1. Hotels:

Hotel reservations are to be made directly by delegates. Please send a copy of the

reservation to the focal point(s) listed on this document. List of suggested Hotels and

relevant information is attached in Annex 1. Arrangements will be made by Indian Council

of Medical Research (ICMR) and National Institute of Communication Finance (NICF) to

transport delegates from their respective hotels to the meeting venue.

2. Transport from Hotels to the Venue

There will be transport arrangements for delegates attending the workshop and conference.

Accordingly, a shuttle service will be made available from the hotel to conference venue during

all the 5 4 days by ICMR and NICF.

3. Entry Requirements

Foreigners seeking to enter in India should be in the possession of valid passports or any

other travel document. The passport or any other travel document is to be presented to the

Immigration Control Officer at any entry point, such as Border station or Airport. The travel

document must be presented along with one of the following:

An Indian Residence Permit/Person of Indian Origin (PIO)/Overseas Citizen of India

(OCI) card

A valid Visa (where applicable) from any Indian embassy/consulate abroad

Electronic Travel Authorization (ETA) granted through the e-Visa application process.

4. Visa – Formalities for entering India.

Foreign nationals entering India are required to possess a valid international travel document

in the form of a national passport with a valid visa obtained from the embassy or consulate

representing India in your country or, if there is no such office in your country, from the one

that is closest to the country of departure. All individual visa seekers are requested to apply for

the Indian Visa through Online application (see 4.B). All nationals of Bhutan and Nepal

Citizens do not require visas or passports to enter India (unless arriving from mainland China,

Hong Kong, Macau, Maldives or Pakistan). For elaborate information on the visa process for

India, kindly refer here.

Participants eligible for an e-Visa or visa on arrival are encouraged to apply for it (See 4.A).

In case you are not eligible for an e-Visa/visa on arrival, kindly see 4.B. Those requiring an

invitation letter, please see 4C.

A. Visa Categories:

a) Tourist Visa- For travelling to India for tourism purposes

b) Transit Visa- For travelling through India to a destination outside India.

c) Business Visa- Business Visitor coming to attend business meetings, technical meetings etc.

for a short period.

d) Conference Visa- For participants of conferences organized by Government authorities

including Public Sector Undertakings, Autonomous bodies under Government.

e) UN Official Visa: For UN Non-Diplomatic officials on a visit to India

f) Visa on Arrival: Citizens of Japan and South Korea are eligible for visa on arrival. Please

find more information here.

g) e-Visa: Some countries can avail of the e-Visa provision provided by the Government of India.

(i) e-Visa categories

Type Description

e-tourist visa A foreign national may undertake recreation, sightseeing, casual

visit to meet friends or relatives and attending a short term-yoga

programme.

e-Business Visa A foreign national may visit for Business purposes.

e-Conference Visa A foreign national may attend a defined conference.

(ii) General Information about e-Visa

Continuous stay during each visit on an e-tourist visa must not exceed 90

days

All nationalities travelling on an e-business visa are allowed to stay for 180

days

For e-Tourist and e-Business visa, Applicants of the eligible

countries/territories may apply online minimum 4 days in advance of the

date of arrival.

For e-Conference visa, applicants of the eligible countries/territories may

apply online minimum 4 days in advance of the date of arrival with a

window of 120 days.

e-Visa fee is country/Territory specific.

The fee must be paid at least 4 days before the expected date of travel

otherwise application will not be processed.

e-Visa fee once submitted is non-refundable as the fee is for processing of

the application and is not dependent on either Grant or Rejection of

Electronic Travel Authorization (ETA).

(iii) Eligibility criteria for e-Visa

Only nationals of countries listed under 4.A(g) are eligible to apply for the e-

Visa scheme

Applicants of Pakistani origin or holders a Pakistani passport will not be

considered eligible to apply for an e-Visa. In such cases, the individual is

required to apply for regular visa at Indian Mission/Consulate (See 4.B)

The e-Visa service is also unavailable for holders of a diplomatic or official

passport

(v) e-Visa Application Process

Please keep all the documents ready before beginning to fill your e-Visa application.

All documents including Business cards, Invitation letters etc. must be in English

language, failing which the application would be liable for rejection. The entire

process may take 10 to 15 minutes to complete the application and make the payment.

Applicants must fill the e-Visa application himself/herself and give correct

information in each column and take responsibility for the correctness of information

provided.

(vi) Entry Requirements and Authorization using e-Visa

Please confirm that your Electronic Travel Authorization (ETA) status is shown

as 'GRANTED' on the website prior to commencement of your journey.

Foreign nationals should carry a copy of ETA along with him/her at the time of

travel.

Biometric details of the applicant will be mandatorily captured at Immigration on

arrival in India.

Nationals of Yellow Fever affected countries or travellers arriving from these

countries must carry yellow fever vaccination card at the time of arrival in India,

otherwise they may be quarantined for 6 days upon arrival in India.

You must travel on the Passport using which you have applied for e-Visa.

Under the e-Visa scheme, entry is eligible from nine selected international

airports of India: Delhi, Kolkata, Chennai, Mumbai, Kochi, Goa, Bengaluru,

Hyderabad and Thiruvananthapuram.

You must have your confirmed tickets for return or onward journey.

B. Online Visa Application

(i) Nationals of countries, who are not eligible for the e-Visa scheme, will have to apply

for their visas online. In this case, the individual shall submit an application on the on-

line system using the standard visa application form.

(ii) For this purpose, the applicants may log on to https: //indianvisaonline.gov.in

(iii) Please see the illustration below for the overall process:

(iv) To use this online application, the foreigner should be present within the jurisdiction

of the Indian Mission/ Post concerned at the time of making an application and the

granting of the visa.

(v) In order to make an application for getting the Indian visa, the duly signed physical

copy of the application form completed in all respect and submitted successfully, is to

be submitted at the concerned Indian Visa Application Center (IVAC) or directly to

Indian Mission/Post, on the scheduled date of interview along with the requisite

supporting documents.

(vi) The instructions for filling the form and scheduling the appointment can be found on

the website.

C. Invitation Letter for Visa Application(s)

(i) Delegates who require a personal invitation letter are invited to contact Mr Rajeev

Roy by e-mail ([email protected]) with [email protected],

[email protected] and [email protected] on copy.

(ii) The subject line of the email must bear the words "Letter of support for visa" as the

subject. The e-mail subject should also state the registration number, address of the

Indian embassy in the applicant's country.

The deadline for such requests is 20 October 2019.

(iii) The email must include a scan of the applicant's passport data page (1st and the last

page) along with a one-page biographic data.

(iv) Requests for visa support letters can be considered only after you have registered on

the event website, https: //itu.int/go/fgai4h/reg.

(v) Provide the following information:

D. General Policy Guidelines relating to Indian Visa: For additional information on the visa

for India, kindly refer to this document.

E. Health requirements

Applications are required to abide by the yellow fever requirements set forth by India:

a) Yellow fever vaccination is mandatory for applicants coming from countries with risk

of yellow fever transmission.

b) The yellow fever vaccination should be administered ten days prior to the travel to

India.

c) Medical proof of the vaccination being administered should be submitted to the

authorized medical officer (as required)

d) Countries at risk of yellow fever transmission: Africa: Angola, Benin, Burkina Faso, Burundi, Cameroon, Central Africa Republic, Chad,

Congo, Cote d'Ivore, Democratic Republic of Congo, Equatorial Guinea, Ethiopia, Gabon,

Gambia, Ghana, Guinea, Guinea Bissau, Kenya, Liberia, Mali, Mauritania, Niger, Rwanda,

Senegal, Sierra Leone, South Sudan, Togo, Uganda.

South America: Argentina, Plurinational State of Bolivia, Brazil, Colombia, Ecuador,

French Guiana, Guyana, Panama, Peru, Suriname, Trinidad and Tobago, Venezuela

5. Currency and exchange The unit of local currency is the Indian Rupees. Its exchange rate with Euro and USD (as of

2019-09-15) is as follows: -

6. Language The official working languages in the country are English and Hindi.

7. Climate

Delhi's has a taste of all climates. The summers (April - July) usually quite hot followed by

cold winter (December - January). The average temperature can vary from 25oC to 45oC during

the summer and 5oC to 22oC during the winter. In summer, adequate precautions need to be

taken to avoid the intense heat, such as wearing light cotton clothing, using sunscreen lotion,

wearing a hat or sunshade while going outdoors and drinking plenty of liquids. In winter,

wearing warm or woollen clothing will protect you from the cold.

8. Best time to visit

The best time to visit Delhi is from October to March when the weather is at its best. During

this period flowers are at their blooming best, the weather is pleasant and enjoyable to

experience "Incredible Delhi".

9. What to Pack

Pack cotton and light woollen clothes, a sweatshirt for the evening, a light scarf for the breeze,

and sunscreen.

10. Cultural

Delhi is the traditional and present-day capital of India. Delhi stands in a triangle formed by

the river Yamuna in the east and spurs from the Aravali range in the west and south.

Delhi is not only the largest commercial centre in Northern India, but also the largest centre of

small industries. The IT sector, handloom, fashion, textile and electronic industry

contribute immensely to Delhi's economy.

The lifestyle in Delhi is strongly influenced by many of its neighbouring states including

Haryana, Rajasthan, Uttar Pradesh and Punjab. Delhi is a cosmopolitan city where people

from different parts of India cohabit. All major festivals of India are celebrated and the Unity

in Diversity is evident in social and cultural gatherings. Be it Holi, Diwali, Eid al adha, Eid

al-Fitr, Guru Purab, Buddha Purnima or Christmas, you will find the same vigour and

bliss among people from different communities.

13. Electricity

In India the power plugs and sockets are of type C, D and M. The standard voltage is 230 V

and the standard frequency is 50 Hz.

Internet connection will be available at the meeting venue.

15. Mode of transport

Public transport in the metropolis includes the Delhi Metro, the Delhi Transport Corporation

(DTC) bus system, auto-rickshaws, cycle-rickshaws, e-rickshaws, Grameen Seva and taxis.

With the introduction of Delhi Metro, a rail-based mass rapid transit system, has gained

popularity. Other means of transit include suburban railways, inter-state bus services and

private taxis which can be rented for various purposes. Buses continue to be the most popular

means of transportation for intra-city travel, catering to about 60% of the total commuting

requirements.

Private vehicles account for 30% of the total demand for transport, while the rest of the

demand is met largely by auto-rickshaws, taxis, rapid transit system and railways. Uber and

Ola both provide services in Delhi.

Travelers are cautioned to take basic precautions. In case you have any doubts regarding the

mode of travel, kindly refer to any travel agent for hassle-free, safe and reliable

transportation.
