SR (Karolfest + Yolanda Initiative) MINUTES The Chairperson, Mr. Wes Cortez, began the meeting by congratulating the following recently concluded events: Recruitment Fair, Adopt-a- Baranggay ocular, BA Week Pub’s photoshoot and the Yolanda Initiative. The Finance Councilor, Ms. Bianca Sing, assigned each of her councilor associates to the different projects and councilors to keep track of their finance updates. All queries must be coursed through them. Each team should try to make do with their given budget, try to raise funds and market, before requesting for additional capital. The Operations Councilor, Ms. Frances Lee, told everyone to invite their council associates and project heads to the semestral CA/PH Team Building tomorrow, November 30, Saturday, from 1:00pm to 4:00pm at the Vinzons’ Rooftop. !Council members were delegated to the different tasking for the CA/PH Team Building Seminar. !! The VSB Representative to the USC, Ms. Fen de Leon, updated the council and led the discussion regarding the UP Board of Regents (BOR) decision updates. Despite the lack of quorum and the Student Regent's absence due to illness, the BOR approved the administration-backed proposed reforms to the STFAP, amendments to the UP System Code which include banning organizations to recruit freshmen during their first semester, and a Chemical Engineering lab fee hike. The Board junked motions of deferral from both the Faculty and Staff Regents. !The point of action discussed were to: 1. Be more aware regarding the matter so that

we can form a more informed stand 2. Conduct a survey, similar to the name

change survey that was conducted, so that there is information coming from VSB directly

3. Ask the USC or LCC to conduct a university-wide campaign asking statements from the freshmen who joined organizations last sem and upper classmen who experienced that joining organizations during their first semester of college proved to be beneficial for them, with the help of organizations. It was discussed that spearheading a campaign on our own, though ideal, will not be effective without the whole UP system’s support. !

Ms. Fen de Leon forwarded these insights and suggestions to the USC in their meeting and will update us at the soonest convenience. !

! The Student Relations Councilor, Mr. Jet Padernal, updated the council on various student relations matters. !On the cross-registrants from Tacloban: They were all rebracketed to Bracket E2 and are given a stipend per semester. The administration, in coordination with the School of Business Student Council and UP Advertising Core, will also have a fundraiser for them. !An initiative was made to have an academic book drive to lend the new entrants books they need for the semester, and this will be handled by the Education and Research Councilor, Ms. Camille Calma. !On Karolfest:Like the Lantern Parade, it was rebranded in order to make it an avenue to raise funds for the Yolanda victims. There will be a pledging system and the winner here will be awarded as the People’s Choice Award. This is apart from the real KarolFest award which is based on musicality among other things. Mr. Jet Padernal reminded council that everyone is required to attend KarolFest on December 13, Friday. !!

! The project heads, Ms. Christine Chicano and Mr. CJ Felix gave out reminders for tomorrow’s photoshoot.

! The design for the gallery was shared and the team leader reminded all batch representatives to start collating pictures of each batch member to be used for the college-wide Facebook profile picture change. The team is in need of hosts as well for the launch. Council members are required to go to the gallery workshop on December 7, Friday and December 9, Monday. !

! The team has started to do door-to-door marketing for possible sponsors. The deadline for sponsors is on December 5, Thursday. Approval for request to use the cafeteria as the venue is still pending from the administration. !! A venue was already pencil booked for December 17, Tuesday and the team leader gave an update on their fundraising effort. !! The team shared their problems regarding the venue but aside from that, they are already working on the necessary preparations. !! Sugar cubes will be up by next week at the 3rd front lobby. Distribution of invites is next week also. Solicitation letters to organizations and alumni have been sent, no sponsors from marketing yet. The team is also looking for cheap caterers inclusive of tables and chairs. !! As per the memorandun from the UP administration, this year’s lantern parade will be an exhibition in Quezon Hall only so a sketch should be sent to them immediately. The lantern should also be made with relief goods that will be donated after. Designs to the lantern will be tweaked to take into account these changes. Batches may be called on to help donate relief goods.

! The draft of the teasers are uploaded in the council Facebook group already. A booth will

be set up next week for the batch wide profile picture change. !! Mr. Jet Padernal gave updates on various student grievances. !On the cafeteria:It is under the jurisdiction of the Business Concessions’ Office, a meeting will be set up with them as soon as possible. But there is a standing agreement to waive the ban on food sales provided that the coop will not be affected. !On the ceiling of the 3rd floor women’s comfort room: There was a mistake on the job order for this. The resolution is that for the remainder of the semester, the ceiling will be partially attached and it will be fully fixed during the summer. !On the phonebooth: It is currently being updated by PLDT. !On positioning of trash cans: It was proposed to have a trash can in the coop. The proposal is feasible to be approved as long as the staff in the coop agree. !On the parking lot: The BA administration requested the UP administration to renovate the multiply potholes in the parking lot but the UP administration is asking our administration to raise money for it; the BA administration reached out to the Quezon City government for help with this but there has been no news about this yet. !On the broken ceiling of Room 306: They will fix it as soon as possible. !Ma’am Gloria Talavera is requestiong for a formal letter accompanied by photos identifying all defects and student concerns regarding facilities. !!

! !Operations: All delayed projects were rescheduled. Tomorrow, November 30, Saturday is the CA/PH TBS and next week December 5, Thursday lunch time, will be the CA/PH General Assembly. !Finance Youth Initiative: There is a possibility of a partnership with an organization from the School of Economics or the UP Junior Finance Association. !Yolanda x Tacloban Initiative: The cross-registrants from Tacloban will be given council buddies. !Inquiry About University Rule on Time: The rule about classes starting on time but ending at the most fifteen (15) minutes earlier was reiterated after being brought up as an issue with a professor. !Externals: Thank you to everyone who attended the League of College Council’s General Assembly yesterday, November 28, Thursday. Partnership proposals will be brought up next week. !Education and Research: Continue sharing releases !Publicity and Promotions: Inform them of pub requests and releases earlier.
