Welcome to the Master Exchange Programme facilitated by the International Office ofRotterdam School of Management, Erasmus University (RSM)

All Rotterdam School of Management, Erasmus University students who will start (orhave started) one of our specialised Master programmes in September 2012 arewelcome to apply for an exchange at one of our partner universities in Europe, theUnited States, Canada, Australia, New Zealand or Latin America.

Information in this brochure is important to all third year Bachelor, Pre- or Direct Masterand General Management students aiming for an exchange in autumn 2012 or spring2013. This brochure describes the application procedure and selection criteria for theMaster Exchange Programme. Once you have been selected, this brochure is also usefulfor your preparation until you leave for your exchange destination.

The International Office at Rotterdam School of Management, Erasmus University isresponsible for initiating, organising and co-ordinating international exchange and joint /double degree programmes with international business schools and universities atBachelor and Master level.

2.1 APPLICATION

How do I know if I am eligible to apply for the Master Exchange Programme?

See chapter 4 for all selection criteria.

Can I apply for more than one programme at the same time? (CEMS, DM2)No, you can only apply for one programme at a time. If you are not admitted toeither the MSc IM-CEMS or Double Master’s Degree in Management (DM2)programme, but you do meet all requirements for the Master Exchange, you canregister yourself at the I.O. for a second, smaller selection round which takesplace prior to the summer break.

2.2 WHERE AND WHEN

Where can I go?More than 70 top business schools in Europe, Canada, Central and SouthAmerica, the USA, Australia, New Zealand and Asia are open to you during yourMaster. These business schools and universities are all seen as some of the bestin their countries and are renowned worldwide. You will be asked to list threepreferred destinations in your application. Students generally choose accordingto location and reputation of the school, but it is your responsibility to check theavailability of courses at the partner school in order to replace your MasterProgramme (10 ECTS) and Master Free Elective (10 ECTS). Please do not listpreferences you might regret later, as cancellation costs can be up to ¤ 250.

When can I do my exchange?Regular Master studentsIf you start your Master programme in September 2012, your exchange will takeplace in the spring of 2013 because your Master Core courses (always offered inthe autumn) cannot be replaced by courses taken abroad.

2.3 SELECTION CRITERIA

Are my average grades important in the selection process for an exchange?Each year the selection committee receives more applications than there areexchange places. Although the committee applies all selection criteria, there arealways applicants with more or less the same profile and applying for the sameschool. In such a case, the student with the highest scores will be selected. Youraverage grade is also important for the admission process at most of our partnerschools. Some, such as in North America, only accept students with a certainaverage Bachelor grade, usually 7.5 or higher. In addition, MBA-level programmesrequire a meaningful package of working experience and a pass in the MasterCore courses before admittance to their MBA programme.

Which language skills do I need at the host institution?At the time of selection (March 2012) and start of the exchange, students shouldhave a certain standard of language skills according to the Common EuropeanFramework. In every case, you should have fluent English. If the school offers itsbusiness courses in English and the local language, you will need proof of anadvanced level in the local language (except for schools in Scandinavia, Portugaland Greece). An exchange is a cross-cultural experience from which you willbenefit most if you are able to mix with locals. In addition, at some schools thestandard and variety of courses in the local language is much better than thoseoffered only in English.

2.4 PROGRAMME ABROAD: COSTS, DELAY, WORKLOAD, COURSE LEVEL

Costs of a Master exchangeAs an exchange student, you do not have to pay tuition fees at the host university,though an exchange abroad always involves additional costs. The most commonadditional expenses are travels costs, visa and insurance, language courses andaccommodation (if you don’t sublet your room during the time you are abroad),which are dependent on your destination and your personal expenses. There are,of course, student grants which can help you to reduce these extra costs.

This means that most students will have their exchange period in the spring of2013, during which they will complete their Master Programme (10 ECTS) andFree Elective (10 ECTS).

Direct Master students (students who participate in a Master Programme at RSMonly)Direct Master students (with a non-RSM Bachelor degree and beginning theirMaster in September 2011) should have studied for at least one year atRotterdam School of Management, Erasmus University before going abroad.For those students, the earliest possible exchange period is autumn 2012. ForDirect Master students, an exchange always implies some study delay. Howeverthere are ways to keep the study delay to a minimum if you keep, for example, tothe following timeframe:

Autumn 2011: Master Core Courses + start with application for Master ExchangeProgramme.

Spring 2012: Preparations / writing Master thesis in combination with MasterProgramme elective(if you are not selected for an exchange, you do not need to wait until the spring of 2013 to

complete this Master Programme elective which is only scheduled in spring).

Autumn 2012*: Exchange abroad and completion of Free Electives for 20 ECTS(which means you will do one extra Free Elective).

March 2013: Home graduation

* If you are not selected for an exchange, you can always follow your Free Elective during autumn 2012 by passing

a Master core course from another Master programme.

General Management studentsGeneral Management students do their exchange in their second (specialisation)year, but start the exchange application in their first year.

Duration and period of term abroadAn exchange takes place on a semester, trimester or quarter basis, usually from lateAugust to late December, or from January to May or June. However, academiccalendars at international partner schools vary according to their location, i.e.Australia, India, New-Zealand, Central and South America, UK, Germany or Austria.

2.5 AFTER THE EXCHANGE

Do I have obligations after my exchange?Yes. You must complete your Conversion Package no later than six weeks afteryour exchange. The Conversion Package should contain your conversion proposal– revised, approved and signed by the Academic Director – plus your academicstudy report and a transcript of your records from the host school, if they havebeen sent to you directly. It should be sent to the International Office atRotterdam School of Management, Erasmus University. Students intending tograduate in September 2013 should hand in their Conversion Package beforeJune 15, 2013.

Recognition of grades abroadThe International Office no longer converts grades obtained abroad into Dutchequivalents. In each case, your grade will be converted into a ‘pass’ or ‘fail’. Thegrades awarded during your exchange studies do not affect your cum laudegraduation (if applicable), since two-thirds of your studies must be completed inRotterdam.

2.6 CAN I ARRANGE MY OWN EXCHANGE?

The International Office does not support exchanges which are arranged bystudents for themselves. However, if you do want to arrange your own exchange orparticipation in a summer school and want to convert your grades into your homestudies, you should prepare an approved conversion proposal beforehand, just asyou would for a regular study exchange.

In addition, we advise students to first contact the International Office andExamination Committee. Not all schools offer business courses which canreplace Rotterdam School of Management, Erasmus University courses, and yourparticipation and resulting grades may not be recognised by Rotterdam School ofManagement, Erasmus University. Please also take into consideration theexpense of participation in exchange courses or summer schools; fees can behigh.

Does an exchange imply study delay?An exchange does not cause a study delay, as long as you submit an approvedproper conversion proposal before you leave for your exchange. This conversionproposal should indicate the courses you are going to attend abroad and indicatewhich ones will replace your Master Programme (10 ECTS) and your Free Elective(10 ECTS). To replace your Master Programme elective, you should find coursesrelated to your Rotterdam School of Management, Erasmus University Masterprogramme. To replace your Free Elective, you need to choose business andmanagement courses, but not necessarily related to your Rotterdam School ofManagement, Erasmus University Master programme. A language or culturalstudy course cannot be converted into your home studies. You should have theapproval of the Academic Director of your Master programme for your conversionproposal prior to leaving for your exchange.

What is the minimum workload abroad?You must always earn a minimum of 20 ECTS abroad, even if you do not need thisnumber of ECTS for your RSM studies. You are not allowed to work on your Masterthesis or do an internship at the same time, or attend courses abroad of less than20 ECTS. Courses taken abroad worth less than 20 ECTS cannot be recognised orconverted into your Rotterdam School of Management, Erasmus Universityprogramme. Please note that some partner schools require you to study for morethan the 20 ECTS minimum.

Which course at what level?In general, when taking part in an international exchange, you will attend coursesfrom MSc, MBA or senior Bachelor (4 or 5 year) programmes at your host school,depending on details of the agreement between Rotterdam School of Management,Erasmus University and the partner school. In each case, the courses will be of acomparable level to your Rotterdam School of Management, Erasmus Universitycourses, which means they can count towards your Rotterdam School ofManagement, Erasmus University Master programme.

The host university’s website provides you with information about programmes andexchange programmes, accreditation and rankings, location, plus accommodationchoices for international students.

3.5 PIM SCHOOLS DATABASE

Fact sheets for Partnership in International Management (PIM) network memberschools, including academic calendar, accommodation and application, are availableon the PIM website: http://www.pimnetwork.org.

3.6 NESO INFORMATION

3.1 HOW DO I CHOOSE AN APPROPRIATE EXCHANGE DESTINATION?

There are more than 70 exchange destinations to choose from, but it is very importantto apply for the right ones. Please see Appendix I to check additional language andadmission grade requirements, or to schedule a study exchange to synchronise with theRSM calendar. In general, each university’s website can provide you with the most up-to-date-information on its programmes and courses, but you can also find more informationon RSM’s Blackboard page RSM Master Exchange Info Tracker.

3.2 USEFUL READING IN THE WAITING ROOM (IN FRONT OF THEINTERNATIONAL OFFICE)

Study reports from recent exchange students give a student’s view of partner univer -sities and can be a valuable source of ‘inside’ information. These reports can be foundin the Waiting Room in front of the International Office on T5. They describe what otherstudents thought of their destination schools, the academic level, accommodation, andpricing. Students’ e-mail addresses are included in the reports so you can contact themdirectly if you have more questions. You will also find information about each of RSM’spartner universities, including brochures, fact sheets, examples of applicationdocuments and tourist information.

3.3 SIN-ONLINE, BLACKBOARD COURSES

Important information on the Master Exchange Programme is also communicatedthrough:• SIN-Online channel RSM Master Exchange:• Blackboard page RSM Master Exchange Info Tracker. Please enrol for this channel to

find fact sheets (including calendar, course and accommodation information) for allpartner universities, as well as exchange reports written by your predecessors. Moreimportantly, you will also find a list of pre-approved courses which can replace yourMaster Programme Elective.

• Blackboard page RSM Master Exchange 2012-2013 (outgoing), for which you will beautomatically enrolled once selected. This will provide you with information needed toprepare for your exchange.

MSc Finance students:Please be aware there may be special arrangements with regards to your master thesistrajectory.

For all students: • You are aware that your average weighted Bachelor grade should surpass a 7.5 if

I want to apply for business schools in N-America, and a 7.0 for traditional populardestinations (see Appendix I).

• You have passed the required language level test or can show equal proof of yourlanguage skills required for the school I apply for. Or you are currently enrolled ina language course and can show proof of this course registration at the time ofapplication or interview.

• Your motivation is primarily based on the study programme abroad. • You are THE ONE to represent Rotterdam School of Management, Erasmus University

abroad.

4.2 LANGUAGE SKILLS / PROOF OF LANGUAGE LEVEL

When you hand in your application, and no later than January 23, 2012, you mustinclude proof of your level of language skills according to the Common EuropeanFramework (CEF). Preferably you should take a test organised by the Language &Training Centre (LTC) of Erasmus University, www.eur.nl/ltc. If you hold a degree in adifferent language, please see chapter 9.3 for the equivalent regulation.

If you are still participating in a language course at the time of your application (January23, 2012), please include proof of your language course registration, then submit theresult during your interview in March 2012.

You should take the language course and test in the teaching language of your firstpreferred partner school. If the school teaches in two languages, for example in Germanand English (University St. Gallen), then you should take the language test in bothlanguages.

The more we know about your language skills, the better your chances of being selected.

Selection Criteria 4

Our selection criteria guarantee that every participating student has the right quali fica -tions and motivation to study abroad successfully. The selection procedure enables usto match students to suitable exchange slots available in the programme. The SelectionCommittee applies these criteria to every student’s exchange application.

4.1 STUDENT STATUS (GRADES, STUDY PROGRESS)

By the time you hand in your application, and no later than January 23, 2012,

you should have progressed through your studies to achieve the following:

BA and IBA students:• Passed most – and preferably all – Bachelor 2 and 3 courses;• Have fewer than 10 uncompleted Bachelor courses;• Achieved a minimum average weighted grade of 6.5 in your Bachelor programme.

Pre-Master students:• Completed your pre-master studies (HBO) with an average weighted grade of 7;• Average weighted grade of your Rotterdam School of Management, Erasmus University

pre-master programme is 6.5, based on at least three courses including QuantitativeDecision Making or Operations Research & Modelbouw

Direct-Master students / Current Master students:• you have completed your non-RSM Bachelor programme with an average weighted

grade of 6.5;• you have completed all your Master Core courses with an average weighted

grade of 7.0.

General Management students:• you have completed your non-RSM Bachelor programme with an average weighted

grade of 6.5;• your average weighted grade for your GM programme is 7.0, based on at least six

courses.

4.3 MOTIVATION

Your letter of motivation supports your application for exchange. It should be no morethan 1.5 pages of A4, and in English. You should include:• A very short introduction about yourself;• Your motivation for choosing your preferred exchange destinations;• Why you are a suitable candidate for a study exchange (international orientation,

independence, other international experiences);• How you will represent Rotterdam School of Management, Erasmus University and

your country at the partner school.

4.4 STUDENTS’ ADDITIONAL ACTIVITIES / WORKING EXPERIENCE

The Selection Committee wants to learn more about your extra-curricular activities inaddition to your studies at Rotterdam School of Management, Erasmus University, soplease include the most relevant activities or jobs that you have done, or are still doing,for example:• any job, part-time or full-time,• activities and/or responsibilities in a student association or society,• voluntary activities in sports or in the community,• any internships,• your own company.

4.5 INTERVIEW

Your performance during the 10-minute interview plays an important role in the selectionprocess. During the interview the Selection Committee will examine your application,your attitude and your motivation for the exchange destination(s). The interviews will beconducted in Dutch or English. You are strongly recommended to bring one copy of yourcompleted application form.

There is no formal dress code for the interview, but you should feel comfortable with yourchoice of clothes.

Proof of your language proficiency can be handed in at your interview if the result

is not yet known at the time of your application. If this is the case, you shouldsubmit a copy of your language course or test registration document with yourapplication.

5.2 SELECTION PROCESS

Initial SelectionThe initial selection is based on your application form. Candidates who do not meet theselection criteria will take no further part in the selection process, and will be notified bye-mail before mid-February 2012.

Interviews If you have passed the initial selection, you will be notified of the date, time and placeof your 10-minute interview by e-mail. Interviews will take place between the end ofFebruary and mid-March, 2012. Please confirm your attendance at the interview to thesecretary of the International Office, Ms Ellen van Oeffelen [email protected] as soon aspossible.

If you have a valid reason for being unable to attend, another interview can be scheduledfor the preceding week.

Matching of students and exchange placesWhen all interviews are concluded, the committee will proceed with selection and place -ment of candidates, taking into account the order of preferred universities. You may, ormay not, be granted a place at your preferred destination, depending on availability.The Committee starts with selection for destinations with the greatest competition, forexample those with a high number of applications and few available places.

5.1 APPLICATION – 3 STEPS (TIMELINE NOVEMBER 3, 2011 – JANUARY 23, 2012)

Step 1. Prepare your application:• Please read this brochure carefully. • Attend at least one information session (November 3, 2011 at 16.00 h. in the

L-building, see also SIN-online).• Subscribe to the SIN-Online channel “RSM Master Exchange” and enrol on

Blackboard “RSM Master Exchange Info Tracker”.• Register for the language level test or language course in good time at www.eur.nl/ltc. • Visit Blackboard and the waiting room on T5 to read the information on our partner

schools and the study reports from former exchange students.

Step 2. Complete your application online at www.rsm.nl/exchange/applicationInformation required in the online application:• Personal information: contact details, student ID, uploaded picture, passport

number, etc.• Rotterdam School of Management, Erasmus University student status: year of

enrolment, programme, results B1, B2, progress B3, etc. • Language skills: test or course results or proof of registration, secondary school grades.• Details of prior, or other, education.• Extra-curricular activities: include a maximum of 3 of the most relevant, such as

internship, part-time job, student association, voluntary job, etc.• State your 3 preferred destinations, and whether or not you are open to alternative

suggestions.• A preliminary proposal indicating your choice of course(s) at your preferred destina -

tions. Even if you do not know which Master Programme you will choose whencompleting your application, you should be familiar with the curricula of all 3destinations. This preliminary proposal can be changed after you have been selected.

• Motivation letter.

Step 3. Submit a print-out of your online application plus all required attachments tothe International Office (T05-24 or T05-26) before 16.00 h. on Monday, January 23,2012 at the latest.• You may submit the print-out only after you have submitted your online application.

Once submitted, no further alterations can be made!• Keep another print-out of your completed online application for yourself. Don’t forget

to bring it to the interview.

5.4 BAD NEWS : WAITING LIST

If the selection committee has not selected you for any of your 3 preferred destinations,but you have indicated that you are open to alternatives you will be registered on ourwaiting list. This means you can re-apply for any remaining available exchangeplacements. A list of available placements will be sent to you by email after studentsselected in the first round have confirmed or declined their offers; this takes placebetween one and two weeks after the interviews.

5.5 CELEBRATE THE GOOD NEWS

Celebrate!Traditionally, students selected for the RSM Master Exchange Programme celebrate theresults with a social get-together. This is a perfect opportunity to meet fellow studentswho are going to the same exchange destination as you, and also to meet students whoare currently doing their exchange in Rotterdam. Here’s your chance to meet future studymates and ask for more information from those already on exchange here in Rotterdam!You will automatically receive an invitation for this event.

Competition for places is high and the selection process for popular destinations will bemore rigorous than for other destinations. Selection is based on average grades, workingexperience, extracurricular activities, study progress and motivation.

Students with lower scores have smaller chances of winning a placement at their firstchoice destination. If unsuccessful, they will compete for places in their second andthird choice destinations.

5.3 ALLOCATION OF EXCHANGE SLOTS: THE GOOD NEWS OR THE BAD NEWS

The good news or the bad news? All students will be informed of their confirmed exchange places by the InternationalOffice in mid-March 2012.

The good news is for students who are:• selected for an exchange programme abroad.

The bad news is for students who are not selected because:• they scored lower on the selection criteria than others for the same exchange place(s),• they only applied for ONE particular partner school for which there were better

applicants,• they were not open to alternative destinations,• they made a poor impression during the interview,• they failed to show a proper plan for the progress of their study or language skills• they have not yet completed as many Bachelor courses as other applicants starting in

the same year of enrolment, • they failed to attend the interview and gave no good reason for doing so.

Students who are not selected will be notified by e-mail the day before theannouncement.

Additional documents required by the partner school might be: • a C.V. including one or more passport-sized photos;• an official TOEFL language test result, see also www.toefl.org;• an official transcript of your home studies, available at the Central Student

Administration, room EB-29. Some schools also accept your Osiris print-out inEnglish, stamped by the International Office;

• a bank statement (yours or one from your parents) showing sufficient financial meansto complete your programme abroad. Make sure this is translated into English;

• a deposit for accommodation, you can usually send this by post or bank transfer;• proof of your health insurance.

6.5 LANGUAGE SKILLS

The required level for the teaching language at the partner school is B2.2 for English. Forother languages, the requirement is B2.1 if the programme is taught only in the locallanguage, or B1.2 if it is taught in both the local language and English. The InternationalOffice will check your language status prior to departure. Make sure you continue yourlanguage courses so your exchange is not cancelled because of your lack of languageskills.

6.6 BLACKBOARD “RSM MASTER EXCHANGE”

After selection you will be automatically enrolled on the Blackboard course “RSM MasterExchange 2012-2013” so that you continue to receive important and useful exchangeinformation.

6.7 PRE-DEPARTURE SESSION

At the beginning of May 2012 a ‘Pre-departure Session’ for all selected RSM MasterExchange students will guide you through the practical side of the exchange process. Forthe date, check the Blackboard course “RSM Master Exchange 2012-2013 (outgoing)”or the SIN Online channel “RSM Master Exchange”.

6.1 SELECTED – STATEMENT OF ACCEPTANCE

After you have received the good news of your exchange destination, you have one weekto consider the offer and confirm your acceptance by submitting the “Statement ofAcceptance” form which was sent to you by e-mail with the invitation to your interview.

6.2 LETTER OF ACCEPTANCE FROM INTERNATIONAL OFFICE

As soon as we have received your Statement of Acceptance, the International Office willsend you a Letter of Acceptance. This letter is important; it can be used to supportapplications for visas, study grants and for other purposes.

6.3 CONFIRMATION FROM THE PARTNER UNIVERSITY

As soon as you have confirmed your participation by sending the Statement ofAcceptance, the International Office will send confirmation via e-mail or an onlinesystem. Do not contact the host university before you have received your confirmation.Autumn exchange candidates will be confirmed by the partner school before May 1,2012; spring exchange candidates at the beginning of September 2012.

6.4 YOUR APPLICATION AT THE PARTNER UNIVERSITY

Your selection for an exchange programme does not mean the application process iscompleted. Information submitted to the International Office for your RSM exchangeapplication will be kept for our own files and the International Office is not responsiblefor sending any further information needed by the partner school.

Some partner schools require you to complete their own application form and submit itbefore their deadline. This is your responsibility. They should also send you a Letter ofAcceptance and a general information package.

Step 3: Have your conversion proposal signed by Academic Director of yourMaster Programme

The Academic Director of your Master programme is the only one who can approve yourconversion proposal. Please include the following attachments to your conversionproposal before submitting it for the Academic Director’s signature:• Description of courses including teaching method, number of credits, course code (if

available) and required literature, casebooks etc.

Most Academic Directors assign you a specific week or day to hand in this proposal,and you will be informed of this at the start of the Master programme. If you foreseeproblems in meeting the deadline to hand in this proposal (e.g. your course offer abroadis not yet known), then tell your Academic Director in advance. See chapter 10 for namesand e-mail addresses of Academic Directors.• Use only the form issued by the International Office, found on Blackboard course ‘RSM

Master Exchange 2012-2013’.• Hand-written proposals are unacceptable, so please fill out the proposal form

electronically and print it out.

Step 4: Hand in approved conversion proposal at International Office, Room T05-26After your conversion proposal has been approved and signed by the Academic Directorof your programme, hand it in to Ms Karin Klapwijk-Valentijn, Programme Assistant, atthe International Office Room T05-26, together with descriptions of your courses. Yourproposal will be stored in your student file.

Step 5: This step is taken only when courses change at time of exchangeIf, at the start of your exchange, one or more courses have been dropped or you need tochange your courses, prepare a revised conversion proposal as soon as possible. Sendthis revised proposal to your Academic Director by e-mail and ask for his or her approval.Please also send copies of everything, including your revised proposal and new approval,to Ms Karin Klapwijk-Valentijn ([email protected]).

Step 6: After the exchange: send or hand in your academic study report & transcript /certificate of coursesAfter your return you should hand in your academic study report and transcript ofrecords to Ms Karin Klapwijk-Valentijn, Room T05-26. The digital version of your reportshould be sent to: [email protected] .

If your transcript has been sent directly to our office, you will be notified.

6.8 CONVERSION PROPOSAL: WHAT TO DO BEFORE AND AFTER THE EXCHANGE

In general students participate in courses abroad which replace their Master ProgrammeElective and the subsequent Free Elective, unless the minimum workload abroad is20 ECTS. If you have already passed your Master Programme Elective in Rotterdam, youcan convert the courses you passed while abroad into an extra Free Elective.

The following steps help you to draw up the “Conversion Proposal” to have your coursesapproved before your exchange and converted afterwards.

Step 1: Choose the right coursesAfter your acceptance at the partner school, you will be told how to continue with yourapplication from the partner school, either by email or in the information package. Yourhost school should tell you about courses available during your exchange term. If not, e-mail them yourself or check their website or factsheet on our Blackboard course: ‘RSMMaster Exchange Info Tracker’.

For an overview of courses pre-approved to replace a Master Programme Elective on yourexchange see the Blackboard course ‘RSM Master Exchange Info Tracker’. Courses toreplace your Master Programme Elective should be related to your Master Programmeand have a minimum workload of at least 10 ECTS in total. You can choose any courserelated to Business Administration to replace your Free Elective; these courses shouldalso have a minimum workload of at least 10 ECTS in total.

Courses abroadAs an MSc student, you need to take (post)graduate or courses of a level comparable toMaster’s. Courses abroad may not duplicate courses passed in Rotterdam. You are notpermitted to take credits or convert scores for language or culture courses.

Step 2: Prepare your conversion proposal: download form At least 6 weeks before your exchange starts, fill out your personal information and thecourses in the Conversion Proposal. This form can be downloaded from the Blackboardcourse: “RSM Master Exchange 2012-2013 (outgoing)” and in Appendix II.

It is essential that you submit your revised, approved and signed conversion proposal atthe International Office, as well your post-exchange documents (academic study report,transcript of records host school). If the transcript of your study record has been sent toyou directly, then do not forget to submit a copy to the International Office.The Examination Board and International Office reserve the right to adjust the value ofthe workload and grading of courses passed abroad.

6.9 UPDATE YOUR STUDENT FILE

Until the start of your programme abroad, you should keep your personal student fileupdated with grades and language test results which might arrive after the selectionround has taken place. Your file is in the International Office, T05-26. One month priorto your departure the International Office will check that you have fulfilled all selectioncriteria.

Not completing your Bachelor programme or missing language tests or courses

can lead to the cancellation of your exchange.

6.10 ADMITTANCE TO MASTER PROGRAMME AT ROTTERDAM SCHOOL OFMANAGEMENT, ERASMUS UNIVERSITY

Admittance to one of our Master Programmes (September 2012 or early February 2013)guarantees your eligibility for the exchange programme, which means you can continuewith your preparations. However, any re-sits for your Bachelor programme should not betaken during your exchange period, unless you are prepared to travel back to Rotterdam.It is your responsibility to schedule any re-sits around your exchange programme.

If you foresee that you will not be admitted to your Master Programmes, please informthe International Office immediately. This will minimise any cancellation fees.

The contents of your academic study report should be a minimum of 2 pages, and amaximum of 4 pages, according to the following format:

Chapter 1:• Personal information (including your e-mail address).• Name of your Master Programme.• List of courses you participated in and your impression of these courses compared to

courses at RSM.• Description of your courses including: official course name and workload, course code

(if available), name(s) of teaching staff, literature, method of teaching, number ofclass hours and self-study, and examination method.

Chapter 2:• Useful information about the partner school (accommodation, registration of courses,

international office),• Places to visit (restaurants, clubs, tourist sites etc.),• Other information you consider relevant for your successors (transportation, how to

reduce costs, do’s and don’ts).

When is your academic study report due?Before June 15, 2013 : for students planning to graduate in September 2013Before August 15, 2013 : for students planning to graduate in December 2013 or later

Bear in mind that your conversion has to be processed at least 2 months prior to

your planned graduation, so please hand in all documents in good time!

Some important notes:Study programmes of less than 20 ECTS will not be recognised or converted. Exchangesare not holidays!

Grades obtained abroad are no longer converted into Dutch equivalents. In each case,your international grade will be converted into a ‘pass’ or a ‘fail’. It is, however, possibleto provide you with a document which shows the Dutch equivalents.

6.11 CANCELLATION OF EXCHANGE

Being selected for an academic period abroad means that a student is aware of his or herrights and duties, which participation in the Master Exchange Programme implies.Students may not derive any rights from allocated places in the case of e.g. negativetravel advice or natural disasters in the country concerned. The International Officecannot guarantee a replacement exchange place, but will do its utmost to find one, iftime allows.

Report any cancellation to the International Office!It can happen that, due to illness or unforeseen circumstances, a student finds they canno longer participate in the Master Exchange Programme. If such a situation occurs,please inform the Head of the International Office, Linda de Vries [email protected] bytelephone and email as quickly as possible. She is responsible for passing cancellationinformation to the partner university.

Cancellation FeeThe exchange of students is expensive and time-consuming for both home and hostuniversities. Cancellation fees will be charged, up to ¤ 250, if participation in theMaster Exchange Programme is cancelled without a valid reason such as illness. The following fees will be charged for exchange in autumn 2012 and spring 2013:

Students who cancel their exchange less than one month before the start of the

programme are liable for any additional financial consequences for RotterdamSchool of Management, Erasmus University.

7.4 LIFE LONG LEARNING PROGRAMME (FORMERLY SOCRATES / ERASMUSPROGRAMME)

The European Union’s Life Long Learning (LLL) programme supports European studentssent to other EU and EEA/EFTA countries, and to universities that form part of the LLLprogramme. After selection, the International Office sends a list of selected and eligiblestudents to the Erasmus Student Services Centre (ESSC), which tells students how toproceed with the procedures for receiving this grant by mail, in September for autumncandidates, and in December for spring candidates. When there are more applicantsthan grants available, a selection procedure will be operated. It is not possible forindividual students to apply for the LLL-grant themselves. 7.5 A.A. VAN BEEK FUND SCHOLARSHIP

Students who have been enrolled at Erasmus University Rotterdam for at least 2 yearscan apply for this scholarship. Money Matters7

A study period abroad always involves additional costs for students. The followinginformation may help you to reduce extra costs.

7.1 NO TUITION FEE

If the RSM International Office has selected and confirmed you as an exchange student atone of our partner schools, you are exempt from paying tuition fees at the host university.

7.2 SUBLETTING YOUR ROOM DURING YOUR EXCHANGE

Subletting your room during your exchange period is also an option to reduce exchangecosts, and using your room will help us to accommodate incoming exchange students.

There is always a shortage of rooms from September to December. Students who wantto rent out their room temporarily can use Erasmus’ new housing webpage: http://www.HousingAnywhere.com. This webpage has been developed to bring studentaccommodation supply and demand together; it operates student-to-student, withoutusing intermediaries.

You can also check on Facebook “RSM Exchange Students 2012-13” and interact withinternational students coming to Rotterdam for their exchange who may want to subletyour room. 

7.3 STUDENT GRANTS AND LOANS & REIMBURSEMENT OF OV STUDENT CARD

Dutch students will continue to receive student grants and loans while abroad. Studentswho receive a student grant from the DUO (formerly the IB-Group) and who takecomponents of their Dutch university studies abroad are entitled to receive moneyinstead of their OV student card, nearly ¤ 80 per month. Leisure travel time before orafter your exchange programme is not calculated in this period. To receive timelyreimbursement you should submit your request to the DUO at least 2 months beforedeparture. 8.1 MEET YOUR HOSTS

Partner universities will usually organise introduction days or programmes for you tomeet your fellow exchange students, and most probably the counterparts of ourInternational Office. Please introduce yourself to our colleagues abroad. If there is noformal introduction programme, then do visit the International Office at the partnerschool to introduce yourself.

8.2 CHANGES IN COURSES UPON ARRIVAL AT PARTNER SCHOOL

Upon arrival at the partner school you might have new information which means revisingthe courses previously agreed with your Academic Director. In such cases, you shouldsend a revised conversion proposal to your Academic Director. Check that your newconversion has been approved, inform Ms Karin Klapwijk-Valentijn in the InternationalOffice, and submit the approved and signed conversion proposal to her. It can also besubmitted on your return from exchange.

8.3 UNFORESEEN CIRCUMSTANCES / EARLY DEPARTURE

If an emergency situation or unforeseen event such as a natural disaster, illness orterrorism arises during your exchange, contact the International Office ([email protected])immediately. The International Office will do its utmost to offer advice and assistance.

If you need to leave your exchange destination early for any reason, please inform theInternational Office at your host university and RSM’s International Office. An earlydeparture might affect how many courses and ECTS (minimum workload of 20 ECTS)you need to pass abroad, and could jeopardise conversion of your courses after yourexchange.

We cannot process conversion proposals which do not meet the minimum workloadunless there is a valid reason for an early departure.

Language tests:The Language & Training Centre offers students several language tests:

ITP-TOEFLThe ITP-TOEFL (Institutional Testing Programme) is organised according todemand, and is intended to determine non-native speakers’ English languageskills. Results from this examination are valid only for participation in theselection of the Master Exchange Programme; however once selected, the partnerschool might require an official TOEFL score.

IntakesIntakes are intended to determine which course you should take, and are offeredfour times a year for all foreign languages for which EUR offers courses. You donot have to participate in the recommended course if you have done an intake,but you can use the result of your intake to prove to your faculty that you meet thelanguage proficiency requirements for an exchange or for admission to a Master'sdegree programme.

Official TOEFL The TOEFL test is intended to establish the level of English of non-nativespeakers. There are two testing methods for official TOEFL examinations:Internet-based (iBT) and paper-based (PBT). These are not offered by EUR’sLanguage Training Centre. For an official TOEFL test, please visit www.toefl.org.

IELTSIELTS tests all four language skills: listening, reading, writing and speaking.There are three testing centres, in Breda, Utrecht and Amsterdam, for studentsinterested in passing IELTS tests in the Netherlands. IELTS is accepted bythousands of organisations (including universities) in more than 135 countries.The IELTS Global Recognition System will tell you which organisation acceptsIELTS and the scores they require. Your language skills are very important for all international study abroad programmes.You will attend business and management courses from the regular programme of thehost university; this usually means they will be in the language of the host country.Rotterdam School of Management, Erasmus University uses the levels of the CommonEuropean Framework to evaluate your language skills.

BEFORE EXCHANGE

Check if you need a visa to enter the host country.

Find opportunities to reduce your exchange costs (grants, subletting room, etc.).

Check your third-party and health insurance.

Prepare conversion proposal using the form on the Blackboard course “RSM Master

Exchange 2012-2013 (outgoing)” and have this document signed by your Academic

Director. Then file it at the International Office.

Attend Pre-departure Session (April / May 2012).

Keep your student file updated until your exchange starts.

Check if you need to ask a fellow student to register you for special events, courses

and examinations etc. during the time you are abroad.

DURING EXCHANGE

Introduce yourself at International Office of partner school.

Register for your courses (if not done before).

Send in revised conversion proposal (if applicable) and inform International Office,

Ms Karin Klapwijk-Valentijn.

Keep the International Office at RSM informed of your exchange status (early

departure, unforeseen circumstances or just nice news!).

END OF / AFTER EXCHANGE

Check that you have not left unpaid bills for accommodation or internet, etc.

Complete your Conversion Package: hand in your academic study report in both hard

copy and by email. If your transcript of records is sent to you directly by the host

university, then do not forget to hand in a copy at the I.O.: see chapter 6.8.

Download or pick up Study Abroad Guidelines (www.rsm.nl/exchange).

Complete online application form at www.rsm.nl/exchange/application.

Check deadlines and register for either language course or test at: www.eur.nl/ltc.

Consult the BB course ‘RSM Master Exchange Info Tracker’ and partner school websites.

Allow enough time to fill out your application form; incomplete application forms will

not be processed!

Deadline for submitting your application package is no later than Monday January 23,

2012 at 16.00 h. at the International Office.

AT THE TIME OF SELECTION (MARCH 2012)

Check your student e-mail to see if you have made it to the first selection (mid February).

Check your student e-mail for the date, time and place of your interview and confirm

(end of February).

Make sure you can show proof of your language skills.

Prepare yourself for the selection interview, motivation is very important!

Make sure you know the selection results on the day they are announced (date to be

confirmed) unless you have already been told that you have not been allocated an

exchange place.

AFTER SELECTION

Hand in Statement of Acceptance no later than 1 week after you have been told your

exchange destination.

Await information from the partner school, which should arrive three or four months

prior to the start of programme.

Fill out application forms and enclose required documents from partner school

according to its deadline.

Continue with improving your language skills (if applicable).

Complete your Bachelor courses if not done so yet.
