Decision Issues and Factors• Need to replace out of service • Continue with desktops or shift to LAN printers?• Advantages of desktop printers

– convenience to staff– custom in NPCD– managers need desktops

• Advantages of LAN printers– easier to manage and maintain– more reliable; better quality– specs says less expensive to operate per page– less costly to purchase and meet NPCD needs

• Color vs. monochrome -- monochrome faster and cheaper but still need color

Proposing strategy with more appropriate printer mix

LAN Printer Purchase and Deployment

• Purchase 2 network ready HP 4200’s (33 ppm)– Network ready and equipped with duplexers

– $3800 (2 @ $1,900)

• Locate LAN printers strategically– HP 4200 -- 4353C (East)

– HP 5500 -- 4353 CC (Central)

– HP 5, HP 4500 (ds), XDC - 4353 BB (Central)

– HP 4200, HP 4500 (ss) -- 4353JJ (West)

– HP 4000 -- 4355HH (West)

• No connectivity charges

Desktop Printer Replacement• Option 1 – limited replacement

– managers and admin/clerical staff (12 workstations)

– 1 printers needed (ABC’s in PAOB and FOB); have one spare HP LJ4

– 1 additional printer needed assuming 10 percent replacement rate

– $$750 for 2 HP 1300’s

– transition other staff to LAN printers through attrition

• Option 2 – full replacement– replace for all staff with out of service printers

– 1 additional manager printer

– $3750 for 10 printers

– $1500 for 4 additional printers, assuming 10 percent replacement rate

– $5250 total

Summary• Large number of desktop printers need replacing• LAN vs. desktop mix not appropriate

– LAN printers easier to maintain– LAN printers more reliable, durable, cost effective– LAN printers less costly to purchase to meet need– uneven balance between monochrome and color on LAN

• Range of costs– $4550 (w/ option 1 for desktops)– $5250 (w/ option 2; assume no additional purchase of LAN printers)

• Recommendation– option 1– transition to LAN printers– build monochrome capability– could phase in approach by purchasing 1 HP 4200 now and 1 next year
