BOARD HIGHLIGHTS FOR AUGUST

Attendees: President Harrover, Directors Conner, Deal, Gorli, McIntosh, Rhodes, and Sye, Thomas Merical (Clock Tower), John Aller (Hornfels), Facilities Manager Kevin Tremaine, Administrative Assistant Darlene White and General Manager Carol Teigen.

Approved the July 17, 2012 Board of Directors Meeting minutes. Accepted committee minutes.

Reversed the Architectural Review Committee’s disapproval of the Section 11 basketball goal application; the vote met the Amended and Restated Declaration of Covenants, Conditions and Restrictions, Article VII, Section 7.17 requirement of a two-thirds (2/3) vote of all the members of the Board of Directors to overturn a decision of the Architectural Review Committee.

Forwarded comments on proposed revisions to Community Code No. 1 (Basketball Goals and Doors) back to the Architectural Review Committee for consideration.

Tabled action on the proposed revisions to Community Code No. 2 (Landlord/Tenant) and requested staff to further research Loudoun County Ordinances regarding number of people permitted living in one house and incorporate that information into the next revised draft of the Landlord/Tenants Rights & Responsibilities.

Accepted the maintenance and repair responsibility of Section 47A as the responsibility of Stone Ridge Association, Inc. Authorized Armstrong Management Services to proceed to write-off the accounts under $10.00 on a quarterly basis as discussed in Executive Session.

ELECTION PROCEDURES FOR HOMEOWNER BOARD MEMBER

Attention Owners!! The 2012 elections are just around the corner!

Two director positions are open for this year’s election in November. Current Directors that are up for election include Mike Rhodes who was first elected in 2006 and Greg Sye who filled the vacancy by Nicholas Dopp’s departure in February 2012. These two director positions (one for three- years and one for one-year terms) are filled with the person receiving the highest vote receiving the three-year term. Owners interested in participating on the Board can also toss their hat(s) into the ring for the 2012 election at Stone Ridge!

Electronic voting is back again for the 2012 Stone Ridge election! Owners will have three methods of voting available: electronic, paper proxy/ballots and at the meeting per Community Code No 11. Please watch the EIS for more details as the election time draws near!

The following procedure was established by the Board of Directors at the June 21, 2005 meeting for the election of homeowner Board members.

The following procedures will be followed: Declaration of Candidacy • Solicit candidates via the newsletter and SRNet at least 30

days prior to the annual meeting

• Candidates for the Board of Directors must declare their intent to run, in writing, no later than 5 p.m. on the date specified with the submission of a half page, single-spaced typed resume/biography to the Association office stating their intent to run.

• In conjunction with the written declaration to run, Candidates for the Board of Directors must complete a petition form with at least 3 signatures and return the petition to the Association office.

• Nominations from the floor may be accepted pursuant to Section 3.5(b) of the Bylaws.

Ballot Format• Candidates’ names will be placed on the ballot in

alphabetical order.

• Ballots will be printed on one sheet. Copies of the biographies will be included with the ballot.

• Each ballot will include name, signature, address, and a statement that it is only valid if signed. A space will be provided for the voter’s signature.

Ballot Distribution• Ballots will be mailed to the Owner address of record with

the Association and will be distributed only to Owners in good standing.

• One ballot will be allowed for each vote. If the ownership of a lot/unit is in the name of more than one (1) person, Owners must agree and cast the one vote allowed for each lot/unit.

Ballot Return• Upon receipt of ballots by mail, ballots may be cast until

the opening of the Annual Meeting by mail or hand-delivered to the Association office. Votes may also be cast at the Annual Meeting.

• Winning candidate will be announced at the Annual Meeting.

HOW TO BECOME A CANDIDATE

The Board of Directors is comprised of members serving three-year terms. To be eligible to serve as a Director, you must be an owner and have no outstanding architectural violations or delinquent assessments.

To declare your candidacy, return the Director Petition form along with a short (half page single-spaced) biographical sketch to the Association office. The following questions may serve as a guideline:

• How long have you lived in Stone Ridge?

• What attracted you to this community?

• What previous volunteer or work-related experience/skills do you have that could be beneficial in the role of a Director?

• What goals do you have for the community in the next three years?

Candidate petitions for the Board of Directors are provided in this newsletter and also at the Association office. The deadline to submit a petition and to have your biographical sketch included in the November issue of Etched in Stone is Wednesday, October 3, 2012.

COMMITTEES/ARCHITECTURE

ACTIVITIES COMMITTEE

The Activities Committee met on Tuesday, August 7th at 7:30 p.m. in the Clubhouse. Present were Co-Chair Pam Levine, Stephanie Rogers, Leslie Dominy, Ernestine Wilkins, and Patrick Donahue. Also present was Events Coordinator, Edit Sherry.

• Evaluated the Steak and Crab event on July 21st. Two-hundred and fifty-two residents attended.

• Finalized details for the Teen Dive-in Movie Night on August 10th. Water and snacks will be provided.

• Planned layout for Fall Yard Sale on September 15th in the commuter parking lot.

• Discussed changes to the Halloween Movie Night on October 13th. Committee members discussed pairing a bake-off with the Halloween movie.

The next scheduled Activities Committee meeting is Tuesday, September 4th at 7:30 p.m. in the Clubhouse Conference Room.

The Activities Committee plans, advertises, and conducts social activities that provide opportunities for enrichment to Stone Ridge residents.

Meetings are held the first Tuesday of every month in the clubhouse at 7:30 p.m. Meetings are open to all Stone Ridge residents.

JULY 25TH MEETING HIGHLIGHTS

The meeting was called to order at 6:37 p.m. by David Greenwalt (Gypsum Way). Committee members Ron Flax (Bottlebrush Terr.), and Susan Sweatt (Prairie Grass Dr.) were in attendance at the Conference Room. Also in attendance was Carol Teigen, General Manager, and Erik Berndt, Covenants Administrator.

Two hearings were conducted; one monetary charge was imposed and one monetary charge will be imposed if property is not brought into compliance by date specified by the Covenants Committee.

The Covenants Committee investigates and renders decisions on alleged violations of the Governing Documents as dictated by Article VII of the Amended & Restated Declaration of Covenants, Conditions and Restrictions.

Meetings are held in the Association office Conference Room at 6:30pm. Meetings are open to all Stone Ridge residents.

Committee members Freddy Zambrano (Cinnabar Sq.) and Susan Sweatt (Prairie Grass Dr.) were in attendance at the Conference Room. Also in attendance was Steve Koh (Pennywort Terr.), William Miller (Ripple Ct.), Joel Johnson (Nettle Mill Sq.), Suresh Gadamsetty (Prairie Grass Der.), Carol Teigen (General Manager) and Erik Berndt, Covenants Administrator.

22 applications were reviewed; 20 were approved, 1 was approved with conditions and 1 was tabled until the next ARC meeting pending further guideline review.

AUGUST 8TH MEETING HIGHLIGHTS

The meeting was called to order at 7:00pm by Susan Sweatt (Prairie Grass Dr.) Committee members Ron Flax (Bottlebrush Terr.), Freddy Zambrano (Cinnabar Sq.), Alton Bryant (Zircon Dr.), and Srikanthan Ragothaman (Hummocky Terr.) were in attendance at the Conference Room. Also in attendance was Sue and Neil Twine (Clock Tower Sq.) and Erik Berndt, Covenants Administrator.

20 applications were reviewed; 15 were approved, 3 were disapproved, and 2 were tabled until the next ARC meeting pending further information from the applicants.

The Architectural Review Committee (ARC) acts on all applications for the approval of modifications or improvements to any lot as dictated by Article VII of the Amended & Restated Declaration of Covenants, Conditions and Restrictions.

Meetings are in the Association office Conference Room at 7:00 pm. Meetings are open to all Stone Ridge residents.

The annual lot inspection is designed to ensure that each lot in Stone Ridge is in compliance according to Community Code No. 1, Design

and Maintenance Standards.

Staff will be conducting lot inspections in Sections 46 and 47 in September (Cypress Mill Terrace, Diabase

Square, Magnetite Terrace, Hummocky Terrace, Possumhaw Terrace, Moreland Mine Terrace, Gallberry

Terrace, and Fluvial Terrace).

Owners are encouraged to submit applications for all exterior changes and improvements. Owners can

submit applications now and be in compliance before the lot inspection.

It is also important to note that not having an application on file can slow down the re-sale process of your home.

Along with raking leaves, it is important to remember that lawn mowing season continues well into the fall. Please continue to mow and trim your lawns and remove any dead plants, bushes, or trees. Fall is lawn fertilization time as well. Fertilize now to help your lawn come to life in the spring!

Community Code No 5 – Yard and Lawn Maintenance, Paragraph I, A. states: “Members and residents shall ensure that any grass lawns on their lots, including in the back of the residence, are regularly mowed so as to keep a neat appearance of the lawn and lot. Grass height shall not exceed six inches. Driveways and sidewalks shall be swept clear of grass clippings. Members and residents are responsible for maintaining the health and good appearance of lawns on their lots, which may include seeding, watering, weed removal, edging, and other tasks as required to properly maintaining lawns.”Thank you for keeping Stone Ridge looking beautiful!

Vendor registration is now open and will close on September

12th. To register to be a vendor, please fill out and return the registration form to the Association Office with a $10 payment (cash or check only). Registrations will NOT be accepted electronically or by mail. You can download the registration form from SRNet or stop by the Association Office to pick one up. There are 140 vendor spots available and registrations will be accepted on a first come, first serve basis.

Setup begins at 6:00 a.m. and ends promptly at 7:45 a.m. No vehicle movement in event area will be permitted between 7:45 a.m. and 12:45 p.m. All participants must bring their own tables.

SEPTEMBER SHRED EVENT IN STONE RIDGE

Come recycle your old paper documents and confidential files safely and securely on Saturday, September 22nd from 9:00 a.m. to Noon at the Clubhouse parking lot. This event is open to residents only- no businesses please.

Documents will be shredded on site and you can ensure that your documents are being properly disposed via a closed circuit TV on the shred truck.

Some items residents may want to bring are old checks, bank statements, pay stubs, receipts, credit card offers, medical information, bills, hard drives*, and retirement statements.This is a free event sponsored by Stone Ridge and Pro Shred Security. 6TH ANNUAL STONE RIDGE 5K RACE FOR EDUCATION: SATURDAY, OCTOBER 20TH

It is that time of the year again! The Stone Ridge 5K Race for Education will be held this year on Saturday, October 20th. The race will begin at 9:00 a.m. at the start line located behind the Village Center.

The Mission of the Annual Stone Ridge 5K is to help fund necessary improvements for local schools in the Dulles South area, to stage a showcase event that appeals to the interest

and expectations of new residents and people moving into the Dulles South area, and to foster relations between the local business, community, and local schools in Loudoun County.

Donations to the schools are solely based on participation by either runners, walkers, or the volunteers associated with each school. While our schools are blessed with fantastic teachers and are exemplary in many respects, the sheer growth of our area has created a delay in the delivery of critical elements. High-tech teaching equipment, athletic facilities, and other areas are in need of your help, and your support will make an immediate and lasting difference in our children’s educational experience.

Over the past six years, over $80,000 has been raised to benefit the PTA’s of the Dulles South schools. Last year, a record breaking 1,300 runners registered to race and we hope to increase that number in 2012!

With the November Presidential election drawing closer, please remember to keep the Stone Ridge guidelines regarding political signage in mind.

Community Code No. 1, Design and Maintenance Standards, Page 52 states: “No more than three political campaign election signs are allowed. These signs must be removed immediately after the election.”

RENTING A HOME IN STONE RIDGE?

First of all, welcome! We know you’ll love Stone Ridge as much as we do!

Secondly, stop by the Association office at your convenience and pick up a Memorandum of Lease. Have your landlord fill it out, fill out your portion, sign it, and then bring it back in and we will issue your Stone Ridge Membership ID Cards. Be sure to have your landlord check the box which waives his/her rights to use the Community facilities (pools, gym, etc.). These rights are then transferred to you, as the tenant. LOUDOUN COUNTY VOTER REGISTRATION

All Loudoun County residents, who are United States citizens, ages 18 and older, are eligible to vote in county elections. Voters must first register with the General Registrar’s office, which offers year-round voter registration for general, primary, and special elections in conjunction with various public service agencies, military recruitment offices, and the Virginia Department of Motor Vehicles (DMV).

GREENSTONE POOL EXTENDED WEEKEND

Greenstone and Nettle Mill pools will “officially” close on Monday, September 3rd (Labor Day) at 6:00 p.m. However, Stone Ridge will celebrate the close of a wonderful summer with more weekend splash on Saturday, September 8th and Sunday, September 9th. The Greenstone Pool only will open those days from noon to 6:00 p.m. Nettle Mill Pool will NOT be open for the extended pool weekend.

Congratulations to the Stone Ridge Sharks Swim Team for the most successful season to date! “Shark Attacks” led to a record 7 wins out of 8 regular season meets! At the end-of-season league Divisional meet, the Sharks brought home over 70 medals, including 5 amazing first place finishes! The team more than tripled the number of qualifiers for the league All-Star meet with over 30 qualifying swimmers. The All Stars brought home a total of 23 medals with 13 of them for finishes in the top 6 places! Special congratulations to Joaquin Gabriel who broke the league record for Boys 13 - 14 50 m Breaststroke. Joaquin smashed the record at 32.85, finishing 1.72 seconds faster than the record time of 34.57 from 2005! Goooooo Sharks!

Parents, please be mindful of the traffic flow on streets surrounding our schools, especially Mercer Middle School. The safest location to drop your children off is the drop off zone on the east side entrance of Mercer Middle School. Mineral Springs and Greenstone Drive are very busy streets and we need to keep the traffic flowing.

Also, please remember to watch your speed on Tall Cedars near Arcola Elementary and John Champe High School. There will be a lot of pedestrian traffic on this road so please remember to slow down and pay attention.
