OUR STORYInitiated in 1902, Purdue Convocations is among the oldest collegiate performing arts presenters in the United States. Each year, Convocations offers the region 30-40 performances of widely varying genres: Broadway-style shows, theatre, dance, children’s theatre, world music, jazz, and chamber music, along with rock, pop, country, and comedy attractions. Convocations’ performances provide vibrant, cultural experiences from around the world for audiences of all ages. Its programming enriches the lives of college students on the Purdue University and Ivy Tech Community College campuses, as well as the lives of Preschool through Grade 12 students in our local schools, and families in the Lafayette-West Lafayette community and the larger region.

OUR MISSIONThe mission of Purdue Convocations is to connect artists and audiences through entertaining and educational professional arts programs. The vision of Purdue Convocations is to be a leader and a partner in making the performing arts essential to everyone’s life.

OUR FRIENDSRevenue from ticket sales only covers approximately 60% of the costs of presenting arts programs. Each year, Convocations must raise additional funds to subsidize performances and to provide funding for its educational programming and operating costs. The ever increasing cost for bringing outstanding world class talent to Lafayette-West Lafayette and the ever increasing need to supplement pre-school through 12th grade arts education due to decreasing school resources, make it necessary to seek funding from individuals, corporations and foundations. Purdue Convocations receives no state funding, so your support makes a difference.

ANNUALLY:

60,000 audience members attend performances at Purdue University

400 college students receive a $10 discounted ticket to attend a performance when professors incorporate the performance into their classroom curriculum

6,000 P-12 students attend a matinee performance at Purdue University as a school field trip, and over 2,300 of these students receive a free or discounted ticket

$3,000 in transportation scholarships are provided to the schools who need help getting to Purdue

1,500 individuals participate in an Experience+ pre- or post-show activity

Professional development opportunities are made available to local teachers, helping them use arts-integration techniques to teach all subject areas in their classrooms

More than 300 Purdue students belong to the Convocations Voice Network student organization to serve as volunteer ushers and sell merchandise and concessions at Convocations performances

16 Purdue students belong to the Student Concert Committee student organization to advise Convocations about popular entertainment selections for Purdue students and to help with publicity, promotional duties and backstage day-of-show work.

Corporations can partner with Purdue Convocations in mul-

tiple ways, and partnerships can be tailor-made to your com-

pany’s goals. A few of the options are:

PERFORMANCE SUPPORTA monetary donation helps Convocations cover the artist fee and production expenses associated with bringing a specific performance to our community.

The minimum contribution for a shared partnership in any venue is $3,500 per performance.

The minimum contribution for a guaranteed full partnership is $5,000 for Loeb Playhouse performances (or another small venue) and $7,000 for Elliott Hall of Music performances

(unless otherwise noted on the performance list).

BEHIND THE SCENES SUPPORTA gift-in-kind donation of goods and services will help Convocations provide hospitality, transportation and accommodations to its visiting artists, flowers for stage decoration or events, and event catering or other member-ship benefits for our generous Friends of Convocations.

A minimum contribution of $1,000 is required for this type of partnership.

EDUCATION SUPPORTA monetary donation will provide ticket and transportation scholarships to needy students, age preschool through grade 12, at our local schools to enable them to attend matinee performances at Purdue University. Scholarships can also pay the expenses associated with taking a performance to a local school.

A minimum contribution of $1,000 is required for this type of partnership.

with many opportunities for recognition while providing a real

value for the entire community.

For a sponsorship to qualify as a contribution, all the factors below must exist:

• The sponsorship contribution must be made by a person or corporation engaged in a trade or business

• The sponsor should not expect nor receive a substantial return benefit (2 percent of sponsorship contribution) for payment other than name acknowledgement and/or promotional value

• The promotional information should be limited to any or all of these: sponsor’s location, telephone, Internet address; value-neutral description of sponsor’s products or services; and sponsor’s brand/ trade name or product/service listings.

• There is no qualitative or comparative advertising of sponsor’s products or services such as pricing, savings, value, purchase/sale inducements, etc.

• The sponsorship should not be contingent on event attendance, ratings or public exposure.

The following are examples of sponsorships that DO NOT qualify as charitable gift income (sometimes called exchange transactions):

• Advertising revenue• Exclusive vendor relationships, such as fees received for soft drink

pouring rights• Trade-outs, such as hotel rooms and transportation; these are

considered services• Donations of athletic uniforms, shoes, and equipment via exclusive

vendor agreements whereby the university receives the items in exchange for refraining from using competitors’ products.

Examples. Following are some examples of situations involving corporate sponsorships:

• An institution hosts a golf tournament with all proceeds going to that institution’s tax-exempt purposes. The institution offers corporate sponsorship opportunities, whereby the sponsor would pay $2,500 to provide food and beverages at any one of the 18 holes in exchange for displaying a placard stating the name of the company sponsoring that hole. Since the simple display of the corporation’s name does not constitute “advertising,” the entire $2,500 is considered a gift.

• In the same scenario as above, the sponsor also receives “free” admission for the four participants in the golf tournament, with a fair market value of $125 per person. In accordance with the quid pro quo discussion above, the fair market value of those tickets must be reduced from the amount paid to calculate the true amount. Therefore, the net gift amount is $2,000.

• An institution hosts a donor recognition dinner and asks local corporations to help underwrite the costs. In exchange for any amounts paid, the institution offers the corporations space to display and sell their products and services. This would constitute a form of free advertising for the companies that would not have otherwise existed had they not underwritten the costs.

DONATION VS. SPONSORSHIP

CORPORATE SPONSORSHIPSCorporations and other

organizations often give money to in-stitutions to sponsor activities, events

or projects, and in return receive recognition on campus, at the

event, or in accompanying publica-tions. Most corporate sponsorship dol-

lars are fully countable; the determin-ing factor is whether the recognition the corporation receives constitutes

advertising. The IRS defines advertis-ing in this instance as competitive pric-

ing or product information displayed because of the donation. If the recog-

nition fits this definition of advertising, the sponsorship is an exchange trans-

action, not a gift. Simple name or logo placement is not advertising.

If, in return for a gift, a donor or donor organization has its name placed on

a brick, chair, building, or other item or program that remains part of the

institution, this recognition does not reduce the value

of the gift so long as it is not “advertising” per the above

IRS definition.
