Introduction
Dear Valued Customer,
Thank you for choosing QB Manager to help you manage your QuickBooks files. We have designed QB Manager to allow you to easily and quickly open your QuickBooks files with the correct version of QuickBooks and to save them directly into your document management system.
Please take a moment to read this manual so that you can take advantage of many of the time saving features provided in the software. Of course, we are seeking to continually improve the software, so we welcome your suggestions.
QB Manager has been designed to allow for easy installation on your network and easy upgrading as new features are released. It specifically allows you to do the following:-
Install on all workstations from one central place. In most cases you won’t need to visit each workstation.
Program updates are installed automatically on every workstation automatically – you just download the latest version and save it to your server – QB Manager does the rest!
If you are familiar with software installations, you will find the Quick Install process will provide you with a fast installation process. For more detailed information, refer to the detailed instructions in the installation guide provided separately.
We welcome you to the DocsCorp ‘family’ of software and trust you will enjoy using this software. Quick Install Process
To get up and running with QB Manager on your workstation you can follow the ‘quick’ instructions contained on this page. If you require more detailed instructions, they are provided in the Installation Guide, available from the QB Manager download page of www.docscorp.com.
New Installation
Create a directory with read/write access for all users on your server called ‘QB Manager installer’ or some other name that you will easily remember, and copy the file ‘QBInst2-x-X.msi’ to this directory from the web or from the supplied CD.
QB Manager requires Microsoft .NET framework 3.5. You can install Microsoft .NET Framework on your workstations by referring to Microsofts .NET web pages. Additional information can be sourced via the Software Requirements section of this user guide.
Restart the workstation if advised to do so.
Now install QB Manager by running the program QBInst2-1-x.msi. Run this from the network directory you created. Just follow the on screen prompts.
To install QB Manager on other workstations simply repeat the above steps on each workstation.
Upgrade Installation
If you are upgrading from a version of QB Manager v1.8.1.5 (or earlier) to QB Manager v2.x, you must perform a manual uninstall of QB Manager prior to installing QB Manager 2.x.
QB Manager can be manually removed via Add/Remove Programs in the Control Panel.
Once QB Manager has been removed, follow the instructions for a New Installation.
NOTE For subsequent updates of QB Manager you will not need to follow these instructions. You will only need to copy the latest installer file ‘QBInst2-x-X.msi’ (where X-X is the version number) into the network directory you created. All workstations will update themselves automatically. For more information read the ‘Installation Guide’ available from the QB Manager ‘download’ page. .

Learning QB Manager Basics
What is QB Manager?
Most accountants receive QuickBooks files from clients as part of their compliance and consulting accounting services. Typically these will have been created by a variety of versions of QuickBooks. Accountants will generally have all the versions of QuickBooks installed on their computer; these QuickBooks files can have the extension ‘.QBW’, ‘QBB’ or Pre 2008 QBi ‘.QBX’, ‘.QBM’ or ‘.QBA’.
Currently, to use these QuickBooks files in your office, you need to remember which version of QuickBooks created the QuickBooks file so that you can first launch that particular version and then open the QuickBooks file.
This is both a tedious and time consuming task. This inability to just ‘Double-click’ on a QuickBooks file and have it launch the appropriate version of QuickBooks also means that it is not possible to store your QuickBooks files into your document management system such as Profiles (Xlon), APS Advance, iManage, or Viztopia and easily retrieve them.
QB Manager compiles a list of the QuickBooks versions you have installed on your workstation. You can also tell QB Manager of other versions you may have installed on your server or terminal server.
QB Manager then allows you to double-click on a QuickBooks file (.QBW, .QBB or pre 2008 .QBX or .QBA) and the correct version of QuickBooks will open that file for you. In addition, it allows you to directly save the file into your document management system.

How Does QB Manager Work?
QB Manager will interrogate a new QuickBooks file and attempt to evaluate the version of QuickBooks required to open this file. Once it has done this, QB Manager will save the details of the QuickBooks version in the QuickBooks file properties (requires Windows 2000 NTFS formatted system or higher) so that next time QB Manager tries to open the QuickBooks file, it can quickly read the file properties and launch the appropriate version of QuickBooks.
Starting QB Manager
QB Manager is used by any of the following methods:-
Double-click on any QuickBooks file. A splash screen will display for about 3 seconds giving details of the file about to be opened, and then the correct version of QuickBooks will launch, opening that QuickBooks file. You may double-click on a QuickBooks file on your Desktop, in Windows Explorer, in an email or from within your Practice Management or Document Management software.
Double-click on any QuickBooks file and hold the shift key down when you see the splash screen. The QB Manager window will then appear. The QuickBooks file could exist on your disk drive, in your practice management software, or even as an attachment to an email.
Go to Start menu – Programs – QB Manager – QB Manager to launch the program without a QuickBooks file. Now, go to the Client field and select a recently used client file, or select Other Item to select another QuickBooks file to launch with the Open button.

QB Manager Splash Screen
The most common way you will use QB Manager is when you attempt to open a QuickBooks file by double-clicking with your mouse on the file. At this point, a splash screen will display for 3 seconds, giving you the details of the file being opened.
If at this time you wish to change the version of QuickBooks that is launched or require access to the QB Manager Launcher Window for some other reasons, just hold down the shift key any time while the splash screen is displayed.
The Splash screen tells you the version of QuickBooks that is being launched, the name of the company the QuickBooks file belongs to, and the location of that QuickBooks file.

The QB Manager Application Window can be viewed by either of the following methods:-
Double-click on any QuickBooks file and hold the shift key down when you see the splash screen. The QB Manager window will then appear. The QuickBooks file could exist on your disk drive, in your practice management software, or even as an attachment to an email.
Go to Start menu – Programs – QB Manager – QB Manager to launch the program without a QuickBooks file.
This window allows you to launch QuickBooks with a QuickBooks file you specify, save the QuickBooks file into your practice management software, or configure how you want QB Manager to operate.

Filename
The name of the QuickBooks file you have currently selected to open. This will be blank if you have opened QB Manager from the Start – Programs menu and no QuickBooks file is currently selected.
Client
This drop down list is used so you can specify which QuickBooks file you wish to look at. If you have launched QB Manager by double-clicking on a QuickBooks file and holding the shift key down, the client shown here will be the filename of the QuickBooks file – usually the name of your client.
The list also shows the last 5 QuickBooks files you have opened – it shows the company name recorded in the QuickBooks file, not the actual file name shown on disk. This allows you to quickly re-open a QuickBooks file that you were recently using, without having to find the QuickBooks file and then open it.
If you wish to tell QB Manager to look at a QuickBooks file other than the current one, and the one you require is not in the last 5 used list, select ‘Other Item’ from the drop down list.
You will then be able to open the QuickBooks file of your choice using the standard Windows file open screen as shown below.
Type of File
This field indicates if this is a QuickBooks file created by QuickBooks or a QuickBooks backup file.

Opens With
This drop down list shows all the versions of QuickBooks that QB Manager can detect and launch. QB Manager will look at a QuickBooks file and determine the version of QuickBooks it recommends opening this file with. If you wish to change this setting, you are free to do so by clicking the mouse on the list and choosing the program version of your choice.
The selection you have made will be permanently saved into the file details of the QuickBooks file when you click on the Apply button. See page 15 for more information on the Apply button.
The version of QuickBooks shown as selected can only launch if the actual program version is configured under your File Locations tab – (ie: it must be installed on your network or computer workstation). (See Page 16 for further information on supported versions).
After changing the program you wish to open the QuickBooks file with, check that the Location field is not blank. If it is, this will indicate that you have not configured QB Manager to understand where this version of QuickBooks is installed.
Location
This is the location that the selected version of QuickBooks resides in. If blank, the file location has not yet been specified under the ‘File Locations’ tab and cannot therefore be launched by QB Manager.
Size
Physical size of the selected QuickBooks file stored on your disk drive or network. This is shown here for your information only and cannot be changed.
Created
Date the QuickBooks file was created. This is shown here for your information only and cannot be changed.
Modified
Date the QuickBooks file was last modified. This is shown here for your information only and cannot be changed.
Accessed
Date the QuickBooks file was last accessed (opened or viewed). This is shown here for your information only and cannot be changed.

Email Button
The email button opens up a new email message in your email program, with the QuickBooks file currently shown in the field Client as an attachment. This is particularly useful if you wish to send the QuickBooks file back to the client or to another staff member. You can address the mail and add your own message before sending to a client or internal email account
This will operate with any MAPI compliant mail system including Microsoft Outlook, Groupwise and Lotus Notes. This function assumes that you can use the ‘Send to’ command with Windows Explorer to send to email. If not, please configure your email program by going to Internet Explorer - Tools menu- Internet Options - Programs tab, and ensure that E-mail program is correctly set for your environment.
If you get a message “object not found” when trying to email, your MAPI email client has not been setup correctly on your workstation. Contact your computer support staff for further assistance.
The email button will be disabled (grey) if you have not selected a QuickBooks file to open.
Save As Button
This button will prompt you for a new location to save the QuickBooks file currently shown in the field Client. The QuickBooks file will remain in its current location as well as saving into the new location specified. Once the file has been saved, the QB Manager window will be looking at the newly created QuickBooks file in its new location, not the old one.
You can also specify a default directory to save your QuickBooks files.
Hint: This is useful when you are reviewing a QuickBooks file that has been emailed to you. Open the email and double-click on the QuickBooks file shown as an attachment. Hold down the shift key once the splash screen appears. You will then see the details of the QuickBooks file such as the company name, and you can then use the Save as button to file the document appropriately.

Save Into Button
This button will prompt for you a new location to save the QuickBooks file currently shown in the field Client. The QuickBooks file will remain in its current location as well as saving into the new location specified. In most cases, a new window will appear prompting you to profile or index the QuickBooks file against the correct client and/or matter. The window will be different depending on the Document Management software you are saving into.
Once the file has been saved, the QB Manager window will still be looking at the original file location, not the one now saved into your Document Management software. If you wish to now launch the QuickBooks file stored within your Document Management software, do the following:-
Go to your Document Management software and find the Client or Matter that the QuickBooks file was saved against.
Open the QuickBooks file by double-clicking or whatever other method your document management software provides to open a document. This will generally be the same as the command to open a Microsoft Word QuickBooks file stored in your Document Management software.
The QB Manager Splash screen will appear for 3 seconds, and the appropriate version of QuickBooks will open your QuickBooks file.

This option will be greyed out if the Save into program has not been configured or is unavailable at this time. You are also able to specify additional properties such as which matter/assignment to store the document with.

Apply Button
The Apply button allows you to set the QuickBooks version you wish to use when launching a QuickBooks file. By selecting a QuickBooks release from the Opens With drop down menu, selecting Apply will commit this version release to the files properties.
The next time the file is launched, this retained information against the files properties will result in the file automatically opening in the pre-selected release of QuickBooks.
Open Button
This button will tell QB Manager to launch the QuickBooks file currently shown against the field Client with the version of QuickBooks shown in the Opens With list. The QB Manager window will be closed automatically after doing this.
Exit Button
This button will exit QB Manager, closing the window. All settings are retained for your workstation.

File Locations Tab
The file locations tab indicates to QB Manager where it can find the various versions of QuickBooks installed on your workstation or computer network.
When you first install QB Manager, it will interrogate your computer to determine what versions of QuickBooks are installed locally on your disk drive.
In many cases, however, you would have other versions of QuickBooks installed on network drives. In this case, QB Manager cannot detect them automatically, but you can configure where these programs are located.
Add Button
This button is used to add additional references to versions of QuickBooks installed on your computer or network drive. For each new file location, select the version of QuickBooks you are referencing.
Only those versions of QuickBooks that have not yet been added to file location list will show in the drop down list. The Extension (QB or PRM) is filled in automatically for you. Finally select the location (directory) that contains your QuickBooks program.
You do not need to specify the name of the QuickBooks program file, only the directory that contains it. Generally this will be a directory called QuickBooks11 (for QuickBooks Accounting 11) or PREMIER7 (for Premier Version 7 for example).
Remove Button
This will remove the QuickBooks program references you have currently selected in the File Locations list. Only those lines selected (highlighted) are removed.
Modify Button
Use this button change the settings on where a particular version of QuickBooks is located.

Integration Tab
This window is used to specify the settings for the ‘Save-into’ function of QB Manager as well as the default location for the ‘Save-as’ button on the Launcher Window.
Save Into
The ‘Save Into’ settings are used to configure a very powerful feature within QB Manager. This allows any QuickBooks file to be saved directly into your practice management system or document management system.
It also means that the QuickBooks file can be launched by using the ‘File Open’ or ‘Double-click’ functions within the Document management system, in the same way these systems allow you to open a Microsoft Word document by double-clicking on the document name.
This differs from the ‘Save As’ option which saves the QuickBooks file to a location on your hard disk or network. If your document management system is not shown, it may be possible to use the ‘Other executable’ option to specify some other product.
When the ‘Save Into’ command is used, a new window will be displayed to profile the QuickBooks file (this differs depending on the system chosen), but usually prompting the user for the client and/or matter that the QuickBooks file should be saved against. The questions asked will depend on the practice management program you are using.
QB Manager will continue to add additional document management and practice management systems to the list. We welcome requests for additional products to be added to the list. If you do have another system you’d like to integrate with and this paragraph has not helped you, please contact us. Although we can’t promise to integrate with every program we may be able to help.

Other Executable
In some cases, you will want to integrate QB Manager with other programs not already listed. To do this, specify the pathname to the .exe file which should be run by QB Manager. Once a valid .exe program is specified, this program will be called with the full filename of the QuickBooks document passed as an argument.
For example, if your executable file is c:\myprog.exe, QB Manager will call the program and bring it to the front with the following command:
“c:\myprog.exe” c:\program files\QB Manager\users\yourname\output\yourfile.QBW
It is up to your executable to delete the “yourfile.QBW” file when your program has handled the QuickBooks file.
Save As
It is possible to configure where you want QuickBooks files to be saved when choosing the ‘Save As’ command on the Launcher tab. You may either type in the path name to the drive and directory you wish, or use the ‘…’ browse button. When you use the ‘Save as’ function on the Launcher Tab, the directory indicated here will be shown first, but you can then save into another directory of your choice.

About Tab
This tab is used to configure your licensing details and where your licensing files and installer files are located. Generally, you will only need to check these details when you first install QB Manager.
Licenced to
This is the name of your firm. The name you type in here must be exactly as was provided to you with your software. The name you type in here must match the licence number, so you must not change the name unless you are issued a new licence number at the same time. Otherwise, your software may become unlicenced and will not function properly.
Licence Number
This number, together with the ‘Licenced to’ name controls how your software operates. The number must match the name you have recorded.
Version Licenced to
This field indicates the highest version of QuickBooks that this version of QB Manager will be able to control and launch. If you have a later version of QuickBooks installed than is shown here, contact www.docscorp.com.au to download the latest version.
Server.ini file
This is a special file contained in a directory on your server where your QB Manager Installer program is located. It is automatically created by the installer and is maintained by it. This field indicates where this file is located. This should be the same directory as your installer program, indicated in the Install Location field below. You can change the location of this if it is not correct.
Install Location
This indicates where the installer file is located. This is particularly useful to know when a new version of QB Manager is available. The new installer program should be placed in the same directory as indicated here, and all workstations will then detect and install the new version within 24 hours. You cannot change the details shown here.

Program File
This indicates where QB Manager is installed on your local workstation. It cannot be changed by you.
Update Button
This button forces QB Manager to check for new versions of the program located in the installer directory on your server, and install if required.
Licence
Displays copyright and licensing information for QB Manager.
Version
This displays the currently installed version of QB Manager.

Administrative Guide
This section is an administrative guide to new functionality incorporated in the release of QB Manager 1.7.x
Pushing Administrator settings from QBServer.ini to the QBManager.ini file
Administrators now have the option to push out server side settings, contained in the QBServer.ini file, to each users local QBManager.ini file.
To enable this, locate the QBServer.ini file, which resides in the installer location from which you ran the QBInst2-x-x-x.msi installer file.
To confirm the installer location, open QBManager, select the About tab and refer to the Install Location.
Open the QBServer.ini file and set the following values.
Default Values :
[Administrator]
ForceRefreshOnNextCheck=False (Please change the ‘ForceRefreshOnNextCheck’ value to ‘true’ to turn ‘ON’ and ‘false’ to turn ‘OFF’ pushing values from “QBServer.ini” to “QBManager.ini”)
Please note - until the value is ‘False’ it continuously pushes the values to QBManager.ini ignoring the user changes.
ServerConfigVersion=0
Increment the value by ‘1’ to push the value only once to QBManager.ini file.
Examples:
If ServerConfigVersion value is ‘0’ then increment by 1,
ServerConfigVersion= 1 if next time you want push values again increment by 1.
SererConfigVersion=2
UpdateSections= (Add the sections/category you want to push like Settings;iManage )
For example, to set the Saveinto and the Integration, you would add the following lines to the QBServer.ini

Once these settings are configured and saved to the QBServer.ini file, a users QBManager.ini file will be updated with a copy of the settings from the QBServer.ini, upon launching of QBManager.
Note: These sections can be referenced from the QBManager.ini file, located locally on a users workstation, in:
C:\Program Files\QB Manager\Users\[UserName]

QBManagerTempDirectory Enable
This option will copy the ledger into a temp directory in order to alleviate a locking issue, sometimes experienced when a ledger is launched from a document management system.
STEP 1:
Look for the “EnableTempDir “(key) in the QBManager.ini file.
Copy the section [Settings] and “EnableTempDir “ key from the QBManager.ini file and paste it in the QBServer.ini file.
Change the value of the EnableTempDir key according to the requirement ‘true/false’ in the QBServer.ini file.
STEP2:
Under [Administrator] section in QBServer.ini change
ForceRefreshOnNextCheck =True UpdateSections=Settings

ServerConfigVersion = (value) + 1 UpdateSections=Settings
The above steps, will result in the following entries appearing in the QBServer.ini file.

QBManager ManageTempDirectory Enable
This option will copy the ledger into a QBManager folder under temp directory in order to alleviate a locking issue, sometimes experienced when a ledger is launched from a document management system.
Please note, through this option, files in the %temp%\QBManager directory are deleted on each start-up of the QBManager.
STEP 1:
Look for the “ManageTempDir “(key) in the QBManager.ini file.
Copy the section [Settings] and “ManageTempDir “ key from the QBManager.ini file and paste it in the QBServer.ini file.
Change the value of the ManageTempDir key according to the requirement ‘true/false’ in the QBServer.ini file.
STEP2:
Under [Administrator] section in QBServer.ini change
ForceRefreshOnNextCheck =True UpdateSections=Settings
(OR)
ServerConfigVersion = (value) + 1 UpdateSections=Settings
The above steps, will result in the following entries appearing in the QBServer.ini file.

Environment Variable
QBi 2008 saw the introduction of a new method in QB Manager allowing for the retrieval of version metadata from a QBi ledger file.
This was as a result of a new database structure introduced in QBi 2008.
QB Manager 1.7 and onwards needs to be able to determine the location of the latest installed version of QuickBooks. This provides reference for QB Manager to required files shipped with QuickBooks, namely QBDVer.dll.
In most circumstances, the installation of QB Manager will set the required system variable through reference to registry settings laid down by the installation of QuickBooks.
If the system variable path has not been configured through the installation of QB Manager, QB Manager may not be able to determine the version of QuickBooks to launch the document through.
If this occurs, then please set a system variable pointing through to your latest installation of QuickBooks.

QBi 2008 and onwards - .QBX files
With the advent of the QBi series in 2008, saw the introduction of a new file structure for a Accountants Copy Transfer File (.QBX).
QBManager is unable to load .QBX, for 2008 and onwards, into the correct QBi year.
The user will be passed a message indicating the year in which they need to manually open a post 2008 .QBX file.
Pre 2008 .QBX files will launch successfully within the correct Quicken application.
QBi 2008 and onwards - .QBM files
With the advent of the QBi series in 2008, saw the introduction of a new file structure for a QuickBooks Portable Company File (*.QBM).
QBManager is unable to load .QBM, for 2008 and onwards, into the correct QBi year.
The user will be passed a message indicating the year in which they need to manually open a post 2008 .QBM file.

QBi 2008 and onwards - .QBA files
With the advent of the QBi series in 2008, saw the introduction of a new file structure for a Accountants Copy Working File (.QBA).
QBManager is unable to determine the flavour for a .QBA file, and therefore canot determine which year to launch the ledger in.
The user will be passed a warning message indicating this inability to handle .QBA files.
This is currently out of the control of DocsCorp, who are unable to determine a programattic workaround for this.

File Server system requirements – non Terminal Server environment
QB Manager does not specifically use the file server (except when running under Terminal Server/Citrix) and can use any file server that can be viewed as a network drive by your Windows workstation. All versions of Microsoft, Novell and Linux servers are supported. The server will require about 20 Mb of disk space to store the QB Manager installer and the server.ini licensing file. No software actually runs on the server, so there is no usage of RAM.
File Server requirements Terminal Server system requirements
QB Manager will operate under the following Windows 2000 Terminal Server or Small Business Server with service pack 3, or higher. It will not operate under Windows NT Terminal server. When installing QB Manager under terminal server, it should be installed on the server when logged on as Administrator, using the Add/Remove Programs function.
Each user which has the QB Manager Window open will use 10Mb of RAM on the server.
Therefore, when calculating memory requirements for your server, you should allow 10Mb RAM per workstation. For more information on configuring QB Manager for Terminal Server environments, consult www.docscorp.com
.NET Framework 3.5
pdfDocs QB Manager 2 was developed in Microsoft®’s Visual Studio (C#/VB .NET) and requires Microsoft .NET Framework 3.5 to operate. If your operating system is anything less than Windows XP Service Pack 1, you may not have the .NET framework already installed.
If you are not sure if you have this installed on your workstation, go to Start Menu Control Panels Add/Remove Programs and look for the program Microsoft® .NET Framework v 3.5.
