To participate as a stallholder at the City of Bunbury’s SkyFest Australia Day Celebrations 2017 event, please complete this Expression of Interest form. Once successful, you will be issued with a written ‘Stallholder’ approval and invoice from the City of Bunbury. Successful stallholders will be notified via email by Friday, 16 December 2016.

Please read the information and Terms and Conditions very carefully before completing the Expression of Interest Form below.

Expressions of Interest are to be submitted via email to [email protected] with the subject line: SkyFest Australia Day Stallholder, before 5:00pm, Friday, 18 November 2016.

GENERAL INFORMATION

Equipment / Vehicles • Tables, chairs, marquees etc are to be provided by the stallholders

• Stallholders must confine their displays to the stall site and all items must be stable and firmlysecured to avoid possible risk or injury

• Marquees are to be a minimum of 500mm either side of reticulation pipes in lawn areas (pipeswill be indicated with an arrow)

• Vehicles will not be permitted to park in or behind stalls/vans between 4:00pm and 9:00pm,unless approval has been sought from the Event organisers before the event. If a stallholderrequires vehicle parking behind their stall/van, this space must be included within the Expressionof Interest and it will be charged at the appropriate price.

Power

• Due to limited availability of power outlets, stallholders are encouraged to supply their ownpower. Alternatively, power can be used at the event for a charge.

• Power will be charged as follows: 10 amp outlets: $30.00 each + GST; 15 amp outlets: $40.00each + GST

• Stallholders requiring power must supply their own electrical cords, which must be tagged ashaving been certified (within the last 6 months) by a licensed electrician – no additional electricalcords will be available at the event

Food

• All new food stallholders are required to complete a Food Business Notification Form. Visitwww.bunbury.wa.gov.au to download. Fees may apply.

• Applications received from all food vendors will be assessed in accordance with the Food Safety Standards– Chapter 3 of the Australia New Zealand Food Standards Code. A City of Bunbury EnvironmentalHealth Officer will contact you prior to the event if necessary

• Food vendors will be required to comply with the Food Act 2008 and the Food Safety Standardsat the event

• Food vendors are encouraged to reduce the number of products sold in glass containers to improveevent safety and waste management efforts

• A CoB Environmental Health Officer will contact you prior to the event if necessary• Provision of a Food Business Certificate of Registration is a mandatory requirement of attending

this event. Unregistered commercial food businesses will not be permitted to operate at theevent.

Laws • You must comply with all the relevant laws relating to the products/services sold or displayed at your

stall• Stallholders selling licensed products (ie: those that require a royalty to be paid to the licensee of the

character/product) must have the appropriate license to sell the products in WA, as provided by thewholesaler/distributor

• Raffle tickets may not be sold unless an ‘Application to Conduct a Standard Lottery’ permit has beenobtained from the Gaming & Wagering Commission of WA; to apply for a permit stallholders shouldcontact the WA Department for Racing, Gaming & Liquor on 1800 634 541 or at www.rgl.wa.gov.au

Photography

• Any photographs or images taken of your van/stall and/or staff at the event will remain the property ofthe City of Bunbury and the City reserves the right to use these images for future promotion of the event

General

• Stallholders will be accepted by the event organisers

• Stallholder positions will be determined by the City of Bunbury event organisers, taking into accountsuitable sites by category and power requirements

• Allocated stallholder positions are not negotiable and cannot be swapped without the Event Organiser’sapproval

• The City of Bunbury will not refund to stallholders any application fee as a result of:

Risk

The vendor failing to appear at the event

The vendor cancelling his/her application after receipt of the application fee Non

compliance with the Terms and Conditions of the event

The event being cancelled and/or affected by inclement weather or factors beyond our control

• The stallholder must take full responsibility at ALL TIMES for their stall/allocated area – be vigilant andmonitor constantly

• The stallholder must make all efforts to eliminate hazards that might injure/harm you or visitors to yourstall

• The City of Bunbury takes no responsibility for your van/stall

• A copy of a current Public Liability Insurance Policy or Certificate of Currency for all stallholders must beattached to the application form

TERMS AND CONDITIONS

If your application is successful, the following conditions will apply:

1. No set up is permitted before 12.00pm

2. Your stall and bay area must, at all times, be kept:a. clean and tidy; andb. safe (hazard free) for you and visitors – pay particular attention to tripping and slipping hazards

3. Stalls must remain open (and attended) until 9.00pm

4. Stalls must be removed, and the bay area left clean and tidy, by 10.00pm

5. No cars/vehicles are permitted in the trading area between 4:00pm – 9:00pm

6. No public address systems are permitted to be used

7. This approval is not transferable to any other person and stallholders are not permitted to share, sub- lease or assign a site to another stallholder or third party

8. Electrical cords must be tagged as having been certified (within the last 6 months) by a licensedelectrician

9. Electrical cords and cables must be secured/covered so as not to create a tripping or other hazard

10. You must not unreasonably interfere with or disturb/annoy other stallholders or visitors at the event

11. If you breach any condition of this approval the City of Bunbury may immediately revoke the approvaland require you to vacate the event and remove your stall/exhibit

WASTE WISE INITIATIVE City of Bunbury has introduced the ‘waste wise’ initiative to all events in an effort to reduce waste. In support of this initiative, stallholders will be required to use compostable (environmentally friendly) products and packaging.

Any stallholder already using compostable products and packaging will be preferred.
