Welcome to LIS Primary School’s After School Activities
Dear Parents and Guardians,
Leipzig International School is proud to present a variety of After School Activities that will be
offered as part of our extended day programming again this term. After School Activities
provide a great opportunity for students to learn and develop a range of new skills and interests
that will complement the daily school curriculum and the regular Hort programming.
Again we present you with an After School Activities catalogue, and invite you to discover all the
exciting clubs available this term, who is offering them and what costs are involved. The
deadline for submitting the Term 2 application form is Friday, December 7, 2018. Details about
how to submit the application form can be found below in the Frequently Asked Questions
section.
After School Activities Term 2 will start on January 7 and end on March 15, 2019. Students who
sign up for an activity are expected to commit to it for one term. All parents are asked at the
beginning of each term to re‐apply to a well‐liked activity, or to choose new activities for their
child per application form.
The activities will be run by both external providers and our school staff.
Requests for individual or small group music lessons can be made in Section 2 of the application
form. You can read all about this system in the last section of our catalogue.
We also list Lunch Time Activities as well as some Open Activities in our catalogue, so that you
can help your child make informed choices about the lunch time clubs taking place at LIS as well.
I wish you all a great start with this term’s offerings of After School Activities and all the exciting
experiences they provide.
Regards,
Kjersti Nichols Hort Leader

Frequently Asked Questions
How can I apply for an activity for my child?
Look through the catalogue with your child and help them to select activities that they are interested in.
Section 1 lists the time‐limited courses offered for Term 2. Section 2 gives you and your child the
opportunity to express interest in music lessons, if you do not already have lessons.
The deadline for submitting the Term 2 application form is Friday, December 7, 2018.
How can we submit the application form?
Please make your choices by completing the accompanying application form and ticking your child’s
preferences for each day in Section 1. Please choose just one activity per day and timeslot. In Section 2,
you can declare your interests regarding music lessons, if you do not yet have lessons. Multiple ticks are
allowed depending on range of interests.
The application form can be found on the parent portal and on the Hort section of the LIS website.
Application forms can be downloaded and returned by one of the following methods:
1. Print the application form, fill it out and then hand in at the Hort Sign‐Out Desk.
2. Save, scan or photograph the filled out application form to your computer and email it as an
attachment to the following address: [email protected]
What happens if our application form comes in past the deadline?
Application forms received past this deadline may or may not be processed according to capacity in the
activities and in the Hort team. If capacity is available, children whose application forms come in late
may have to wait 2 to 3 weeks before being entered into an activity with a late start. Thus it is extremely
important to meet our deadline at the onset.
How are activity selections for my child made?
The application forms will be dated and time stamped upon receipt. After the deadline has passed, all
applications will be reviewed and students will be selected for activities on a first come, first serve basis.
Parents will receive information in advance of the activity start date related to which students are in
which activities via Parent Portal.
When will we find out which activities my child has been signed into?
After receiving all the application forms, Hort colleagues process the data. The information becomes
available during the week prior to start. A concrete date cannot be given, as there are too many variables
regarding the data entry. At the latest you will be able to find the information on Parent Portal on the
Friday before the activity start date. If the information is available prior to that, Hort colleagues will let
you know via posters in the Hort building.

Who can we contact regarding After School Activities?
After School Activities are coordinated by the Hort Educator Assistant Team. Sue Melo Range, Iveta
Ramonaite and Andreea Voinea are happy to help you with any questions you have. They can be
contacted regarding After School Activities at [email protected]. During Afternoon Hort one of the
Hort Educator Assistants will be stationed at the After School Activity Meeting Point each day. Please
address any questions on After School Activities to Ms Sue, Ms Iveta or Ms Andreea. They are also happy
to hear your feedback and always open to ideas for on‐going improvement.
I can’t access Parent Portal or the Application Form. Who can help?
If you are having difficulty accessing Parent Portal or using the application form, our Marketing Manager,
Ms Liane Lindenlaub, will be happy to assist you. Ms Lindenlaub is located in the LIS Loft (behind the
Business Office, across the parking lot next to the gym and up the stairs on the left side). She can be
reached via email at [email protected] or via phone at +49 341 393 77 632.
How are payments handled?
In case of a fee, payments for activities need to be made directly to the activity provider at the beginning
of term. After students have been assigned to activities, providers will be given the children’s names,
mailing addresses and parents’ email addresses. The providers will bill you directly for the term’s activity.
What should my child do on the day of a scheduled activity?
During the term students will be asked to meet their activity leaders each day at Hort’s Activity Meeting
Points, distributed in the stairwell of the Hort Building on both levels. The white boards at the Activity
Meeting Points will have signs posted for each activity, and children will be asked to place their Hort
name tags below the correct activity sign before leaving with their activity leader to the assigned
classroom.
After the activity is completed, the leader will return with the students to the activity meeting point.
There students are asked to remove their name tags and choose a space in Hort to join.
Leaders will be provided with daily registers for signing children into the activities and later back into
Hort. Children must be signed into Hort while attending an activity, even if a parent is present during
that activity or if they have permission to leave on their own. While in the building, Primary Students
must be signed into our Hort systems for safety, security and insurance purposes.
Exceptions to this process are as follows:
1. If your child is participating in an activity run by an LIS Primary staff member and that activity caters
to children specifically in Upper Primary (grades 3‐5). Your child can go to that activity on their own.
Your child should first take their name tag and belongings to Hort, where they too can tag into the
activity at the meeting point. Then they can return to the main building to participate in a course.
2. If your child is participating in Tae Kwon Do. Sport activity participants are asked to put their name
tag on the white board next to the Sign‐Out desk and then go directly down to the gym to meet their
coach.
Leipzig International School, Primary After School Activities, Term 2 (07.01 – 15.03.19)
3. If your child’s activity is located on either the ground floor of the Hort Building. Your child will find a
whiteboard sign for that activity alongside the signs for the regular Hort rooms. Your child can tag
into and later tag out of the activity autonomously, as they would for the regular open Hort rooms.
If you would like to pick your child up directly after an activity ends or your child is planning on leaving for
home directly after the activity, we ask you and your child to return to Hort, retrieve the name tag and
belongings and sign out directly with Hort security personnel at the Hort sign Out Table.
How can we cancel a child’s activity?
Children are expected to attend the activities they have signed up for the entire Term. If, however, a
scheduling conflict or other unforeseen issues arise and a child must cancel his or her spot in an activity,
we ask that the parent send an email requesting and confirming the cancellation to After School Activity
Coordinators at [email protected].
How can we sign our child up for another term of an activity?
At the end of each term, you will be provided with a catalogue and application form for the next term,
again via Parent Portal and the Hort webpage. All students will need to apply for new activities, or re‐
apply for an activity if they would like to repeat the experience. Unless the activity is a year‐long one,
there will be no preferences given to returning students. The first come, first serve system will again
apply.
The exceptions to this are for students who join a year‐long activity. Year‐long activities are as follows:
Tae Kwon Do, Music Lessons, Primary Drama Club, and After School Singing Club. Students signed up
for these activities in Term 1 will be signed up for the entire year and no re‐application is needed.
What should we do if my child is signed into a year‐long activity?
If your child received a spot in Tae Kwon Do, Drama Club, After School Singing Club or Music Lessons in
Term 1, then you DO NOT have to sign them up for the activity again in following terms of the same year
as your child is already registered. If, however, you would like to cancel a spot, please inform the After
School Activity Coordinators as well as the activity leader.
If your child already has music lessons with one of our providers, there is no need to sign up again for a
lesson as the instructors sign up their returning students with us each term.
Is it possible to join a year‐long activity after the school year has begun?
If your child expresses an interest in joining Tae Kwon Do, Drama Club or Music lessons in the middle of
the year, please use the application form to express this interest. The After School Activity Coordinators
will accommodate as many children as spots are available and then add additional students to a waiting
list. If a spot opens up mid‐year, we will inform you. For expressing interest in music lessons, please use
Section 2 of the application form.
Any other questions? Hort’s After School Activity Coordinators are happy to assist you. Please reach out directly to them in person during Hort time, per email at [email protected] or via phone in
the Hort Office at 0341 393 77 872.

Section 2: Music Requests
LIS endeavours to engage quality music instructors to provide our students with opportunities for
continual music lessons throughout their time with us.
Our hand‐picked music instructors have been able to teach many students over the years on a continual
basis. Their capacity levels have in most cases been reached as their students return year after year.
Throughout the school year, however, lesson slots may become available and new instructors may be
engaged after review by the LIS Music Department. When this occurs, the music instructor will turn to
our centralized waiting list for new students.
If you DO NOT currently have lessons, but are interested, we ask that you indicate your child’s interest
in music lessons on the application form in Section 2. Your data will be saved in our centralised waiting
list, which will be maintained on a first come, first serve basis. Once a time slot becomes available, LIS
After School Activity Coordinators will give your email address and phone number to the music
instructor. That instructor will contact you to discuss days, times, structure, equipment requirements and
fees and make you an offer.
If you are interested in receiving further information from our instructors when lesson slots become
available, please fill out Section 2 of the After School Activity application form.
Please tick on the form the following information:
1. Instrument(s) your child is interested in learning,
2. Your child’s current level of skill on the instrument(s),
Multiple ticks are possible throughout this section.
If your child already has contracted lessons with one of music instructors, you DO NOT NEED TO
RE‐APPLY on the After School Activities Application Form. The instructors will register their
returning students with us directly.
