1 Quick Guide This manual basically describes how to use the version of RICOH Interactive Whiteboard Controller OP-10/5 Kit model that is packaged with various applicaitons. For information about menu items not found in this manual, see the guide that appears after you start a meeting, or see Guidance for Admin Tool in RICOH Interactive Whiteboard Launcher (hereinafter, referred to as RICOH Launcher). Quick GuideThis manual basically describes how to use the version of RICOH Interactive Whiteboard Controller OP-10/5 Kit model that is packaged with various applicaitons.For information about menu items not found in this manual, see the guide that appears after you start a meeting, or see Guidance for Admin Tool in RICOH Interactive Whiteboard Launcher (hereinafter, referred to as RICOH Launcher).

Execute the followings beforehand in order to use RICOH Interactive Whiteboard Controller OP-10/5 Kit model.

Set up Windows.1.

Set up RICOH Launcher (to use RICOH Launcher).2. For details, see Guidance for Admin Tool in RICOH Launcher.

Create a general privilege account of Windows (to use RICOH Launcher).3. Switch to the general authority account to use after creating a general privilege account of Windows.

Basic Usage

You can easily start a meeting by just turning on the interactive whiteboard and selecting the application you want to use.

Start a meeting.

Hold the meeting using various applications.

End the meeting.

Starting a Meeting

Turn on the interactive whiteboard.1.

Log on to Windows.2. The launcher screen appears.

Touch the icon of the application you want to use.3. Check the contents of the guidance and then touch [Close] to go to the next operation.The application launches and the meeting starts.You can hide the guidance. For details, see Guidance for Admin Tool in RICOH Launcher.

Holding a Meeting Using Various Applications and Functions

Write text or draw figures

With the whiteboard application (IWB Lt ), you can write text or draw figures using your fingers or the mouse. For details about what you can do with the whiteboard application, see the operating instructions for RICOH Interactive Whiteboard Lt for Windows.By using the optional capture box, you can connect a computer or tablet to the interactive whiteboard, and see that device′s screen on the interactive whiteboard. You can also write text or draw figures on the displayed screen. The op-tional capture box is scheduled for release in the winter of 2018.

Use multiple applications and switch between the applications

During the meeting, you can launch another application or switch to the screen of a different application that is already running.To do this, call up the menu screen by touching , the menu icon.

To launch another application ●Touch [Launch Application], and then touch the icon of the application you want to use.To switch to the screen of another application that is running ●Touch [Switch Application], and then touch the icon of the application you want to use.To switch the screen from the whiteboard application to another application, touch , the desktop icon, on the floating tool-bar to view the desktop so you can select an application that is running.

Split the screen *1

You can display the screens of two applications side by side.To use this function, enable [Screen Mode Selection Enabled] under General in Admin Tool in RICOH Launcher.To split the screen, call up the menu screen by touching , the menu icon, and then select the mode in [Screen Mode].*1 The whiteboard screen cannot be split.

Write on the whiteboard and share the screen while holding a video conference

By using the UCS-A application*2 ( ) and whiteboard application together, you can display the video conference screen and share what you wrote on the whiteboard. For details, see the operating instructions of the video confer-ence application.*2 To use the UCS-A application, you need to have a service contract for RICOH Unified Communication System Ad-

vanced Service.

Make a presentation by using content in various formats By using Reactiv Stage*3, a specialized application for presentations, you can easily make a presentation that uses content in various formats.For details, see the operating instructions for Reactiv Stage.*3 Reactiv Stage is sold separately. For details, contact a sales representative.

Ending a Meeting

Touch 1. , the finish meeting icon, and then touch [Exit].All the applications used in the meeting close and the launcher screen appears.If there is data that you want save, touch [Back] to return to the application's screen, and then save the data. After saving the data, repeat the procedure from Step 1.If a confirmation message appears for any of the applications, confirm the message to close the application.If the application does not respond in 30 seconds, a message appears. In this case, touch [Force Quit] to force the application to close, or touch [Cancel] to return to the application's screen to operate the application.

Turn off the interactive whiteboard if you no longer need to use it.2.

Files created during the meeting are stored on the interactive whiteboard even after the meeting is ended. Delete ●these files if you do not need them.Clipboard data will be discarded. ●

You can also do following:Launch multiple applications automatically when you start a meeting ●For details, see "Application Settings", Guidance for Admin Tool in RICOH Launcher.Add or delete applications displayed on the launcher screen and change the order of icons ●For details, see ʺApplication Settings", Guidance for Admin Tool in RICOH Launcher.Automatically start RICOH Launcher when the interactive whiteboard is turned on ●By adding a shortcut for RICOH Launcher to the Windows startup folder, RICOH Launcher automatically starts when the Interactive Whiteboard starts

Security Measures and Windows Management

Windows Update ●You can use Windows Update to execute updates for Windows.Updates are received while the interactive whiteboard is running.The interactive whiteboard may restart to apply an update. In order to prevent the interactive whiteboard from restart-ing during a meeting, set a time, during which the system cannot restart, in [Change active hours].Windows Defender ●This is a free anti-malware solution installed on Windows that protects the interactive whiteboard from viruses, spy-ware, and other malware (malicious software).Update programs for Windows Defender are provided from Windows Update.Windows Defender runs in the background and informs users when certain actions are required.To scan malware immediately using Windows Defender, touch [Scan Now] in Virus & Threat Protection in Windows Defender Security Center.If you want more advanced security management, consider installing commercially available security software.Checking for drive errors ●The storage area of the SSD may fail, but this rarely happens.Check for errors periodically and process them so the faulty parts of the memory are no longer used.Optimize drives (defragmentation) ●The drive installed in this product is an SSD. You do not need to optimize the SSD because doing so is ineffective.Clean up caches on the drive and browser ●Clean up the cache files for Windows and the browser periodically.Backing up data ●We recommend that you regularly do a full back up of Windows.When backing up data, do not specify the disk where Windows is installed as the location to save backup data.

Troubleshooting

Problem Causes and solutions

The message "Failed to launch the application. Make sure that the application is installed" appears.

Registered EXE or LNK file cannot be found.Check application settings using Admin Tool.

The message "Cannot connect to the server. No internet con-nection or response from server." appears.

Cannot connect to the server.Close Admin Tool and then open it again.

The message "Abort updating... No available update for the program." appears.

No updates are available.No operation is needed.

The message "Version information on server is invalid." ap-pears.

Invalid version information retrieved from the server.Close Admin Tool and then open it again.

Cannot log on to Windows automatically. Antivirus software might block access to the registry.Disable antivirus or put Admin Tool in the antivirus exclusion list.

Recovery

Applications are not bundled. ●Download each application from the web site (https://www.ricoh.com/iwb/support/firmware/open/kitmodel). It's also ●accessible via link on the desktop. For Windows 10 recovery, refer to the Operating Instructions of RICOH Interactive Whiteboard Controller OP-10/5. ●

How to use Recovery ToolRecovery Tool includes applications which are installed by default.

Save Zip file in a folder in the controller. 1.

Unzip the file. 2.

Double-click "setup.bat".3.

Install applications according to the onscreen Instructions.4. When installing each application, proceed according to the installer instructions.
