Open Quote Notification –U2005.1

• There is now a way in which counter or sales people will be alerted when an item has been quoted to a customer and put into the Database system.

• When accessing a customer account, if that item has been entered in as a quote, a message saying, "This item is still open on quote number (8 digit number)" will appear at the bottom of the screen.

• At this point, two things can occur. You can back out of the order, look up that quote, convert that quote to an order and proceed, or you can continue in order entry with the order. However, if you do not go back afterwards and cancel the quote, every time that one part number is entered in that specific account, the message will come up telling you that it is still on a quote.

• M-4.2.39• The purpose of this new menu path is to all users access

to AR batches from pervious periods (within the last 120 days).

• Option for summary or detailed data. Summary data will produce output limited to the batch number, the batch total and the write off amounts: If you choose detailed output, the batch number, the invoice number, the customer, number, the customer name, the reference number, and the posted amount will display. This is best viewed on the printer instead of the screen. If you choose screen display, CTRL-X will terminate the report.

• 16.5 EOD Report X-ref New EOD report #154 "UNFINALIZED ORDERS - REINVOICED AT A DIFFERENT TOTAL"

• This new report not only shows you the invoices that were unfinalized the day before, but also if they were re-invoiced with a different dollar amount.

• Each release is separated by the line (***************************)The first time the release is shown is the re-finalized release.The second time the release is shown is the originally finalized release.As you can see on this example, after the first release was unfinalized, several items were added to it before it was re-finalized.

• 35.10 Automatic Monthly FTP of Complete Mailing List

• This will automatically transmit your mailing list to corp. Begin by setting your parameters in menu 35.10. Set Field 7 to “Y” and in Field 8 enter the day of the month you want the mailer to transmit. The mailer will automatically transmit to corp during EOD processes the night after the day entered. Keep in mind that you still need to meet corps deadlines for accepting the mailing list. The date entered needs allow for weekend/holidays situations. DST recommends the 20th.

• Menu 35.19.8 Event Notification of customer back orders or special orders to purchasing agent

• This program will notify the person you choose (purchasing agent) to receive an email notification of any items back ordered for your customer from anyone taking a customer’s order. The notification is immediate so the purchasing agent can react immediately to fill the order.

• Begin by going to Menu 35.19.8. Enter the company store number (i.e. 01, 02 or 03) Select the line number and enter the email address of the person you would like notified. You can have multiple recipients. An email will be sent in the following format.

• When an item is assigned to multiple warehouse locations, all locations will print on the Pick Ticket.   This feature (only) of the upgrade will need to be manually installed for your store. 

• The Customer Name character space has been extended in the Customer Lookup Screen.

• When printing a laser quote, the disclaimer "This quote will be honored for XX days from date shown above" now prints on the bottom of the quote.

• Customer certification information is now printing on invoices that list a product requiring certification.

• Menu 4.1.9 - Credit Manager Inquiry  • When using the 'L' Lookup option in 4.1.9, the

Lookup screen now displays the AR balance in the last column.

• AD -Users can now get to the AR Adjustment Menu (4.1.2) from within Menu 4.1.9 by typing in 'AD' at the last screen.

• Menu 4.4.2 - Dunning Letter Edit Report - An additional column has been added to the report that shows customer ranking as either A, B, or C as an additional tool to use in assigning Dunning letters.

Menu 5.2A - Bulk Copy/Delete - This system will now file transfer both reports.  Previously, this menu would only file transfer the second report, overwriting the first report. 

Menu 5.17 - Price Book For A Customer - At this menu the following new prompt appears:  New Price Book to Include Menu 5.33 Pricing (Y/<enter>).  Enter 'Y' at this prompt to get the new report.

Menu 5.33 New Customer Pricing Matrix  • Enter a "Y" in Menu 12.3.2.2 (Product Master Maintenance), field

21, if you want the pricing in Menu 5.33 to always be used, even if the price in 5.33 is higher than the price in field 14. EACH PRICE.  Also, when you set this flag to "Y", the flyer pricing will be blocked, and you will not have to block the Corp transmission update of this product's price. 

• Menu 5.33 will give users the ability to set pricing or discounts for 'ALL' vendors as well as a specific vendor.

Menu 35.10 - EOD Update Parameter Maintenance - In field 10, users now have the ability to Download Corp Invoices at 5am.  Answering 'Y' will tell the system to wait and download Corp invoices at 5am local time.  Answering 'N' or leaving the field blank will tell the system to download Corp invoices during the EOD process.

Menu 35.20.4 - JS Webstore Account Maintenance - Additional email address fields have been added to Account Maintenance, menu 35.20.4.  This option will allow the setup of additional email addresses; these email addresses can be different email address at the store or for a customer.  For example: if you want one of your salesman to see orders placed on specific customer accounts they are working on, or the AP department for the customer.  These emails addresses can be added using menu 35.20.4.

• Lost Sales can now be recorded in Stock Status. The {qty}L option has been added. To record a lost sale type in the quantity lost followed by an L (1L).

Menu 19.6 - Stock Status• In Stock Status, type ‘SP’ to bring up the Sharepoint

options. The DC Inventory Stock Status feature has been added in Field 20. Selecting this option will take users to the Corp DC Inventory Stock Check screen.

 Menu 19.7B – Inventory Transaction by Product• Stock Status (Menu 19.6) now allows users to search

transactions by Adjustments (ADJ), Purchase Order Receipts (POV), and Invoices (INV). To see the new options enter a product in Stock Status, Select ‘H’ (Inquiry 19.7B – Inventory Transaction by Product), enter in the Warehouse and then select the Customer.

• Based on the selection criteria for warehouse and number of hits, the report will include part numbers with at least the number of hits specified and show the Warehouse, Part Number, Description, Quantity Sold, Vendor Number, Vendor Name and the number of hits.  The time-frame for this report is the total for this fiscal year + last fiscal year. It could be as little as 12-months and as much as 23-months.

• Menu 1.1.1A & 19.1A – Price Quote LookupNew functionality has been added to Menu 1.1.1a & 19.1a that gives users the opportunity to see what quotes are outstanding for customers on a particular vendor. This will allow users to see if there are any quotes, for a particular vendor’s products. Users can select ‘ALL’ customers, select products based upon product master vendor, and select multiple products at the same time

• Menu 1.2 - Hazardous Ship Code DescriptionsHazardous ship codes will now appear on the product description in Order Entry Line Input. Previously only the description showed.

• Menu 1.2 – Changing Customer Terms• In Menu 1.2 when an order is being issued users can now change the customer

Terms (Menu 1.2, Field 6) and have it take affect for the order that is being placed. Any terms code can be selected. However, if a terms code is selected that is listed in Menu 35.1, Field 7 the system will require cash to be taken.

• Menu 1.2 – Menu 5.33 Display Change• The 5.33 display in order entry has changed. If a customer uses Menu 5.33 pricing

the name of the pricing program will now appear along with the P1, P2, etc…

Menu 5.29 – Product Class Multiplier Maintenance• Menu 5.29 is available as a tool to help keep product

prices competitive. If a multiplier is created for a product class in Menu 5.29, it will override the multiplier listed on the customer record in Menu 12.2.2, Field 37.

**Note:  No price changes will take affect in Stock Status (Menu 19.6) if a multiplier is added to a Product Class in Menu 5.29.  Stock Status will continue to display the regular prices based on the original setup.  For this reason it's best not to use Stock Status for quoting prices.

Menu 25.3 –Reset printers

What this does: Originally this program was designed as the most drastic attempt to clear up a serial printer. Trouble was, if you had a jet direct/network printer installed this would clear up the printer, delete it and never be able to restart it again. This program has been upgrade to allow for the clear and reset of the jet direct/network printers.

Menu 25.3 –Reset printers1) this program first advises you to run through and check the most common printer issues.

Check the following:

1. Turn printer off/on 2. Is the printer on-line 3. Is the baud rate correctEnter printer number ?2) Next, after inputting the printer# we PING the printer to confirm the printer in question is actually on the network. If

it doesn’t find it on the network, it will not proceed. ***Note, the program will not PING serial printers. It will only PING the printer, if it can tell if it is a network printer. Otherwise it will delete/start the printer as it did before.

Menu 35.14 Field 11 – Print/Fax/Email Statements During EOM• Enter a ‘Y’ in field 11 to have Statements Print/Fax/Email during the

EOM process. In order for statements to Print/Fax/Email during the EOM Menu 35.14, Field 9 must also be set to a ‘Y’.

 • Menu 35.14, Field 11 will default to a blank field which equals ‘N’. If

the field is set to ‘N’ statements will not print/fax/email during EOM. • Note: If parameters in Menu 35.14, Field 4 and/or 5 are set to

‘N’ statements will not fax/email, they will print. Menu 35.19.6 – PO 855 Acknowledgement• Users now have the opportunity to enter up to 8 email addresses to

receive PO acknowledgements. In the past, the system offered 2 email addresses.

U2004.4 Adv Part# Lookup

• Advance Part# Lookup– enter multiple search strings to locate a product in which all the strings

are present. The search looks in Description 1, Description 2 and Vendor Description to determine if a match is present

– EX: moto blad -entering a lookup string (still same rules, 4 or fewer chars) followed by a space and another string finds only those items with _both_ strings (in this case, Motor and Blade) Can also include a 3rd string. EX: moto blad cond

– It just counts the number of spaces between the strings you enter, and loops through those until done. It does work in a hierarchy though...that is, the first string is found (i.e. MOTO), then everything from that list that has BLAD is found, then everything from _that_ list with COND. So, depending on the order in which the strings are entered, you could get different results.
