Welcome to the Update Notes for Shopkeeper® V8.

These notes provide details of enhancements and issue resolutions implemented in this

release of the product.

1.1 Prerequisites

In order to install and operate Shopkeeper® V8, please ensure that the following

mandatory prerequisites are met:

Review Product Licence and Licence Agreement

Ensure that you have a valid product licence for your installation and you are familiar

with the Shopkeeper® Licence Agreement. Licence details and the Shopkeeper Licence

Agreement may be updated periodically and must be reviewed following installation of

each patch update. The licence details and a current copy of the Licence Agreement are

recorded in Shopkeeper®.

To view the licence agreement, launch your Shopkeeper® Application, click on the Help

menu and select the About option to display the About Shopkeeper screen. The

Licence Agreement may be viewed via the View the End-User Licence Agreement

link on this screen.


1.2 Documentation Conventions

The following conventions are used in this documentation:

1.3 Enhancements

1.3.1 Accounts Payable

SK-4663 – Supplier Contacts

The existing 3 supplier contacts have been replaced with unlimited contacts:

Pick list maintenance has been updated to include a pick list of Supplier Contact types.


1.3.2 Accounts Receivable

SK-4663 – Account Contacts

Account contacts have been implemented that allow for entry of an unlimited number of contacts

Pick list maintenance has been updated to include a pick list of Account Contact types.


1.3.3 Inventory

SK-4738 – Product Specifications

The inventory module has been updated so that product details displayed on web shop includes: Features, Specifications, and Attachements.

This is defined in 3 areas: Department, Product Group and then Inventory maintenance.

Department / Product Group maintenance:

Product Specifications defined in department and product group maintenance become a template for

all products that are attached to the department / product group.


Inventory Maintenance:

On the inventory maintenance screen the department and product group templates are

combined to display the default specifications for the item:

Web Shop:

The Product specification data is displayed on the web shop product details page in a

tabular form for the customer to review.


1.3.4 Polling

SK-4425 – Plu Profile and Product Images

The following updates have been made to the Plu Profile process:

A new flag on the profile has been implemented to specify if product images are polled to the

store. The default for this option is unticked.

Only Primary images are polled.

Only Unique image names are polled. Ie if multiple products have the same image. Only 1 is

polled.

Only image files that have been modified within the profile dates specified are polled if the

profile type is audit trail based.


1.3.5 Pricing

SK-5077 – Receipt Voucher Multi Redeemption

Changes to receipt vouchers in the system have been made to allow a receipt voucher reference to be redeemed multiple times with in the nominated redemption dates.

Voucher Maintenance:

The voucher maintenance screen has been updated to include a new multiple redemption flag.

When Multiple Redemption is active the import button will become active so that one or more voucher references can be imported.

The numbers imported must be unique. If the number(s) already exists in the system on this or any other voucher id then a message will be displayed to the user detailing the numbers

already used.

Receipt Voucher Web Service:

The receipt voucher redemption web service will be updated to check the multiple redemption flag. When this flag is set it will allow the redemption of the nominated reference multiple

times until the redemption date is no longer valid.

Voucher tracking data will be inserted with a unique reference number with the following

format:

VoucherRef-LocRRYYMMDDhhmmss

Where:

Loc = Location Number, RR = Register Number,

YY = Year, MM = Month, DD = Day,

hh = Hour, mm = Minutes, ss = Seconds

Example: Voucher number 1234 would generate a unique reference when redeemed:

1234-021140335094537

Point of Sale:

Where the web service is not used the redemption logic will be updated to generate redemption

records as per above web service changes.


1.3.6 Sales Orders

SK-4713 – Item code to display parameter

We have added PLU and Secondary PLU to the options for the “Item code to display” parameter used to control which code is printed on invoices / quotes:


1.3.7 System

SK-4747 – Search result columns are now sortable

On F7 search functions or look up buttons the columns on the search results grid are now sortable:

SK-3789 – Add Security Policy: Copy from existing

When adding a new security policy you are prompted to copy from another policy:

SK-4663 – User Contacts

User contacts have been implemented that allow for entry of an unlimited number of contacts

Pick list maintenance has been updated to include a pick list of User Contact types.


SK-4922 – Emailing of Web Service exceptions

The shopkeeper web services have been updated so that an email can be sent when the services

raises an exception. This is configured using the Web.config file:

SK-4813 – Serial Numbers added to template import.

The template import routines have been updated to include importing of inventory serial numbers:

Importing serial numbers updates both the serialno and seritran tables with data provided.


1.4 Items Resolved

1.4.1 Accounts Payable

SK-4668 – Validation of data during Transaction import

The issue was reported in Version 8.0 affecting customers using the Accounts Payable

module and was first reported on 05/11/2013.

The transaction import routine now validates data in the import file. This also applies to

the Account Customer transaction import function.

SK-4642 – Supplier Allocation causing imbalance

The issue was reported in Version 8.0 affecting customers using the Accounts Payable


Where a payment involved discount an allocation may cause an imbalance on the

account.


1.4.2 Accounts Receivable

SK-4668 – Validation of data during Transaction import

The issue was reported in Version 8.0 affecting customers using the Accounts

Receivable module and was first reported on 05/11/2013.

The transaction import routine now validates data in the import file. This also applies to

the Supplier transaction import function.

SK-4786 – Account Maintenance – Account Code in lower case



The maintenance screen now enforces account codes to upper case.

SK-4443 – Manual Payment after Bank Deposit processed



Adding a manual payment after a bank deposit is processed for the date involved caused

an incorrect GL entry to be created.

SK-5070 – Missing addresses on statement / invoice reprint



When statements are printed with outstanding invoices, the invoice may be missing the

customers address.

SK-5138 – Account Payment Allocation error



When allocating a manual payment to an invoice related to a back order the payment

function received an error: “Function argument value, type or count is invalid.”


1.4.3 Banking

SK-4940 – Bank Deposit Listing sort order

The issue was reported in Version 8.0 affecting customers using the Banking module

and was first reported on 04/02/2014.

The sort order of the Bank Deposit Listing report is now Deposit Date then Actual Date.


1.4.4 Customer Orders

SK-4782 – Completing orders via web service

The issue was reported in Version 8.0 affecting customers using the Customer Orders


System diary entries for customer orders is now generated when an order is completed

via the web service.

SK-4951 – Customer Orders and Warranty linking



Warranty linking is now supported for customer orders.

SK-4787 – Unique constraint added to names table



A unique constraint on location and code for the names table has been added.

NOTE: Check and correct duplicate name entries before patching.

SK-4921 – Identify transfers for customer order completed by the web service



When a fulfilment order is completed via the web service and a transfer is generated, the

inventory transaction comment is updated to indicate that the transaction originated from

the web service.

SK-5108 – Customer Orders and Warranty linking



When completing orders via the web service, warranty items were not being auto

completed.


1.4.5 Inventory

SK-4717 – Copy from a matrix item

The issue was reported in Version 8.0 affecting customers using the Inventory module


When adding a new item and copying from an existing matrix item data was not set

correctly for a normal inventory item.

SK-4622 – Inventory Stock on Hand report



This report has been updated to use the standard inventory report selector options.

SK-4610 – Online Card missing from store



When using the copy and send function in inventory, online card details were not part of

the mini profile if the item was related to an online card.

SK-4907 – Recalc Commited Quantites



When recalculating committed quantity, data from the invcommit table was being

checked for type 0 and should be 1.

SK-4268 – Adding inventory diary entries



When an inventory item is created, diary entries are generated.

SK-5085 – Display comment on the inventory transaction screen



In the inventory maintenance screen the transaction screen now shows any comments on

the transaction.

SK-5050 – File specificationmaintenance.scx does not exist error.



A new screen was missing from the compiled executables.

SK-5137 – Rename PLU error.



Importing a PLU rename generated an error: “Alias is not found”.


1.4.6 Matrix – Style, Color, Size

SK-4698 – Style image not showing on images view

The issue was reported in Version 8.0 affecting customers using the Matrix module and

was first reported on 12/11/2013.

Images were not displaying correctly in the product image screen.

SK-4617 – Labels error



An “Alias ‘BRQUANT is not found” error occurred when using the label function.

SK-4786 – Style Maintenance view transaction history



View transaction history has been reinstated when looking at stock on hand details for a

style.

1.4.7 Pickup / Delivery

SK-5123 – Truck Allocation error

The issue was reported in Version 8.0 affecting customers using the Pickup / Delivery


The following error occurred in truck allocation: "Conversion failed when converting

datetime from character string."

SK-5121 – Pre Dispatch error

The issue was reported in Version 8.0 affecting customers using the Pickup / Delivery


The following error occurred in the pre dispatch screen: "Qoutestochar.prg does not exist"

1.4.8 Point of Sale

SK-4768 – Inventory Stock on hand table at head office

The issue was reported in Version 8.0 affecting customers using the Point of Sale


Point of sale connected directly to the head office system for locations other than 1, now

uses the live inventory stock on hand details in the database.

SK-4997 – Pos to enforce customer details over certain value.

The issue was reported in Version 8.0 affecting customers using the Point of Sale


Updates to Pos have been made so that customer details can be specified for sales over a

certain value. This is a GST compliancy issue and changes have been made so this can

be controlled by parameters.


New parameters have been added:

Sales(56) Enforce VIP Sale. This is used in conjunction with the Auto VIP sale value

parameter and enforces the customer selection.

Printer(85) Heading for Receipt. Default “Tax Invoice”

Printer(86) Heading for Refund. Default “Tax Adjustment”

SK-4599 – Power Off Recovery / Voucher Redeeming

The issue was reported in Version 7.11.4 affecting customers using the Point of Sale


When using Receipt vouchers in conjunction with the web service at head office and error

occurred during power off recovery where a transaction involved a receipt voucher

redemption.

SK-4640 – PDATrans / Pos fulfilement Address



When using customer orders with the fulfilement flag selected and a null address id is

passed to point of sale by pda trans an error occurred.

SK-4772 – oXML object error on start up.



Where trickle has been made active but the trickle configuration is incomplete the

following error occurs: “oXML is not an object”. Point of sale now continues to run but in

non trickle mode.

SK-5005 – Synchronise and settings table.



Synchronise now performs a full sync on the settings table each time a synch is

performed.

SK-4965 – Synchronise and the log table.



As Synchronise creates log entries, if it is unable to write to the log table a new log file is

created and the synch process continues.

SK-4471 – Trickle file created by pos.



Point of sale would randomly create a trickle file with the processed flag being set. The

trickle file would arrive at head office and be ignored because it thought the transaction

was already processed.

SK-4975 – Synchronise file does not exist error.




If the pos exe is missing on the local system, Synchronise copies the exe from the store

server if it doesn’t exist.

SK-4757 – PDA Trans checking order no.



PDA Trans now checks the PDA Order number in Trnhead before re inserting a new

transaction.

1.4.9 Polling

SK-4321 – Adjusting Lay-by adding items with discounts

The issue was reported in Version 8.0 affecting customers using the Polling module and


Adding items to a layby with discounts caused an imbalance when calculating the layby

balance.

SK-4852 – Memo file is missing or invalid error



Processing coupon data for non trickle stores generated a “memo file is missing or

invalid” error on a temp file.

SK-4895 – Trickle of Customer Order Templates



Where there were more than 500 templates for an order type, trickle would only send

part of the total number of items involved.

SK-4566 – HQ Update and Receipt Vouchers

The issue was reported in Version 7.11.4 affecting customers using the Polling module


An All PLU profile was not processing receipt voucher updates correctly.

1.4.10 Pricing

SK-4659 – Receipt Voucher locations

The issue was reported in Version 8.0 affecting customers using the Pricing module and


Newly added locations to the system were not available on the location tab on the receipt

voucher maintenance screen.

SK-4594 – Receipt Voucher edit live vouchers




Editing of a currently active voucher has now been enabled. Previously, editing was

disabled once a voucher became live.

SK-4850 – Mix and Match Start Time



When adding a new mix and match you were not able to set the start time.

SK-4572 – Promotion / Mix and Match searching



With the previous changes to the promotion and mix and match screens to provide a

filtered list the search was missed. This has now been re instated.

SK-4667 – Receipt Voucher Trigger / Condition



When a large list of values was pasted into a trigger or condition and saved, not all list

values were recorded.


1.4.11 Purchasing

SK-4784 – Auto purchase order option dates

The issue was reported in Version 8.0 affecting customers using the Purchasing module


On the auto purchase order options screen you were not able to change the from and to

date drop down values when selecting the average monthly sales option.

SK-4824 – Movetax records for exempt purchase orders



When receiving purchase orders, movetax data is now created for exempt purchase

orders / items.

SK-4769 – Disable ability to receive against non primary SBT supplier



Purchase orders for SBT suppliers can only contain items that have the primary supplier

set. You will not be able to add these items to purchase orders for other non primary

suppliers. Functions affected:

Purchase Order Item entry

Matrix Purchase Order Item entry

Purchase Order Import

Matrix Purchase Order Import

Multi Purchase Order Receive

Auto Po – Group / Single order entry

SK-5051 – Multi PO error duplicate column name



On the multi po item entry screen the following error occurred: “The column name

tax_perc is specified more than once in the set clause”.

SK-5130 – Auto Purchase Order error



When entering items using an alternate plu an error occurred: Variable ‘Descript’ is not

found.

SK-5125 – Multi Purchase Order Receiving error



When receiving items an error occured: Incorrect syntax neer keyword WHERE.


1.4.12 Sales Order

SK-4626 – Fulfilment updates

The issue was reported in Version 8.0 affecting customers using the Sales Order module


The following updates to fulfilment have been made:

When creating purchase order data, a list of existing POs is displayed to pick from.

After adding new POs a list is displayed.

If the supplier has the electronic flags set the purchase order created is also

flagged as electronic.


1.4.13 System

SK-4719 – Error deleting a document rule

The issue was reported in Version 8.0 affecting customers using the System and was first

reported on 14/11/2013.

An error occurred when trying to delete a document rule.

SK-4335 – Application hang after Template Import



The application may hang after performing an import using a template.

SK-4658 – SQL communication error followed by nesting error



When an SQL connection issue occurs the system goes into a recursive loop trying to

create log entries which causes a nesting errors.

SK-4759 – Print Dialog – User email address



The email address on the print dialog in the system now defaults to the email address on

the user record.

SK-4708 – Replace Seek / Replace / Commit with SQL Update / Insert



This is a system wide change to resolve random “Cannot update the cursor” errors. The

mechanism of using VFP local cursors for SQL updates (Seek / replace / commit) has

been replaced with direct SQL statements for either updating or inserting data without

using a VFP cursor as an intermediary step.

This affects all parts of the product with the exception of:

Point of Sale: Pos has remained unchanged as we need to support VFP data for

offline mode.

Sales processing had already been updated to this mechanism.

SK-5034 – Uprade error creating unique index on names



The update scripts now ignores and logs an entry when the unique index creation fails.

1.4.14 VIP / Loyalty Customers

SK-4745 – Create new suburb in VIP Maintenance




Adding new post codes from the VIP maintenance screen was not working correctly.

1.4.15 Web Shop

SK-4740 – Magento Plugin and Multiple web categories



The Magento plugin has been updated to allow support for Styles and Products with

multiple web categories.

The following parameters have been added to the system:

1.8.1 Sales (56) – Enforce VIP Sale

Enforce VIP Sale. Default true. This enforces the sale is turned into a VIP sale when the

amount threshold is reached specified by the existing parameter: Auto VIP Sale Value.

1.8.2 Printer (85) – Heading for Receipt

Heading for Receipt. Default ‘Tax Invoice’.

1.8.3 Printer (86) – Heading for Refund

Heading for Receipt. Default ‘Tax Adjustment’.
