To assist you in developing a job description, the following information is accessible in the Public Folders on Outlook:

Not to be confused with job descriptions, job specifications are examples of the full range of work being done within an organization. The information is general and outlines typical duties at a given classification level. Job descriptions provide a written statement that identifies key information about specific work within an organization. The sample job descriptions represent live jobs in the district and are used as benchmarks in classifying work. The sample job descriptions are also intended to be used as a template from which you could develop a specific job description within your school or department.

TEACHER ASSISTANT JOB FAIRS Thank you to all the principals in the district for helping Human Resource Services promote our Teacher Assistant Job Fairs held in February. We had 110 potential applicants in attendance and we look forward to reviewing and screening their applications in the next couple of weeks. All screened and successful applicants will be placed directly on the replacement roster to help improve our fill rates and provide a more effective service to schools. A special thanks to Barb Kostel, Elaine Cardinal, Donna Horne, Michelle Tidridge, Colleen McCarthy-Durand and Danny Burrell who were instrumental in making these job fairs such a success! Edmonton Catholic Schools has great people and is a great place to work!

THE ANNETTE STEIN AWARD FOR PROFESSIONAL DEVELOPMENT

RECOGNIZING A SPECIAL EDUCATION TEACHER IN A DISTRICT PROGRAM AND

A SPECIAL NEEDS TEACHER ASSISTANT WORKING WITH CHILDREN WITH SPECIAL NEEDS

THE ANNETTE STEIN AWARD is presented to a special education teacher in a district program and a special needs teacher assistant for their outstanding contribution to the education of students with special needs in Edmonton Catholic Schools. $750 will be awarded to a special education teacher working in a district program and $500 will be awarded to a special needs teacher assistant on an annual basis when nominees meet the criteria. THE GOAL of the Award shall be educational and shall be for professional development activities. CRITERIA THE ANNETTE STEIN AWARD will be based on the following criteria. Each nominee should have:

• completed at least two successful years as a special education teacher in a district program/special needs teacher assistant in the Edmonton Catholic School District;

• through their role, made a significant and outstanding contribution to the education of students with special needs;

• demonstrated excellence in the classroom; • participated in professional development activities;

and • demonstrated involvement in extra-curricular activities

(district, school or professional.)

CALL FOR SUPPORT STAFF JOB DESCRIPTIONS

Human Resource Services (HRS) is now accepting requests for reclassification of Support Staff jobs. Support Staff jobs include:

⇒ Teacher Assistant ⇒ Special Needs Teacher Assistant ⇒ Instructor ⇒ Counselor and Coordinator ⇒ Administrative Support ⇒ Media Resources ⇒ Printing Services

If an employee, or their supervisor, feels a job is inappropriately classified, now is the time to submit an updated Support Staff Job Description. The deadline to submit a job description for review is April 30, 2008 and should be forwarded to Pat McLaughlin in Human Resource Services.

If you are requesting a reclassification, it is important that you indicate the “Requested Classification” on page one of the job description. Also, it is important to outline the changes to the job in the section titled “Changes Since Last Classification Review”.

TEACHER AND SUPPORT STAFF STAFFING PROCEDURES INFORMATION

2008-2009

The spring staffing cycle is the time for continuous contract staff (certificated-teacher and classified-support) to consider their options for the new school year. This year, the following are available: • Submit your name to the Exchange Bulletin • Submit your name for a Transfer Request • Apply for an exchange from the Exchange Bulletin • Apply for vacant positions in the Staffing Bulletins Complete 2008-2009 Staffing Timeline on pages 7and 8 Exchange Bulletin – Certificated (teacher) and Classified staff (support) By including your name in this Bulletin, other staff members may want to discuss an exchange with you. In order for an exchange to occur, both staff members and both principals must agree. This process is closed on Monday, March 24th. Exchange list will be shared with district staff on Monday, April 7th. Voluntary Transfer Request – Certificated (teacher) A complete list of all teachers requesting a transfer will be made available to all principals on Monday, April 7th. Principals of schools with open positions have been asked to consider teachers who have made a transfer request. Teachers are also encouraged to contact principals in schools where they may want to work. This process is closed on Monday, March 24th. Please know that while you have applied to be on the Voluntary transfer list you are still able to apply for positions advertised in Bulletins #1 and #2. A list of transfer requests will be shared with Principals only. Forms will be available in the Staffing Procedures Bulletin 2008-2009 to all staff in early March. They will also be available on

administrative e-mail in Public Folders/Human Resources/Staffing and on the Human Resource Services website at www.hrs.ecsd.net

RESPONSIBILITIES for School Based Staffing

• Design a staff plan for your site:

1. Assign existing staff. 2. Declare certificated/classified staff for reassignment using the procedures and guidelines. (complete Principal Check List

found in Staffing Procedures Bulletin, pages 35 and 36 and submit to HR). 3. Declare open permanent positions (now occupied by temporary/probationary/interim contract teachers and

temporary support staff).

4. Describe vacancies in Peoplesoft. 5. Ensure all forms are forwarded to Human Resource Services in a timely manner.

• Select the best candidates for open positions. • Inform by telephone all staff who are considered for positions (i.e. all staff who applied to a bulletin and/or all staff interviewed when

short listed). • Ensure adherence to timelines.

CONTINUOUS CONTRACT STAFF • Consider new opportunities. • Respect timelines for staffing procedures. • Communicate your intentions to your principal/supervisor as early as possible. • When applying to a position in the bulletins, do so on-line through PeopleSoft Self-Service. HUMAN RESOURCE SERVICES (Charolette Player, Marc Motut, Paul Gagne) • Recruit staff as needed. • Maintain all staff information. • Coordinate information on reassignment and placement. • Confirm placement of staff by letter. • Monitor the staffing process throughout the district. • Grant continuous contracts. STAFFING COMMITTEE (Charolette Player, Paul Gagne, Marc Motut, Mike Paonessa, Joanne Ritcey-Devaney, Heather Jamieson) • Facilitate placement of staff in cooperation with principals. • Place new continuous contract teachers. • Recommend staff who will receive continuous contracts. • Has authority to place staff in open positions. TEACHER & SUPPORT STAFFING QUESTION 1: Who Can Apply for Open Teaching Vacancies? All continuous staff may apply. Short lists of probationary, temporary, interim and replacement staff will be forwarded to schools that have vacancies after the second bulletin. QUESTION 2: What if I am Unsuccessful in Obtaining a Contract for 2008-2009? 1. All probationary and temporary certificated staff and temporary special needs teacher assistants should apply to the replacement

roster as a back-up for next year. Contracts are offered throughout the year. You want to cover all options open to you. Replacement Roster Application forms will be available from HR in late May or early June. You may also obtain an application from your supervisor or school secretary.

2. Complete and forward the application form to Human Resource Services by the end of June. 3. The roster and applications will be reviewed and applicants will be notified in writing of their status for the 2008-2009 school year. 4. Should you be successful in obtaining a contract following your application, we will make you unavailable to the replacement roster

for the duration of your contract. 5. Early application ensures consideration of securing a position on the teacher replacement roster for 2008-2009. 6. If you have applied to the replacement roster and have obtained a contract with another district, please inform us. 7. As an active applicant, you will be considered for contracts throughout the staffing process. Teacher Staffing QUESTION 1: Will I be considered for a Continuous Contract? The staffing committee recommends teachers for continuous contracts. The following criteria are considered:

1. Religion Course Requirements. 2. The needs of the district for teachers in a particular area or program.

3. A successful evaluation in the current year. 4. The recommendation for a continuous contract from the principal of the school. 5. Length of service to the district (minimum 1 year). 6. Attendance record. QUESTION 2: How is the decision made? The Staffing Committee will meet to review the required documents of prospective continuous contract teachers in consideration of district needs. Recommendations to grant a continuous contract will be made by the committee to the Director of Human Resource Services. QUESTION 3: When will I know if I will be granted a Continuous Contract? The process of granting continuous contracts according to the Staffing Procedures Bulletin timelines will begin on Monday, May 5th, 2008 and continue until September 2008. QUESTION 4: How will I know? A member of the Staffing Committee will contact your school principal to confirm your new status and the principal will inform you. QUESTION 5: I am interested in changing my Continuous Contract status. What must I do?

Support Staffing QUESTION 1: What happens if my FTE is reduced? If your reduction is greater than 0.1 FTE, you may choose to accept the reduction or you are placed on a “requires reassignment” list and you apply for vacancies in the Staffing Bulletins. If unsuccessful, the Staffing Committee will work with you and school administrators to secure a placement. QUESTION 2: I presently hold a probationary contract; what will happen to my contract status for the next school year? Your probationary contract will be honored for next school year provided that there is a position available for you at the beginning of the school year. If there is no position, then your contract with the board will be terminated as of June 30th. QUESTION 3: How do I apply for open positions? In the 2008/2009 staffing cycle a staffing bulletin will be issued in September and October with all open positions. Following the September/October 2008 bulletin, support staff positions will be advertised as the district need arises. Therefore the cycle will be continuous and not necessarily occurring on a monthly basis but rather every three months or so.

DEFERRED SALARY LEAVE PLAN The Deferred Salary Leave Plan has been developed to afford all employees the opportunity to take a one year leave by deferring some portion of their salary to the year of the leave. Staff interested in participating in the Plan should contact Linda Deans in Human Resource Services at 441-6055 for the necessary application form. For further information contact Paul Gagné at 441-6097. Deadline for receipt of application is May 30, 2008. An Exciting Opportunity Study, travel, engage in the activities of your choice. Enjoy tax deferred advantages. What Is The Plan? Employees may defer up to thirty percent of their annual salary for any period not exceeding six years and receive this as income during a subsequent one year leave of absence. Who Is Eligible? Any employee of the Edmonton Catholic Separate School District No. 7 who is on a continuous contract with the District. What Does It Cost? There is no cost to the employee. You are actually paid interest during the period of deferral. Is This Plan Flexible? Arrange the plan to suit your financial needs now and during the leave. Deferral may be from one to six years with the leave of absence to be taken no later than the seventh year. FIRST YEAR TEACHERS’ JOURNEY On February 7th over 65 first year teachers spent a day together in review!! They shared their stories, challenges and successes with one another. As well, all the participants visited classrooms outside their schools to observe different classroom settings and meet with new teacher colleagues. It was an incredible day for all. The featured presenters included Marie Whelan and Margo McGee who involved the teachers in rich dialogue centered around the topic of student engagement and building classroom culture. This is the beginning of a three year journey and experience for the district’s new teaching staff. The Human Resource Team is excited to be able to provide the Inspired Beginnings Program for our Edmonton Catholic Schools’ beginning teachers. Thank you to the Administrative teams and teachers of St. Mary, St. Monica, Louis St. Laurent and Father Michael Troy who opened their schools and classrooms to the 65 new teachers!!!!

TEACHER SUBSTITUTES SHARE On February 21st a group of teacher substitutes met together with Charolette Player and Marc Motut from Human Resource Services to share their ideas and challenges regarding the District Staffing Process. The evening involved a group process whereby the participants explored a number of key questions around the topic of staffing and ways in which the Human Resource team could better serve the needs of this particular group of teachers. All the ideas and suggestions generated through this process have been gathered and will serve to assist the staffing committee in the decisions they make on behalf of the district’s teacher substitutes. Thank you to Dolores Gillett, Chair of the Edmonton Catholic Teacher Substitutes Committee and the committee members for providing this opportunity to work together. The evening was a resounding success!
