    Introduction

Pivot table is the tool to summarize information of the data which help to analyze your data and

help in effective understanding of the data. Pivot table automatically sort, drilling filtering,

count, total the data. It helps to make necessary changes as per the need and provide us a clear

picture of the information hidden in the original data to make necessary decision and views on

    the basis of data provided.

PivotTable reports are interactive tables that quickly summarize, or cross-tabulate, large amounts

of data. In a PivotTable report, you can rotate the rows and columns to see different summaries

of the source data, filter the data by displaying different pages, or display the details for areas of

    interest.

Pivot table is a tool much flexible to be used and find out the different relations.

For Eg; Find average income earned by male and females working separately in different

    regions.

    How pivot table helps

Gives us a brief of the original data . Summarize data into more informational format . Make the data understandable even to the newcomers.

Avoid unnecessary data content and saves time. Listing unique values in any column of a table Creating a pivot report with sub-totals and custom formats Transposing datai.e. moving rows to columns or columns to rows. Help in decision making and analysis of data. Linking data sources outside excel and be able to make pivot reports out of such data.

    Applications

Pivot table brings different view of a particular data in different ways as per requirement.

Various companies use it find its sales of particular quarter, find the maximum sale revenue or

lowest revenue in particular year, quarter, month. They dont need to peek the pages or movefrom one work book to another to find the required information.

It has been used by all the firms and companies to make use of the data collected, as pivot table

make the data more informative and present it in a useful and summarize manner. It has been

used to avoid delays by making it easily understandable by all and make decision on the basis of

    analysis done.

It is being used in schools, colleges & institutions to maintain records of students and generating

    results.

    Advantages Of Pivot Table

    1. The biggest advantage to using Pivot Tables is the fact that we can generate and extract

meaningful information from a large table of information within a matter of minutes.

    2. On top of this, if we wanted some new information we can simply drag-and-drop(pivot).

    3. A PivotTable allows Excel users to summarize lists of information in a simple format. Usersare given the ability to arrange data by columns and rows and they will have the flexibility tolabel and sort them any way that they see fit.

    4. A PivotTable is such a valuable tool because it lets decision makers quickly react to the

information in front of them. In competitive markets, the speed in which decisions are made iscrucial.

    5. Adding information to an existing PivotTable is as simple as adding a line within the data

    source and populating it.

    Limitations of Pivot Tables

    1. Difficulty

Though pivot tables allow Excel users to quickly sort data into a useful crosstab format, some

users may feel intimidated by the tools apparent complexity

    2. Source Data

Excel users who want to create pivot tables must spend some time becoming familiar with the

source data before beginning the creation process.

    3. Other softwares

    Lacking sophisticated / advanced analysis

    4. Volumes

Not possible to use on very large data volumes (more than about 65 000 rows)

    Steps to create Pivot Table

Create a simple pivot table Select any cell in thee source data table On the ribbon click the insert tab. In the tables group, click pivot table. Address the data in pivot table dialog box.

Adding fields to the pivot table

    Modifying the pivot table

    Objective of Data analysis

To get the List of Students from different localities

taking admissions for batch 2013-15 fulfilling the

eligibility criteria turned up by different admissioninterns.

    Techniques

Count functionCount is the default summary function when fields with nonnumeric or blank cells are added tothe Values area. The count function's name is slightly confusing, because it's like the COUNTA

worksheet function, not the COUNT worksheet function. The pivot table count function counts:

    text numbers errors

Average functionThe Average function totals all the underlying values in the Values area, and it divides by

the number of values. The result is the same as using the AVERAGE function on the

worksheet to calculate the average (mean) of the values.

Product functionThe Product summary function shows the result of multiplying all the underlying values in

the Values area. The result is the same as using the PRODUCT function on the worksheet to

calculate the product of the values.

Conditional formattingA conditional format is setting a format on a cell that is based on a condition, normally a

value in a cell like color a cell differently if it is over a certain value.

For eg- list of cells that calculate results from an exam and displays the word Pass or Fail

We can infer from this that only 27 students out the data of 1454 students can get admission

    through fulfilling the criteria.

    Conclusion

We have analyzed the data for an Institution who is taking admissions for MBA program for its

batch 2013-15. Out of data of 1455 students with their scores and percentage in their academic

career and their responses we categorized them in eligible and not eligible categories. Out of

those students if we calculate on average basis 61 students comes under 90-95%.Only 27

students met the eligibility criteria for the selection and got selected but out of those 27 students

7 students turned to take admission. These 7 students got converted by two admission interns 3

by Abhilasha and 4 by Shaila. Each intern would be getting 1000 for each student.

Since Institution is established in Delhi its major areas are Noida and Haryana and out of 20

students refused to join, 10 belongs to Noida and Haryana region (6 from Noida and 4 from

Haryana) .Institution have a exceptional policy of giving chance to students who are meeting

eligibility criteria only in two fields they can take admission if they have 95% in graduation

above and MAT 90percentile above only 8 students falls under this category.

To conclude in all only 7 students got selected.
