Chapter Responsibilities at IC&C Delegates/Associates Meeting Carolyn Pellow, International Parliamentarian ([email protected])

September again, and with that planning for International Convention continues. In just a couple of months, members will come together to celebrate yet another year of our love of Harmony at International Convention & Contests in Providence, Rhode Island. Chapter presidents should be preparing for their role as the Chapter Delegate at the Annual Delegates/Associates Meeting scheduled for Saturday, November 5, 9:00 – 11:20 a.m. Again this year, as your chapter Delegate, you will receive a Delegate's ribbon at the Harmony Registration Desk when you check in and pick up your All-Events Pass. You are encouraged to wear your yellow Delegate's ribbon throughout the convention - Harmony wants to thank you and recognize your dedicated service! If you are unable to attend IC&C and/or the Delegates/Associates Meeting personally, you may nominate another chapter member to serve as an alternate delegate. The Official Credential Form - Alternate Delegate is available on the Harmony, Inc. website www.harmonyinc.org . (Members-only section, Forms - Chapter Forms HAR029). You will need your member ID to log into the members-only section of the website. If your chapter is represented by an Alternate Delegate she must present the completed and signed (by the chapter secretary) Official Credential Form on arrival at the Harmony Registration desk when she checks in and picks up her All-Events Pass. The Alternate Delegate will be given a Delegate's ribbon. Delegates are encouraged to attend and sit with their chapter at the Opening Ceremony on Wednesday, November 2, 7 – 9 p.m. As last year, it will not be necessary for the Delegate to count the members of her chapter in attendance or to stand and declare that number during the Opening Ceremonies. On Saturday at the Delegate's/Associate Member Meeting, Delegates have an opportunity to share concerns and opinions on decisions made by the International Board of Directors and to provide input directly to the Board. Each Delegate (or Alternate) will have one vote on each matter of business to come before the meeting. There will be no proxy vote. The voting privilege of Associate Members will be exercised through the vote of the Delegate elected by Associate Members at the meeting.

Finally, Delegates will elect a Nominating Committee for the 2017 election of the International Board of Directors of Harmony, Inc. (Article XII, Section 1 of the Harmony, Inc. bylaws). The Nominating Committee Chairman will be appointed at the Delegates/Associates Meeting by the Nominating Committee. Each member of the Nominating Committee will receive a copy of the Nominating Committee Work Guide. I look forward to seeing you at International Convention in Providence. Questions? I am pleased to announce the appointment of Allison Thompson as our new Education Event Coordinator. Allison sings with Bluegrass Harmony from Area 4. She is a welcome addition to our Assistants to the International Board of Directors. Thank you, Allison, for your willingness to serve Harmony, Inc.

Chorus Master Class Village Vocal Chords, ([email protected])

The Village Vocal Chords, as Harmony’s 2015 International Championship Chorus, will have the pleasure of presenting a Master Class at IC&C in Providence. This education class will be great fun, and we invite you to participate in this presentation. So that we might address your questions and thoughts about the “hows” and “whats” of our reigning year, we ask you to please send a message of inquiry to VVC President Jacquie Jensen at [email protected]

We’re Searching for Volunteers Kath Morgan, Volunteer Manager IC&C ([email protected])

Volunteers are needed still. One chapter has, for the past several years, taken on the task of introducing the Education Classes. They have decided to change their task this year (still volunteering) so I need a chapter to step up and introduce the instructors. The introductions will be provided for the speaker, classes will be Thursday and Saturday mornings. We would need 8-10 members for this task. Please consider helping out. We still need quite a few volunteers for chorus contest. It is a lot of fun volunteering, you get to meet many other Harmony members.

How can it be September already? We’ve had a beautiful summer. Ten weeks until IC&C 2016! If you have not sent your housing form, you need to do so ASAP. I must receive your form no later than September 29. After September 29 neither the availability of rooms nor the convention room rate is guaranteed. As I write this, there is the continued possibility of a mail strike. If you still need to submit your hotel request forms, email is your safest option. I have sent an email message to everyone from whom I have received a housing form indicating that it had been received. If you sent a form and you have not heard from me, please email me. Hotel Confirmation numbers will be sent out at the beginning of October. If you have any changes to hotel requests already sent, please send them to me to be updated on your form. All members must stay at a Convention Hotel or pay the Fair Share Assessment of $100. Your HAR 080 ICC Registration Form may be returned by email with PayPal payment or by ground mail with a check. Forms must be emailed or postmarked no later than September 15. Your HAR 117 ICC Dinner Pre-Purchase Forms with payment must be emailed/postmarked no later than October 1. Canadian members have received an email with alternatives to using Canada Post for Registration and Dinner forms and payment. If you are planning to take a chance and mail your forms along with a check or money order, please also email a copy of the form and a scan of the check or money order to the Registration Manager. Airport shuttles are available from/to T.F. Green Airport, Providence, or Logan Airport, Boston; Information is available on the IC&C website. Members are responsible for arranging their own airport transportation.

Pre-Registered Seating for IC&C 2017 (Halifax Convention Center, Halifax, Nova Scotia) will be for sale at the Registration Desk and after IC&C until March 15 or until sold out. Two hundred seats are available. The full amount of the Performing All- Events Pass must be paid and the name of the individual for whom the seat is purchased must be provided. An individual may sell the seat to another individual but he/she holds the responsibility to make the exchange and then advise the Convention Registration Manager of the name change. The rate of the AEP for IC&C 2017 will be approved by the International Board of Directors at Annual 2016; the rate and the form will be published to the website as soon as possible after approval.

Rehearsal rooms are available for choruses on Thursday. Sign-up in the Hospitality Room. There are three rooms available for chorus or Area hospitality on Saturday night. First to contact me wins! The Recording Authorization Form is available on the IC&C website. All contestants/performers MUST sign a copy and mail it to John Aviste, videographer or give it to him on site. Should a contestant/performer fail to sign, no audio or video recording of its performance will be available for purchase. If you wish to purchase a DVD of your performance(s) for $20, use the same form. The Photography Order Form is now posted to the IC&C website. This year Betsy, our photographer, will have a table in the Hospitality Room on Wednesday from 4 pm to 6 pm. If you prefer to take care of your photography form/check before contest day, you can do it then. On the schedule of events that was sent in the August E-Note, the Delegates Meeting had been omitted. The Delegates meeting will take place on Saturday morning from 9:00 AM to 11:20 AM in RICC 555A. Please also note that there are some changes of importance to the Minor Chords. This year the Minor Chords will be singing on Saturday at the end of the Quartet Finals. they become members.

Any leftover magnets from the presale will be for sale in Providence for $3.00 each (save $$ and

MASSIVE MEDIA EXPOSURE IN STORE FOR PROVIDENCE IC&C By Angie Beatty, Marketing and PR Coordinator ([email protected])

With IC&C 2016 fast approaching, we are in full swing with our PR Campaign. With beaches, light houses, fine arts, community choirs, fine dining, rich history and much more, Providence promises to be an exciting city for 27 choruses and 38 quartets to compete for the gold. Add in the top notch educational classes and fellowship with friends both old and new, you can’t go wrong by attending IC&C in Providence, the city where Harmony, Inc. began! My team and I have been hard at work getting ready for massive media exposure. I have been working hand in hand with the Rhode Island Convention Center to contact every media outlet available. We are inviting every television station in Providence to attend the contest and have even invited them to follow choruses and quartets through the pattern in order to see the entire contest process. We are also making ourselves available for live appearances as the schedule allows.

Radio stations have been contacted and we are hopefully going to have some quartets appearing live promoting Harmony, Inc. and our local chapters Harmony Heritage and NoteAble Blend. The goal is for the chapters in the area gain exposure as a result of our PR efforts. Wouldn’t it be FABULOUS if these chapters picked up a few members or received invitations to perform as a result of our PR efforts? My team is also working with the Northeastern District of the Barbershop Harmony Society. We are hoping to send a quartet to their district contest to perform and promote IC&C. We want to sell tickets and make sure our classes are well attended not only by our members but all barbershoppers that reside in the area. Providence is rich in culture with community choirs, universities, high schools and other arts programs. We have sent letters inviting college students, community choir members, music educators and directors to attend classes and the competition. There is so much that can be gained from forming partnerships with music educators and community choruses. The opportunities for both parties are endless. There is so much happening in Providence that you don’t want to miss it. This update only touches on all of the exciting things that your PR Team is working on for IC&C. The team welcomes ideas and suggestions so please feel free to contact us as there is no idea that should not be considered! I would also like to have ideas and suggestions on what you would like to see from the PR Team once IC&C is over. How can we help make PR more fun for your chorus, quartet and/or Area? If your Quartet and/or Chorus has produced a CD and would like the opportunity to sell them at convention in Providence, space will be available in the Hospitality Room, the Narragansett Ballroom. Please be aware of the following information: Visit the website www.harmony.org and complete form HAR-026. You may fill out the form on line and email it to me at [email protected]. I will accept your typewritten initials as your signature. Please return the form to me by September 15. Please be on time. There will be a 16-foot table for your use. Please plan your displays accordingly. These tables will be shared by all those selling recordings. The sales will be the sole responsibility of the Quartet and/or Chorus. There will not be any security provided. All sales will be conducted by those selling CDs. Do not leave your CDs or money in the room overnight. It will not be necessary for you to collect sales tax this year. You may sell your recordings at any time that the Hospitality Room is open. Harmony Queens may also sell recordings during Sing with the Queens.

If you, your chapter or quartet were thinking about purchasing a Big Screen Ad to support the contestants at IC&C but time got by you. . .or if your chapter from outside Area 2 was considering a Sales table at IC&C but the deadline came and went – good news! MEMBER RETENTION IS IMPORTANT!

When it comes to chapter membership growth, it often seems that we “gain one”, we “lose one”. While you’re working hard to grow your chapter membership, are you placing the same amount of effort into retaining your existing members? Here are some great tips for membership retention:

You Are Important! Your members need to know that you care. Members must feel a sense of family, inclusiveness, warmth, teamwork and encouragement from your chapter members and leadership. Remember birthdays, celebrate special events, and provide support to each other during difficult times. Utilize the unique strengths of each member by involving them in chapter responsibilities. Variety: Add variety to your rehearsals to keep them interesting. Schedule educational sessions, musical activities, or fun, non-music related activities into your rehearsals. Schedule social events outside your normal rehearsal night. On occasion, include family in your social activities.

Open Communication: Give your members opportunities to share feedback and concerns. Make sure your members know that the door is always “open” for them to provide their thoughts. Periodically conduct goal-setting sessions and membership surveys. Need help preparing a chapter survey? See page 15 of the FYV Membership Guide.

Recognition: Recognize your members for a job well done. This can be done privately or publicly. A simple “thank you” goes a long way! More tangible recognition can also be rendered, such as “Barbershopper of the Year” or years of membership awards. No matter how you do it, don’t underestimate the impact of recognizing your chapter members!

Go onto Amazon.com, Spotify or iTunes and either download or stream your favorite recordings from IC&C in Verona – and get yourself psyched up for IC&C in Providence! For Amazon, just click HERE (or on the Amazon link on the left hand side of the Harmony website home page). For Spotify, you'll have to log in and search for "Harmony Incorporated 2015 albums". For iTunes, you’ll need to search for “Harmony Incorporated 2015 albums” in the iTunes Store. Look through the labeled albums for your favorite chorus or quartet - in order of appearance.

In the 2015 September issue of the E~Note I told you … “There’ll be a change in the weather and a change at IC&C.” Guess what? It’s happening again. One of the changes is the scheduling of Sing With the Queens. You’ll find us in Waterplace 2 on Saturday from 9:00 a.m. to 11:50 a.m. Once again for the small sum of $3 you, too, can Sing With the Queens. Please join us, and following this event we can all go to the Quartet Finals and find out who will be our next Harmony Queens who will join us at Sing With The Queens in Halifax, NS next year. You don’t know their music you say? Well, purchase a CD or two from a Queen’s Quartet and learn some of their repertoire. It really is fun! See you at Waterplace 2 in the Omni.

We will honor the anniversaries of six International Quartet Champions, including the 50th anniversary of

the Sophisti-Kords who won in 1966!

Our current International Chorus Champions – the Village Vocal Chords – will entertain you in a style

that only they can do!

And for the first time this year, both LiveWire and the Village Vocal Chords will perform their swan

package on the Parade of Champions and LiveWire will receive their permanent crowns!

So you REALLY don’t want to miss it!

What does it cost to experience this FANTASTIC show?

Another change for this year -- there is no set price to attend the Parade of Champions! However, but

we do ask that you consider making a donation.

WHY?

The Association of Harmony Queens puts this show on every year to raise funds for the Queens’ Travel

Fund, which is a fund that helps finance the travel expense of bringing any registered Harmony Queens

Quartet to your chapter show or Area educational event.

SUGGESTED DONATION: $10 (but donations large and small are welcome!)

Donations will be accepted at the door.

The deadline for nominations of the Youth Members of the Year Awards has been extended to September 20! Nominations will include:

Nomination form

Letter from nominator

Letter from chorus director (if not nominator)

Letter from chapter president (if not nominator)

Note: If the nominator is either the chorus director or chapter president, please include one additional letter from the chapter leadership. If Youth Member is an Associate member, letters from those involved in their activities would be required in the place of the chorus director and chapter president. CRITERIA Letters should include:

Name, contact, and chapter information of the youth member

A description of their involvement at the chapter level.

A description of their involvement at the Area level (if applicable)

A description of their involvement at the International level (if applicable)

A description of their musical involvement outside of the above categories (in case of the need for a

“tiebreaker”)

Note: Reported activities do not need to be restricted to the year of nomination. To be eligible for this award:

Applicant must be a member in good standing of Harmony, Inc.

Applicant must be a youth member, aged 25 or under.

Applicant must have been a member of Harmony, Inc. for at least one year.

Applicant must not have received this award in the last two years.

PRIZE Certificates will be presented each year at International Convention and Contests.
