer [Full member only] HEAR Record This is a challenging role and it is of great importance, a compulsory role that is a direct contact for students who might find it more difficult to sign up and get stuck in. The coordinator of everything fun & social; socials are the lynchpin for any good activity. Whether these are evenings out, a ball, weekends away or a meal at someone’s house, your members will get to know one another better, enjoy themselves more…and even put more effort in! Organisations call it ‘team building’ we call them socials. The Participation & Equality Officer should work really closely with the Events & Fundraising Officer to organise a wide range or socials for the benefit of all members. Reflecting the diverse nature of the student body will increase your membership and participation and everyone will feel able to get involved & make friends. This role can be covered by another mandatory member of the committee; President, Vice President, or Treasurer. The Participation & Equality Officer has the important role of ensuring that anyone who wants to get involved can do! Personal Skills required

Sociable and Inclusive Key Responsibilities a. The club needs to be as welcoming and as accessible to all students, so a proactive approach is needed in order for the club to reflect the membership of the University

b. Organising events to include diverse range of members

c. Responsible for ensuring all membership fees are collected.

d. Be the main organiser/ point of contact for Freshers’ events: Fair, try it sessions etc.

e. Be the main point of contact and liaison for new members, as well as linking in any non-BUCS squad members to aid retention

f. Work with other committee members to ensure that their area of work has taken getting everyone involved into consideration e.g. pre-season, try it sessions, dinners, evening meals, club events, fundraisers, AGMs, Varsity and socials – and that a range of events are organised and it’s not all about going down to the pub!

Events & Fundraising Officer [Full member only] Optional Event & Fundraising Officer’s role is to organise all events | fundraising events for the club. They are to liaise and work closely with the Participation & Equality Officer in organising these events to raise the clubs profile, improve accessibility, foster inclusivity and where appropriate generate extra income for the club. Working closely with the Participation & Equality Officer to ensure Inclusion and equal opportunities are of highest importance. This post exists for those activities that require more specific support with their calendar of events whether that be the inclusion of regular performances | fundraisers &|or numerous trips | tours etc

It’s a great way to recruit members, network with other activities, organise a huge and exciting event and generally create a buzz around your club. Personal Skills required
