Automated Waitlists

• Released in Banner 8.0• Allows schools to automatically

generate an e-mail notification to first student on the waitlist when a space is available

• The student has a set amount of time to add course. If student does not add the course, he is automatically removed from the waitlist and the next student is notified of availability

• This report has been modified to display waitlist priority position and expiration date information for students who are waitlisted, based on the course registration status code (STVRSTS).

Waitlists and Add Authorization Codes

• Currently, not compatible. Schools will need to choose either Waitlists or Add Authorization Codes

• The California Solutions Center wants to hear your ideas on how you would like to see them work together

• Registration Add Authorization Codes

How it Works• The Registration staff decides whether this pre-approval

logic can be used for a specific term.

• If the functionality is activated, the staff generates a list of pre-approved authorization codes using the Generate Registration Add Authorization Codes Process (SVPAUTG). These codes are then distributed to the relevant instructors.

• Instructors give the codes to students (at each instructor’s discretion).

• During the registration process, if the class is closed to registration, the students are prompted for the codes. Other limitations such as census dates are also considered in validation.

• After the code is validated, the student is added. If the code is not valid, the student is not added to the section.

Setting Up Add Authorization Codes

• On SOATERM select Registration Processing Controls from the Options menu– Verify that the Active For Term indicator has been

checked– Exit.

• Access SVVAUTC• Enter the term code and the CRN of a closed section• Click on the Generate Next Random Authorization

Code button. Five random numbers will generate. OR

• Generate authorization codes in batch by running the SVPAUTG

SOATERM

• Select Registration Controls from the Options Menu

SOATERM

• Check the Active for Term indicator

• Indicate How May Days After the Course Start Date the code can be used

• Indicate how many days the code can be re-used after it is initially used. (This allows the student to drop and re-add the course, if desired)

GTVSDAX

• Activate all add codes that can be used on the Web

SVVAUTC• Manually generate add authorization codes for a section by

clicking the ‘Generate Next Random Authorization Code’ icon

Registering a Student Using a Registration Authorization Code

• Access SFAREGS and attempt to register the student in a closed CRN.

• From the Options menu select Enter Reg Add Auth Code (SVAAUTH)

• Enter a valid authorization code in the Authorization Code field

• Click the Validate button• Click the Submit button to return to SFAREGS• Save

• If the course is closed, CLOSED SECTION-AUTH REQD displays

• From the Options Menu select ‘Enter Registration Add Authorization Code (SVVAUTH)

SVVAUTH-Enter the add authorization code

SVVAUTH-Click the Validate button. The status should change to

APPROVED

• Click the Submit button to return to SFAREGS

Using Add Authorization Codes on the Web

How Do Add Authorization Codes Work on the Web

• The student receives an add authorization code from the instructor

• On the Web the student attempts to add the CRN of the closed class

• The student receives a prompt to enter the add authorization code

• The student enters the code and submits the changes

• Student is informed if authorization is approved

• Add is completed

Student enters the CRN of a closed section

Student is required to enter the add authorization code

Error message is displayed if an invalid authorization code is

entered.

Approval message is displayed when correct code is entered.

Summary

• Incomplete Grade Processing allows instructors to submit an Incomplete grade, a default grade and an extension deadline for a student

• Automated Waitlist functionality allows schools to automatically generate an e-mail notification to students on waitlists when space is available

• Students are removed from waitlist if they don’t add the course by the deadline

• Registration Add Authorization codes allow instructors to issue a code to a student to add a closed session or a session that has already started
