Hosting a Webinar
● Choose a platform○ What’s your budget?○ How many people are presenting or
attending?
● Internet Connection○ Wired connection is the best!○ Strong wifi is okay too○ Avoid coffee shops, shared, or unstable
connections
● What is being shared on the call? ○ Are there video elements? Presentation?○ Multiple people in one place?
Hosting a Webinar - Technical ConsiderationsIn order of priority:
● Internet Connection ● Audio
○ Use headphones or earbuds to reduce echo○ Use a dedicated mic, headsets work too!○ Make sure audio (and video) sources are correct in
whatever software you’re using!● Video Quality
○ Most webcams will do the trick○ Use some extra light, but make sure you’re not backlit○ Clip-on ring light
● Background ○ Reduce clutter where you can ○ Leverage your background!○ Consider a cheap and portable background frame
Hosting a Webinar - User Experience● Have a producer
○ Field Q&A○ Have a preview up to monitor stream quality○ Be there for technical support
● Start your event early○ Have audio and a visual so users can tell
everything is working● Do Some Housekeeping
○ Encourage users to close excess programs and windows
○ Let them know how and when to ask questions
○ Set expectations/agenda● For live Q&A, give participants more time than usual
to respond● For calls with more than 20 people, submitting
questions may be smoother● Consider adding interactive elements● Add value with giveaways or perks for attendees
Hosting a Panel
● Do a test call with panelists to ensure they’re set up for success
● Test any elements they may have (video, presentations)
● Make sure they have the right setup (audio, video, lighting)
