Patient Flow Portal Version 7.1
Enhancements to the Patient Flow Portal (PFP) planned for release on Monday 25th June 2018 at 21:00hrs AEDT
Access to the PFP will be temporarily unavailable from 21:00hrs to 21:45hrs
Users must log out from PFP before 21:00hrs to avoid loss of data.

Bed Board: Improved Search Function
Bed Board: View of Approved Wards Only
Change to View
It is now easier to see your ward
Clinical Managers and Ward Users will
only be able to see the wards that they
have approved access to each time they
access the Bed Board.
Check &/or Request update to Access
Click on your StaffLink number or username in the top right of the screen to see
the Security Administration window.
Here you can see your current access levels, and request access to other wards
Don’t forget to check your details in the My Account tab, and set User
Preferences for when you log on to PFP
Quicker Searches
Press Enter on your keyboard after
typing details in the Patient Name or ID
fields when using patient search function

Display Empty Beds on the Bed Board
Display Empty Beds
Check the ‘Display empty beds’ box in Bed Board Patient
Mode to see all your empty beds
The status of each active bed is shown in Tile and List view
The Patient List view when ‘Display empty beds’ is checked will
also show active empty beds and their status, along with
admitted patients.
Update Bed Status in Bed Board
Double-clicking on an empty bed will allow you to
change the bed status in the same way as in the
Electronic Patient journey Board (EPJB).
Status will be shown in the ID column, Patient Name in
the Patient Name column and Notes in the EDD column

Display Single Room Only on the Bed Board
Display Single Room Only
Check the ‘Display single room
only’ box in Bed Board Patient
Mode to see all patients in single
rooms
Checking both ‘Display single room only’ AND ‘Display empty
beds’ shows all empty and occupied single rooms.
I/R for Single Room
Clinical teams must update the I/R (Isolation Requirement)
field in either the EPJB, Bed Board or in Inter-Ward/Hospital
Transfer requests for every patient in a single room.

ICU Bed Status Icon
ICU Bed Status can now be reported
from the Bed Board Patient List View
Open an ICU ward to see the ICU Bed
Status icon, then click on the Intensive
Care NSW Heart icon
Nursing Dependency and Ventilator Columns
The Bed Board Patient List View can also be used on your desktop to:
• Change STEP Indicators, • Set Estimated Date of Discharge (EDD) • Add Waiting for What (W4W) delays • Edit Nursing Dependency (Nur Dep) and Mechanical Ventilation (Vent) Status
• Request Inter Hospital (IHT) and Inter Ward (IWT) Transfers to record Exit Block
Nursing Dependency Type or use the arrows to declare the number of staffed and maximum available beds for each Nurse Dependency ratio.
Enter the Intensive Care Consultant’s name and phone number.
ICU Bed Status must be updated at least every 4 hours.
The ICU bed Status icon will be red when update is due and will be green when
updated within 4 hours
This information is used by intensive care and Ambulance retrieval teams to identify available
ICU beds across NSW.

STEP Levels relate to your local facility business rules.
STEP Number and Colour Level Description

Business as Usual
Adequate Capacity to sustain core business; patient flow systems functioning and maintaining performance.
1
Moderate Compromise
Moderate compromise to core business activities as identified by Demand or Capacity mismatch triggers; Thresholds Breached.
2
Severe Compromise
Severe Compromise to core business activities as identified by Demand or Capacity mismatch triggers; Disruption intensified.
3
Extreme Compromise
Extreme compromise to core business activities; All contingencies fully operational.

Short Term Escalation Plan (STEP)
indicators can be seen in
Bed Board,
Dashboard,
EPJB and ICU Bed Status and STEP Snapshot reports
STEP ‘out of date’ update
STEP levels will now default to ‘?’ when they
are ‘out of date’
A Facility and Emergency Department (ED) STEP will be out of date 8 hours after the last entry
A ward STEP will be out of date 12 hours after the last entry
