Minutes of the Skyland Church Annual Meeting January 31, 2016

Call to Order: Moderator Marcia Rollins called the meeting to order at 11:23 am.

Opening Prayer: Rev. Stephen Glauz-Todrank opened the meeting with a prayer.

Quorum Check: A count of the members in attendance confirmed that we had a quorum for today’s meeting.

Approval of Budget Meeting Minutes: Minutes for the Budget Meeting of May 31, 2015, were approved as written.

Treasurer’s Report: Gerry said that we are looking good financially, and he reviewed some of the details in the latest Profit & Loss and Balance spreadsheets.

Annual Report Comments: After a brief question and answer regarding how the Endowment Fund is invested, the members approved the 2015 Annual Report as written.

Announcement of Site Planning Kick-Off scheduled for February 28, 2016: Marcia gave an overview of the general agenda and how architect Bob Theis will help guide the idea-gathering process and offer summary suggestions. We do have not a contract with Bob Theis to be the project architect, but we will use his services for this one day, for which we expect to pay him. The overall objective is to have a new site plan by the end of the calendar year. Marcia then asked Jan Swayne to talk a little about Bob Theis as their long-time family acquaintance. Jan said that he is a “remarkable guide” who, like some architects, uses Pattern Language to facilitate design ideas.

Nominations & Elections: After one nomination for Music & Arts, which was declined by the nominee, the slate was approved as submitted.

Other comments and/or questions: Jeremy invited people to join the site planning committee.

Minutes of the Skyland Church Annual Budget Meeting on June 12, 2016

Call to Order: Marcia Rollins called the meeting to order at 11:36 a.m. A count of members present revealed that the group was five short of a quorum. Additional votes will be requested from the membership after the meeting.

Opening Prayer: Jeremy opened the meeting with a prayer.

Treasurer’s Report: Gerry provided and reviewed a spreadsheet of the Proposed Financial Plan for the 2016 / 2017 fiscal year. Spreadsheets were also provided for additional details of the proposed budget, the Financial & Loss Financial Plan performance for the last fiscal year through the end of May, and the Balance Sheet as of May 31, 2016.

Jan Swayne made a motion to approve the proposed budget, and Larry Cooke seconded. The twenty members in attendance approved the budget unanimously.

Adjourn: The meeting was adjourned at 11:48 a.m.

TREASURER’S REPORT FOR 2016 CALENDAR YEAR Thanks to your generous financial and personal support Skyland Church continues its generous mission outreach. $17,825 distributed to local and general mission outreach. $16,366 was given as Our Share to Northern Calif. Nevada Conf. UCC. $34,191 is our total mission outreach. Your generosity in time and talents resulted in an exciting Harvest Festival with net donations minus expenses of $18,433. This revenue supports 10% of our general operating budget. Thanks to your support, pledge donations are essentially on target for the first seven months of our fiscal year. However, establishing the “Year to Date” target involves a fuzzy crystal ball due to lump sum giving and pledge changes at various times during the year. Per our approved budget plan, previous years surplus has been transferred to the “Other income & surplus” on the next page Income item. Investment revenue of $3,406 plus generous donations of $6,000 were allocated to our Capital Improvement Fund. Following is a quick summary of our finances at the start and end of 2016 and the June 1 start of our current 16/17 fiscal year.

AUDITOR

I have previously reviewed the Skyland Church financial records, for the fiscal

year 2015/2016. I determined that the financial report issued to the congregation

by the Treasurer for the period June 2015 to May 2016 accurately reflected the

assets and the transactions for the year.

Furthermore, I reviewed the reports for the calendar year of 2016 and will resolve

them for the Budget meeting, sometime after we receive the January statements

and reconcile the checks and deposits through the end of the year.

I would again like to take this time to thank Gerry Alonzo and Jan Swayne for all

their hard work in collecting, banking, dispersing member statements, recording

and keeping track of all the money required to run the church. This job has been

continually done smoothly, accurately, and quietly.

Minister’s Report 2016 Rev. Stephen Glauz-Todrank To prepare my report, I look back over the newsletters of the past year and read the reports of our boards and committees which I use to jog my memory about high points of the year. What a productive and spirit-filled year it was! Throughout, I have felt a “cup-runneth-over” gratitude for the time we have shared together. Here are just a few of the memorable moments for me. I loved singing with you after the delicious spaghetti dinner put on by the Women’s Group in January. You also gave me a beautiful, delicious celebration of my 25 years of ministry with you on Valentine’s Day including a video from the kids that I will treasure always. We worked and played with other churches including a beach party with our neighboring UCC churches at La Selva Beach, and cancelled our church service one Sunday morning to be with Peace UCC when they installed Rev Yael Lachman as their Associate Minister. Yael was a much beloved intern with us for two years while she was in seminary. We cleaned up the Summit Road area with members of other mountain churches and continued our tradition of Christmas music together at our local LDS church with Margretta conducting a sing along of Handel’s Hallelujah Chorus. We started a process of working on how to make our whole property and the buildings on them better serve the community, a process that continues under the guidance of the Site Planning Committee. While we are moving forward on concepts and ideas, we have pruned and removed trees to open our campus up and give fire protection, and Jeremy Cole and Mike Schmidts gave some of our white walls a pro paint job so the whole place has never, at least in my time, looked better. Check out the Missions Board report for all the action there including over $34,000. in outreach money to a variety of local and world-wide projects. We sent off our 10th African Library Project library which gives many community members an opportunity to donate books through our local schools. I also want to highlight the outpouring of gifts for a homeless family that Marcia Rollins knew through her work. They are a family of four who had three forks and with Marcia’s help they found an apartment and

with our help they were able to furnish it, including plenty of forks, and enjoy a Thanksgiving dinner together in their new home. That’s hard to beat for pure joy appeal! We haven’t had a seminary intern for a few years but this school year we have Chelsea Page a senior at Pacific School of Religion who has brought us excellent leadership and a fascinating background as a long time member of the Catholic Worker movement. It continues to be a blessing for me to work with her. Lastly, we initiated a series of conversations begun in 2016 but continuing into next year using a curriculum put out by the UCC on White Privilege. I look forward to deepen our shared awareness of racism and how it affects our lives. I believe that what we learn from the materials and each other will help with the healing that we so much need in our country on issues of race. Those are just a few of the memories that bring a smile to my face as I remember the year gone by. Now as we begin the year ahead where will God lead us? Stephen Glauz-Todrank

Moderator’s Report for 2016

This past year has been a very full one. All of the Skyland boards and committees have been very active and attendance and participation at Council meetings has been quite productive in many areas.

In the spring the Council conducted it’s annual pledge drive, during which members spoke about what it means to them to be members of Skyland Church. This year the speakers were Joan Law, Renne Pressler, and Brian Wood. Their comments were very inspiring and our pledge drive was successful.

The Council was asked by the Red Cross to offer Skyland Church as a community shelter in the event of a emergency such as a fire, earthquake or other disaster. The Council voted to be designated as a shelter if needed during such events.

This year the Site Planning Committee has met regularly to discuss proposals and concerns regarding ways to improve our facilities and to use the new corner property the was received from the Wicht family. The committee is an informal one, consisting of volunteers. The committee invited architect Bob Theis to conduct a site tour and discussion of ways that our site might be improved. On August 21, Jan Swayne gave a sermon regarding the planning process. Members of the congregation were asked to share their suggestions for changes and improvements by writing their ideas on post-it notes and posting them on a board set up at the front of the church. The committee compiled the ideas and is using them to inform their planning. Bob Theis will be visiting us again on February 18 this year for a day long session.

In August, our church was invited to have a table at Mountain Residents Night Out. Several members hosted our table and shared information about the church and photographs of some of our activities. We enjoyed the opportunity to meet and talk with members of the mountain community.

In the fall Skyland Church was pleased to welcome Pacific School of Religion student Chelsea Page to join us an intern. Chelsea has shown strong interest in learning about all aspects of our church functions. She has conducted Communion services and given sermons, and attended Council and committee meetings. Her contribution promises to continue to be very beneficial in the coming year, as the church continues site planning and looks at ways to build vitality in our church community.

On January 29 my-two year term as moderator will come to an end. I have very much enjoyed my experiences working as moderator and I greatly appreciate the enthusiastic participation and devotion of all members of the Skyland community to the mission and vision of our church.

Skyland Community Church 2016 Trustees Report This year was a busy year for the Trustees completing 14 projects. In May both of the CFL Dusk-to-Dawn lights had failed and needed replacement. LED replacement Dusk-to-Dawn fixtures were researched, purchased and installed. The new LED lights have 7000 lumens of illumination consuming only 50watts of power and have expected lifetime of 100,000 hours or about 22 years. Also, in May the Water Heater failed and repair was attempted but it was beyond repair. A wedding was scheduled for that Saturday and it failed on Wednesday, so removal, replacement and installation were performed by church members before the wedding. In spring, new LED light bulbs were installed in the hanging fixtures in Whitaker Hall which replaced the CFL bulbs that were failing earlier than expected due to inadequate ventilation in the fixtures. In June, the faucet in Lower Whitaker Hall was replaced. Also an excel based project list was created to keep track of all the open projects and completed projects which was shared with all the Trustees. Business cards were created with the Trustees church email address so that anyone using or visiting the property could easily report issues. Weed mowing was done May, June, and July. An ad was placed in the Religious Directory of the Los Gatos Times section of the San Jose Mercury News that ran from June thru the end of August. Unfortunately the SJMN was unwilling to change the font size of our ad to match the font size of similar ads of the Religious Directory, so the ad was not renewed after the 3 month trial, even after numerous emails back and forth. In August, the concrete buckets that were used for the 10K run found a new home at the school. In September, the lights in the hanging fixtures in the sanctuary were replaced with LED light bulbs. Each fixture had 4 bulbs, 3 x 40w and 1 x 100w. The 40w bulbs were long and narrow and always became cloudy and dimmer over time. The new LED bulbs won’t have that issue. They are fully dimmable and work with our existing dimmers. When all six fixtures of the old light bulbs were “on” they consumed 1320 watts. With the new LED bulbs it is less than 220 watts. Also the color temperature of 2700K was chosen to match the old bulbs for a warm light in the sanctuary. The lights in the women’s bathroom were reported to be too dim so brighter CFL bulbs were installed. Also in September four days of tree trimming were completed based upon the recommendations of a local arborist to the trustees. This work cut tree limbs that were hanging over Skyland Road below Whitaker Hall and removed a dead tree. Visibility of the Church buildings was improved by limbing up the redwood trees and a walnut tree. All of the firewood size logs were saved from all of this trimming and two cords of wood were sold during the Silent Auction at Harvest Festival and then delivered in November. 2016 Deacons Annual Report

The year was one of development for the board of Deacons as we continue to discern ways to enhance the worship experience, while being together in both work and play.

In February, we celebrated Stephen's 25th anniversary as our minister. We also celebrated the 90th birthday of long time member Joan Law.

The deacons continued the tradition of hosting a Maundy Thursday soup supper followed by the service of Tenebrae.

The month of April offered two occasions to celebrate with our sister churches, Peace UCC and La Selva: first at Peace UCC for worship, then at La Selva for a beach day. We look forward to opportunities to be together in the coming year.

At Harvest Festival, the deacons offered attendees the opportunity to make prayer flags; the flags continued to inspire for weeks afterward.

Autumn heralded the arrival of Chelsea Page, our seminary intern. A small group of deacons meet with Chelsea monthly to support her field experience.

The deacons made plans to host a showing of the film Pursuing Happiness. Stay tuned for the date.

We planned for special services during the Advent and Christmas season, and prepared the altar and Communion sacraments throughout the year. We also arranged for liturgists, communion servers, greeters and, on occasion, prayer leaders.

Board of Religious Education 2016

Members: Cheryl Shyba, Ann Baier, Dorice Piraino-Sharp, Carol Carre, Patricia Woods

The Board of Religious Education continued with important bible stories for the winter term in 2016. Biblical places were located on the the map in the Sunday school room. For the spring term, the board chose the topic of forgiveness. Teachers used bible stories to explore Jesus’ teachings on the subject. Outside curriculum was also used to explore the topic. Art project and activities were used to enhance the lessons.

The board wanted to continue the religious education through summer learning activities, but due to a lack of children in attendance only a few Sundays had formal activities.

For the fall term, at Stephen’s suggestion, the board adopted the online curriculum Exploring the Holy Land, Ahlan wa Sahlan: Welcome! Lessons are designed to help children connect stories in the bible to real children’s lives and the places they live. Ten cities in Israel and Palestine are included along with the holy sites of each area. A letter from an actual child is included in each lesson. The first five lessons were taught in the fall. The board plans to complete the curriculum in Jan. and Feb. of 2017. A bulletin board was created to use with the curriculum and to allow the congregation to easily view lessons and projects. Due to an art show the bulletin board was taken down and not rehung.

At multiple meetings the board discussed offering more activities for middle school and high school youth. Parents of the youth were encouraged to meet with Stephen and discuss options: youth group, participate in the service, or teacher helper at Sunday School. This topic will be taken up again with the new board and parents.

Thanks to the help of Deana Arnold the board coordinated another successful Fourth of July picnic. The Christmas pageant was a success. Chelsea narrated and nine children participated. Adult members were encouraged to participate too.

Cheryl Shyba, Ann Baier, Dorice Piraino-Sharp, and Patricia Wood have agreed to remain on the board. Carol Carre will be retiring form the board. New board members will be Sherrie Starkie and Caroline McCall.

Missions Board Annual Report – 2016

The Board continues to focus both on raising money for worthy programs and on informing the congregation about the programs that we support. The Board salutes the generous individuals who, through Skyland endeavors and their own projects, have done so much to diminish hunger, poverty, and ignorance locally and across the world.

At Easter, we donated $1,802 to One Great Hour of Sharing. Globally, these funds faciltate hunger and disaster relief and sustain water projects.

In late spring and summer, we collected 1,175 books from local families and schools for another African Library Project in Sierra Leone, our tenth. The fourteen boxes included much-needed school supplies. Many children and adults wrote letters and drew pictures that were placed in the boxes. Skyland Church was again named a Global Literacy Champion by the ALP. The Board is maintaining its long-standing support of overseas students. $348 was donated to fund one in Guatemala through the Doroteia Pathways Foundation. A special collection, scheduled for January 8th and 15th, 2017, will contribute to the tuition of two technical students in India and three high-school students in Fiji. Special dinners sponsored by Emile Mooser raised $8,815 for an orphanage in Cambodia.

In December, the Blanket Sunday collection raised $1,732 to support the efforts of Church World Service.

Our Heifer tube filled up regularly in 2016. In all, we raised $648 for the Heifer Project’s small animal program.

Skyland Church was also active closer to home. Bags of clothing, along with food and toiletries, were delivered to the Davenport Resource Service Center both before and after Harvest Festival. Clothes were also taken to Goodwill, and books to Happy Dragon in Los Gatos. In November the congregation gave generously ($1,015) to provide Thanksgiving and Christmas dinners for seniors at the Davenport Center. In-kind donations totaling $444 helped to keep our food pantry well stocked.

Donations of $900 and $200 were made to local emergency relief and Mountain Neighbors Helping Neighbors respectively.

The annual Giving Tree program, sponsored by the Women’s Group, raised $1,381 to buy Christmas gifts for needy local families.

In response to a proposal by Board member Marcia Rollins, our congregation donated several kitchen items, bedding, furniture, and gift cards to a family of four known to Marcia through her work. A grocery gift card enabled the family to have a traditonal turkey dinner.

Missions outreach for 2016 totaled $34,191. This sum includes our budgeted contrubution of $16,366 to the Northern California Nevda Conference, UCC.

Board of Communication Systems (BCS) 2016 Report

Description The six-member Board of Communication Systems is one of six boards created by the church bylaws. The BCS duties include:

• Develop and maintain the communications systems for our church. • Develop and oversee the church website. • Serve as a channel for distributing written communications within the church and community. • Cooperate with the other boards, committees and pastor to enable and assist them to make visible their message. • Provide accessible and secure locations for Church documents, which include our history, our current processes and training aids. • Develop and maintain the member and friends database. • Develop and propose the annual budget for their activities.

Elected Members in 2016 John Gaffney, Lynn Mitchell, Richard Lyness, Terry Leary, Larry Lopp, and Brian Wood As in 2015, we did not elect a board chair in 2016. BCS Activities in 2016

• Rather than holding meetings, we relied on email and personal communications for ongoing activities. It was a year of ongoing maintenance rather than doing new projects.

• We continued with a modest budget for 2016, which included expenses for printing and mailing the monthly newsletter, hosting the www.skylandchurch.com website and domain on GoDaddy.com, and maintaining our account on ConstantContact.com for email communications to members.

• Our subscription to ConstantContact.com is now charged to the church’s Visa credit card. We still need to do that for our services at GoDaddy.com.

• I made a number of minor improvements to the www.skylandchurch.com website and continued posting the monthly newsletters there.

• Cliff Barney and I again shared the responsibility of producing the monthly church newsletter.

Women's Group

We had a great year together.

The Directory got published with Lou McTamaneys help. Lou updated the information and we printed it.

We sponsored the Spaghetti Dinner which is open to all our community. We hosted Easter, Thanksgiving, and Christmas potlucks

We had a women's retreat at Patti Hughes and Betsy Fullagar's. The retreat was well attended. We shared laughter, tears, moments of wonder and an elegant lunch.

We try to keep kitchen stocked. We have been know to do some deep cleaning .

Our meetings welcome all women. We meet monthly at different homes. During the summer many members work on Harvest Festival.

The meeting starts with a devotional and then we follow our agenda. Often someone leads us in discussion . Our last discussion was on aging. One of the ideas that came out of that session was how important movement is. We now spend 5 minutes in our meeting being led in movement

andallboothshadtheirown$amountperbagat

theendofthefestival,butthistimewestarted

settinguponWednesdayinsteadofFriday.The

extratimemadeitpossibletosetuptheadditional

space.Weagainorganizedchildren’sclothes,books

andgamestogether.Westillsplittheauction

betweenthewallandthehall,butthistimefor

Emile/Jerold’sdinner,wehadseparatesignupsheets

foreachcouple,andweclosedoutthehallandwall

separately,becausewehadthree,nottwo,card

swipes,makingthecollectionbythewinnerseven

easier.

ThemoneyintheEndowmentFundisfullyinvestedinVanguardindexfunds,principallyinthosethattracktheS&P500,andtoasmallerextentinthosethattrackshortterminvestmentgradebonds.Duringtheyearthestockfundincreasedby11.9percentandthebondfundincreasedby0.3percent.

Thebylawsallowthewithdrawalofaccumulatedinterestforvariouschurchfunctions.Inlinewiththisprovision$1023waswithdrawntocoverpartoftheexpenseinvolvedintheacquisitionofthecornerproperty.Afterthistransactionthefundwasvaluedat$46,297yearend2016comparedto$43,822atyearend2015.

SECTION 2. BOARD OF RELIGIOUS EDUCATION: This board shall consist of six members elected by the membership for a two year term. Each year three of the members, who have completed their term shall retire. Incumbents may serve two consecutive terms and are then ineligible for election to this office for one year. The pastor and the church school superintendent* shall be ex-officio members of this board. Duties:

• Be responsible for the program of religious education including adult education, church school, the nursery, youth group, and library.

• Be responsible for the selection of a superintendent* of the church school and shall recommend that person to the church council for approval.

• Assist the superintendent* in recruiting church school teachers.

*When there is no superintendent, the Chair of the Religious Education Board will fulfill the duties of the superintendent.
