Welcoming Remarks
Mr. Ida Fajar Priyanto, the Chairperson of the
AUNILO Business Meeting expressed his sincere
thanks and appreciations to the Universitas Indonesia
(UI) for successfully hosting the 6th AUNILO Meeting.
The Meeting also welcomed Mr. Mahmuddin, the new
Library Director of Institute Technology of Bandung
(Indonesia) (ITB); Mrs. Pou Vanny, the new Library
Director of Royal University of Phnom Penh
(Cambodia) (RUPP) and Dr. Choltis Dhirathiti, the new
AUN Deputy Director (Thailand).

4.1) List of common and special ICT features of
member institutions
The Meeting briefly discussed matters related to the list
of common and special ICT features of member
institutions. With regards to this, AUNILO Secretariat
will email again the template to all members for their
further actions. The inputs of the templates will be
presented by the National University of Singapore
(NUS) for the next Meeting.

4.2) Seminar/Workshop on “Best Practices in
Academic Libraries” and Proposals for
Seminar/Workshop on “Institutional Repositories
(IRs)”
a) Seminar/Workshop on “Institutional Repositories
(IRs)”
The meeting noted that the 3 days Institutional
Repository Workshop Using DSpace for members of
AUNILO was organised by the University of Malaya
Library from 25 to 27 May 2009 at the Computer lab,
Faculty of Business and Accountancy, University of
Malaya in Kuala Lumpur. It was attended by 2
participants from UM, 1 from Universiti Brunei
Darussalam, 1 from the National University of Vietnam
in Ho Chih Minh City and 1 from the Royal University
of Phnom Penh. The workshop was designed to
facilitate the participants in creating state-of-the-art
repositories using DSpace. This included software
installation, configuration, customization, digitization
and other related workflow processes.

b.) Seminar/Workshop on “Best Practices in
Academic Libraries”
Universiti Brunei Darussalam (UBD) briefly informed
the Meeting that:
- the Seminar/Workshop on “Best Practices in Academic Libraries” will be organized in 2010.
- Intensive English Programme as agreed at the last Meeting is not included as one of the modules for the Workshop/Seminar.
- due to the financial constraint, UBD did not able to support the CLMV (Cambodia, Laos, Myanmar and Vietnam) members.
- needs assistant from the AUNILO members to identify the suitable facilitator for the Seminar/Workshop.
In relation to this, the AUN Secretariat is willing to
coordinate in finding the speaker/facilitator for the
mentioned Workshop/Seminar.

Reports
5.1) Report from the AUNILO Secretariat (Appendix 2) The Meeting noted the report presented by the
Chairperson of the AUNILO Secretariat.
The Meeting also took note on:
- the appointment of Mdm. Radia Banu Jan Muhamad as the new Secretary of the AUNILO Secretariat (she is replacing Mdm. Husriati Hussain).
- due to H1N1 (Influenza A) disease, the Preliminary 6th Meeting of the AUNILO Committee has been postponed to December 2009 and the 6th Meeting of the AUNILO Committee has been postponed to April 2010.
A few suggestions were made for a better
improvements as follows:
- the AUNILO Meeting invitation letter are advised to send early 3 months before the actual Meeting takes place.
- Minutes of the AUNILO Meeting are completed 2 weeks after the AUNILO Meeting.
- programme name for social activities are advised to change to corporate name such as networking/project retreat or networking/project activities.

5.2) Report from the AUN Secretariat
The Meeting noted report from the AUN Secretariat
regarding ASEAN-ROK Cyber University which
appears as Appendix 3.
After a lengthy discussion, the AUN Secretariat will
discuss again a few related issues between ASEAN-
ROK Cyber University projects and AUNILO
Committee for the next ASEAN-ROK Cyber University
Meeting. The Meeting also suggested that to involve
representative from AUNILO Committee for that
Meeting. The outcome of the Meeting will be presented
to the AUNILO Secretariat and all members later.

The Meeting also took note on the appointment of
Assoc. Prof. Dr. Nantana Gajaseni as the new AUN
Executive Director and Mr. Raksit Waropas as the new
Program Officer of the AUN Secretariat.
5.3) Report from the AUNILO Portal The Meeting noted the report presented by the
Universiti Malaya (UM).
The Meeting also agreed the following matters:
- terms in local language-English language in Library and Information Science field will be sent to UM for the Glossary of Terms in Library and Information Science project. 20 terms are requested for each member countries and these terms will be uploaded into AUNILO portal.
- all softcopies of the presentations, papers, proceedings and photos from the 1st Meeting until now are requested from the members. All these items will be uploaded into AUNILO Portal.

Discussion on the Presentation on the theme of “Access
to ASEAN Collections: Building portal, bridging nations”
was held on 7th April 2010. The outcomes of the
discussion are as follows:

Other Matters
7.1) Promoting AUNILO at the INTERNATIONAL
LEVEL
The Meeting was informed that the AUNILO posters
have been submitted once again to IFLA Conference on
21st January 2010. For this year, the poster presentation
will be held at World Library and Information
Congress: 76th IFLA General Conference and Assembly,
Gothenburg, Sweden, 10th – 15th August 2010.

Closing Remarks
As closing remarks, the Chairperson thanked all
present and expressed his gratitude to the host, AUN
and AUNILO Secretariat for the excellent hospitality
and arrangements made for the Meeting.
The Meeting also recorded its appreciation to Assoc.
Prof. Dr. Piniti Ratananukul, the former AUN
Executive Director; Mdm. Nanan Hasanah, the former
Library Director of ITB; Dr. Sen Seng, the former
Library Director of RUPP and Mdm. Husriati Hussain,
the former Secretary of the AUNILO Secretariat for
their contributions to the AUNILO Committee.
The Meeting then extended its condolence to Mr.
Adnan Hj. Shariff, the former AUNILO Committee
Member from Universiti Sains Malaysia (USM).

Welcoming Remarks
Assoc. Prof. Dr. Piniti Ratananukul, Executive Director
of the AUN expressed his sincere thanks and
appreciations to the Central Library, Vietnam National
University- Ho Chi Minh City (VNU-HCM) for
successfully hosting the 5th AUNILO Meeting. He also
extended his warm welcome to Mr. Mohd. Pisol
Ghadzali as the new chairperson of AUNILO
Secretariat. He strongly believed that with valuable
contributions, experience sharing, solution proposed
and a strong secretariat would contribute to a
successful AUNILO network.
Mr. Mohd. Pisol Ghadzali, Chairperson of AUNILO
Secretariat welcomed new AUNILO members from
Universiti Malaya, Burapha University, Mahidol
University and Ateneo de Manila University. He also
expressed his gratitude to the former Chairperson,
Mdm. Sofiah Hashim for her contributions to the
AUNILO Network.

Matters Arising
from the 4th Meeting
4.1) List of common and special ICT features of
member institutions
Email was sent on 31st January 2008 to all members by
National University of Singapore (NUS) to survey the
list of common and special ICT features of member
institutions.
To date only 6 institutions have sent their list of
common and special ICT features as requested. They
are Universiti of Brunei Darussalam, Universiti
Malaya, De La Salle University, Mahidol University,
Vietnam National University Hanoi and Vietnam
National University – Ho Chi Minh City.

4.2) Status of the Proposals for Seminar/Workshop on
“Best Practices in Academic Libraries” and Proposals
for Seminar/Workshop on “Institutional Repositories
(IRs)”
The AUN Secretariat informed the Meeting that up to
date, there is no development on financial support or
sponsorship was made. It is because with the new
policy, it takes some period of time to precede any
proposal submission under ASEAN Secretariat. In
relation to project funding possibility, AUN suggested
the AUNILO Committee to seek support from private
organization under the dialogue partners such as Japan
Foundation.
In this regard, Universiti Malaya (UM) volunteered to
coordinate the Seminar/Workshop on “Institutional
Repositories (IRs)”. Major organizing costs including
cost for facilitators, venue, accommodation, meals and
transportation indicated in the Seminar/Workshop
will be borne by UM except the air tickets. The AUN
Secretariat suggested UM seeks financial support from
Japan Foundation in Malaysia for Cambodia, Laos,
Myanmar and Vietnam (CLMV countries). He also
recommended Chairperson of the AUNILO Secretariat
to report the details of the Seminar/Workshop to the
24th AUN-BOT Meeting for possible suggestion on
financial support.

The Meeting noted that Proposal for a Postgraduate
Certificate Programme in Intensive English is a
cooperated module for Seminar/Workshop on “Best
Practices in Academic Libraries”. This can be
considered as one of the modules for best practices in
communication. In relation to get financial support,
Universiti Brunei Darussalam (UBD) would consult
with their Vice Chancellor and inform the outcome to
the AUNILO Secretariat and all members later.

Matters Arising
from the AUN
Secretariat
The Meeting noted the AUN Secretariat and UBD will
co-organize the 2nd AUN Rectors Conference and 24th
AUN-BOT Meeting which will be held on 30th – 2nd
December 2008 in Brunei.
One of the sessions is The teaching collaboration: e-
learning strategies and the support from member
universities. In this regard, the Chairperson of the
AUNILO Secretariat will be invited to the conference
and to report the progress of AUNILO Network at the
24th AUN-BOT Meeting.

Reports
6.1) Report from the AUNILO Secretariat (Appendix 6) The Meeting noted the report presented by the
Chairperson of the AUNILO Secretariat.
The Meeting noted the Secretariatship under USM was
extended. The Meeting also took note on the
appointment of Mr. Mohd. Pisol Ghadzali as the new
Chairperson of the AUNILO Secretariat.
With regards to the absence of University of Yangon,
Myanmar and Institute of Economics Yangon,
Myanmar, AUN gave opinion regarding the situation
in Myanmar communication with others. The AUN
Secretariat would advise the contact detail of the
Rector, University of Yangon to the AUNILO
Secretariat later.

6.2) Report from the AUNILO Portal
Universiti Malaya (UM) hosts the AUNILO Portal and
also coordinates communication facilities such as
listserv, mailing list, discussion groups, and
newsgroups. The AUNILO portal was set up in July
2004. Starting from 19th November 2008, the url for
AUNILO Portal was changed to
http://aunilo.wordpress.com and still in the process of
upgrading. The change was made to facilitate easy
collaboration among members.
A few suggestions were made for the Portal
improvements such as:
- Institutions’ address links to make linkage to their own websites.
- Chief Librarians’ email addresses and information/caption from each member libraries will be added to the Portal.
- Plan to create social network on the internet such as Facebook which would be registered under AUNILO account in order to facilitate communication between members.
- All presentations, papers, proceedings and photos from the 1st Meeting to 5th Meeting will be uploaded into Portal (for the 5th Meeting, only presentations and papers which have copyright statement signed by the owner will be uploaded).
- The AUN Secretariat aims to explore the feasibilities of sharing e-learning courses and resources from member Institutions through the use of AUNILO Portal as a gateway server in pooling the materials.

Reports
Based on the presented institutional reports on
“Services of AUNILO: Towards Integration” by 17
AUNILO members, it was concluded that:
- Member libraries have plannned and implemented the digitization and institutional repositories projects
- Most libraries participated in resource sharing programmes (either in consortia or

collaboration programmes) - Most libraries have plannned on open access to
the library materials
(Note: These reports will appear in the Proceedings of
the 5th Meeting of the AUNILO Committee which will
be prepared by VNU-HCM.)
8.
Promoting AUNILO
at the
INTERNATIONAL
LEVEL
The Meeting noted the first draft of AUNILO poster
advertisement prepared by AUNILO Secretariat.
Suggestion was made to participate also in paper
presentation as well as poster presentation at the IFLA
Conference (INTERNATIONAL FEDERATION OF
LIBRARY ASSOCIATIONS and Institutions) and
CONSAL (Congress of Southeast Asian Librarians).

The proposed details of the 6th Meeting are as follows:

Theme : Access to ASEAN Collections
Accommodation : to be informed later
New format of the 6th Meeting:
It was agreed that starting from the next AUNILO
Meeting, the host country will be the Chairman for the
Business Meeting. The session of the 6th Meeting
should be conducted in a panel discussion format
rather than institutional report presentation to get a
more concrete direction and plan. The resolution
should be presented at the end of the meeting.
Common approach and format should be topic based
rather than institutional based and come out with the
resolution for further implementation.

Closing Remarks
Mr. Mohd. Pisol Ghadzali expressed his appreciation
to the VNU-HCM for hosting the 5th Meeting of the
AUNILO Committee. He also presented token of
appreciation to Assoc. Prof. Dr. Piniti Ratananukul and
to the host country, followed by the presentation of
certificate to the delegates.
The Meeting then expressed its gratitude to the host,
AUN and AUNILO Secretariat for the excellent
hospitality and arrangements made for the Meeting.

All the AUNILO Meetings will be organised with collaboration of the AUNILO Secretariat and AUN
secretariat.
During the 4th Meeting 2007 in Thailand, all AUNILO members agreed to extend the AUNILO
Secretariatship to Universiti Sains Malaysia from 2009 – 2013.
2. AUNILO Secretariat
Mdm. Radia Banu Jan Muhamad has been appointed as the new Secretary of AUNILO Secretariat for the
duration 2010 – 2013. She is replacing Mdm. Husriati Hussain who will be on study leave starting from
December 2010.
The duration for AUNILO Secretariat Committee Members 2007 – 2009 has been relinquished. In this
regard, the new committee members for AUNILO Secretariat for the year 2010 – 2013 are as follows:

4. Preliminary 6th Meeting of the AUNILO Committee
The Preliminary 6th Meeting of the AUNILO Committee was successfully held at Universitas Indonesia (UI)
on 14th December 2009 (Monday), 9.00 am – 1.00 pm. The Meeting was attended by 10 members; 2
members from AUNILO Secretariat, 1 member from AUN Secretariat and 9 members from Host
Committee (UI).
The main topic that has been discussed during the Meeting was to change the format of the Meeting and
the programme. The Host Committee, AUNILO Secretariat and AUN Secretariat have agreed to replace
institutional report presentation to in-group discussion format.
The AUNILO members will be divided into 3 group discussions as follows:

ACTION
1. All member institutions agreed that AUN should assist or source
the seed money in order to ensure the support and the
continuance of AUNILO programmes.

2. All member institutions agreed to enhance the existing of the
AUNILO portal and share USD100 per institution per year.
The money will be deposited into the AUNILO Account which will
be held by the AUNILO Secretariat who is held accountable for
the account. It is mandatory for the AUNILO Secretariat to
prepare and report the status of the account annually at the
AUNILO Business Meeting.

update their Institutional Repositories (IRs).

will come out with a report for AUNILO members about the
harvester application project by May 2011.
