Defective Product or Product not made to Order Specifications:The Customer may request credit for a defective product or product not made to the order specifications, within thirty (30) days of shipment date. At RSSCO's option, customer may receive a replacement, exchange, credit or repair.Ÿ RSSCO may request products to be returned before credit is issued. RSSCO will cover the return shipping cost.Ÿ If the product is to be returned, your sales representative will provide you with an RMA form and specify the

return shipment method.

Product Credit/Return Policy

Product Damaged or Lost in Transit:All of our orders are tracked in real time. A product that was either received damaged or lost in transit can be replaced at no cost to the customer. The following criteria apply:Ÿ If the shipment is lost in transit to the customer, RSSCO will replace the shipment at no cost to the customer.

(Tracking will validate.)Ÿ If a package is damaged in shipment, the Customer should note the damage on the carrier's delivery record.

The original box and packaging should also be held by the customer to allow for RSSCO to process the claim. After reviewing the contents, the customer should notify RSSCO and provide the carrier name, package tracking number and inventory of damaged items that need to be replaced. If the customer does not note any damage upon receipt and save the received merchandise and packaging material, the Customer could be deemed to have accepted the merchandise as if it had arrived undamaged and face possible denial of credit.

Orders are keyed and within our production process within 30 minutes of submitting an order. At Roanoke Stamp & Seal Co we like to give our customers ample opportunity to alter their orders. Depending on the stage of production your order is in a change or cancellation can be made. If your order is in a state that would incur a fee for a change or cancellation, you will be notified by our sales team prior to making the committed changes/cancellations.

Orders are produced based on the order in which they are received. In order to not disrupt the flow of regular production we offer a rush fee of $25.00 to “rush” an order through production. We can offer same day production for most items under this rush request (quantities above 25 will need to be reviewed prior to committing to a rush order). Royal Mark and Xstamper are excluded from this process as their unique production requires a 12 hour in house process.

Artwork: We accept the following file formats for artwork: .PDF, .TIF, .TIFF, .JPG, .BMP, .AI, .EPS, and .CDR(CorelDraw X5).

Text Documents: When submitting name badge and sign orders, to help ensure accuracy, please submit a text document. We accept the following file formats for text documents: .XLS, .XLSX, .ODF, .TXT, .CSV, . DOC, .DOCX, .MDB, .ACCDB, and .CDR.

All file formats must have a minimum of 300 dpi (dot per inch) resolution.

Web images are done at low screen resolution (72 dpi). Print images need to be created at 300 dpi or there will be a substantial drop in the image quality.

Using different materials for different conditions colors may vary depending on usage and or process. Provide PMS colors if color matching is necessary.

Bleed is the portion of the product that will be trimmed off when it is cut to the final size.

The purpose of a bleed is to continue a color, image, or design to the edge of the product. Due to the possibility of shifting in the trimming process a bleed is required to ensure that a white line does not show on the edges of your product.We require ALL files to be built to the full bleed dimension specified for each trim size. We automatically trim the bleed off of each side, which will result in the desired final size. Please build your print-ready digital files by adding the appropriate bleed to your file.

We offer our anodized aluminum corridor holders in 2", 3", 4" and 5" sizes. Our stock holder colors are Black, Polished Rose Gold, and Polished Silver. Artwork Requirements/File Preparation/Proof Policy for Stamps and Embossers

Given the complexity of Artwork and all the different types that can now be submitted, we have published the guidelines below so that you have a better understanding of our artwork policies and requirements. Following these guidelines will help us to better serve you and your client's requirements and save you additional fees. We have also used this opportunity to provide you a better understanding of our fee schedule and how they apply to your orders. Our goal is to assist as you serve your client at the time they place their orders and to provide the best possible result for you and your customer. If you have any questions, please feel free to contact our sales team.

Proofs will be provided upon customer request for $5.00 per individual proof. The proof will be provided to confirm layout,

font, colors, spelling and use of upper/lower case letters. Subsequent proofs requested based on revisions will incur additional proof charges. If proofs for multiples of the same product are requested in an order that uses the same layout, the proof charge will be quoted prior to producing the proof. Most proof charges can be avoided by placing your order online which generates a .pdf proof.

If artwork for an order will be sent separately from that order, the order must state that the artwork is

being sent separately and the method that will be used to transmit it (e-mail, mail, fax). The artwork must also reference either the PO number or web order number of the order so that they can be matched up. A $5.00 fee to locate and combine the order with the artwork will be charged when the above information is not specified.

Artwork requirements have been established to ensure that all artwork will produce an acceptable

image. You can avoid any artwork clean-up fees by providing artwork that meets these requirements:

Ÿ Original artwork must be submitted electronically as a .PDF, .JPG, .TIF, .BMP, .AI, .EPS or .CDR (X5 or lower)Vector artwork is recommended and preferred but Raster artwork is acceptable if it meets all other criteria

Ÿ Artwork must be at least 300 dpi (600 dpi recommended)Ÿ Artwork must be black and white, no color files are acceptedŸ Artwork must be cropped to image sizeŸ Text must be RGB black (0,0,0) and converted to curves, outlines or a black & white image Ÿ Signature artwork must be a scan of the original signatures. A minimum $5.00 clean-up fee will be applied if submitted artwork does not meet the requirements. If the clean-up fee

will exceed the $5.00 minimum, the customer will be notified of the fee along with an explanation of the needed adjustments. This will allow the customer to either obtain artwork that meets the requirements or to approve the fee to have the artwork cleaned up. Please note that while we do accept faxed artwork, it is not recommended and will always be subject to a clean-up fee.

A $25.00 minimum fee will be applied to jobs that Roanoke Stamp has to set up. The fee will be based on the

complexity of the design requested, the quality of artwork sent with the order and any clean-up necessary to produce an acceptable product. The customer will be notified of the set-up fee for approval prior to production. Set-up fees also include one proof for review and approval by the customer. Revisions and subsequent proof requests may be subject to additional set-up fees.

Proof, Artwork Clean-Up and Artwork Set-Up fees are non-refundable. All pricing and specifications are subject to change

without notice. Please contact our sales team if you have any questions.

Please use a Purchase Order # or an Order # when referencing a repeat/previous order to ensure

that you get the item apreviously ordered.

The ideal signature stamp is one that is created from your digital file that is emailed or uploaded to your web order.Ÿ Make sure to sign your name in black ink, with a crisp, clear pen.Ÿ Do not sign using felt tip markers, as your signature may appear too thick.Ÿ Sign on plain, unlined, white paper. Use of any other paper may result in a signature clean up fee.Ÿ Your digital file should be black and white, not color, and no smaller than 300dpi. Low resolution images do not produce quality

signature stamps.

Our default signature size is no wider than 2 1/2”, so that it can be used on most documents, as well as a standard check. If you would like your signature to be larger than that, or remain oversize, at it’s original size, please let us know.

How to re-ink a Self-Inking Stamp?Most of the self-inking stamp units have lock buttons on the sides or the back. By depressing the stamp mechanism slightly and pressing the two sides or sliding the back button the stamp can be locked into a halfway position exposing the ink padThe pad is easily removeable by grasping the sides or pushing from the back of the stamp. Take care as to not get ink on your fingers or clothing. Note how the pad fits back into unit. Some fit one way only.Examine the stamp pad. Over time, the stamp impression will make an indention on the pad. Age can also change the consistency of the material making it difficult to transfer ink to the stamp die surface. It is often adviseable, cleaner and economical to simply replace with a new ink pad. Using only stamp Ink designated for your type of unit, place a few drops of ink on the center of the pad and the approximate area of the impression. It is better to use less ink and re-ink often than to soak the pad. Over-inking may cause a messy ink overflow or an unclear impression.Always refill your stamp pad with the same ink color originally used. *If you wish to change the color of your stamp use a new ink pad and gently clean away any old ink from the die surface (See "Stamp Care and Cleaning") Let the ink set into the pad for a few minutes then carefully place it back into the stamp mount as it was removed. Use care here as well to avoid ink on fingers and clothing. The pad will click into position.Once the pad is in place, unlock the mechanism by sliding the lock button or depressing slightly to unlock the side buttons.Test the stamp a few times on scrap paper to allow the ink to evenly cover the stamping die.

Cleaning Your Self-Inking StampExtended use can cause paper fiber, dust and dirt may collect on the surface of your stamp which can create a poor impression. To remove this excess material, depress the stamp completely and lock the unit in place (buttons on side or back will lock) to expose the rubber die. Press the stamp on scrap paper several times until the impression is clear. This should remove the ink from the surface and leave it as dry as possible.There are a few ways to clean the die surface. An easy way is to press a piece of tape firmly onto the die and slowly lift away. The sticky tape will pick up much of the dirt. Repeat once or twice to remove as much as possible. Do not use duct tape or other industrial tapes as this could remove the die entirely from the stamping surface.Another method is to use a diluted soap solution. Do not soak the stamp. Simply use a clear cloth, cotton swap or paper tower and gently press, twist or scrub the surface. Use care as the solution may disrupt the contact of the die to the stamp unit so try to keep the solution away from the edges of the die.Rubbing alcohol can be used but dilute with water as alcohol can dry the rubber surface.A fine, soft bristle brush can also be used to pull debris that may be imbedded within the recesses of the die.It is a good idea to check the condition of your ink pad if cleaning your stamp. A new stamp pad or re-inking will help make a new, clean impression.Once the stamp is clear and dry, unlock the mechanism and make some sample stamps on scrap paper to allow the die to be reset with ink from the pad.

Caring for your Pre-Inked StampPre-Inked Stamps are amazingly durable- which means that they're very easy to care for. However, they do require some minimal maintenance.

Cleaning the Stamp SurfaceCustom-made Pre-Inked Stamps should be stored in a dust free environment. The tacky side of any plastic tape can be used to remove dust or paper fibers, which may accumulate on the stamp surface. Plain rubbing alcohol on a dust free cloth can be used on the stamp surface to clean any dirt that may build up. Never rub the stamp surface hard or allow sharp objects to come in contact with the rubber.

Re-inkingRe-inking must be performed at such time when the stamp impression has become consistently light. Pre-inked stamps use a different type of ink than most other types so it is important to refill only with the original color and type of Ink. The ink color can not be changed as the impression and the ink are not separate as in self-inking stamps. Use only ink designed for your stamp as other types may damage or shorten the useful life of your stamp.Our pre-inked stamps are packaged with re-inking instructions. Some take ink directly through the impression surface while others may be inked by removing a handle or cover. It is important to not over-saturate a pre-inked stamp to avoid leaking or damage to the actual impression area.
