2.0 – Establish a documented procedure for the selection of contracted and sub-contracted persons/entities by;

Establishing & documenting the processes for such selection including:

The criteria for selection within the ‘ethical sourcing framework’

1 – financial integrity, corporate & social

responsibility, compliance with the law, environmental impact, anti – corruption & hiring practices.

Establish & document ‘ethical sourcing’ standards and ensure all suppliers are fully aware of the expectations and obligations.

Document & establish a bidding procedure for required services that encourages transparency and consistency in the selection of contracted and sub-contracted persons or entities.

Container & Conveyance Security

3.0 – Container inspection report requested from overseas suppliers/consolidators for each container

3.1 – Written request to supplier/consolidator for seals greater than or equal to PAS ISO 17712 standard to be used 3.2 – Chassis and tractor inspection report requested from haulage contractor.

3.0 – Based of the terms of trade2 contact is to be made with

the responsible party in requesting a Container Inspection Report for goods being shipped. Contact to be made by a verifiable means of communication with the result of such effort being kept as a record in the database mentioned in (2.1). 3.3 – Written procedure for reporting seal violations. 3.3.1 – Written procedure for issuance and storage of seals 3.4 – Written procedures for reporting unauthorized entry into containers and cargo storage areas 4.0 – Perimeter fence inspected weekly and documented

Physical Security 4.1 – Map of sensitive areas of organisation 4.2 – Surveillance camera footage stored for 90 days 4.3 – Employees’ lockers away from cargo handling areas

4.1 – Clarity is to be sought for Ms. Mighty if the requirement calls for a ‘map’ or a ‘floor plan’. Upon establishment of clarity such representation of the organisations sensitive areas is to be established and communicated to responsible and affected parties. 4.2 – At present surveillance footage is stored for 30 days, representation is to be made to the IT Department as to the capabilities of our present system and the requirements of establishing such storage requirements. 4.3 – At present employees lockers are not away from cargo handling areas however as it is only a recommendation and due to practicality and the layout of our present facilities no action can be taken on this recommendation. Personnel Access Control

5.0 – Access control features with ID system 5.1 – Witten procedures for access control 5.2 – Visitors to sensitive areas to be escorted by staff 5.3 Written procedures on how to identify, challenge and address unauthorized or unidentified personnel within the facilities

5.0 – At present ID’s do not have access control features, we must liaise with Ms. Mighty to see if our present contingency consisting of a combination of restricted access with employee ID’s and key pad door locks for sensitive areas is sufficient. 5.1 – A written procedure for access control is to be established to include the process for such selection based on job requirements and responsibilities. 5.2 – At present some non-staff members are allowed to freely access sensitive areas due to a combination of familiarity and lack of enforcement of present rules. Full enforcement of this statute to be implemented as well as the establishment of guidelines regarding the movement of contracted non-staff members within certain areas critical to their functions. 5.3 – Representation to be made with security services provider seeking advice on establishing procedures of this nature. Upon receipt of such information the procedure is to be established and communicated fully to staff who should be subject to periodic verification of such established procedures Mrs. Jeaneth Rose /IT Department
