Allocation of Sponsorship Packages and Exhibition Booths Sponsorship packages and exhibition space will be allocated by the Prophix Conference Organizer and confirmed back in writing. Space will be allocated after taking into account each organization’s sponsorship, the date of confirmation of participation, preferences, proximity to competitors and any other relevant matters. Prophix reserves the right to alter the floor plan at any time. All sponsorship and/or exhibition entitlements will not be activated until final payment is received.

Sponsorship Application Procedure Please complete the application form provided indicating your preference(s). Confirmation of your application will be forwarded to you together with the applicable invoice. The Conference Organizer will hold the confirmed sponsorship items on your behalf for 30 days after the date of the invoice. Sponsorship items will be sold on a first-come, first-served basis. Joint sponsorship may be considered. Please contact the conference organizer Kathrine Faubert at [email protected] for further information. All applications are subject to approval from the Prophix Conference Organizing Committee.

Conditions of PaymentFinal payment is due no later than fourteen days from invoice issue date. All payments must be made in USD in the form of a cheque or bank draft and made payable to PROPHIX SOFTWARE or telegraphic transfer via your bank. The Prophix Conference will also accept payments made by credit card, please note that this will incur a 4% administration and processing fee. All major credit cards accepted.

Cancellation PolicyIn exceptional circumstances, the Prophix Conference Organizer will be prepared to consider the cancellation of their contract with sponsors, but only if the following conditions are complied with. That the request for cancellation is submitted in writing. That the request is received at least two months prior to the Prophix Conference commencing. That the Prophix Conference Organizer is able to re-sell the sponsorship item. That, in the opinion of the Prophix Conference Organizer, the reason given for the cancellation is well founded. That the Sponsor agrees that the Organizers shall retain

25% of the contract price if the cancellation is accepted between signing and two months prior to the Conference and 50% of the contract price if the cancellation is accepted within two months of the opening of the Conference – May 10, 2020. Please note that no events are to be conducted by sponsors and exhibitors at any time where there are official Conference events.

Shipping:Exhibitors are responsible for the shipment and delivery of equipment and materials with charges to be paid by the exhibitor. Shipments should arrive no sooner than May 7th, 2020 and should be shipped to:

Exhibitors are also responsible for arranging return shipments from the hotel and will be responsible for any storage, cleaning and shipping charges for materials left at the show after the conclusion of the event.

IndemnityExhibitor agrees to indemnify Prophix Software, the Fontainebleau Hotel Miami, members, officers, directors, agent and employees of each of these entities and against and hold them harmless for any claims arising out to the acts or negligence of the exhibitor, his agents, or employees, or out of labor disputes. Exhibitor further agrees to assume all risk and indemnify and hold harmless Prophix Software, the Fontainebleau Miami, members, officers, directors, agent and employees of each of these entities from and against any kind of nature arising out of or in connection with damage to or loss of any property belonging to exhibitor or exhibitor’s employees, agents, contractors, representatives, patrons and or/guests.
