    INTRODUCTION Banking sector is mainly the heart of economy in any country. However, this sector is facing

    rapid changes and experiencing a transformation in the payment methods. This comes as aresult of the up-and-coming new efficient payment and cheque clearing ways showing everynow and then to gear up competition among banks and financial institutions.

    To support their adaptation to the ongoing market requirements and remain alive andcompetitive, financial institutions and banks must undergo drastic transformation and

    business processes. Yet, they concurrently have to keep awaken to the fact that cheque is themost widely accepted instrument for payment and financial transactions' settlement, and thatconsumers and businesses are pleased with writing cheques, as they represent a significant

    payment alternative. However, the continuous rising in cheques volumes besides the growingmanpower and infrastructure costs all come together to insist the urgent need for means of

    optimizing cheque processing and proficiency, and in turn, manage the processing cost.

    Coupled with technology which is sweeping rapidly over banking sector and introducing anew area in the e-banking, banks are eagerly trying to handle both the competition and therevolution in payment processing by moving payment processes and cheque clearingoperations from the traditional paper clearing stream to the electronic image exchanged basedroute.

    Realizing the many benefits behind application of the image-based cheque clearing,ProgressSoft has given a push to the e-banking progress when it first introduced theautomatic web based cheque clearing system, PS-ECC .

    The core of the clearing mechanism lies in the Central Bank, Clearing House, MonetaryAgency, or Federal Reserve. The role of the above is to enforce established regulations andset and impose the financial rules. The presence of this institution is crucial in verifying thatthe clearing process has taken place adequately. In addition, this party is the judge whenconflicts arise.

    PS-ECC is an image-based, cost-effective, cheque processing & settlement solution whereoriginal paper cheques are transferred to electronic images for electronic processing offinancial transactions and fund transfer between banks. This solution represents a MICR-

    based cheques processing where cheques' images are electronically moved from the bank inwhich they were deposited to the bank on which they were drawn resulting in a faster creditto the account at the bank of deposit and an equivalent debit to the bank on which they weredrawn.

    With the broad adoption of PS-ECC , banks didnt have to wait long till they soon discoverthe many short & long term benefits besides the financial and operational improvements bornto this solution. Electronification of cheques' images has resulted in lowered chequestransportation & float expenses which used to be unavoidable when banks were using themanual clearing.

    With no cheques paper to process, many overhead expenses have been reduced and aselectronic clearing is faster than the manual clearing, banks exposure to fraud has beendimensioned and the potential extension of deposit deadlines expanded to provide bettercustomer services.

    PS-ECC has proven the ability to reduce mistakes due to manual processing and therebyreducing operational costs and customer complaints. This is due to its addressing of the errorsoccurring on the personal level or contingently and resolving them quickly through applyingthe concept of maker checker.

    PS-ECC has contributed to the cheque paper truncation and has offered query-based retrievalof archived images when needed, as well.

    Being a highly configurable, user friendly and highly productive solution, PS-ECC hasreplaced the old, time-consuming, lengthy process of manual clearing and contributed to thedevelopment of efficient payment and settlement system.

    For all that you are right if you think that PS-ECC has a new logical style that bears noresemblance to any other business application you have ever seen.

    G UIDE C ONTENTS This guide illustrates the PS-ECC system and covers the modules mainly meeting with thesystem end user roles and privileges.

    1 G ETTING S TARTED The user guides illustration commences at the Getting Started part to indicate the first stepstowards system, demonstrating the system main modules and common features

    plus mentioning some simple steps on how to run/exit the system. 2 O UTWARD

    This module is used for cheques' presentment by bank of first deposit (BFD). Bank teller willscan images of the received cheques and add them into a batch. The teller proceeds by fillingthe batches' and the cheques' missing information then uploads the whole batch to theOutward clearing stages. Batches with incomplete data will pass through a Data Entry step.However, complete bathes will get verified audited in the Quality Assurance stage. BusinessAdministrator will ensure completeness and correctness of the cheques' data and thendispatch them to the ECCU or return incomplete/incorrect batches to the Repair stage to beamended there.3 I NWARD

    This module is used to reply for the cheques presented by the BFD banks to the pay banksthrough the available communication channels. Cheques are replied by pay bank to the BFD

    bank either accepted to be paid or rejected for certain returned reasons. This is done after passing the cheques through the technical and financial verification processes to ensurecompleteness of cheques information and verify their validity for payment.4 R EPORTS

    This guide illustration proceeds to cover the PS-ECC Reports & Queries module which willhelp the administrator take the right decision as to some banking issues based on thecustomizable generated reports' accurate statistics and data.

    1.1 R UNNING THE SYSTEM Get ready to start! Once the PS-ECC system is up and running, you must first log in to theapplication. To do so, type the URL of the system in the address bar. You will get the log-in

    window (Figure 1-1). Enter the Username and Password assigned to you by the systemadministrator.

    Info: The user is either privileged to change the password or keep the one assigned to himaccording to the rules of the policy that is set from the Security system and defined andcontrolled by the system administrator.

    Enter the User Name and Password . Choose the language that you desire from the dropdown list to change the interface language. Enter your bank code and press Enter from thekeyboard or click the designated button as shown in the figure above.

    An error message will appear at the bottom of the Login dialogue box if the username and/ or password were entered incorrectly. In such case you need to repeat the action of entering the proper user name and password after you empty the entry fields. To do so, click on Clear .

    If you cannot remember password of the entered username, click the .TheUser Forgot Password dialogue box will appear to you (Figure 1-2). Enter your Usernameand click Submit . Click Cancel if you want to undo submitting the username. The PS-Security system will send you a new auto-generated password and send it by e-mail to theuser for logging into the system.

    Info: PS-ECC may optionally use Client Certificates" to control which users & workstationscan access the system. "Client certificates" are authentication files which users must install ontheir workstation so they can log into the PS-ECC suite application if this function isenabled.

    1.2 E XITING THE SYSTEM In order to exit the PS-ECC system, you must logout using the function on the topright corner of all system pages.

    Info: You must log out completely before closing the system; otherwise you will be countedas a logged-in user; which may cause locking some cheques and/or batches at your use and

    preventing other users from accessing locked items and processing them as needed.

    2.1 O UTWARD W ORKFLOW Mechanized, as it is, in processing of cheques using MICR technology to handle chequeclearing and settlement functions, PS-ECC represents an efficient payment system that

    manages the clearing process starting from the time a bank client hands a cheque over to theteller for clearing, until they are verified in the central clearing unit and the paying bankwhere they are decided to be paid or rejected. This is all done through the communicationchannels linking between the parties involved in the clearing process; Presenting Banks,Central Clearing Unit and Pay Banks.

    The Outward workflow section is intended to explain the cheques path in the Presentmentcycle until they are dispatched to the ECCU and Pay banks.

    1. 2.2 I MAGE Capture When the bank is serving as a "D EPOSITOR " in the clearing process, Outward is the modulefor handling the presented cheques. Image Capture is the first stage where the teller capturesthe cheques' face and back images and creates batches to keep the scanned cheques inside

    them. This step is achieved by the PS-ECC system utilizing an ANSI standard ChequeScanner. A user has to fill all required data and ensure that the cheques' batches are completeand balanced before uploading them; or they will reach the Data Entry page. Complete and

    balanced batches will arrive at the Quality Assurance stage.

    In fo : all cheques inside a batch should have the following common specifications:1. Same currency2. Same account number3. Same urgency level4. Same payment method5. Same Account Type

    2. 2.3 D AT A Entry Likewise the Image Capture and Repair, this page represents a maker level in the Outwardclearing process. Authorized users in this page fill the incomplete batches and cheques and

    balance them before they are routed to Outward checker level which is the QualityAssurance.

    3. 2.4 Q UALITY Assurance Quality Assurance is a mandatory step for all presented cheques to pass by. It is the checkerlevel of the Outward clearing where authorized users verify the cheques quality aspects and

    confirm what the scanner and data entry users have done so far. The quality assuror validatesquality of the entered data (amount and date) besides the MICR and image being captured bythe cheque scanner. Here if the cheque data is complete and correct, the cheque will bedispatched to the ECCU, otherwise it will be forwarded to the following step; repair/rescan.

    2-1-1 Generals about Outward Pages & Workflow

    PS-ECC system allows users in the Outward workflow pages to use some parameterizedfunctions which the system administrator grants authorized users the privilige to use. Thesefunctions are dealt with as sub-privilege within the Outward pages. They are listed belwo in

    the table with their activation preconditions and descriptions. The table may also includesome general points about the Outward workflow and functions.

    Old-dated Cheques ValidationPrecondition Description

    No preconditions required

    Users of Outward pages - including the ImageCapture page- are not allowed to enter and scancheques with dates 6 days older than the max age pre-defined at the cheques' pay bank. However, a user mustdifferentiate between old dated cheques and thecheques which were not old dated when captured and

    entered into the PS-ECC system. Those cheques whichremain un-presented in the system pages until they become old-dated; see Old-Dated Cheques report.

    Bath Bulk ApprovalPrecondition Description

    The function parameter must beenabled.The user is privileged to access theOutward page and use the bulkapproval of that page.

    Users can approve outward batches in bulks instead ofapproving individual batches separately. The userselects a bulk of complete and balanced batches fromthe batch list and then clicks the Approve icon; whenthen the successfully approved batches proceed to thenext stage. On the other hand, failed batches willremain in their current stage.

    Quality Assurance Update for Batches'/Cheques' InformationPrecondition DescriptionThe user is privileged to use the QualityAssurance page and the Update functionof that page.

    Users of the Quality Assurance page may need tomodify some minor details in the cheque/batchinformation or even update their attachments rapidly.Therefore, this function is enabled for privileged usersto steer the clearing process and avoid returningcheques with minor updates to the Repair users whoare most often engaged with major updates.

    Quality Assurance Delete of Batches/ChequesPrecondition Description

    The user is privileged to use the QualityAssurance page and the Delete functionof that page

    Users of the Quality Assurance page may need to getdispose of unapproved cheques on the spot. Therefore,this function is enabled for privileged users to steer theclearing process and avoid returning unapprovedcheques to the Repair users who are most oftenengaged with major updates.

    Return Replied Cheques back to Quality AssurancePrecondition Description The parameter of the quality assuranceupdate/delete of cheques/batches must beenabled.

    Users of Outward Replied Batches/Cheques pages canreturn cheques to either the Repair page or the QualityAssurance page to be fixed and repaired there. This isuseful in distributing workload among users of either

    page.

    Image Capture page enables you to work on both the Batch level and the Cheque level. Thisis why the functions activated in every level are explained separately in this section. Let usstart with the Batch level and then move to the Cheque Level.

    2-2-1 Image Capture- Batch level

    The Image Capture page on the batch level (Figure 2-3 &4) displays the following sections:

    Batch I tems Displays the created batches and the cheques inside.

    Batch I nformation Displays (1) the batch information which you entered when youcreated the batch (2) the batch system information which the systemgenerates automatically for every batch and prevents users frommodifying it. Except for the batch system information you areallowed to modify any of its details.

    Batch information is displayed in two tabs Basic and Custom . You can use the Enter andTab keys to transfer the selection (text cursor) between the batch information fields.

    Basic Tab (F igur e 2-3)This tab displays regular information which you must enter for any scanned batch of

    cheques.Custom Tab (F igur e 2-4)

    This tab displays extra details on every batch. Every bank can specify what extra informationto include like the clients' addresses, their jobs, work places besides many other options. The

    Extra information fields which every bank selects are configured through the systemconfiguration during the deployment time and take up to 50 alpha numeric characters. They

    are editable where the batch information is editable. Custom information is copied to the batch information when the batch is resent for presentment.

    Info: The system administrator will already have been done with setting up configurations ofthe Image Capture page; such as type of the Scanner connected to the your workstation,activating the Auto Save function which saves any entries or modifications without the needto click the update icon and activating the OCR engine reader . Consult the systemadministrator with regard to these issues.

    " Two main steps when workin g on the I mage Capture page; create a batch and upl oad it"

    Info: You are not allowed to enter cheques with dates 6 days older than the date of thecheques' pay bank. See Generals about Outward Pages & Workflow/ Old-dated ChequesValidation.

    "Creating a New Batch"The first step in the Image Capture phase is to create a new batch for the client, and add the

    presented cheques inside it. The batch must include the cheques that belong to the samecurrency, the same urgency, same payment method and the same beneficiarys accountnumber (BFD Account Number). The Scan Batch page (Figure 2-5) shows once you click

    the Create Batch icon. It displays information fields in three tabs; Batch I nformation ,Batch Custom F ields and Cheques Custom Defaul t F ields . See their descriptions in the table

This facilitates enteringcommon values for all cheques once and through a single entry. But this does not preventediting and modifying extra information for every individual cheque aside.

    The batch reference number refers to the banking

    system transaction that will reflect the depositaction to the customer's account. This fieldaccepts up to 50 alphanumeric characters and italso accepts special characters like dashes. It iscopied to the cheque information.

    Account Category Pick li st

    Select the customer's account type. Cheques inthe same batch must have the same accountcategory. You might have access privilege todifferent account types. For example Corporates,Individuals, Saving, or Salary Accounts besidesother types.

    Print Th umbnailCheque Report

    Checkbox

    Select it if you want to include within the batchinformation that a thumbnail report must be

    printed for images of all cheques in the batch anddelivered to the client as a proof on receiving thecheques.

    Select it if you want to scan the deposit ticket inaddition to the cheque(s), in order to have itselectronic image along with the cheques imagesthroughout the outward clearing stages.

    Once you are done with filling the required fields' information and ensuring that the chequesare set properly in the scanner feeder, click M ulti Scan button to start the scanning process.Clear button is used to empty the filled batch information fields and reset them to theirdefault values. Click Cancel if you want to undo scanning the current batch.

    In fo : Enabling/ disabling the Single Scan button is a parameterized function that allows theuser to scan single cheques according to the bank needs.

    Once the scanning process finishes you will get a new page (Figure 2-8) where the chequeinformation and image are displayed.

    "Scanned Cheques Colors"Cheques in the Image Capture page appear with three color indicators:

    Orange Indicates that there is missing data in the cheque such as amount, date.Green Indicates complete data of all cheques. Red Indicates unread or missing data in the MICR line.

    In fo : Enabling/ disabling the actions of editing MICR and uploading a blank MICR are parameterized functions set according to the central bank rules.

    "Upload the batch & ECC Upload Manager"Before uploading the batch ensure that "Yes" is the answer for the following questions:

    "Is information of the batch and cheques inside complete?" "Do counts and amounts of the cheques match count and amounts of their batch?"

    Click Upload to launch the batch uploading process. The ECC Upload Manager (Figure 2-

    12) dialogue box will pop up showing the current status of the process; whether it issuccessful, pending or failed in three tabs. See the tabs descriptions in the table below.

    Tab Description

    Upl oading batches

    It displays all the batches being uploaded; the start/end of theuploading process, the number of the cheques to be uploaded insideeach batch and the overall time taken to upload the batches. (Figure2-12)

    Pendi ng batches It displays all batches with a pending status; as uploading cheques tothe server might take some time which is rendered as a pendingstatus.

    Er ror in batches

    It displays all batches failed to be uploaded due to:(1) Communication and technical error in the upload process or(2) Duplicate Cheques: if any of the uploaded cheques is scanned

    twice.It displays detailed description about failure uploading so that youcan return the batch to the Image Capture page and correct it. Rightclick the defected batch to get a list of actions (Figure 2-13).

    Send Back to Scan Page: Return the selected failed batch tothe Image Capture page to get it fixed and re-uploaded to theOutward clearing.

    Send A ll Back to Scan Page: Return all failed batches to theImage Capture page to get them fixed and then re-uploaded to

    2.3 DATA E NTRY Menu path: Outward/ Data EntryPurpose: Purpose: Completing information of the batches and their cheques, if there are any

    missing data from the previous step; the Image Capture. Correcting the chequesamounts/counts and the batch's actual amount if the batch is unbalanced. Finally, acceptingthe batch to be transferred to the Quality Assurance step. Also the user may delete a batch orcheque(s) from a batch in the Data Entry page.

    "Data Entry - Batch Filter"

    You may refine the search results using the Batch Filter for this purpose. Click F ind toget the required data after you define the search criteria you want. You may leave the batchfilter with blank fields and set the variables to Al l in order display all cheques in the batchlist. To empty the fields, click Clear .

    "Bulk Approve & Delete"

    From the Batch list level you may be enabled to perform a bulk approval/ delete of aselected group of batches. The bulk approval in the Outward pages is a privileged functionwhich the system administrator might grant it to the users according to bank demands; whichmeans that in order for a user to approve a bulk of batches in the Data Entry page, he has tohave privilege over the Data Entry page and the bulk approval of this page.     2.4 Q UALITY ASSURANCE Menu path: Outward/ Quality AssurancePurpose: This internal auditing procedure evaluates the cheque transactions to ensure

    sameness and correctness of cheques' data. Cheques are verified against a checklist of qualityassurance points which are set and standardized according to the banks regulations and rules.     The Quality Assurance page emphasizes the concept of Maker/Checker due to the highlysensitive sort of data being processed in the system. Every single cheque in the clearing cycleshould pass through the Quality Assurance stage to proceed on to the next destination.

    Bulk Approve & Delete

    From the Batch list level you may be enabled to perform a bulk approval/ delete of aselected group of batches. The bulk approval action in the Outward pages is a parameterizedfunction which the system administrator enables or disables according to bank demands. Inaddition, bulk approval and delete are granted as sub-privileges per page; which means that inorder for a user to approve or delete a bulk of batches in the Quality Assurance page, he hasto have privilege over the Quality Assurance page and the bulk approval/delete of this page.Please see Generals about Outward Pages and Outward Bulk Approval/Delete.

    "Quality Assurance - Batch Filter"

    You may refine the search results using the Batch Filter for this purpose. Click Find toget the required data after you define the search criteria you want. You may leave the batchfilter with blank fields and set the variables to Al l in order display all cheques in the batch

    2-4-1 Quality Assurance Batch Level

    Click the batch sequence from the Batch List to move to the Batch Level and start pickingthe required cheques intended to be verified and audited. The Quality Assurance page on the batch level (Figure 2-20) displays the following sections:

    Batch I tems Displays the selected batch and the cheques inside.Batch I nformation Displays (1) the batch information which the scan user entered when

    he/she created the batch or updated and completed later in the DataEntry page (2) the batch system information which the systemgenerates automatically for every batch and prevents users frommodifying it. Except for the batch system information you areallowed to modify any of its details.

    Cheque Filter Refines the cheques display inside the batch and limits them to yourneeds. The Cheque Filter page appears once you click the Filter icon

    Batch information is displayed in two tabs Basic and Extra Inf o . You can use the Enter andTab keys to transfer the selection (text cursor) between the batch information fields.

    Basic T abThis tab displays regular information which must be entered for any scanned batch of

    cheques. You are allowed to modify the batch information if you are granted the privilege tomodify the batch information.

    Extra In fo Tab This tab displays extra details on every batch. Every bank can specify what extra information

    to include like the clients' addresses, their jobs, work places besides many other options.They are editable where the batch information is editable; therefore, they are editable here inthe Quality Assurance. Note that extra information is copied to the batch information when
