Overview:Internal Maintenance

What is OD Internal Maintenance?

Transnet group’s Inter Operating Division (OD) Maintenance will focus on the maintenance relevant process across Operating Divisions (ODs) and Strategic Units (SUs). The process covers corrective and / or preventative maintenance on Technical Installed Bases, i.e., Functional Location and / or Equipment / Sub-Equipment Structures, which are not owned by the maintenance executing OD.The main objectives of the Inter OD Maintenance process are as follows:

• Correct allocation of maintenance expenses to Cost Centres in the event of Operating Expenditure (OPEX) relevant interventions

• Correct allocation of maintenance expenses to Assets or Sub-Assets in the event of Capitalised Operating Expenditure (COPEX) and Capital Expenditure with De-Recognition (CAPEX de-rec) relevant interventions

For some Transnet ODs and SUs the term COPEX and CAPEX can be replaced by Refurbishment, Improvement or Enhancement.For the purpose of this document the term COPEX and CAPEX De-Recognition will be generically used to refer to any maintenance intervention where the relevant intervention on an object within an ODs Technical Installed Base will:

• Affect the maintainable object’s useful life• Affect the maintainable object’s capacity to generate income

• Due to direct synchronisation, equipment is generated from the Create Asset process in FI.

• New replacement equipment to be created manually as a PM function.• New sub-asset linked to sub-equipment created for CAPEX interventions.• Object type for derecognition Z001 is maintained on newly created

equipment. • Cost Center for equipment should be the same as that for the asset.• Equipment values are directly copied from the asset after capitalization.• New equipment structure incorporating the Y and Z categories.• New equipment structure to be installed at new FlOC for derecognition.• Dismantled equipment also to be installed on a subordinate FlOC to the

derec FlOC

• WBS elements are maintained in Project Systems (PS) for both CAPEX and COPEX interventions and linked to maintenance orders.

• Budget for COPEX/CAPEX derecognition is allocated from the WBS elements for each fiscal year.

Maintenance Order for COPEX/CAPEX Derecognition

•Derecognition process performed through the Maintenance Order.

•New order types - ZTT1 for COPEX and ZTT3 for CAPEX .

•Old and the new equipment both maintained on the same maintenance order.

•Revaluation done in FI before derecognition for equipment linked to revaluation assets

•Maintenance order confirmed with a value of one rand actual costs.

•Workflow triggered during maintenance order technical completion for Settlement- workflow will be approved by Asset Manager per port.

Maintenance Order for COPEX/CAPEX Derec

•No Manual Settlement (KO88) is processed on Derecognition orders.

•Derecognition program runs in the background.

• Old equipment is dismantled and new equipment is installed automatically.

• One rand value is settled to the asset/sub-asset.

• Actual capitalisation of the new sub-asset done through the PS module.

• Business completion performed on the maintenance order after Derec.13
